Friends, mem-bers and supp-orters of MSBCA,

Recently in our c o m m u n i t y , there have been several d i s c u s s i o n s about contrib-

utions to the association, such as donations and volunteer work. Our community is blessed to have a large number of wonderful people who dedicate their time and energy to the association. In doing so, they lift up the spirits of their fellow community members. The Board is thankful.

Our repayment to AGLC is still ongoing but we will manage. Our need to maintain the clubhouse is also still ongoing in as much as we have the clubhouse to maintain. In short, I would like to reassure everyone that your generous donations and volunteer work are appreciated and invaluable to the association.

All groups and individuals are welcome to donate and to contribute their time according to their desires. There is no minimum and there is no maximum. The Board does not set a bar, we do not compel,

and we do not compare our members with each other. This message is universal because it is fair to all volunteers who come from various abilities and backgrounds.

In two separate discussions at a Board meeting and Bylaw subcommittee meeting, it was brought up that many members do not know 1) how to apply for funding, and 2) what is eligible for funding. I can understand this completely. Many administrative procedures are unknown by the general membership, particularly new members, with the exception of experienced members who know how to ask the right questions to the right people, in a manner of speaking. This is a situation we’re going to need to address with more clarity and publicity.

Our association receives funds from internal sources (ie. members) and external sources (notably AGLC). These funds are meant for the benefit of our community, people like you. Having a clubhouse is for the benefit of the community. Having dance groups, singing classes, cooking classes and cultural arts and crafts activities are also for the benefit of the community. All of these receive funds from the association with the approval of the Board. And all of these are

largely member-driven initiatives made possible by people like you.

In the coming days, we will put together a reader-friendly version of 1) how to apply for funding, and 2) what is eligible for funding. The necessity of this is simple. As an association, it is in our interests to facilitate and support the initiatives and projects of our members. It is in our interests to foster creativity, passion and success.

When I reflect upon some of the Board members I work alongside, I am deeply impressed by how MSBCA has made possible many projects they took upon with success. Being part of the decision-making process, they know the extent that MSBCA will go to support them. Now, it is your turn to know the extent that MSBCA will go to support you.

Lastly, I would like to announce that Cultural Night this year will not be held at night. It will be held in the afternoon of Sunday, June 18. At this time, I welcome all interested parties to think about how you would like to participate and to contact myself if you have any questions.

Membership Updates

As MSBCA continues to be a steadily grow-ing organisation, we strive to encourage the continuous improvement of the efficiency and effectiveness of our membership processes. The following guidelines have been established for the upcoming 2017 year in regards to membership:

• Memberships will be valid for the calendar year of January 1 to December 31

• No registrations/renewals for the current year will be accepted after July 31 (this will allow time for a complete list of eligible voters to be disclosed prior to AGM)

• Members who registered/renewed after last year’s AGM (October 30, 2016) will have memberships valid until December 31, 2017

• There will be a fixed membership rate of $15 (individual) and $25 (family) regardless of when during the year that membership was received

FinancialUpdate

� Treasurer’stop3concerns:#1iseligibility.Thisposesanimmediateandcontinuousconcern.HowdoweensurewecontinuetocomplywithAGLCinordertokeepourlicenseandearnfuturecasinoevents.#2isfacilitycosts.Weonlyhave50%ofourcasinoproceedstospendonourfacility.#3isAGLCrepaymentandtheresolutionofdisputedGICs.Notasbigaconcernbecausewedohaveenoughmoneysetasidetocovertheremaining‘repayments’intheabsenceofadequatefundraising.

� AGLCfundstobeusedforwebsiteredesign/upgrade.Redesigntoincludeonlinememberships.� BoardrequeststounderstandTracey’sscopeofwork,deliverablesandprogressreports.

PatrickandEmilyadvisethatTraceyisworkingonaproposaltobepresentedtotheboardforGCM#5tobeheldinMarch.

� Concernsraisedaroundrequeststohaveaccesstomembershipinfo.Currently,thisinforesidesonlywiththemembershipdirector.Majorityofboardfeltthatstronglythatprotectingourmembers’personalinfotobeofutmostimportanceandwillcontinuetohavethatinformationrestrictedtoonlythemembershipdirector.Aspartofourwebsiteredesign,wecanentertaintheoptionofallowingmemberstooptintobeincludedinaMSBCAdirectorytobesharedonlyamongthemembers.Emphasize‘Optin’andnot‘Optout’.

KitchenSubcommitteeUpdate

� Alotofgoodworkwasdonetoreplaceanddiscarditemsinthekitchenresultinginlessclutter.2stainlesssteeltables&freezertobepurchasedalongwithsomeothersmallermiscellaneouskitchenequipment.PlantocompletepurchasesbyendofMarchwiththemoneyboardallocatedtothisproject.

� HVACrepaired,greasetrapmaintenancecompleted.Regularmaintenancerequirementsarepostedalongsidetheseasreminders.

� Amoreefficient/standardize&centralizedprocedurewasestablishedtoaddressthepurchaseofclubhousesupplies.SandyandErictooverseethisforthetimebeinguntilsuchtimewhenitcanbedelegated.

ClubhouseMaintenance

� Boardtookonthe1stphaseofclubhousecleaningSundayJanuary9th.ClubhouseRentalUpdate

� Asperboard’sdirection,Claratofinalizerentalrates&agreementforboardapproval.� Rentalwillmostlyberestrictedtomembersonly.Mainreasondrivingthisisthelackofa

custodiantoopenandcloseclubhouseforrentals.Taggingonacustodianfeeontopofrentalratesmakesitlesslikelythatpeoplewouldwanttorent.AGLCfundsarenoteligibleforcustodianfees.Thethoughtprocessiswhenamemberrents,they’llbeopeningandclosingthefacilitythemselves.Rentalagreementwillbeconstructedtoensureaccountabilityforrenters.

� Rentalsto3rdpartywillbeconsideredifamemberispresentduringrentalperiodtoopenandcloseuptheclubhouse.

� Idealscenarioistohavealongtermlease/rent.OtherUpdates

� X’Masparty–87attendees(62adults,25children).Eventnetprofits=$264.Bakesaleprofit=$200.Proceedstobeusedtofundadditionalyouthprograms.

� Moreartsandcraftsprogramtargetedforages5-16introducingour3nations.TheseprogramsareAGLCeligible.Willbecollaboratingwithothergroups.
