The Gathering

Let The Gathering by Chartwells guide you, from designing the perfect menu to personalizing all the details of your unique gath-ering. Our catering services can accommodate any size, theme, or individual requirements, in virtually any location on campus.

We’ll work with you to create a custom gathering menu inspired by your unique needs that will leave a lasting impression on your guests. All menus will follow the Chartwells culinary philosophy; authentic recipes using the freshest, seasonal ingredients.

Plan Your Event

Policies & ProceduresThe Ordering Process:To ensure optimal selection and the best possible service we kindly ask that events be booked at least 7 business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. Late orders will be accommodated to the best of our abilities on a case by case basis including rush charges as follows:

Delivery of all orders outside the Oakland Center incur a 20.00 delivery charge.Specialty items requiring local pick up are subject to a 25.00 service charge per item.

Guest CountsWe kindly request a confirmed number of guests be specified 3 business days prior to the event. This number is considered the guaranteed guest count. Clients will be charged for either the guaranteed guest count or the actual guest count, whichever number is greater. Changes in guest counts after confirmation or after the 3 business day window may result in rush charges.

Event TimeEvents are billed in 4 hour increments. Events exceeding the 4 hour limit will be subject to additional service fees. This is to include an hour for set up, two hours of event run time, and one hour for break down. Catered events on weekends are subject to a minimum order of $175 in food and beverage. Weekends are defined by any bookings all day Saturdays and all day Sundays.

CancellationWe kindly request that cancellations be made 5 business days prior to the event date. Cancellations made in less than five business days prior to the event date will be billed 50% of the total bill. Catered events cancelled less than two business days prior to the event date will be billed for 100% of the total bill. Extreme and inclement

weather cancellations are excluded. This occurs only when the University is closed due to inclement weather.

Serviceware and ChinaWe standardly provide high quality disposable plasticware. Pick up orders are limited to paper and plasticware. China and glassware are available at no cost for our clients who host events that have 100 guaranteed guests or more. China and glassware are available at no cost for our clients who host a plated event. China is available for all other bookings at an additional charge of 1.50 per guest in the Oakland Center and 2.19 per guest outside the Oakland Center.

LinenStandard Tablecloths will be provided for all food and beverage service tables. Standard buffet table cloths are black or white polyester cloths that drop to the floor (90X156). These are at no cost to our guests. When purchasing a plated meal, 85X85 polyester tablecloths in black, white or gold will be provided at no additional cost to our guests. Standard polyester napkins in black, white or gold will also be provided at no cost to our guests for all plated meals. Napkins for China Buffets or all other purposes are 60 cents per napkin in the following colors: Red, Burgundy, Dusty Rose, Pink, Orange, Gold, Peach, Yellow, Sand, Maize, Ivory, Black, Chocolate, Lavender, Navy, Royal Blue, and Light Blue. Tablecloths for non-food service purposes will be an additional $4.00 for 85X85 cloths, $8.45 for 90X90 cloths, $2.55 for 52X114 cloths, $10.99 for 90X156 cloths, $13.00 for 120 round cloths, and $14.00 for 132 round cloths (in standard white, black or gold). All other linen colors and sizes will be quoted upon request. These would include any check in or registration tables, literature tables, stage tables and the like.

Standard Service Provided for 21%Twenty-one percent of the food and beverage bill will be charged to all catered events for service except for pick up orders.

Plated ServiceStandard service provided is one server per every 2 guest tables (16 guests) for 2 hours of event time and 1 hour each for set up and break down. Additional servers are available upon request for $125 dollars per server at a maximum of 4 hours.

Buffet ServiceStandard buffet service is 1 server per every 50 guests for 4 hours of service. Four hours of service is defined by 1 hour for preset, 2 hours of event time, and 1 hour for breakdown. Any additional hours applied to the event time is subject to a charge of 20 dollars per hour per server. Chartwells will not discount any parties less than 4 hours. Hot buffet service is limited to a minimum of 20 guests.

Food Safety Food safety and sanitation is a top priority for us. Any unused food remains the property of Chartwells catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwells Catering.

Consuming raw or undercooked meats, poultry, seafood, shellfish, or eggs may increase your risk of foodborne illness.

Tax ExemptTax Exempt Forms must be faxed to our office three business days prior to the event. The Chartwells catering fax number is 248-370-2545. We cannot remove tax after the event.

Water SetupPitchers of water or large dispensers are available for conferences, lectures and meetings on campus. (The charge is $.59 per person, with a minimum charge of $5.09.)

Special DietsSpecial diets are accommodated upon request. We kindly request that your needs be submitted in writing 5 business days in advance.

Outdoor EventsAn additional set up charge may be applied to events taking place outdoors.

Meeting Room and EquipmentWhat ever the event, we have the space to fit your needs. Booking is available through Oakland Center Reservations at 248-370-3230. Chartwells Catering does not coordinate booking of room space.

Please reserve all non-food service equipment by contacting Oakland Center Reservations at 248-370-3230. Chartwells catering is not responsible for providing set up or removal of equipment reserved through the Oakland University office of reservations.

Chartwells catering is not responsible for personal belongings left in public areas.

Clients will be billed for replacement costs for missing or damaged catering equipment or supplies.

Alcohol State liquor law requires all alcoholic beverages to be purchased by the Oakland Center and served by Chartwells appointed personnel. Alcoholic beverages may not be brought in or removed from the premises or designated areas. Adherence to all Oakland University alcohol policies and procedures will be strictly enforced.

Oakland Center Reservations offers a wide variety of bar options to make your event special. The office can be reached for pricing at 248-370-3230, our offices will work together to coordinate what is best for your group.

Outside of the Oakland CenterPlease ensure a food staging area and service tables are reserved when a kitchen facility is not available. Equipment must be set up two hours prior to the start of an event. Please make sure venues and buildings are unlocked two hours prior to start of an event. A $25.00 charge may be applied to your confirmation should the need arise to return more than once for delivery or pick up. Clean up for the late night weekend functions may occur on the next business day.
