George Vasili, Information Systems& Logistics DirectorWelcome back after Christmas and HappyNew Year. We hope this year is assuccessful as 2009.
One of the success stories of last year was theimplementation of IPC (International ProductCodes). What particularly impressed the board andmyself was the approach taken to this project: agreat mix of team spirit and use of ICM tools(Integrated Change Management), which arecurrently being used by many areas of the business.
Bringing in IPC was a major change for the businessand this is key to the larger SAPHIR project whichwill ultimately allow international alignment ofDamartex Stock, allowing us to have strongerbuying power. The hard work to complete theSAPHIR project has already started!
The business has seen many other successes andanother good example is the way our businessdealt with the postal strikes, in fact Patrick Seghin(Group CEO) said 'I'm very pleased that the strikeis over, even more by the way Damart UK hashandled it. Excellent planning, creativity in dealingwith difficultly, focus on execution. Congratulationsto everyone involved’.
HERE ARE SOMEMORE SUCCESS STORIES...Mail and Print broke a shift production record fora paper mailing by producing 62,560 dry mailerpacks, in one seven hour shift.
Steeton recorded their lowest cost per parcel inAW09 at 39p
The Contact Centre saw a record for the highestvalue of special offers sold to customers over thetelephone at £1.05 million. This is double whatwe sold in AW08.
Finally, we answered the highest number of callsin AW09 ever at 1,529,000 calls. The closestseason we had to this was in AW03 where weanswered 1,473,000 calls.
We should all be very proud of theseperformances.
Business Update

Completing within budget…
Project cost was kept under budget mainly dueto the timing of implementation; all of whichwas carried out during Christmas week.Company days were combined with someemployees taking the remainder of the weekoff as holiday. Traditional low demand at thistime of year also ensured that the impact to thecustomer was low risk.
Benefits…
Major benefits gained from the success of IPCimplementation ensures that the UK can nowsupport the group’s international strategy, sharing a common language with confidencein our people, systems and process.
It has also provided a secure foundation forfuture changes to the Reflex system; the nextchange planned being the software upgrade inApril.
What was good about it…?
There was a great sense of camaraderie andhigh morale which inspired the whole crossfunctional team and promoted a positivefeeling that everyone contributed equally nomatter what their usual ‘day job’. Expertise wasdemonstrated and gaps in ability recognised, with many people learning new skills andbroadening their knowledge of the businessalong the way. This was a great networkingand personal development opportunity, all ofwhich combined to make IPC implementationa total success!
Team Damart – confidence
The International Product codes project teamwas made up of members from across thebusiness, each bringing a wealth oftechnological and process knowledge whichhelped with the planning, testing andimplementation of the project. The real successof the project and the driving force behind the
early and smooth delivery was the strength ofthe team work, positive ‘can do’ attitude, openness to feedback and the frequentcommunication to all involved in the project. Toeveryone involved – a huge THANK YOU!
Thank You
The IPC Project New Vision Team would like tothank everyone involved in the project.
Special thanks goes to the IPC IS Team,Finance and Logistics IPC team.
As part of our New Vision strategy we have been working hard to improve ourinternational processes.
WORKING HARD CROSS FUNCTIONALLYTO SUPPORT OUR INTERNATIONAL PROCESSES
One of the ways we hope to achieve this isby introducing International ProductCodes as part of the larger SAPHIR
project. The project purpose was to unifyDamartex stock across the Group to ultimatelyenable buying at a Group level along with thefacility to share common stock between countries.
The new way of working was introduced in the'quiet' week before Christmas as theimplementation of this project required someoperational downtime. The Christmas period gavethe biggest natural window. However we did notwant to cancel Christmas for the project team!
The IPC Project team finished the project anddelivered the system back to the business fornormal operation two days ahead of plan. Thisenabled everyone to put their sprouts on early andenjoy the Christmas holiday!
Outstanding team work…
The project provided the opportunity forindividuals to step out of their ‘comfort zone’ toexperience a cross functional project and enhanceexisting or create new working relationships basedon honesty and understanding. The team’s passion
for success in supporting the overall group visionensured the sense of urgency was shared by allwith achievements celebrated and any issuesimmediately addressed then solved in an open andpragmatic manner.
How?
Three planned tests gave confidence inprocedures and timings and achieved an earlysign off
Testing became streamlined and prepared theteam by identifying potential problems
Willingness of teams to go that ‘extra mile’,often working late into the night to finish theproject tasks
Very good cross functional team work
The team worked the weekend to give moretime for ramp-up
Desire to finish before Christmas to ensure thefestivities could be enjoyed
IPC Project: the foundation forUR implementation and first phase
of SAPHIR

NEW DAMART INTERNET
Bringing together teams from Marketing, I.S,Buying, Data Entry, and Customer Services, the site has been redeveloped, and redesignedto improve our customers experience whenshopping online.
The new site has been built on a fresh platform(OS Commerce) and the developers have hadto learn a whole new coding language.
Apart from the improved customerexperience, the benefits and features of thenew site give the business a way to bettermanage the content, reducing administrationtime. The e-commerce team can also changethe website easily, meaning the site can reactinstantly to the market and our customers’needs.
Phil Myerscough from the e-commerce teamsaid: “For the customer, it will help us deliver
more and include features like awish list, and better accountmanagement tools. It's been thebiggest overhaul of the websitesince we first launched an e-commerce site in 05/06. The factthat we've been able to improveon what existed, both in terms offunctionality and look and feel isa tribute to the I.S developers and our webdesigner Mark Feather and Lorna Simpson ournewly recruited Online Marketing Executive.”
With the newly designed website ourexcellent performance in AW09 can onlyimprove. The new site may take some time forcustomers to get used to, but should deliverconsistent double digit conversion rates (theaverage for a clothing site in the UK is about4-5%) and lead to increased AOV (AverageOrder Value) and customer satisfaction.
The new website can be viewed atwww.Damart.co.uk
Congratulations!
Well done to everyone involved in theproject, including Phil Myerscrough, MarkFeather, Lorna Simpson, Sean Morrow, KeithWhyte, Richard McVay, Dave Rendall, DaveLewis, Angela Burrow, Jan Smith, DianeSmith and Simon Smith.
Well – What a six monthsit has been!
Ijoined the business in October 2009 at atime when the Buying, Merchandising andPublications teams were all going through
the throes of determining the process for SS11– the targeted date for when we would havean International Product Range purchased byan International Buying Team.
I was immediately impressed with the hardwork and commitment demonstrated by somany people in ensuring that this majorproject was managed and implemented in anefficient and effective way.
Cross functional workshops were in place toensure that every consideration was given tounderstand how the current processes workedin each country. These workshops then helpedus to understand how we needed to changeour current processes, to ensure a successfulSS11 season with our first InternationalProduct Range.Process and Critical Path whichwould ensure a successful SS11 season withour first International Product Range.
In early January both Jacques Destobbeleerand I was able to present the complete newprocess to all employees within the Buying,Merchandising and Publications teams. Thiswas Step One in our challenge for this seasonin terms of communicating the new processand what it means for all of us.
To continue this challenge we had a numberof more detailed workshops where we all hadthe opportunity to review, within eachfunction, how the Business Process nowworked and to start considering the issue ofall understanding:-
• The change in our daily tasks
• The impact on other areas of the business
• The key milestones / deadlines we mustmeet in the planning stage
February 2010 is when we startimplementing the new process - as well astrading SS10 and finalising the AW10 seasonfollowing our old processes.
No mean feat …..and a greatexample of multi tasking!
It is fair to say that for many of us this is thebiggest change we have ever experienced andI would like to take this opportunity to thankevery one of the team for their hard work, commitment and support to the project whilstdelivering exceptional results in our currentseason.
