Tau Beta Pi Texas Alpha Annual Summary Fall 2013-Spring 2014

In the 2013-2014 academic year, Texas Alpha welcomed 53 new members to its chapter. Since our chapter

requires that candidates complete 14 initiation requirements including 10 hours of service and attending 5 social activities,

we believe that all of these members have shown both integrity and excellence in the process of joining Tau Beta Pi. This

report documents the numerous activities undertaken by Texas Alpha this academic year that our members took part in.

Below is a summary of the advancements made in each project area.

Community/Liberal Culture

Texas Alpha’s community involvement was dominated by our members giving back through numerous hours of

service and by expanding our liberal culture effort. As for community service, attention was focused on many park

cleanups as well as recycling events. By preserving our community’s environment, Texas Alpha takes great pride in its

volunteer work. We require all members to complete at least 10 hour of community service in order to be considered for

initiation, and we were very pleased to find that many members exceeded these requirements by contributing over 20

hours of their time. One new avenue that Texas Alpha undertook this semester was the involvement of corporate

sponsors in volunteering events. This not only exposes the importance of philanthropy to our corporate sponsors, but also

gives our members a chance to interact with potential employers in a more intimate setting. Advancements in liberal

culture were spearheaded by a new Liberal Culture committee which featured exciting events like exploring Austin’s

comedy club scene as well as visiting museums and attending baseball games. In the coming semesters, Texas Alpha

looks to continue and expand the efforts that were made this year.

University/College

Texas Alpha looks to spread its name on campus through involvement with several UT Austin activities and

events. This year, Texas Alpha had the opportunity to participate in several intramural sports leagues and host an alumni

tailgate prior to the UT-Kansas football game. Since UT Austin prides itself on a football program, Texas Alpha continued

the tradition of combining college activities with the interests of Tau Beta Pi. Additionally, Texas Alpha claimed a third

straight victory in UT’s annual “Engineers Week (E-Week)” in the small organization category.

K-12/Mindset

K-12 Outreach has always been a (albeit not major) part of our chapter’s service efforts. This semester we evaluated where we were in terms of outreach and decided that the events we already had served their purposes well. However, we also decided to try and expand our efforts, as it aligned with the national push for greater outreach and also expanded our impact on the local community.

For many years, our main outreach events were hosting stations at Explore UT and Introduce a Girl to Engineering Day, both days hosted by the University of Texas for general outreach purposes. Our stations at both events are the same: we operate a trebuchet which launches water balloons at crowds that form to be hit. The station has been very popular throughout the years, attracting the attention of both the students that we want to focus on as well as the parents of those students. The popularity has allowed us to expose engineering to many people and we also explained some of the basic physics and mechanics behind the trebuchet. While this provided a great way for our chapter to reach the K-12 community and drive interest in STEM, there was the thought that we could do more to directly impact students.

In the fall semester of 2013, our chapter started to tutor at Lanier, a local high school. While we only tutored there three or four times total that semester, there was a lot of potential seen. Those who go to Saturday school are likely the students that need the most help. This gives us a great way to target at risk students and make a large impact. The decision was made to expand our tutoring efforts.

Besides Lanier, multiple schools were contacted and three schools replied with interest: LBJ High School, Eastside Memorial High School, and Premier at Lanier which is a school associated with Lanier that targets those that are close to dropping out or who have already dropped out but came back to school. Our K-12 committee shifted its focus to building up an expanded tutoring effort.

After getting the replies from those schools we sent a group of people to every school every Saturday of the semester until May, when the high schools ended their Saturday school programs for the semester. Expected difficulties were encountered, such as the difficulty of explaining complex math or science topics to disinterested students. However, some students were very receptive to having new faces tutor them and growth was seen among those students over the course of the semester. Realistically, we cannot improve the standing of every student at Saturday school, but those receptive students did show there was interest that had not before been tapped.

Overall this semester has provided a good start to our tutoring efforts. The tutoring could be more effective but this semester can be used as a reference for developing better tutoring techniques. The K-12 committee has also brought up the idea of hosting small outreach presentations during some of the Saturday school sessions each semester. The goal is to drive interest and expose students to career paths they may have not known before. Many of the students are on assisted lunch programs, are refuges, have rough family lives, and their school work takes little precedence in their day to day life. Outreach to those students is thus crucial, and gives us a way to make a huge impact on some of these student’s lives. While this semester has been a good start, there is still a lot of opportunity for our chapter to make a big impact on many students.

Chapter/Social

A majority of this year’s projects fall under the Chapter/Social category. We require that all of our candidates

attend five meetings in the semester that they are elected and attend at least five social events. Our meetings are

generally corporate sponsored and feature internal announcements in the first half of the meeting followed by 30 minutes

for a company to present. This year we were fortunate to hear from companies in the consulting, oil and gas, construction,

electronics, and software industries. Social events have included anything from board game nights after meetings to

frozen yogurt and Starbucks socials to weekly trivia at a nearby restaurant. We also traditionally host two “bent polishing”

parties per semester in which electees have the opportunity to polish their rough cast bents in the presence of other Tau

Bates and to receive advice from active members. At the end of each academic year, we host a boat party to celebrate

the year’s achievements.

Education/Professional Development

Our education and professional development areas are spearheaded by our faculty firesides and professional

development activities. Our faculty firesides involve a meal with a professor at the university and we usually host about 5

throughout the year. This year we have been fortunate enough to hear from esteemed faculty members like David Laude,

the university’s senior vice provost, and Hans Mark who has spent time as the Secretary of the Air Force and is a former

Deputy Administrator at NASA. Members have learned a lot from attending faculty firesides and professors are excited to

interact with students in more intimate settings. As for professional development, we have hosted several resume reviews

and job search seminars to help our members get a better feel for the employment process. Additionally, members are

encouraged to request mock interviews to prepare themselves for an upcoming meeting with a company. This year we

also had the pleasure of welcoming TBP facilitators for an Engineering Futures session. Members agreed that this was

very beneficial to their individual professional development.

Summary

Overall, Texas Alpha experienced an exciting and successful academic year. By expanding on K-12 initiatives,

spearheading a Liberal Culture committee, and building on past traditions and events, it is apparent that we are taking

strides to showcase Tau Beta Pi values at UT Austin. Moving forward, we hope to continue our efforts as we hope to host

the 2016 national convention which would also recognize the 100th year of our chapter’s existence.

Project name: Repairing the Trebuchet Part II Date(s) of Project: 03/28/2014 Project area: Community/Liberal Culture Number of persons who participated in this project Members: 12 Electees: 9 (List of names is included below.) Average number of hours per person Organizing: 2 Participating: 2 DESCRIPTION: I. General Description: This event was a continuation of Aladdin’s team service project. Repair work was continued on the trebuchet. The machine shop was open for this event and so the proper holes were drilled and parts installed. However, another problem with the construction and function of the trebuchet arose at the end of the event. The underlying cause of the previous broken arm was determined and plans were made to fix it in the future. II. Purpose & Relationship to Objectives of TBP: The trebuchet is a popular station at both Explore UT and Introduce a Girl to Engineering Day, allowing the organization to work towards fulfilling its goal to greater K-12 outreach. Because the previous event to repair the trebuchet did not fully repair it, another event was created to help progress. III. Organization & Administration: TBP organized and administered the event. IV. Cost & Personnel Requirements: More wood was needed which came out to approximately $20. V. Special Problems: The pin that holds the trebuchet in its ready position was determined to be too short. This causes the trebuchet arm to be at an angle when it fires, which sometimes results in the arm impacting the frame of the trebuchet. Those impacts over time damage the arm, leading to failure. Future attempts at repairing the trebuchet need to address this first and foremost. VI. Over-all Evaluation/Results: Overall the event was successful and additional progress was made on the repair of the trebuchet. Our TBP chapter sent 2-4 people every week to help tutor those students that needed help. We helped mainly with math and science. II. Purpose & Relationship to Objectives of TBP: Tutoring students that were some of the most behind students in their school was deemed directly relevant to our K-12 outreach efforts. The objective with tutoring is not only to directly help their grades by helping to finish assignments, but also to help show that there are options in life that the students may not have been exposed to before. LBJ also has a dedicated engineering class, and there has been interest shown in reaching out to them specifically. III. Organization & Administration: Our TBP chapter and K-12 committee organized our tutors every week. We had one contact at LBJ: Dr. Ronald Bell, who organized Saturday school. IV. While this was not a huge problem, it could be in the future if there happens to be a semester with a low number of candidates. In terms of tutoring itself, there were the typical difficulties in attempting to reach out to students that were very uninterested in the subjects they were being taught. VI. Average number of hours per person Organizing: 1 Participating: 3.5 DESCRIPTION: I. General Description: Before Explore UT this semester the trebuchet’s arm was broken. A week before the event the arm was replaced with a new arm made by Tim Smith and the sling mechanism was also fixed. At the beginning of the day of Explore UT, the trebuchet was set up and tested before anyone was allowed to launch the trebuchet. An area was cordoned off around the trebuchet to keep away anyone from getting too close and risk possible injury. Kids were carefully allowed to both launch water balloons and be hit by water balloons down range of the trebuchet. The station ran well for the first 3 or so hours, attracting large crowds of both parents and children. However, after 3 hours a crack started to form in the trebuchet arm. The trebuchet was disassembled and a temporary replacement arm was created. Although the water balloons did not go as far as they had at the beginning of the event, and members of the public were not allowed to launch the trebuchet, kids were still enthusiastic about being able to be hit by water balloons. II. Purpose & Relationship to Objectives of TBP: Engaging in community service both allows for TBP to positively impact the community and for the candidates to work towards their 10 required service hours. Those who participated and observed our station seemed to leave impressed and happy. III. Organization & Administration: The Women in Engineering Program was the overall administrative body for Explore UT. We had to check in with them a few months before the event to make sure we had a spot reserved. IV. Cost & Personnel Requirements: The replacement arm for the trebuchet and the water balloons came out to approximately $25 total. V. Special Problems: The arm kept impacting the side of the trebuchet, likely leading to the crack that was observed after firing for 3 hours. Future iterations of the trebuchet need to be designed so that the arm does not impact the sides or frame of the trebuchet. VI. Over-all Evaluation/Results: The event was successful overall. Those who were at Explore UT were happy with what we had and the kids were enthusiastic about our station. Even after the temporary fix halfway through the day we still managed to attract a crowd at the end. During this event, we set up a grill, a tent, and several tables in front of our engineering buildings. We then cooked beef burgers, veggie burgers, and hot dogs and sold these items, along with chips and drinks, to students and faculty that passed by during lunch hours. II. Purpose & Relationship to Objectives of TBP: This event has been our main source of fundraising for the Texas Alpha chapter. We put the profits from the five Burger Burns towards our Scholarship Endowment Fund established this semester. III. Organization & Administration: This event was organized in conjunction with the office of Engineering Student Life, who put our event dates on their event calendar. The event was also organized in conjunction with Student Activities, who allowed us to reserve the space necessary to hold the event, and Environmental Health and Safety, who made sure that we were following the necessary codes and restrictions. IV. Cost & Personnel Requirements: All food and non-food items were purchased from Sam’s Club. We required all officers to help out for at least an hour for each Burger Burn, and we encouraged candidates and actives to help out as well. V. Special Problems: We did not run into any major problems. VI. Over-all Evaluation/Results: The Burger Burn efforts this semester were exemplary this semester. We held five Burger Burns this semester, which is more than we have held in a long time. Our net profits for each Burger Burn were between $300 and $400, which were very good and very beneficial with respect to establishing our Endowment Fund. The use of the Square card reader this semester was very helpful because it allowed us to serve food to people who only had credit or debit card as a method of payment. We also experimented with guacamole as a burger topping for extra money during our last Burger Burn, and it was a big seller. We will continue to sell guacamole as a burger topping in the future.
