If you are in the service industry, then you have probably heard by now that tablets are a great new tool to keep your mobile

field staff and your back office in sync.

What is it about tablets, such as the iPad, that make them such great tools for service companies? They are lightweight, durable, have extra-long battery life, can turn on and off instantly, and are incredibly easy to use. Need more convincing? They are cheaper than most laptops, and they come with easy ways to deploy business software.

If you are looking for a downside, good luck. These devices are simply the biggest technological advancement in mobile computing since the debut of the laptop. The rest of this article will focus on how a service company can use these devices to offer better service to their customers while lowering their costs.

3. You are going to have a harder time finding quality software for Android. Not only does Android have much less apps available, but rampant piracy, the myriad of screen sizes to develop for, and multiple versions of Android means that app developers rarely get a return for their Android apps.

But, don’t take my word for it. Good Technology found that among businesses so far in 2012, the iPad has 97.3 percent market share. There is a reason for that. Buy an iPad.

SoftwareNow that we have purchased our iPad, what can we do with it? Plenty. It turns out you can pretty much do everything on your iPad that you can on a laptop, providing you have the software for it. You can browse the web, send and receive e-mail, remote desktop, look at plans or installation guides, bill customer credit cards, get directions, look at maps, take photos or videos, etc. And, with the elegant touch user interface, these activities are easier and more intuitive than ever.

hh2 Web Services has created a whole line of iPad apps for companies that use Sage Timberline Office. We have apps for Payroll, HR, Field Reports and Field Service. Since this article is targeting service companies we’ll discuss our Field Service apps.

hh2 Field ServiceOur Field Service app allows technicians to view and complete their work orders on an iPad. Technicians can view their schedule, get directions to their next appointment, look at previous work orders, and view equipment and purchase orders. Since it is a native app and not just a website, your techs can use the software even if they don’t have Internet access.

Technicians then have all the tools to document the work order, including taking before and after photos, completing preconfigured activities and creating new ones, setting trip status times and getting customer signatures on the work performed.

hh2 DispatchOur Dispatch app is designed to aid dispatchers while in the office, at lunch or at home. Currently, you can monitor the status and GPS position of all your technicians. You can see all comments and trip status updates made to work orders. And, you can pull up historical GPS and work order data so that you can quickly see where your technicians were and what they were doing at any given date and time.

ConclusionIf your technicians can get up-to-date information and view historical information while out in the field, they can make more informed decisions and, ultimately, provide better customer service. If they can accurately digitally document their work, you can avoid misunderstandings and costly litigation.

When your dispatchers know exactly where your technicians are and what they are doing, they can make better decisions about who to send on an emergency call or to identify technicians who are not keeping up. All this adds up to your team being more productive.

Resourcing in Sage Estimating

Resources, crews and rate tables work together in Sage Estimating, when using crew-based pricing, to calculate the

labor and equipment for an item. This article is going to focus on resources.

Crews allow you to quickly and easily calculate the cost of labor and equipment when pricing items in your estimate. Crews are made up of resources. Resources are either labor or equipment. A crew can be made up of both labor and equipment resources and Sage Estimating calculates the costs for both labor and equipment in your estimate items. Once a crew is created it can be stored in your database items.

Because crews require resources, you will first want to establish a list of resources to choose from. As stated earlier, resources are either labor or equipment. For example, a backhoe is an equipment resource, while the backhoe operator is a labor resource.

There is essentially no limit to the number of resources that you can have to choose from in your database. To see the list of available resources, click on the Database pull-down menu, hover over Crews and when the sidebar appears select Resources. The Database Resources window will appear with the list of resources. This list can be sorted to show either Labor resources, Equipment

resources, or both by using the Show box on the right side of the window. One suggestion in this process would be to develop one crew at a time. I would recommend creating this crew on paper, giving it a name, listing out all of the labor and equipment resources you will need and then creating the crew in the database.

Once you have developed your crew and resources on paper the first step is to add any new labor and equipment resources that may not already be in your list of available resources.

To add a new resource click the [Add] button on the right side of the window, and the Adding Database Resource window will open.Next step is to type in a Resource Name,

up to 20 characters long, a Description, up to 70 characters long, and any notes for this resource you may have. You will also designate whether this resource is a labor

or equipment resource. Then click [OK] and you will see your new resource added to the resource list. Follow these same steps to create any other resources you need. NOTE: I would recommend that you develop the resources for one crew at a time.

Once you have created all of the resources you will need for the crew, the next step will be to create the crew and add those resources.

Entering Journal Entries can be a tedious and time consuming chore. If you are like us, you may feel that by the time you write the Journal Entry up, entering it seems redundant, but importing

these entries into Timberline proves simple and seamless.

Years ago we began writing up journal entries on an Excel spreadsheet. As we began using the Import function for other routine tasks, it suddenly occurred to us that 90 percent of the information that we would need to import the entries was already on our spread sheet. The task of putting it in an import template could be done with a couple of quick steps!

The first step was to figure out what additional items we would need to complete the import process. We only keep Accrual books, so this was simple. We needed to add the second reference field, which for us is an abbreviated (10 characters max) journal description and reduce our full journal entry description into a 30-character format. These items could be added in additional columns that would be outside the print range of the original format.

Next, we opened our existing Excel GL import template, copied it, and pasted it to Sheet 2 of the spreadsheet, renaming that sheet as “Import Template.” We created Excel if/then formulas to link the information from the Journal Entries sheet over to the Import Template sheet.

A typical formula might read “@if(‘Journal Entry’!D6>0,’Journal Entry’!D6).” This could also be done with a Macro. The information then prefills on the Import Template. The recurring information, such as Field 1 (column A), which equals GLT, or field 10 (column J) fills using the same type of formula but using the text information. As an example, the formula @if(b2>0,”GLT”), placed in cell A2, would return

the text GLT. Lastly, the Debit and Credit columns need to be formatted as general numbers, without commas, and the date column needs to be formatted as “custom,” selecting mmddyyyy. The rows that don’t meet the if/then statement and return as “FALSE” are deleted.

Once this process is completed, the spreadsheet, with the Import Template as the top sheet, can be saved as a *.csv file. Only the top sheet will be retained in the *.csv file, which is now ready to be imported.

The import process itself is quick and easy. Open GL and click on Tools, Import Transactions. If you have named files, you will be asked for a destination file to import the entries into. This will need to be a new.glt file. Next, you will need to identify the CSV file you are importing from. You will see a Browse button to the right of the file name field. Click on this and bring up your *.csv file. Below this, you will see a GLReject.txt file. This is where Timberline will record the line and field errors for any reject entries. You can use the default file name or, if you are running this process several times consecutively, you may want to name each reject file individually.

Once the file has been imported, you will want to check the printed report to see if any entries rejected. Our most common cause of rejection is that the Description field was over 30 characters. To correct these errors, simply open the “Reject” text file, using either Word or Notepad, and correct the appropriate line and field. After this is done, simply repeat the import process, this time using the “Reject” file.

We mark those entries that have already been successfully imported by shading them gray, so that we avoid importing them a second time at a later date. This could also be accomplished by creating a “Posted” column and expanding on the if/then formula.

Be an Import Instigator by logging on to the TUG website at TUGweb.com and downloading this Excel file from the Resource Library! Once you get started, you will quickly find that you are no longer a foreigner to importing journal entries.

Have you ever tried to use an assembly and wondered, “What was Joe thinking when he put this assembly together?” Or, clicked on the attachment for an assembly only to find that the assembly has

been modified and the attachment is no longer valid. Assembly Guide was designed to solve exactly these problems and more.

Assembly Guide is a choice on the Estimating Tools menu under Setup. It was designed to automatically document your assemblies by compiling assembly notes, formulas, variables, items and drawing attachments into an HTML document. The HTML document can be viewed using your browser when you click the “Attachments” button in Assembly Takeoff. If you make changes to any part of your assembly, you simply run Assembly Guide again and it updates the Assembly Guide file.

To run Assembly Guide, from the Setup menu in Estimating Tools (Start>All Programs>Sage>Sage Timberline Office>Estimating>Estimating Tools) select the Assembly Guide option to start the Assembly Guide Wizard. Simply select the database you want to create help for and follow the steps in the wizard.

Assembly Guide cycles through the database, automatically documenting the assemblies into an HTML page. Each page lists the items in the assembly and the calculation methods. The calculation methods are formula names and are hyperlinked to the formula, so if you click on the calculation method, you can instantly view a formula and any notes attached. (No, you can’t change them from here, its read only.) Clicking on a variable in the formula jumps you to the variables

along with their help, defaults and Min and Max values. Clicking on a nested formula jumps you to an exploded view of that formula.

If you have documented the assumptions or special conditions for the assembly in the Notes field, your notes are displayed as assumptions in the HTML page. If you attach a graphics file (such as a drawing that illustrates what the assembly covers) to the assembly, Assembly Guide will either incorporate the graphic into the HTML page or create a link to the drawing, depending on the type of drawing file that is attached. GIF and JPEG files are incorporated into the page; all others become a link. Notes and attachments are added to an assembly using the Edit Assembly option available from the Database menu in Timberline Estimating. When you run Assembly Guide, the attached file and any notes will get included in the HTML page. After you have used the Assembly Guide to create an HTML page for your assemblies, the HTML page can be viewed during assembly takeoff by simply clicking the attachment button.

Automatic journaling of transactions is a new setup available in the 9.8 upgrade that came out in 2011. This feature allows you to set up the journaling in an application to automatically save to a file using an established naming format.

To set up the auto-journaling feature and establish the format, in the application, select Tools/Options and select the Journal tab. Click the Automatically print journal to file box. Select the Journal Folder and click Add to set up the folder to which the journals will be saved. Do the same for the Journal File. You may use multiple selections in each of the settings. Timberline automatically creates the folder(s) and names the files according to the parameters you create.

This is an example of the printout created when I entered an invoice in AP using the above settings.

Mark Kutchen provided this response:We routinely allocate a sales tax add-on that is calculated just on materials when we transfer to job cost, and on some projects we allocate some special labor add-ons, as well. It has always worked fine.

ACCOUNTS RECEIVABLEAndrea Chavez asks:I applied a cash receipt on a customer to pay an invoice on their account. They had an overpayment so it is still sitting on the account. The overpayment actually belongs to another

I have tried to unapply the cash receipt and the use change customer for just the portion that belongs to someone else but it won’t work. What is the best way to unapply the check on the one customer but still pay their invoice and put the money that belongs on the other customer on their account to pay their invoice?

Amanda Leith provided this response: I think the only option is to void the cash receipt and re-enter it to each customer separately. If it is one check enter it twice but only the amount that belongs to each customer.

Eva Labre also responded:We had to re-enter the deposit and instead of that check being one check, we had to mark it as two checks.

ADDRESS BOOKMary Joerg asks:When setting up a company there is a “Use As” button. Does anyone know the database field name for this? I want to run a report based on this field but I am not seeing the database field name…is there a database field name associated with it?

Tom Moore provided this response:The fields are in the APM_MASTER_VENDOR and/or ARM_MASTER_CUSTOMER data tables. You can view the AP Vendor code from AP and/or AR Customer code from AR and use the “AB Company ID” field in either or both of those data tables to link back to the “AB Contact ID” field in ABM_MASTER_COMPANY. It’s a little bit “backwards,” but it does work (although the reports I’ve built using this technique tend to

valuable information and she thinks that her project managers would be excited about it. Unfortunately, it loads INCREDIBLY slowly. They have about 40 active jobs at any given time and move jobs to history on a regular basis. Anyone have any suggestions – or has anyone been able to use without it taking four to five minutes to load/refresh the home page?

Tom Moore provided this response:I “LOVE” STO Desktop. I especially like having a job overview home page for PMs and do several things to speed it up, including:

• Condition report to only show active jobs (not “closed”).• “Personalize” report to only show the jobs of the PM that is logged in rather than all jobs.• Delete/suppress the “document” portion of the report and focus only on financials for the main page (this speeds it up a lot, plus you can still get to the document info via the “on-demand” sub reports for each job).• I also add a “landing” page to show a “one-line” financial summary for each open job (but that doesn’t speed it up, it’s just cool and useful).

GENERAL LEDGERNicholle Anderson writes that she is in the process of preparing for an audit and needs to pull the last five years of balance sheets. She is trying to find out if there is a way to print them out of Timberline without going through box after box.

Ken Rizzo provided this response:You can build your own in Crystal or Report writer since the GL Master Account has a “End Balance 1 Year Ago” thru “5 Year Ago” field, which gives you all the information you would need.

Eire Stewart also responded:Easy solution. Open your existing Balance Sheet in Financial Statement Designer, delete the “Current” column(s), and edit the NYD column, replacing the NYD field with “Year End Balance 1 year ago.” You can create one design for year backwards. You can also create a single design that stacks all five years side-by-side just by adding the additional columns!

DESKTOP – SECURITYSandy Cardenas writes that she has two separate companies in two separate databases. She has one employee who she wants to do payroll for one company, but does not want her to have access to the other payroll information in the other company. So far, in her security setups (for everyone), the security “rules” include both companies. Is there a way to separate the securities for each company?

Mia Bernard provided this response:From Desktop, go to Tools>Security Adm>User Setup>Click on that user name. You’ll see three tabs – 1. Settings; 2. Roles; 3. Companies. Select tab 3, Companies. Uncheck the company you don’t want her to have access to.

When she tries that process, it rejects due to CM not clearing the checks. They didn’t use CM for the first eight years and they don’t use those bank accounts now. Is there a simply way to clear ALL the old checks so she can move AP to history?

Amanda Leith provided this response:You can go to CM and go to edit register, then select the bank account that you want to clear the checks in and click on the clear check button. Then, just enter the ranges and the date you want to use…they will be cleared.

CASH MANAGEMENTKathy Nydahl writes that her company has not utilized the cash management module, mainly because they use an imprest account for clearing all checks (they have approximately 50 entities that issue checks). By doing so, they save on bank fees. They are now evaluating what benefits they are missing out on by not using cash management. The only one she thought of was the reconciling feature. Any others?

Eire Stewart provided this response:We have 167 entities live in a single directory, each with at least two bank accounts. For us, CM provides the ability to quickly look at all the bank accounts in a single location quickly, whether it is by report or in Inquiries. We have an A-B prefix set-up, which means our bank accounts have multiple GL accounts by prefix B. CM shows the bank as a single balance. It has also given us the ability to use My Assistant and setup some nice bank alerts. Because we summarize AP transactions on the GL, CM is also a great place to see the check detail. We can quickly see if checks have cleared in Inquiries. There are also a number of reports,

and the ability to crate reports, either in RD or in Crystal. In short, CM provides a quick, concise place to look at account activity.

PAYROLLCynthia Brew writes that in Payroll>Employee Setup, they have a tab for Misc. Info. Within that tab there is an Employee checklist. She wanted to know how she could edit the checklist for items they would like checked.

Don Bannister and Barbara Kuntz both provided this response: If you click on the check box for the description you want to change and then look at the bottom

of the dialog box, a button will appear that says “Change Desc.” Click on that button and you can change the description, then click the [OK] button. Once you do so, the description will change for every employee record.

Laurie Friedo also responded:You may need administrative permissions to get the change desc. box to appear. Make sure to check that, as all users may not see that button.

Perspective can provide motivation. By focusing on successes and lessons learned instead of failures and mistake

made, you could keep yourself motivated successfully. In essence, a different way to look at the past. As such, I want you to focus on how we look at the future – specifically the fu-ture challenges that we face. When faced with a challeng-ing situation, what do you typically expect?

Do you take an extremely optimistic view on how things will turn out? It is easy to get started when you scan the horizon and see nothing but clear sailing. Eventually, thought, you are likely to hit rough water. With unbridled optimism, you are likely to be unprepared for unexpected storms. It is easy to get discouraged and give up. On the other hand, if you take the extremely pes-simistic view, you see a hurricane in every

cloud. While this strategy can mean you have prepared for every possibility, it is also likely that you will never get started.

Setting realistic expectations is often the key to staying motivated. They keep you from be-ing neither unprepared nor discouraged. So,

how do you set realistic expectations? Eval-uate two things: your previous experiences and current conditions.

If you have just begun a job hunt for the first time in four years, your prior experience alone might tell you that you can expect to find a job quickly with few ob-stacles to getting the job you really want. After all, you have great contacts and resources and last time you landed a job in two weeks! A quick look at the cur-rent environment, however, tells a different story. Demand for workers in your field might be limited. The time it takes you to land employment will probably be significantly longer.

Whether you are pursuing a new job or tackling a new challenge at work, using what you know about current conditions and your pre-

vious experiences can help you create an action plan that will serve you well and keep you motivated!

As we attended our Sage Summit customer conference this year in Nashville, we were reminded of how vital construction companies are to the communities they serve, and how proud

we are at Sage to serve the construction industry.

As the site of Sage Summit 2012, the Gaylord Opryland is a world in itself. With close to 3,000 rooms and more than 600,000 square feet of meeting space, it’s the largest non-gaming, in-hotel exhibition space in the world. We affectionately called it the “biodome” because you can stay inside for days without ever wanting to go outside. I swear that there was even a warm breeze inside the atrium to simulate a warm summer day in the South, complete with sunshine and a hint of humidity in the air.

The expansion of this amazing destination began in the 1980s when D.F. Chase, Inc., a Sage customer, built the signature Garden Conservatory, Cascades atriums and Magnolia area – one of the largest construction projects in Nashville’s history. So, when more than 19 inches of rain in two days fell on Nashville in May 2010, leaving some parts of the Gaylord under 24 feet of floodwater, it made sense that the resort owners would call on D.F. Chase to restore the property to its grandeur.

The Gaylord flood restoration project lasted six months, cost over $100 million and employed up to 1,000 construction workers on peak days. Hundreds of rare fish – residents of the canals meandering through the property – were transported into the hotel swimming pools for safekeeping until the construction was complete. D.F. Chase rebuilt the facility with sustainable practices, incorporating green technologies and ensuring energy conservation. To top it off, six new

projects were added during that same renovation period. All of this work was amazing considering the personal challenges of many workers who themselves were recovering from major flooding of their own homes.

It was vital that the property got back to the business of hosting guests and meetings. At the time, 3,600 employees were waiting to get back to work. But, the economic impact was even larger. Gaylord guests typically brought in 20 to 25 percent of the hotel taxes collected by the city and contributed tens of millions of dollars to the local economy. So, not only was D.F. Chase rebuilding the property, they were helping rebuild a community.

Our small contribution at Sage was in developing the software that helped them keep that project moving on time and on budget. It’s these stories that make us come to work every day and aim higher and higher to help make the business life of our customers easier so they can go about their business of building and rebuilding communities.
