    Packcity intelligent parcel locker solution is an automated electronic locker system thatsecurely enables you to store and distribute a large volume of inbound parcels and informrecipients of their arrival.

    It helps optimise your inbound parcel management process, allowing recipients to pick uptheir parcels in just a few seconds, 24/7. Packcity helps you to save space in your mailroom,despite increasing volumes of inbound parcels.

    This convenient service means you and your recipients will spend less time managing andreceiving inbound parcels.

    The solution consists of:

    • Intelligent parcel lockers – modular lockers, with a choice of locker size and aneasy to use touchscreen interface, allow parcel retrieval in just a few seconds

    • Reporting and tracking software – Remote management and monitoring of parcellockers and a range of tracking and reporting capabilities ensures optimum usageof the lockers and end-to-end accountability

    This guide introduces the main functionalities of the Reporting and tracking software.

    The Packcity machine operates in two different modes – Concierge Mode or Carrier Mode.

    The Packcity website is the same for both modes but some functionality is not applicableto the concierge mode. This user guide only covers the concierge mode.

    The Packcity website is a secure site requiring individual user login details.

    Login details will be provided by Neopost Service team when delivering your Packcitysystem.

    You can select your preferred language prior to login.

    If you have forgotten your password, use the I forgot my password link to receive anemail to reset your password. You should then update your password in the my useraccount menu after login.

    If your account is locked please contact your Neopost contact centre or customer serviceso they can enable your user account again.

    Once logged in, you are taken to the home page where 4 main functions are available:

    Admin >Change your user account’s general information such as email, telephone and password.

    Track & Trace Database >Track loaded/unloaded parcels in Packcity lockers.

    Reporting >Generate reports, view an analysis of Packcity system performance during different timeperiods, schedule reports.

    Parcel lockers >Manage and view configurations that affect your Packcity machines such as their addressbook and look at a detailed view of every installed machine.

    As an end-user, you can access your user account selecting Users / My user account inthe Admin menu.

    Here you can change your contact information such as Telephone, email and mobile numberas well as your username and password.

    Please note you need to know your current password to define a new password.

    Some fields should match the following rules:

    • Username must contain 6 to 20 alphanumeric characters (a-Z 0-9)• Password must be 4 to 20 alphanumeric characters (a-Z 0-9)• Special characters are not supported

    Please do not forget to press on Update button before leaving this page to save changes.

    Packcity website tracks records of actions that happen to each parcel loaded in and/orunloaded from a Packcity system.

    1. To access parcel tracking, select Consult T&T Database in the Track&TraceDatabase menu.

  • Search for shipments4.2

    You can look for parcels in two ways:

    • Basic search allows you to find parcels using the most commonly used criteria• Advanced search provides more options such as E-Shop, Packcity Consignee and

    Carrier.

    If you do not provide any search criteria, the search will use a 3-day period starting 2 daysbefore current date.

    You can search by date but only a 15 day period.

    You can also use other criteria such as consignee name, email address or shipment statusto retrieve a list of parcels matching those criteria.

    The Reset button will clear all search criteria that you have entered.

    Select the Submit button to launch the search process.

    • If a search results in only one parcel, you will view details ofthis parcel. Otherwise, you will see a list of results.

    • The search will only display up to 500 results for any searchon data. We recommend adding in search criteria to limit theresults.

    • If you could not find a parcel in shipment search results, itdoes not mean that it does not exist.

    • As we only display the first 500 results, it is possible that yourparcel did not appear in the first 500 results list. In this case,you need to specify other search criteria in order to narrowdown your search.

  • Search for shipments by parcel number

    The parcel number search works in Start with mode. By entering the first characters ofthe parcel number, you can search all parcel numbers that start with this search criteria.

    The search process will not return parcels where specified search criteria can be found inthe middle or at the end of their parcel number. For example, if you only enter 2018, it willnot look for parcels that contain 2018 in their parcel number.

    In this example, you can view all parcel numbers that start with ZZ2018.

  • Search for shipments using consignee name

    If you need to look for a parcel by recipient name, we recommend that you use the lastname.

    By entering only a few characters from the recipient’s last name, you will get all parcelsthat are specified for recipients whose last name starts with your search criteria.

    View search results

    You can view search results in table format.

    If results table contains only one line, table will not be displayed and you will be automaticallydirected to parcel’s information page.

    • Back button - you will return to previous page in order to modify input search criteria.• Export CSV button - select which rows you wish to export. The top checkbox will

    select all or you can select individual rows to be exported.• Refresh button - will allow you to view newly updated data in the table.• Sort - All fields in results table can be sorted in ascending and descending order

    using Up/Down arrows shown in columns headers.• View more details - In order to view details of each parcel number, you can click on

    Parcel Number hyperlink.

  • View parcel details & tracking

    The Shipment details page shows all information related to a parcel.

    The date called Shipping Date is the date when the parcel has been recorded in thesystem.

    All actions that happened to the parcel are recorded as tracking events and stored in theparcel tracking history.

    View shipment details

    Shipment section shows information that was sent to the Packcity website by a carrier ora machine, including Delivery Address, Delivery Instructions, Announced Weight, etc.

    In Concierge mode, this section will very likely be empty becauseparcels are not pre-advised by carriers.

  • View Parcel’s Status in Packcity Machine

    In the Packcity section, you can view information about the delivery of a parcel.

    For example, if a parcel has been loaded into a Packcity machine or not which box theparcel has been loaded, its size, etc.

    Available actions in Packcity Tab for a Parcel that is stillin a Locker

    If a parcel has not been collected yet, then there will be 3 buttons available inPackcity section.

    Block a parcelIf for security reasons or due to a shipment error, you need to block a parcel you can dothis by using Block button. In this case, the recipient will not be able to collect his parcelanymore. It cannot be unblocked and only the Mailroom user will be able to unload a blockedparcel.

    View and Resend PIN codesPackcity website user can view and resend pick-up code for a parcel. This function isavailable only if the recipient has not picked up his/her parcel yet.

    1. When you click on Pin codes button, a message box opens, offering 2 options.

    2. Clicking on View button shows the PIN code required to open the locker where theparcel is.

  • View and Send notifications to a recipient

    Here you can view all notifications (Email and SMS) that have been sent to recipients.

    Notifications are ordered in descending order in the table.

    You can choose to resend a notification by clicking on the icon that exists under Resendcolumn.

    Recipient’s email is configured in the address book. It is not possible to use a differentemail to send notifications.

    Notification Date is the date at which the email has been sent to recipient.

    The Packcity website gives you the ability to see your Packcity systems on a map and viewtheir settings. To do so, select Cartography from the Parcel lockers menu.

    Your Packcity system are shown in a list on the left side and on a map on the right side ofthe screen. Clicking on the pencil icon will display the Packcity system details as shownon the next page.

    This page presents everything that you need to know about a Packcity machine such asits machine code, carriers configured for it, different statuses of its lockers, etc.

    • Visualization: offers a graphical view of the status of all lockers. You cannot performany actions on the lockers remotely. If you move mouse pointer over a locker thatcontains a parcel, you can view a parcel’s information in a tooltip.

    • Column detail: for each locker this contains basic information such as its size andits current status (Empty or full) as well as last parcel number loaded into the box,last event for that parcel number and last event date.

    • Properties: displays basic configuration information for Packcity machine.• Events: presents a chronological history of every action that was performed on the

    Packcity machine.• Synchronize: Connects to the Packcity machine in order to retrieve its latest status.

    In the Visualization section, you have a graphical view of the status of all lockers in aPackcity machine.

    If you move mouse over a locker that contains a parcel, a tooltip will be displayed thatcontains information about the parcel such as its number, its expiration date and itsassociated carrier.

    Lockers that contain parcels will be displayed in RED.

    Lockers that contain parcels that need to be unloaded will be shown in BLUE.

    Although you can view lockers that are damaged or soiled, you will not be able to changesettings on these lockers remotely.

    Column Detail section shows the list of locker boxes of a Packcity machine.

    Box number 1 is located at top left corner of the machine. To find the other boxes, youneed to count from top to bottom and from left to right.

    Box numbers are shown as a web link.

    Clicking on the Box numbers will lead you to Details of box page where you can see allmachine events recorded for the selected box in chronological order.

    If a machine event is related to a parcel number, it will show the parcel number as a weblink.

  • Manage Address Book6.1

    Your Address Book contains the list of all consignees who can receive parcels in a Packcitymachine. It is created and managed on the Packcity website, then synchronized withPackcity machine(s).

    When a delivery agent loads a parcel into a Packcity machine, he uses the address bookto look for the parcel’s consignee.

    To access your address book, select Manage Address Books in the Parcel lockers menu.Here you can update and load an address book to Packcity machines.

    Possible actions:

    • Detail(s) > Change address book’s name and partner• Contacts > Add new contacts and modify existing ones• Link > Link an address book to one or multiple machines• Delete > Delete an existing address book• Export > Send an address book (including latest modifications) to linked machine(s)• Create > Create a new address book

    Manage Address Book Contact provides a list of contact information for all consigneesin an address book where you can add new consignee to the list, modify existing ones anddelete a consignee from the list.

    Possible actions are :

    • Detail(s) > Modify a consignee in the list.• Comfort zone > Whether a consignee needs to collect his/her parcels only from

    defined comfort zone on a Packcity machine.• Last update > Date of last modification on a consignee contact details.• Delete > Delete a consignee from the list.• Create > Create a new contact in the newly created address book one by one.• Import > Import a CSV file to load contacts into the address book.

    Click on Create button on Manage Address Book Contacts page to be directed to a newpage where you can enter information for a new consignee.

    If you check Comfort Zone box, consignee will always receivehis/her parcels in the comfort zone specified for the machine. Pleasebe advised that if machine has not been configured to have acomfort zone or there are no available boxes in this zone, thedelivery agent will not be able to load a parcel into the Packcitymachine for this consignee.

  • Modify an existing consigneein the address book

    6.4

    Modifying contact information for a consignee is as the same as creating one.

    In addition to modifying contact information, you can delete a contact as well.

    Please remember to export an address book when you finishedupdating its content in order to send your latest modifications toPackcity machine(s).

    There are 2 ways to delete a contact from an address book.

    If you click on Details for a consignee, you will be redirected to Update Contact pagewhere you can delete it using the Delete button.

    On Manage Address Book Contacts, you can delete the consignee by finding him in thelist and clicking on Delete icon.

    In either case, a message will ask you to confirm the deletion.

  • Import a CSV file in order toadd contacts to the addressbook

    6.6

    Importing a CSV file is a quick way to upload consignees in an address book.

    A CSV file is a simple text file with CSV file extension where each line contains multipledata separated by a comma (,). Here are the data fields that you need to include in yourCSV file.

    • Information (optional) : any kind of data that you wish to include in the address book,for example: Company Name, Department, Office Number, etc.

    • First Name• Last Name• Email• Phone Number (Optional)• Comfort zone code (Optional): If user needs to receive his/her parcels in an accessible

    zone on the machine, indicate it with B.

    Before importing a file, you need to prepare a CSV file that can contain up to 10,000contacts.

    In order to decide whether a contact already exists in the address book’s contact list or not,the import process looks for contact’s email address in contact list.

    Before launching the import process, you need to decide whether or not you want to keepexisting contacts and add only new ones or you wish to replace the full address book.

  • Automatic import of addressbook using FTP server

    6.8

    You can automatically link your corporate address book with the Packcity locker by placinga file on an FTP server. It can contain up to 10,000 contacts. The Packcity website willcheck the FTP server every 30 minutes to see if there is a new file to process.

    When the Packcity website discovers a new file on the FTP server, it first checks if thereis already an address book created and linked to Packcity machine(s). If yes, then Packcitywebsite will start importing the file. Once the file is imported successfully, Packcity websitewill launch the export process automatically to synchronise the address book with Packcitymachine(s).

    Please be advised that the automatic import process works inReplace mode so it will remove all contacts from the address bookbefore adding contacts from the file. In this case, you will losecontacts that are not present in the file.

    Please speak to your technician at installation if you wish to usean FTP server to automatically link your address book.

    A CSV file is a simple text file with CSV file extension where each line contains multipledata separated by comma (,).

    Here are the data fields that you need to include in your CSV file:

    • Location Code : Machine code at partner module• Information (Optional) : Any kind of data that you wish to include in the address book,

    for example: Company Name, Office Number, Apartment number, etc.• First Name• Last Name• Email• Phone Number (Optional)• Comfort zone (Optional): If user needs to receive his/her parcels in an accessible

    zone on the machine, indicate it with B.

    The only acceptable special characters in CSV file are (« @ », « . », « - », « _ »).

    If there are no comfort zone configured on the machine, parcelsfor recipients who desire to collect their parcels from comfort zonewill be rejected at delivery.

    Packcity website offers 2 reporting tools:

    • a classic reporting tool with 6 pre-defined reports• a Business Intelligence (BI) tool delivering KPIs and insights related to the usage of

    your Packcity systems.

    This section is about pre-defined reports, a dedicated section for the BI (see BusinessIntelligence reports on page 59).

    To access pre-defined reports, select Ativity Reports / Default Reports in the Reportingmenu.

    The predefined reports are based on the most frequently requested queries from the system.Clicking on the report name shows additional information related to the report, the list offields in particular.

    For a report, 2 actions can be done :

    • Run the report to launch it and get the results immediately• Schedule the report to run at a specific time and receive the results by email

    1. You can run a pre-defined report by clicking on Run ( ) button. You will beredirected to a new page where you can select different criteria such as period ofselection and output format.

    2. When you click on Generate button:- If you have selected HTML output format, then a new page will be opened in

    your browser- If you have selected CSV or PDF formats, then you will be asked if you wish to

    save the file or if you prefer to open results in a program of your choice.

    Those reports have been designed to deliver you key indicators and business insight helpingyou to better assess and understand the usage and the value of your Packcity systems.

    Each report can be launched to get results in real-time (by clicking on the launch icon ofthe report) or can be scheduled to be automatically delivered in your e-mailbox using tothe scheduling tool (see Schedule the launch of your BI reports on page 73 for furtherdetails).

    Parcel Locker Activity report helps you analyse day-to-day activities and predict numberof deliveries as well as possible bottlenecks in the future.

    Daily, weekly and monthly charts compare number of deliveries with respect to the numberof pickups.

    The Activity & Occupancy Rate report helps you analyse the Packcity system’s usageby monitoring the number of deliveries and pickups, occupancy and rotation rates overseveral months.

    For example, here we see that on average, 18.63% of the machine capacity is usuallyoccupied, which means that it is possible to scale activities and to handle more deliveries.

    Rotation rate stands for the average time a parcel stays in a locker before being picked upby end-customer.

    8.2

    You can schedule the launch of BI reports to automatically receive them in your e-mailboxon an hourly, daily, weekly or monthly basis.

    To schedule a BI report, you need to specify how often you want to receive the BI report,in what format (PDF, …), the interval for which the BI report will be generated.

    Once you clicked on Schedule ( ) button, your scheduled report will be shown in thelist of scheduled reports. Click on the Scheduled reports button of the BI reports page toget that list.

    You can always modify report generation settings or delete the scheduling record.
