Migration deadline 30 August 2019

Most existing active research projects that have been approved and authorised prior to 1 January 2019 have been migrated to REGIS.

This is a reminder to login to your REGIS account to check that all active studies you are involved in have been migrated and that the details are correct.

If your study has been completed/closed or withdrawn prior to 1 January 2019, the project will not be migrated to REGIS.

If a study has not been migrated please inform the Research Directorate no later than 30 August 2019 so that the office can investigate and include the application for migration by the NSW REGIS Team which is due to take place in September 2019.

When checking if your project has been migrated please note: Login using all your possible email addresses – this includes your university email address or your old SSWAHS email address. If the project was originally submitted via your SSWAHS email address, it will be on REGIS with the SSWAHS email address. You are able to migrate your project to your preferred email address by contacting the REGIS Helpdesk on 1300 073 447 and asking for the emails to be merged.

If you are not the Coordinating Principal Investigator of the project, you may not see the project on your list. Contact the Coordinating Principal Investigator first and ask them to share access with you to the Site Specific Project not the application. If you find that a project is still active and is not on your list in REGIS please contact the Research Directorate on [email protected] before 30 August 2019 and provide the local project number (HExx/xxx).

Edit Access

CPI will be able to give application access to team members to draft the HREA and SSA forms. NOTE: CPI and PI must submit the final forms in replacement of physical signatures.

NMA QRG – if HREC is outside NSW Please complete National Mutual Acceptance (NMA) in REGIS for when another state is the lead HREC for the study, therefore already received ethics approval.

IMPORTANT: Make sure you upload all supporting documents such as ethics application, HREC approval letter, amendment approvals, MASTER documents and any other supporting documents.

Please note that Northern Territory and Tasmania are not part of NMA. Please contact their Ethics offices directly for further information.

Overview of NMA process

Please note that for SSA’s where a different state has approved the ethics project, the site PI/researcher will need to complete project registration in order to get access to the SSA form.

However if any NSW public HREC are the lead HREC, you can download the HREA, Master Documents and Ethics Approval from REGIS and upload into the various system that the other state uses. Please speak to the relevant Research offices in the other states for more information.

2. Completed Pending HOD - awaiting support from the HOD in REGIS

3. Pending Submission – awaiting for the CPI to submit in REGIS

4. Submitted - submitted the SSA to the Research Directorate

5. Eligible / Ineligible after administration checks are done.

6. If ineligible, follow QRG – Ineligible Notification – Resubmitting Application. The HREA will then go back to submitted.

7. Information Requested – The Research Directorate has requested further information.

What Next?

REGIS will send reminder emails to any HOD with declarations pending. If after one week your application status has not changed from ‘Completed pending HOD’, it is recommended that you contact the Head of Department with any outstanding declarations directly to discuss.

It is the research applicant’s responsibility to follow up outstanding HOD declarations. However, if you are unable to reach a HOD in a reasonable timeframe you should seek the advice of the local Research Office.

Once all HODs have provided their support declarations you will receive a system generated email.

The status of the site application will show as either HOD not supported or Pending Submission.

The application is now ready to be submitted to the Research Office.

Checking HOD sign off

When you login to REGIS, you should be able to see the status of your project at any stage. Please select the relevant SSA and select ‘Decisions’. You will be able to see which HOD you have selected and their responses / pending.

Head of Department - issues

Known bug – If HOD supports with conditions, then status will change to HOD not supported. Please call the office and we will be able to override this issue. If the department you are looking for is not listed, please also contact the office to add the department to the list with person

There will be an enhancement to the system coming up in the next few months so that these known bugs will be fixed. It will also enable a HOD supported SSA to be submitted directly to the RGO without resubmission from the PI.

SSA Tips • Ensure you select the correct

Head of Departments such as Clinical Information, Pharmacy, Radiology, etc (if applicable).

• Pathology has changed – we no longer require Pathology Head of Department. However, please upload the Pathology quote in the SSA documents.

• We don’t need CV anymore, but we still need GCP for clinical trials, criminal record check for external investigators (to NSW Health) coming on site, and confidentiality agreement for external investigators (to NSW Health).
