How to Check Inventory Status of Items

Why is this important?

Checking the inventory status allows you to see if the item is on Hold (HLD) or Available (AVL).

Status Means License Plate is….

Hold (HLD) Prevented from being shipped in SWMS Available (AVL) Available for shipping

Who does this? • Receivers

• Inventory Control Personnel • Warehouse Day Supervisors • Warehouse Managers

What is needed to get started?

An item number or license plate number or SWMS location is needed to look up a specific item in the Inventory/Inventory screen.

Procedure for CRT

Follow the steps below to check inventory status of items using the CRT.

Step Action

1 Go into the Inventory section of the SWMS Inventory menu. 2 Place an Item Number or License Plate Number or Location into the appropriate

query field and press F9 to execute the query. 3 Select the Location or License Plate and look to the Status (Sta) column on the

right side of the screen. Result: The status is displayed.

How to Use Manifest Detail

Why is this important?

Using the Manifest Detail screen is how returns (product coming back from the customer) are processed back into inventory.

Who does this? • Driver Check-in Personnel

What is needed to get started?

A manifest number is needed to look up a manifest as well as the necessary paperwork and product coming back from the driver.

Procedure for CRT

Follow the steps below to look up a manifest via the CRT.

Procedure for RF

While the RF’s functionality is very similar to the CRT, there are a few things that can’t be done on the RF unit currently (full invoice returns and manifest close).

Step Action

1 Choose Putaway and then Returns on RF from the Main Menu. Result: The system then prompts for a printer to be scanned. Note: The printer must be turned on before scanning.

2 Select one of the three options below.

UOM There is no label and the UPC does not scan.

Result: The screens on the RF unit will prompt for the necessary information (i.e. temperature, weight etc).

How to Perform a Put-a-way

Why is this important?

• Product to be put-a-way with a valid license plate (LPN).

Procedure for RF

Follow the steps below to put-a-way items via the CRT.

Step Action

1 Choose Putaway, Putaway from the Main Menu. Result: The system prompts for a license plate to be scanned.

2 Use the gun to scan the LPN of the product that needs to be putaway. 3 After scanning all the LPNs that will be putaway on a specific trip, press the F2

button to Travel. Result: The system will organize the LPNs in the most efficient manner based on the location to which they are going.

4 Travel to the location desired to put the product away. 5 Scan the LPN of the pallet/product being putaway.

Result: The screen will show some detail of the product.

6 Verify that the correct product has been selected. 7 Put the product into the appropriate slot. 8 Scan the rack label of the corresponding slot.

Note: If the product has been directed to a level that is too high to scan, scan the lowest label scannable in the same vertical column (i.e., if the product is directed to CA17A7, scan CA17A1).

13 Press F8 to return to the query block to verify that the slotting did occur. Enter the location used for the slotting. Clear out (i.e. “space over” all remaining data in the query block. Result: The data should show that the location has the item attached to it. 7 Select edit-cw. Result: A pop up window displays.

8 Enter a catchweight for each line in the pop-up window. 9 Press F7 to save changes.

How to Open a PO

Why is this important?

In order for a Purchase Order (PO) to be processed, it must first be opened. This will allow inventory to be updated in SWMS and product moved into the warehouse.

How to Correct a PO

Why is this important?

Once a purchase order (PO) is in CLS (closed) status, only Inventory Control personnel with Proforma correction access can make changes.

Follow the steps below to correct a PO via the CRT.

Step Action

1 Go to Receiving, Corrections from the main menu. 2 Type the PO# into the SN#/PO# field. 3 Press F9 to query. 4 Press F10.

Result: The cursor moves to the menu bar.

5 Select Edit. Result: The cursor moves to the Qty Corr field.

6 Scroll to the License number field by using the arrow keys. 7 Enter the new quantity in the Qty field. 8 Press F7 to save.

Note: If catchweight requires adjustment, arrow to the correct license plate.

9 Press F10. Result: The cursor moves to the menu bar.

10 Select Adj-weight. Result: The Catchweight Entry pop-up window appears.

11 Enter the new weight (for the entire item) in the New Total Weight field. 12 Press F7 to save.

Follow the steps below to close a PO via the RF unit.

1 Go to Receiving, Close PO from the main menu. 2 Scan or type the PO number to close. 3 Are there special pallets such as CHEP pallets?

4 Select Yes and press Enter.

Result: A Special Pallets window is displayed.

5 Highlight the appropriate pallet supplier and press Next. Result: A window is displayed requesting the quantity of special pallets received.

Follow the steps below to check in a PO via the RF unit.

1 Go to Receiving, Check in from the main menu. 2 Scan the License Plate.

Result: The screen will display LP#, PO#, and Exp Qty with a value already entered. Warning: The only situation in which a value needs to be entered is if the quantity received on the license plate (LP) is different than the Exp Qty value on the screen. Note: Because SWMS is an exception-based inventory system, only quantity differences require recording. If the quantity ordered and the quantity received is the same, no information needs to be recorded.

3 Press Enter. Result: The LP required data collection screen is displayed.

4 IF…. Then…. Product is a C.O.O.L. item A pop up window will display

verifying COOL data. Select Yes and enter information based on the table below.

Product is not a C.O.O.L. item Enter the required information. IF…. THEN…. Entering weight Enter weight for the entire item

5 Select Check In. IF…. Then…. The product quantity is more than the quantity ordered

Only print a demand LP if the existing LP is full (already contains complete Ti x Hi).

1 Go to Order, Order Process from the main menu. 2 Enter the following information

Result: SWMS assigns sequence numbers to the routes to generate. Warning: Do not generate more than 8 routs at any one time. Note: It is possible to overwrite sequence numbers if needed. To do this, move the cursor to the appropriate line and press F4.

6 Once completed sequencing the routs, Press F10. Result: The cursor moves to the menu bar.

7 Select Generate, and press Enter.

In order to fill orders, slots that are empty or near empty must be replenished. This helps to maintain product integrity and that customers receive the product that is ordered. Performing non-demand replenishments decreases the amount of demand replenishments for the forklift operators.

Follow the steps below to perform non-demand replenishments via the RF unit.

1 Go to Replenish from the main menu. 2 Select Non-Dmd Replenish. 3

5 Highlight the aisle to work in and press Query. Result: SWMS displays tasks in slot order to complete on that aisle.

6 Highlight the task to be completed. 7 Press Query or Enter.

Result: A screen displays.

8 Travel to the location shown to pull the product. 9 Verify the product and license numbers are correct. 10 Warning: Do not press the submit key.

Scan the license number. Result: A window is displayed asking if you would like to pick more pallets.

11 Select No. Result: The Location Info screen is displayed.

12 Scan the Rack Label of the destination location (Dest Loc). Note: The destination location is the slot where the pallet/product is going.

13 IF…. THEN…. The product is going to a level too high to scan

Scan the lowest label in the same vertical column.

Example: If the product is directed to CA17A7, then scan CA17A1.

14 IF…. THEN…. This replenishment is being entered by location

Select By Location

Result: A window is displayed requesting the To Location.

15 Scan or Type the slot needing replenishment in the To Loc field.

How to Run Next Letdown SQL

Why is this important?

If inventory is incorrect and product needs to be moved from a reserve slot to a home slot, the Next Letdown SQL command displays the best pallet to let down. This is based on rotation and product expiration date.

Who does this? • Warehouse Night Supervisors

• Warehouse Night Clerks

What is needed to get started?

• Item number of the product to replenish.

Procedures for CRT

Follow the steps below to run the next letdown SQL via the CRT.

Step Action

Go to Maintenance, Prnt Conf, run Sql from the main menu. Press F4 in the Enter Script Name field.

Result: A list is displayed.

Enter N. Select nxt_letdwn. Press Enter. Tab to the Confirm field and enter Y. Press Enter. Enter the Item Number. Press Enter.

Result: The pallets to be used to replenish the pick slot are displayed in order.
