Lonie Milne Memorial Service 20th June

Message from Lonie’s father, Alistair Milne: We greatly appreciate the many messages of condolences and support sent to us since Lonie’s untimely passing on April 6th, 2018. Lonie was on her way to visit her family in Malawi. She was laid to rest at the family home, Chididi Farm, Lumbadzi, Dowa District, Malawi on April 19th attended by mourners from all over the country, together with Lonie’s mother Maggie, father Alistair, myself and her uncle Paul, who travelled out from the UK.

For Lonie’s many other friends, class mates and family members here in the UK, who were not able to be at her funeral, there will be a memorial service at St Matthews Church, Chichester Road, Croydon on the afternoon of 20th June, 2018. 2018 Leader Training Dates

Start of Term Trainings – September 2018

Evenings of 3, 4 & 5 September – venues/sessions to be advised – but will include Section trainings and Safe Space.

Make sure you are familiar with Girlguiding’s policies on looking after personal information Now GDPR has come into force, Girlguiding has some new policies on making sure we look after the personal information we are entrusted with as volunteers. Looking after data and keeping it up to date isn’t new, but you should make sure you understand what counts as a data breach and what to do if you lose or share data with the wrong people. If you’ve got questions about your unit and the personal information you look after, the Girlguiding website has a list of Frequently Asked Questions.

Save the date - Guides Join us on Saturday 24 November for a full day of activities at Nower Wood Nature Reserve. Activities will include half a day of practical conservation tasks and half a day of outdoor activities such as pond dipping and orienteering. Booking opens for the event at the beginning of September. Numbers are strictly limited and we expect to be oversubscribed. Booking will be accepted on a first come first served basis.

Outdoor Adventure day at Nower Wood 13 October 2018

Booking open for Brownies and Rainbows Booking for our Growing up Wild day is still open for Brownies and is now open for Rainbows too. Please hurry as although the closing date has been extended until 30 June there will be no further extensions. The fun will take place at Nower Wood Nature Reserve, Mill Lane, Leatherhead, on Saturday 13 October 2018 is a full day of outdoor activities arranged and run by expert staff and volunteers from Surrey Wildlife Trust. The girls will circulate between the following activities: Pond dipping, including seeing the creatures magnified under the video microscope Mini beast hunting FairyTrail Bushcraft, fire lighting and marshmallow toasting The day will end with all the girls together to sing some traditional guiding songs. Coach transport from a local pick up point will be provided. Pick up will be between 8.30-9.00am and return around 4.00pm. Cost to include coach travel, goody bag and event badge £30, leaders and accompanying adults go free. Each of the four activities would be £7.50 a head if booked separately (i.e totalling £30) making this a very good value day; in effect the coach travel, badge and goody bag are free!! Please note Surrey Wildlife Trust ask for a ratio of 1:6 adults to girls to enable them to safely run the activities. Please return the form using the link below as soon as possible to ensure your places. We expect demand to be high and places are limited. Within a couple of days of submitting this form you will receive an email asking for payment or informing you that you are on a waiting list for places. Payment will be required within 14 days of receiving this email. No bookings will be accepted after 30 June 2018. If you have any questions or queries please email [email protected]

Girlguiding's Stance on Including Trans members The memo below aims to offer clarity on Girlguiding’s stance on including trans members in our units, and what to do if you're made aware of volunteers not following our Code of Conduct, Equality and Diversity and Social Media policies on this issue. Please be aware that any such concerns must be discussed with Girlguiding’s Compliance team.

MEMO

Over the last few weeks, we’ve received several enquiries about Girlguiding’s stance on including trans members in our units. There has also been some media coverage and discussion on social media channels which has prompted further comment and debate. We know some of our adult members have been involved in these discussions and have gone on to express their concerns publicly.

We understand that volunteers will have questions, and we encourage them to seek support and guidance when they need to. Social media can be a great platform for positive debate and constructive feedback. However, this should not include statements that damage Girlguiding’s reputation or anything that is disrespectful of parents of girls, staff, colleagues or volunteers. Volunteers should also not engage in public debates about sensitive or acrimonious issues. They should do this in private conversation in person or over email with their commissioner or Girlguiding HQ.

In order to achieve our mission, we expect all our adult volunteers to follow our Code of Conduct. This means upholding all of our policies and procedures, including the Equality and Diversity and Social Media policies.

Any report regarding behaviour which falls short of Girlguiding’s expectations should be taken seriously and appropriate action taken, in line with our Managing Concerns About Adult Volunteers policy. Examples may include but are not limited to:

A volunteer openly challenges Girlguiding’s stance either in media (including social media) or in public

• A volunteer says that they will not uphold Girlguiding policy e.g. Equality and Diversity • A volunteer makes discriminating or disparaging comments about a person or persons

If you become aware of any concerns like this, please contact the Compliance team as soon as possible for support. Due to high profile nature of these issues, we need to ensure our policy and procedures are being applied consistently in all cases.

International Opportunity 2019

Zanzibar is world famous among travellers and tourists for its white sandy beaches and historic Stone Town, a UNESCO World Heritage Site. Zanzibar archipelago is located in the Indian Ocean, 15 miles off the cost of Tanzania in Eastern Africa. Known as the ‘Spice Island’, Zanzibar is alive with incredible smells and sounds to enrich the senses. However, behind the tourism and the picture-perfect scenery lies a different story. Life can be very difficult and a large percentage of the population are surviving on less than 75p per day. Girlguiding LaSER’s July/August 2019 project for members aged 18-25 will show you the realities of life for many people on this beautiful island and give you an opportunity to make a positive impact on the local community. Zanzibar’s government-run schools are severely underfunded and are struggling to cope with a growing population of young people. It is not unusual for classes to contain upwards of 100 children with just 2 teachers. Some schools have two sittings, one in the morning and one in the afternoon, literally cutting access to education in half. As a volunteer, you can help by lending teaching support and improving the school environment through renovation and building work. In addition at weekends you will have an opportunity to explore the wonders of the island and see why Zanzibar is so popular with tourists. To be considered as a participant of this extraordinary July/August 2019 expedition for 2-3 weeks to Zanzibar in Tanzania, you should apply direct and complete the application form and get support from your local County International Adviser and County Commissioner. You should also be available to attend a selection day at Gilwell Park on Saturday 23rd June 2018. This is a unique opportunity for you to work with other members aged 18-25 of Girlguiding London & South East England, help you gain confidence, make a positive impact, learn new skills, and make lifelong friends. You can choose to fundraise for the full amount and everyone will be able to pay in instalments. You can also apply for County Grants and a Region Grant of up to £450 is available towards the total cost of the expedition - which should be no more than £3,000. Deadline for applications has been extended to Sunday 17th June 2018. “It really was the most moving, inspiring, heart-breaking and worthwhile two weeks of my life … It’s very

easy to ‘give money to a charity’, but to actually be in a developing country, and to experience the inequality of life brings it home so much more. ”

May 2018 Systems Update (part 1) GO Help Zone

Please continue to use the help files and help videos in the Help Zone of GO.

Based on questions and feedback the systems team have received, the following related help files were updated during March and April:

- The LQ Process

- All Young Member processes

- Tables

Four new help files were also created to help with different related processes:

- Adding Rainbow/Brownie Helpers*

- Removing Rainbow/Brownie Helpers*

- Going Away With… Qualification

- First Aid & A Safe Space

Help files are continuing to be reviewed and there are several help files currently being written; these help files include one focussing on Peer Education, one for communications that are sent from GO and also some of the qualifications which will be split into separate help files.

*As a reminder, when adding a Rainbow/Brownie Helper role to a girl’s record they must have an active Guide role. The Rainbow/Brownie Helper role will need to be added by the Rainbow or Brownie unit. Once the girl leaves Guides and her role is made inactive, her Rainbow/Brownie Helper role will automatically end also.

Historic Roles

As of Friday 30 November 2018, we will no longer be accepting historic role requests. If a volunteer believes they are missing historic roles, then please ensure the following information is sent to [email protected], with the subject: Historic Roles, before this deadline.

Role held: Name of unit/district/division: Level number: Date from: Date to: We have had to set this deadline because these updates require a lot of staff resource time that then impacts on our capacity to resolve other support queries. The requirement to ensure historic role information has been communicated to members since November 2016.

As historic role updates can only be added during our system maintenance period, there can be a two week wait for this information to be updated. We will acknowledge your email and let you know when we expect the record to be updated.

May 2018 Systems Update (part 1) Young Member Enquiries

GO access is available for parent/carers of enquirers only. Once a girl becomes an active young member their parent/carer no longer has login access to their daughter’s GO record. It is the unit team’s responsibility to update a girl’s details on the parent/carers behalf.

Transferring a young member

When a young member wishes to transfer to the next section, the current unit team should complete this action on GO by clicking on the ‘Transfer’ option on the girls record and selecting the desired unit from the map. This then sends the girls interest to the next unit so that they can make contact with the parent/carer and complete the required actions to add the young member to their waiting list or active list. Please note that this action will not end the girl’s role in her current unit. If she is no longer attending your unit meetings, as her current unit you will need to end/deactivate her role with you. Her new unit will not be able to add her new active role to their unit if this has not been done by her current unit. They will however be able to add her to their waiting list until she is made inactive by her previous unit.

Generating Forms

When generating forms within GO, they are put into a processing queue in the system, which could take up to 10 minutes to be processed. For data security and system memory capacity, generated forms are deleted from the system after 20 minutes. However, the forms can be regenerated again at any time. If a form is taking too long to generate it will unfortunately be cancelled and will need to be requested again. This is usually due to internet service speed or the amount of data needed to be generated onto the forms. Our technical development team are looking at how this can be improved.

Subscriptions 2018

The Subscriptions 2018 process closed at noon on 1 June 2018. If you have not done so already please don’t forget to give us your feedback on this year’s process to help us improve the process for next year. A link to the evaluation survey can be found in your ‘Subscription – Payment Complete’ email but for ease the link is: https://www.surveymonkey.co.uk/r/Subs18

We know that some levels may misplace their ‘Paid in Full’ receipts during the year or may not have downloaded it yet. This year we will be keeping access to the Subscription button available so that level’s can download their invoice receipt at any time up until the December 2018.

Please be aware that this is only for the 2018 Subscriptions process. For receipts from previous years you should continue to contact your County as they may have stored copies of these for you.
