Prior to submitting an application to attend either a Basic or Advanced course please ensure that all relevant eLearning has been completed (refer Learning Plan). In future the Training Department will not be accepting training applications if the eLearning is incomplete. As a Group Leader you are required to sign the training application to advise satisfactory Leadership performance and the eLearning has been completed. A number of Formations with grant funding will be taking the opportunity to carry out work to premises during the summer break. The Branch Support Office will be open to process invoices during this period but please allow a few extra days for payments to be processed to allow for officers leave commitments. How to support the prompt payment of invoices and prevent unnecessary delays: Ensure that your supplier contracts provide a valid tax invoice that is addressed to ‘The Scout Association of Australia Queensland Branch Inc’. This is the registered name with the Australian Tax Office and it is under this name that we are able to reclaim the GST. Check that your supplier/contractor has an ABN and is registered for GST. The invoice description should clearly identify the work carried out and the venue as the grant funds use the invoices to check that the grant has been spent in accordance with the grant award. Training Update This is a reminder that all training courses close three (3) weeks before the commencement of the course.

2016 Census data is due by midnight 31 March 2016It is important to ensure all changes are made on the Scout Membership System (SMS) by this date to assist with correct invoicing. Please remember to check the family codes of your Members.

Please contact Branch Support Office if a paper census is required.

REGIONAL DEVELOPMENT AND SUPPORT NEWS

Membership UpdateRecently our Membership Support Officer resigned to seek other opportunities. We are currently in the process of recruitment to replace him. During this transition we have taken the opportunity to adjust a number of standard operating procedures and review the work in progress. We appreciate your patience and understanding during this transition period. A large number of certificates have been printed and are in this month’s Group Mail.

Should you need to contact someone about a Membership matter, please feel free to contact either Robyn Devine or Ryan Sodziak.

CensusFebruary/March are probably the busiest months for Group Leaders. To reduce some of the pressure we should be looking at our census now and making sure SMS is correct. This means resigning people who no longer attend. Getting this information right now helps in several ways.

• Saves work in cleaning up the census in March.

• Reduces the likelihood of being charged for a youth member that should have been resigned. This has been a costly exercise to Groups in the past who have not complied.

• Helps Scouts Qld assess numbers more accurately instead of seeing a huge drop in numbers on March 30.

BudgetA Scout Group is a small business. Creating an annual budget enables the Group Leader and Group Support Committee to plan the ongoing finances required. The structure of where income is derived can be reassessed to suit each budget. Getting the budget in place ready for the New Year means the Group plan for the year can be finalised and the Group has a clear sense of direction. The budget needs to include all known expenses.

URGENT REMINDER To all Members who joined Scouts Australia before 31 Dec 2014

National Policy states it is mandatory for all Members (including Secretaries, Treasurers, Chairmen and Rovers) to undertake BCore Child and WHS and Scouting e-learning modules by 31 December 2015.

If you have not completed these modules this gives you just a few weeks to complete these modules. Unfortunately, if this does not happen your membership will be suspended until such time that this is completed.

Members who join after 1 January 2016 will have until 30 June 2016 to complete these two modules as part of their Basic Level Training or membership will need to be suspended until such time that the Basic Level Training is complete.
