4.1Module features for general users
Demonstrating your compliance at every stage
Supplier types
Organise your database of suppliers so your information is always available when you need it.
Group suppliers by type, and link each type to one or more organisational areas. Indicate what standards, laws, regulations etc. apply to each supplier type, and how and when they’re assessed and reviewed. Identify those staff who are qualified to create, assess, manage and review records for those supplier types.
Assessment
Suppliers are presumed to have been assessed in some way before they were approved. How they’re assessed is guided by both the supplier type and the product type (see below). Evidence of this assessment is the first step towards being able to comply with ISO 28000’s particular demands to protect the supply chain.
If you already have a supplier register, you can upload those existing details without passing through the initial assessment process.
Support your supplier records by linking evidence such as service level agreements, certificates, correspondence, and periodic reviews to show suppliers are still on your approved list. You can also upload scanned images, electronic documents and reports, and photographs.

Products and product types
There will be some variation in how rigorously your suppliers’ products are handled, checked and stored, and in the standards which apply to them. The system gives you the functionality to organise your products and product types in the same way as your suppliers.
Trigger reviews by product or product type, and ‘Approve’, ‘Forbid’ or otherwise classify them using your own criteria. Record data on a product’s cost and quality, along with recommendations for procuring from specific suppliers.
Organise product types in a hierarchy and define which
standards apply at each level. The larger your product register, the more important this feature will become. If you already have a product register, you can upload those existing

details without going through the initial assessment process.
As with supplier records, you can attach any necessary information, such as pictures, instruction manuals, guides, standards, safety advice and so on.
Products and supplier links
The extent of a supplier’s approval may be related to the range of product types for which approval is given. Within that broad scope, you can also specify which individual products must not be procured from that supplier. This is useful if a supplier is set up to guarantee most of the products of a product type, but does not meet some other requirements (e.g. storage, security, skill etc.).

Define criteria you can use to rate your suppliers and identify your strongest and weakest performers.

Create supplier categories you can use to better identify suppliers in your database.
Reviews
You’ll be prompted to frequently review your suppliers to make sure that the product or service they provide meets your specifications and comply with all internal and external requirements.
Suppliers won’t be approved until they’ve been reviewed, and may lose their approval when reviewed at a later date.
Each new supplier is assigned a category that drives an assessment process appropriate to the product or service they provide. The reviews use your pre-defined criteria to ensure that suppliers are treated fairly and equally.

If a review finds fault with a supplier, you can initiate tasks to resolve those issues using your pre-defined workflows. You will be able to review the supplier further when those tasks have been completed.
Access and security
As an administrator, you have an overview of the status of all suppliers and are alerted to any problems in resolving them.
The module’s security features allow you to present individually tailored supplier records. You may want some records to be visible to all users, others only to individuals or groups with appropriate permission.
You can assign responsibility for managing records to other individuals or groups by giving them administrative privileges. Equally, you can restrict access. Users will only be able to update or edit records that you give them permission to. Those users, in turn, can assign responsibility for elements of their records to other individuals or groups.
Audit trails
The system automatically generates complete histories of all supplier records. You have access to this audit trail, which provides a clear view of changes made over the entire life of a record or a set period. You can also see how a given record looked at a particular point in time.
