Welcome to the Summer 2014 edition of “The Insider” – your Hackle Security

newsletter. Once again, we are presenting our side of the story in an industry that’s ever changing. This Newsletter will provide you with an update on company

performance, key market observations and much more.

We are in our 4th year of trading! Where has the time gone?!

2013-2014 saw us gain exciting new assignments, which is key to our business

growing along with our reputation as a firm. More importantly, many of these new

sites belong to new clients, which is encouraging that our presence in the Industry

is increasing, and our reputation growing.

2014 has seen us make an increased effort on Sales, from telesales to seeking out

tenders over the internet. Whilst we have had no contract awards from this route

at present, we are hopeful that we will find ourselves successful in the near future.

We are currently working on tenders for two significant projects, so watch this

space for a further update.

2014-2015 will be a very busy year, in terms of the administration side of the

business, due to the introduction of the “Automatic Enrolment Pension Scheme” from 1st July 2014 (more on Page 4), and the introduction by the SIA of “Business Licensing” (see page 6 for further details).

I would like to take this opportunity to thank each and every one of the Hackle team

for their continued hard work and your support of OUR Company. Without all of

you we would not be able to deliver the professional service we are known for by

our clients.

All in all, 2013-2014 was a good year, and we look forward to the team pulling

together and making 2014-2015 even more successful.

NEW CONTRACTS

London, W1

In October 2013 Hackle was asked to provide temporary Manned Guarding Security Services,

this service has since been increased. We thank all members of the Hackle team who are

currently and have been deployed at Richbourne Court and are showing our client the great

service that we provide.

EC2

On 7th December 2013, Hackle welcomed another new site onto our portfolio. Located on

Throgmorton Avenue, Central London.

In April 2014 Hackle was reinstructed to provide Security Services at offices in Winnersh, Reading.

It is testament to the service provided by both our Security Officers and Contracts Management

that we have been asked again to provide our security services.

On 27th May 2014 Hackle Security Services Ltd were awarded the contract for 24/7 Concierge

Services. Located in Hackney, this assignment is a combination of commercial and residential

units. We were pleased to welcome Bobby Aminur, AK Idowu and Mamadou Mbodji to the Hackle

team.

The 27th May 2014 also saw Hackle Security Services Ltd engaged for 24/7 Concierge Services.

Situated in Bermondsey, this boasts high-spec apartments in a multi-award winning

development. We had pleasure in welcoming Michael Adamafio, Kwame Darkwah, Ali Sharmake

and Ase Odigie to our team.

This month Hackle have started a contract to provide Security and Concierge Services at this new

luxury development. James Turner is providing the security and concierge services and we wish

him all the best in his new role.

In July 2014, Hackle Security Services Ltd were awarded the contract for the Security Services at

a large office building in the heart of Bracknell. We are pleased to welcome Dave Simpson and

Jon Richards to the Hackle Team and also wish Alex Oduro-Kwarteng and George Awuku good

luck in their new roles.

Automatic Enrolment Pensions

As you are aware from the letters sent to you in January 2014, the

government has made it compulsory for businesses to enrol

“eligible” employees into a pension scheme, and to make contributions to this pension scheme in line with the

governments’ guidelines. The date for Hackle Security Services Ltd to start a pension scheme on behalf of our employees is 1st

July 2014.

Not all employees will be automatically enrolled into a pension

scheme; automatic enrolment will depend on their eligibility, and

their employee classification. Classifications are as follows:

ELIGIBLE JOB HOLDERS – AUTOMATICALLY ENROLLED

-Between the ages of 22 and state pension age; and

-Earn over £10,000.00 per year

ENTITLED JOB HOLDERS – MAY OPT IN

-Between 22 and state pension age and earn between £5,772.00

and £9,999.99 per year

-Under 22 years of age and earning at least £5,772.00

-Over state pension age and earning at least £5,772.00

-Entitled to employer contributions

WORKERS WITHOUT QUALIFYING EARNINGS – MAY OPT IN

-Aged below 22 years and earning less that £5,772.00

-Aged between 22 and state pension age, earning at less than

£5772.00

-Aged over state pension age and earning less that £5,772.00

-Not entitled to employer contributions

We had already written to you in January 2014 with regards to

how our duties surrounding the pension scheme affect you,

however we will also write to you in the prior to 1st July 2014 as

your personal situation may have changed.

For eligible and entitled job holders, the below is an example of

the contributions made by you and us into your pension scheme:

The payments into your pension will be/are:

Your contribution – 0.8% of qualifying earnings. This will be

taken directly from your pay.

Our contribution – an amount equal to 1% of qualifying

earnings

Tax relief – an amount equal to 0.2% of qualifying earnings

Qualifying earnings means what you earn between a minimum

(currently £5,772.00 a year) and a maximum (currently £41,450 a

year).

This means, for example, if you earn £16,668.00 a year:

You will pay in £7.33 a month. This will be taken directly

from your monthly pay.

We will pay in £9.17 a month.

The government, in the form of tax relief on your

payment, will pay in £1.84 a month.

Therefore, although you put in £7.33, the total contribution to

your pension pot will be £18.34 a month.

The amounts paid into your pension scheme will increase over

time, in line with the below timetable

Timing Minimum total percentage (of

qualifying earnings) that has to

go into your pension

Nov 2013 – Sept 2017 2 per cent

Oct 2017 – Sept 2018 5 per cent

Oct 2018 onwards 8 per cent

Opting Out:

Eligible job holders are not able to “Opt Out” before they have been enrolled. Once you have been enrolled into the scheme on

1st July, you will be sent a welcome pack by NEST (our pension

provider). Once you have received your welcome pack you are

able to opt out by:

-telephone

-online

-by paper form via Hackle Head Office

If your opt out is completed by 9th August 2014, you will

removed from the scheme, and any payments already made will

be refunded and you will not have become an active member of

this scheme.

If you wish to stop making payment after 9th August 2014, you

can do so. Any payments already made into the scheme will not

be refunded and our contributions will also stop, as will your tax

relief. Any payments already paid would remain in your pension

and they will remain there until you retire and claim the money.

Opting In

If you are an “Entitled Worker” or a “Worker without Qualifying Earnings” and you wish to “Opt In” to a pension scheme, please contact Terri Gosney on 07772 907674 or by email at

Award winners may not always have been involved in a dramatic event, but may simply have gone “over and above” in their daily duties,

or may have shown innovation or initiative. The monthly award is not compulsory, but your Contracts Manager will actively look to

January 2014 – James Turner, Relief Officer at Fullers

I would like to pass on feedback for James, who is providing cover for the day shift

today. He has been fantastic, he has based himself at the front gate, he talks to

people and he has been checking for ID passes and I have had a number of emails

and phone calls from staff and managers who are pleasantly surprised and say they

feel the site is safer.

April 2014 – Nadeem Ahmed, Relief Officer

I would like to recommend Nadeem Ahmed for the Employee of the Month award.

Nadeem is always willing to help out, despite his ever-changing, often at short

notice, schedule. Nadeem is always polite and friendly, and always makes contact

when requested. He is a real pleasure to have on the Hackle Team!

UNIFORMS

Please be reminded that FULL uniform must be worn at

work at all times during the course of your duties. This

means wearing company issued trousers, shirts, jumpers

(if issued), jackets and ties. Your SIA badge should be

clearly visible and uniforms should be clean and pressed at

all times.

You are entitled to new uniforms items annually, if you

require replacement uniform, please complete a “Uniform Request” form which can be found in your Site Administration Folder and give this to your Contracts

Manager.

SIA UPDATES

Business Licensing

Subject to Ministerial approval, all regulated security

businesses will need to hold an SIA business licence from 6

April 2015.

The SIA have been working with the Home Office on the

introduction of business licensing. Home Office Ministers

have publicly stated their commitment to the regulatory

reforms and the introduction of business regulation.

The Scottish Government and Department of Justice for

Northern Ireland have indicated that they are supportive of

a consistent UK-wide regulatory regime. Business licensing is

subject to Ministerial approval and the approval of the

Scottish Government and the Department of Justice for

Northern Ireland.

It was planned that applications for business licensing would

be taken from April 2014 to October 2014, and that Business

Licensing would become mandatory on 6th April 2015. The

application process has however been postponed and we are

still awaiting further information on when we will be able to

apply.

We are confident that the application process will be very

straightforward as we are an ACS approved contractor, and

are also ISO9001 approved.

ACS Approved Contractor Scheme

As an ACS Approved Contractor, we are subject to an annual

external audit to ensure our continued compliance. The

audit covers all aspects of our business, and contractors are

score on a pints system to determine their level of

compliance.

Our 2013 audit was completed on 29th November. Our score

at the end of this audit was 82 points, which was a very

credible increase of 17 points on our 2012 audit.

All of the hard work by everyone is paying off and we look

forward to getting an even higher score during our October

2014 Audit.

New SIA Licence Application Services

There are two new ways in which you are able to apply for a new

licence or renew your existing licence.

Licence Application online & at UK Post Offices

This is how it works:

Applicants first register on the SIA website

www.sia.homeoffice.gov.uk/apply and clicking on the

register / log in link. A username and password is e-mailed to

them.

The applicant then logs in and fills out their application. At the

end they receive an e-mail with an application reference

number and are told which identity and other documents to

take to one of over 700 participating Post Offices nationwide.

Applicants must keep their application reference number

safe as they will not be able to complete an application

without it.

When the applicant goes to a Post Office, the Post Office staff

check and return the applicant's documents; they will also

take a digital photograph of the applicant, take an electronic

version of their signature, and take payment for the

application fee. The applicant will not be charged by the Post

Office for using the service.

The applicant's photograph and signature are sent to us

electronically by the Post Office. We add them to the

application information already received and continue with

our checks. A licence decision is made within 25 working days.

The new service will be available alongside existing

methods of applying for a licence until early in 2014,

when it will replace the paper application form as the

way to apply for a new licence. You can find a leaflet

explaining the new application process at:

Hackle Security Services Ltd can renewal/apply for a

secondary licence for you!

The SIA now offer businesses a service whereby we are able to

apply for your licence renewal or a secondary licence on your

behalf. All we need from you is the Authorisation Code as shown

on the top of your renewal letter, and to ask you a few simple

questions whilst we apply on line, which will take no longer than 5

minutes. If you have not received a code or letter from the SIA, you

can request an authorisation code by calling 0844 892 1025. We

have found this service to be very easy to use, and the turn around

on applications much quicker than the previous postal route.

ANNUAL LEAVE REQUESTS

We would also like to take this opportunity to remind of the

following rules surrounding holiday submissions:

Holiday requests must be made as early as possible,

normally giving a minimum of three months’ notice for holidays of two weeks or more, one month’s notice for

holidays of one week or more and two weeks’ notice for holidays of less than one week.

No holidays of more than TEN days will be granted in any

one period, unless special authority is granted.*

If more than one officer from the same site requests the

same leave period, the leave will be awarded on a first

come first served basis.

Employees must NOT consider the holiday granted,

unless this form has been signed by Head Office and

returned. Employees who take unauthorised annual

holiday may be subject to disciplinary action.

The company’s holiday year runs from 03rd January to

12th December. No holiday can be carried over from

year to year.

NOTE: The company policy states that, there is an active leave

ban from 12th December to 03rd January inclusive. There may be

further leave bans on specific sites.

* Should you wish to book leave of more than 10 days, please be

reminded that you should submit a letter with your leave request

form stating your reasons for requesting extended leave.

Please ensure, if you are able, that Annual Leave Request

forms are to be emailed to

[email protected]

CHECK CALLS

You will be aware that check calls are a requirement during some

of your duties, as per the Assignment Instructions. It is important

that check calls are made to ensure your safety whilst working

alone, especially overnight.

Check calls should be made to the automated system in line with

your Assignment Instructions, and within a 20 minutes window (10

minutes to and 10 minutes past the hour). Should you experience

any issues when making your check calls through the automated

system, the control room should be called, and also the problem

noted in the D.O.B.

Should a check call be missed, and the control room not be able

to reach you by the site landline and/or mobile or on your mobile,

this is then escalated to the duty manger as it is assumed that

something untoward has happened to you, and action needs to be

taken.

Check call performance across the company has improved over

the first quarter of this year, below are graphics of the missed

checks by week over the whole of the 2013-2014 year, and for the

1st quarter of the 2014-2015 year.

Keep up the good work, and let’s get the missed check calls down to single figures every week.

Remember, missed check calls are audited on a weekly basis, and

should any employee miss 3 or more check calls within a 7 day

period, disciplinary action may be taken.

CHANGE OF DETAILS

Please ensure that if you change your address, telephone

number(s), email address or bank details, that you inform us as

soon as possible. A change of details form is available from your

Site Administration folder; alternatively you can request an

electronic copy by emailing [email protected]

Please also let us know if your next of kin’s details change.

Should you change your address, you will need to inform the SIA

as a condition of your licence. The relevant form can be found at

http://www.sia.homeoffice.gov.uk/Pages/licensing-name-

address.aspx. You can also request a copy of this form from Terri

Gosney.

Module Training

The Annual Module Training will commence in June 2014 this year,

and run until 31st May 2015.

This has been delayed due to the review of the training manual,

and we have created a whole new question booklet for you.

All 15 modules are to be completed by all employees by 31st May

2015, and we look forward to you all completing and passing the

whole course.

New question booklets should be on site from now, along with a

new manual, all ready for you to get reading, revising and passing

those assessments!

Telme

All Hackle team members are able to view their schedules

for the coming months, via the Telme function of Gallinet.

This can now be viewed on smart phones and tablets as

well as PC’s and laptops.

To view your schedule, follow the following steps.

1. go to website http://www.gallinet.com/

2. click on “client log on”

3. enter “hackle” (all lower case) into the white box

4. click “go to Employee Telme”

5. enter your user name (all lower case), this is how

your name appears on your timesheet

6. enter your PIN (the same number you use for

booking on and off duty and for check calls)

ABSENCE REPORTING

We would like to remind you of the correct procedure for

reporting to us if you are going to be absent from a scheduled

duty, which is as follows:

In the event of absence due to sickness, employees are required to

notify the Company as soon as is possible of the reason for

absence. Employees must inform their Line Manager at the

earliest opportunity and in any event no later than two hours

before their normal start time on the day of the absence. The

Company do not recognise ‘text messaging’ as an acceptable form of communication. Furthermore, if an employee’s line manager is unavailable at the time of calling, the employee is required to

phone back, as the communication must be conducted in person

and within a reasonable time period or at specified time given.

Should you need to report any absence from your duties outside

of normal working hours, please contact the Duty Manager on

07891 410300. Please do not contact the 24hr control room.

Please keep in mind the impact that late notice of absence has on

both our relief staff, and the member of staff you were due to be

relieving, and the smooth operation and service delivery to our

clients.

A “Return to Work Form” should also be completed on your first shift back to work, for collection by your Contracts Manager.

These are available in your site folders. The full “Absence Procedure” is also available in your site file for your reference.

OUT OF HOURS CONTACTS

We appreciate that many of you carry out your duties outside of

office hours, and sometimes it is difficult for you to speak to a

member of the management team during office hours should you

need to. However, we would like to remind you of the correct

numbers to call outside of normal working hours, should you need

to.

Normal office hours are 08:30 to 17:30 Monday to Friday.

Please contact the Duty Manager telephone number outside of

these hours should you have an urgent matter you require

assistance with, however, our 24hour Control Room should be

your first point of contact outside of office hours, who will pass a

message onto the Duty Manager should they feel this is

appropriate.

Contact numbers, which can also be found in the Assignment

Instructions for your site, are as follows:

Duty Manager: 07891 410300

We also request that the above numbers are stored in your mobile

phones in case of emergency, e.g. any incident that may occur on

your way to work making you late/unable to attend your shift etc.

If you have a non-urgent query, please email your Contracts

Manager or Terri Gosney, and they can reply to you within normal

working hours.

SPORTS NEWS

Lukas Jamriska (Bouverie Place) is fast becoming a

rising star in the sport of Brazilian Jiu Jitsu.

Amazingly Lukas only took up this sport in the summer

of 2013 and he has given it total dedication and trained

extremely hard. So much so, that on 15th November

2013 Lukas entered his first competition and won his

1st Gold Medal!

This gave him the fire and determination to train

harder and entered two further competitions in

February 2014. He won Gold in both competitions as

well as £160.00 in prize money. Well done!

Lukas plans on taking his participation in Brazilian Jiu

Jitsu as far as he can, and is now sporting a Gi,

sponsored by Hackle Security Services Ltd!

Well done Lukas, keep training hard, and I am sure the

whole of the Hackle team will join me in wishing you

the best of luck in future competitions!

As mentioned in my foreword, Hackle is making a big push

on gaining new business this year. A bigger portfolio can

only mean improvements for us all! We would ask you all

to keep our name “in the frame” should you hear of

anyone looking for security services, and to give them the

Head Office phone number, or point them to our website

for contact details. Please do let us know if you have

recommended our services to anyone, there may be a

reward in it for you!

RECRUITMENT

Terri Gosney has received a number of calls from existing

staff asking if we have any vacancies as they have friends

or family looking for work in the security industry. We feel

it very reassuring that you would recommend us as an

employer, and we thank you.

We enjoy a very low, by industry standards, staff turnover,

and when we do have vacancies these tend to get filled

very quickly.

Recruitment can be a timely process, so should you have

any SIA licensed friends or family, who are reliable and

have good written and verbal communication skills, Terri

would be more than happy for you to give them her name,

telephone number and/or email address and she will be

happy to speak to them and receive a copy of their CV to

keep on file for future vacancies.
