Currently I’m completing a Bachelor’s degree in Business Administration in K L U Business School. I’m in my 3rd year and therefore I have to conduct a 5 month internship. The reason I choose to do my internship in Taj is because I wanted to benefit from the experience. After following an internship in Fractrel Fern Business Solutions during my previous education, I wanted a new challenge. I wanted to do my internship in Taj to experience the international business world and to learning, improve and develop new sets of skills. One of my main goals is to improve my English. Another goal is that I’m planning to study Abroad and follow a Masters program. This is why I choose to follow my internship in Taj to learn and develop new sets of skills and to experience working in International Chain. In this internship report I will describe my experiences during my internship period. The internship report contains an overview of the internship company and the activities, tasks and projects that I have worked on during my internship. Writing this report, I also will describe and reflect my learning objects and personal goals that I have set during my internship period.

The reason I choose to follow an internship in Taj Vivanta is because I wanted to benefit from the experience. I wanted a new challenge and to learn, improve and develop new sets of skills. During my internship 2 major competencies are central:

Working as a Trainee, performing duties and activities and analyzing them from different perspectives. And working as a Budget planner, where I have to be able to prepare a realistic and correct (project) budget. These are the 2 major competencies that I have to conduct and focus on during my internship. Also I have to choose at least 1 minor competency that needs to be executed and developed during my internship. And finally I have to set up personal targets to develop and improve my skills.

Working closely with the senior executives of the company, we can acquire the knowledge and skills to position ourselves to be a professional in that field. While immersed in Internship with the company, we will: Expand our awareness of the extraordinary financial factors and external forces shaping global competition today, including specific conditions in emerging markets and rapidly developing economies Enhance our portfolio of leadership approaches and develop our ability to apply the right technique to each unique business challenge Explore emerging challenges in business ethics, governance, and sustainability and the complex relationship between business activities and social and environmental conditions. Most of the employees working in TAJ come from different parts of the country and find it difficult and expensive to get accommodation, TAJ provides them with housing facilities by just deducting a small amount from their salary.

Before my internship began my expectation where high, because it involved an Internship in King of hotel Industry TAJ. I already followed several internships in Hyderabad and already knew what to expect from an internship in general. But this is an internship in a different Sector and different Place, and different culture. Before my internship began, I spoke with Mr. Venu Madhav and he described what kind an internship it is going to be. The company is named Taj Vivanta and they specialize in Hotel Industry. The Taj Group has been active in converting former royal palaces in India into world class luxury hotels such as the Taj Lake Palace in Udaipur, the Rambagh Palace in Jaipur and Umaid Bhawan Palace in Jodhpur. The description of my work, activities and assignments exist from observing and researching, developing new ideas and strategies, updating contents, assisting with bills and Projections. With the knowledge I obtained, I knew I could learn much and I knew I could achieve my learning objectives. I wanted to follow an internship where I could work in the marketing & communication field, because I always had an interest in that area. The process of observing, researching and planning has always interesting. That is why I choose this internship company. It is suitable and I knew could achieve my learning goals.

INTRODUCTON TO THE COMPANY

The Company was incorporated in 1902 and it opened its first hotel, The Taj Mahal Palace & Tower, Mumbai, in 1903. The Company then undertook major expansion of The Taj Mahal Palace & Tower, Mumbai by constructing an adjacent tower block and increasing the number of rooms from 225 to 565 rooms. With the completion of its initial public offering in the early 1970s, the Company began a long term programme of geographic expansion and development of new tourist destinations in India which led to its emergence as a leading hotel chain in India. From the 1970s to the present day, the Taj Group has played an important role in launching several of India's key tourist destinations, working in close association with the Indian Government. The Taj Group has a philosophy of service excellence which entails providing consistently high levels of personalized service and innovative means of improving service quality.

The Taj Group has been active in converting former royal palaces in India into world class luxury hotels such as the Taj Lake Palace in Udaipur, the Rambagh Palace in Jaipur and Umaid Bhawan Palace in Jodhpur. In 1974, the Taj Group opened India's first international five star deluxe beach resort, the Fort Aguada Beach Resort in Goa. The Taj Group also began its business in metropolitan hotels in the 1970s, opening the five-star deluxe hotel Taj Coromandel in Chennai in 1974, acquiring an equity interest and operating contract for the Taj President, a business hotel in Mumbai, in 1977, and opening the Taj Mahal Hotel in Delhi in 1978.

In 1980, the Taj Group took its first step internationally by opening its first hotel outside India, the Taj Sheba Hotel in Sana'a, Yemen and in the late 1980s, acquired interests in the Crown Plaza - James Court, London and 51 Buckingham Gate Luxury Suites and Apartments in London.

In 1984, the Taj Group acquired under a license agreement each of The Taj West End, Bangalore, Taj Connemara, Chennai and Savoy Hotel, Ooty, with which the Taj Group made its foray into Bangalore.

With the opening of the five star deluxe hotel Taj Bengal in Kolkata in 1989; the Taj Group became the only hotel chain with a presence in the five major metropolitan cities of Mumbai, Delhi, Kolkata, Bangalore and Chennai.

Concurrently with the expansion of its luxury hotel chain in the major metropolitan cities, the Taj Group also expanded its business hotels division in the major metropolitan and large secondary cities in India.

During the 1990s, the Taj Group continued to expand its geographic and market coverage in India. It developed specialized operations (such as wildlife lodges) and consolidated its position in established markets through the upgrading of existing properties and development of new properties. Taj Kerala Hotels & Resorts Limited was set up in the early 1990s along with the Kerala Tourism Development Corporation. In 1998 the Taj Group opened the Taj Exotica Bentota which strengthened the Taj Group's market position in Sri Lanka. In 2000, the launch of the 56 acre Taj Exotica, Goa and the Taj Hari Mahal in Jodhpur were completed.

In 2000, the Taj Group entered into a partnership with the GVK Reddy Group to set up Taj GVK Hotels and Resorts Limited and thereby obtained a prominent position in the market in the southern business city of Hyderabad, holding three hotels and a major share of the market. In 2001, the Taj Group took on the management contract of Taj Palace Hotel, Dubai, and has established itself as an up-market hotel in the Middle East region. The Taj Exotica Resort & Spa, Maldives launched the Taj Group into the premium luxury hotel market and since its opening in July 2002, has won several international awards. The Taj Group also obtained licenses to manage and operate two leisure hotels; the Rawal-Kot, Jaisalmer and Usha Kiran Palace, Gwalior in October 2002.

In September 2002, the Taj Group acquired an equity interest in the former Regent Hotel in Bandra which gave the Taj Group access to the midtown and North Mumbai market. The hotel has since been renamed as the Taj Lands End, Mumbai.

In 2003, the Company celebrated the centenary of the opening of its Flagship hotel, the Taj Mahal Palace & Tower, Mumbai.

In 2004 the Taj Group opened Wellington Mews, its first luxury serviced apartment in Mumbai. In the same year, the Taj Group also launched the first of its "value-for-money" hotels in Bangalore branded 'Ginger', which division has 11 hotels in various locations in India and is owned through its wholly owned subsidiary.

In 2005 the Company acquired on lease The Pierre, a renowned hotel in New York City, to enter the luxury end of the developed hotel markets internationally. The Company entered into a management contract for Taj Exotica in Palm Island Jumeirah in Dubai to expand its existing presence in the United Arab Emirates.

The Company enhanced its position as an operator of converted palaces by entering into a management contract for Umaid Bhawan Palace, Jodhpur in the princely state of Rajasthan in India. The Company, through a subsidiary, acquired the erstwhile 'W' hotel in Sydney, Australia in February 2006 and renamed it as 'Blue, Woolloomooloo Bay'. To expand its presence in the US market, the Company acquired in early 2007 Ritz Carlton in Boston and Taj Campton Place in San Francisco.

Hotels operated by the Taj Group internationally are located in US, Australia, Dubai, Maldives, Malaysia, Sri Lanka, the United Kingdom, South Africa, Bhutan and Zambia.

Scheme of Amalgamation

On October 12, 2006, the Board of Directors of the Company approved the Scheme, under Sections 391 to 394 of the Companies Act for the for the amalgamation of Indian Resorts Hotel Limited, Gateway Hotels and Getaway Resorts Limited, Kuteeram Resorts Private Limited, Asia Pacific Hotels Limited, Taj Lands End Limited (Transferor Companies) with the Company. The Scheme was approved by the respective High Courts.

In the Year 2011 Taj Hotels and Resorts opened Vivanta by taj in Upper upscale segment.

TAJ MAHAL PALACE HOTEL has completed 100 years in the year 2003, and is the oldest 5 star hotel in our country. Taj’s name was kept TAJ as MR. Jamsetji Nusserwanji Tata wanted to make his customers feel as if they are staying in a royal palace; this is probably the reason why the interiors of TAJ MAHALPALACE are like the one found inside a palace.

For more than 100 years, we have acquainted guests with the living heritage of India - and a legendary experience inhospitality.

Billed by the Times, London as the finest hotel in the East, the Taj’s first hotel, the Taj Mahal Palace & Tower, Mumbai was perhaps the only place in the world where a British Viceroy could rub shoulders with an Indian Maharajah, where the Congress could debate with right wing leaders, and where sailors on shore leave could flirt with the Pompadour Follies. Built at the cost of a quarter of a million pounds, the hotel introduced a series of firsts that set new benchmarks in Indian hospitality. Over the years, the Taj brought into Bombay, “Professors of Dance’ MademoiselleSingy to raise temperatures and a few eyebrows with the Tango, the first air-conditioned ballroom to cool things down, the first cold storage, the first licensed bar, and more. The changing decades ushered in new tastes and newer guests including Mick Jagger, Steven Spielberg, and David Rockefeller, to name a few. From Nobel laureates to rock stars, fashion divas, to oil-rich sheiks, Taj represented a global village long before the term was to become a cliché.

Even today, a hundred years on, guests will find Taj taking luxury to greater heights in all its hotels around the world including business capitals, fairy-tale palaces, on secluded islands, in private yachts, aboard executive jets, and amidst spas and resorts. Still, as the discerning traveler will note, a little ahead of its time.

According to TAJ, CUSTOMER IS GOD. So they see to it that they serve their customers in the best possible manner. The following steps are taken by TAJ to serve their customers:-TAJ has a system known as the G.S.T.S i.e. the GUEST SERVICE TRAFFIC SYSTEM. In this system allthe complaints of the customers are filled using computer software. A separate committee disappointed which goes through the systems to check out all the complaints that are filled in by the customers. There is a meeting at the end of the month where these complaints are discussed by this committee, so that in future these complaints don’t happen again. The people in TAJ don’t like to keep their customers waiting, therefore whenever one calls TAJ for some work; their call is picked up within 2rings by the person sitting at the telephone department. Also the room service like the cleaning of bed etc, is also done in a period of 3-4minutes.

These needs are the basic needs of food, clothing, shelter etc, which have to be fulfilled b y an individual.

An individual will be able to fulfil these needs only if he has adequate money with him.

Taj provides employment to more than 1,500 people (including people employed on permanent and temporary basis) and gives them a good pay depending upon their post.

Most of the employees working in TAJ come from different parts of the country and find it difficult and expensive to get accommodation, TAJ provides them with housing facilities by just deducting a small amount from their salary. The houses provided are decently sized and well maintained and also differ from post to post.

Taj also provides uniform (blazers) to all its employees. They are given a new set of uniform every six months. Since the employees have a shift of 8 hours a day

Taj also provides them with meals depending upon which shifts they work on. The quality of the food is equivalent to the food provided to the guests.

In case of job security an employee’s job is not secured for the first year. However if the management is satisfied with his job, an employee’s job might be secured even before he completes 12 months.

In case of a trainee there is no job security provided. But if the management is satisfied with his job they might offer him a job in their hotel.

In case of physical security they provide them with benefits like medical insurance, life insurance at the discretion of the employee. This is because to avail these facilities a minimum pay is deducted from their salary.

The employees are allowed to have their meals in groups, for example if there are ten people working on a shift there may be groups of 4 who lunch at one given time. This helps them to form informal groups. However these informal groups are made amongst the employees of the same level.

In Taj there is also an annual social gathering where allthe employees from the top to the bottom are invited. Also each and every employee is given a gift when they leave, and the gift differs from post to post.

PROMOTION

In Taj, promotion is strictly given on the basis of merit. Here the things like experience and influence doesn’t come into account. If one is capable then he will be promoted.

RECOGNITION

Employees are considered important in Taj, and are recognized for their job. In case, if an employee’s Performance is exceptionally good in the past year he is awarded a certificate along with some cash incentives. Also if an employee has given long years of service he is given a momentum from Taj.

JOB ROTATION

In the hotel industry, job rotation is followed on a large-scale. This is done so that employees can excel in each and every department. An employee’s job is not rotated unless he has proven himself in a particular department. Therefore when an employee is rotated from one department to another there is an ego boost as he feels that the management has appreciated his work and feel that he is capable of doing something more.

JOB ENRICHMENT& ENLARGEMENT

In the hotel industry, job enrichment and enlargement is not followed as they feel that if an employee is capable of handling additional responsibilities then he is directly promoted.

The Company establishes Taj GVK Hotels and Resorts Limited with the GVK group to operate three hotels in Hyderabad.

2001

The Company is awarded the management contract for the "Taj Palace", Dubai. 

The Company launches the "Taj Exotica Spa and Resort" in Maldives.

2002

The Company obtains licenses to manage and operate two leisure hotels: the "Rawal-Kot" in Jaisalmer and the "Usha Kiran Palace", Gwalior. 

2003

The Company relaunches its flag ship property as the "Taj Mahal Palace and Tower.

2004

The Company launches its first luxury serviced apartments, "Wellington Mews" in Mumbai. 

The Company opens its first economy hotel under the brand "Ginger" in Bangalore.

2005

The Company obtains a management contract to operate "The Pierre" in New York, USA. 

The Company entered into a management contract to operate the "Taj Exotica" in Palm Island, Jumeirah, Dubai.

Primary Task

My first task I a supposed to perform everyday is to update exchange rates in the software. As a International chain taj Vivanta have customers from various countries apart from India. Most of the foreigners perform card transactions rather cash. So while paying the bills for Room, Restaurant and bar they use their cards mostly. As the exchange rates of the country keeps on fluctuating there may be chance of getting loss for the customer or the Hotel. There may be chance of losing the loyalty of hotel in case they charged more than the bill amount due to the hassles in the Exchange rate. So In order to overcome all these barriers we need to update the currency rates. The main objective of our organization is to provide a loyal service as well royal service to the customers.

Property management system

Property management systems may be used in real estate, manufacturing, logistics, intellectual property, government or hospitality accommodation management. They are computerized systems that facilitate the management of properties, personal property, and equipment, including maintenance, legalities and personnel all through a single piece of software. They replaced old-fashioned, paper-based methods that tended to be both cumbersome and inefficient. They are often deployed as client/server configurations. Today, most next generation property management systems favor web and cloud technology and offer their software to clients using a software-as-a-service model.

In the hospitality industry a property management system also known as a PMS is a comprehensive software application used to cover some basic objectives such as coordinating the operational functions of front office, sales and planning etc. Automate hotel functions like guest bookings, guest details, online reservations, point of sale, telephone, accounts receivable, sales and marketing, banquets, food and beverage costing, materials management, HR and payroll, maintenance management, quality management and other amenities. Hotel property management systems may interface with central reservation systems and revenue or yield management systems, front office, back office, point of sale, door-locking, housekeeping optimization, pay-TV, energy management, payment card authorization and channel management systems.

I am supposed to Perform functions in the hotel MIS Orion R12 which is used to automate functions like guest booking, guest data base , Online reservations ,accounts receivables.

My task is getting the bills of restaurant, rooms and bar to the back office and therefore recording them or updating them in the Orion R12. The process follows as recording the daily transactions in the software like restaurant and room bills as well bar bills then checking the mode of payment whether paid on cash or credit. PMS is meant for room bills. After entering all these details of the transactions I need to generate the bills and then we have an option of taking reports and take print reports then I need to take them. The original bills need to be attached with those reports and dispatch to the companies and the customers. This is the major task I have been assigned and the we have job rotation and I am into various works apart from these works.

Generally, a POS terminal has as its core a personal computer, which is provided with application-specific programs and I/O devices for the particular environment in which it will serve. A POS system for a restaurant, for example, is likely to have all menu items stored in a database that can be queried for information in a number of ways. POS terminals are used in most industries that have a point of sale such as a service desk, including restaurants, lodging, entertainment, and museums.

Increasingly, POS terminals are also Web-enabled, which makes remote training, and operation possible, as well as inventory tracking across geographically-dispersed locations. The POS in various retail industries uses customized hardware and software as per their requirements. Retailers may utilize weighing scales, scanners, electronic and manual cash registers.

Additionally it includes advanced features to cater to different functionality, such as inventory management, CRM, financials, warehousing, etc., all built into the POS software. Prior to the modern POS, all of these functions were done independently and required the manual re-keying of information, which can lead to entry errors.

Amadeus

Amadeus  is a database of comparable financial and business information on Europe's biggest 500,000 public and private companies by assets. 43 countries are covered. Amadeus includes standardized annual accounts (consolidated and unconsolidated), financial ratios, sectoral activities and ownership data. The database is suitable for research on competitiveness, economic integration, applied microeconomics, business cycles, economic geography and corporate finance.

We use this software to generate the trial balance. The generation of the trial balance is the one of the minor competence and task for me daily.

I need to check out the accuracy and authenticity of the transactions that have been recorded. The Projections in the trial balance should be equal to the Pos and Pms.

The total amount projected in the trial balance should be carried forward to the closing balance which will be the opening balance for the next day.

New Tasks

I have been taught working on the tally sheet. I need to publish the total sales report using the tally software. The amount received such should be forwarded to the daily revenue. I am responsible for the variance in the amount. The scope of getting difference is more in WIFI charges because every customer use the wifi separately and usage differs from customer to customer.

Every bill received by me should be punched and filed. Before generating the trial balance I need to check the posting and print the invoices.

The hotel provides some extra benefits to the employees and they were non chargeable .I need to check out the PMS and POS for those bills in case accounted for.

The other major work I have been assigned Is billing for the travel agents. I have to bill for the companies like make my trip , Expedia, sanophy events and Find India. Besides I have done billing for the companies like MSN Labs and MSD Pharmaceuticals.

ACHEIVEMENTS I am well aware of the structure of the Back office operations of Hotels I am aware how to use this MIS of Taj ( Orion) I came to know the process of storing sophisticated database for guest

information and archiving data. I am good at generating complex reports on rates of rooms filled, along

with all practical expenses for the hotel, on an annual or long-term base. Data ware housing is my major task where i am trying to excel in it. My level of communication is comparatively better. I am good at generating the reports and following them up. I can work on point of sale screens and property management system screens of Orion. Made a statement for Make my Trip for 800000 Made a statement of 900000 for the travel agent “Expedia” I have Issued Cheques my highest count is 35. CONCLUSIONI am here by concluding this report with my vote of thanks to the KL University business school and The management of taj. Really it is a practical and worthy experience working here with different people from the different places. It is proud to say that i am a part of the Taj family because most of the Indian products are produced and owned by TATA’s. I am very awful to my Internship co-ordinater, Mr. Raghu Babu and the faculty co-ordinater Mr.Venu Madhav for guiding me to pave a successful way of my career. In this final report I have explained how the transactions take place and the process of functioning in the finance department. The process of maintaining and managing the finance in our hotel are described very descriptively in this final report.
