Module Description

Student Admissions This module provides the key functionalities to support student enrolment process. It includes online application for admission, admission selection process, online acceptance of offer and maintenance of applicant records.

Curriculum Administration

This module covers the setup of courses and programmes, and the management of course materials.

Student Records This module provides the maintenance of student records, online course registration and add/drop of courses, handling of program withdrawal/reinstatement, processing of academic warning/termination and graduation.

Examination Administration This module covers the management of students’ examination results, CGPA computation, examination results release, and grade appeal.

Associates Administration This module includes the creation and maintenance of instructors’ information, contract generation, instructors assignment and payment request.

Logistics and Scheduling This module allows users to send email/SMS reminders to students, instructors, School Admin Officers and Head Of Programme etc, to inform on various activities (for example changes in lesson/examination time and venue).

Alumni Relations This module provides services for UniSIM Alumni. Services include maintenance of personal particulars, request for alumni card replacement, request for transcripts and event registration.

Event Management This module allows users to create events such as orientation and convocation.

eCourse Evaluation This module provides a self-service function for students to feedback on the course that he has attended.

Practicum System

This module allows students to apply for practicum courses and enable practicum administrators to automatically match students with agency according to their stated criteria.

Training and Learning Centre

This module captures the various courses/training offered to instructors in the various stages of the recruitment and deployment.

Finance This module is an integral component to support the billing (eg invoice generation), payment and collection, and refund processes for applicants, students and instructors.

Discussion and Summary

1. This system was co-developed with external vendor (18 months)2. Incorporated both traditional SDLC and Agile Methodologies3. While more stable workflow (i.e. the DB and workflow engine) will be

“fixed”, peripheral applications will change based on new requirements

4. Focus on the end-product functional specs5. Easily scalable– addition of new modules (i.e. SkillsFuture, CEX, etc)

without affecting others6. Data analysis possible without any impact on DB (Microstrategy,

Tableau, SPSS, etc) – localized dedicated DB7. Module within module - Student performance analysis

(CGPA/academic warning system) 8. Achieved 100% online transactions (100% paperless)
