Sport Events Congress 2016, hosted by theCanadian Sport Tourism Alliance, will takeplace March 6-8, 2016 at the Westin OttawaHotel. The Congress is the largest annualgathering of sport events rights holders,event managers, tourism professionals andsuppliers to the industry.

In 2016, a welcome hospitalityevent will be staged on the evening of Day 1 (location TBD) offering delegates theopportunity to re-connect with colleagues before the official start to the Congress atbreakfast the next morning. Note: All refreshments (food, alcoholic and non-alcoholic beverages) will be supplied byCSTA (special occasions permit will be obtained for this event if hosted at the WestinHotel). If an off-site location is selected, an arrangement regarding cost sharing for foodand beverage will be made between CSTA and the sponsor. CSTA also providesvolunteers to assist with activities, set-up and clean-up. Any specific requests from thesponsor (related to food and beverage or entertainment) must be communicated toCSTA at least six weeks in advance of the event and may require approval from the hotelvenue and may be at the sponsor’s expense. Vendor Alley will be set-up in the foyers outside of themeeting space on the 4th floor of the Westin Hotel and delegates will be encouraged to stop by exhibitor boothsand the lounge during breaks, at lunch, and in-between sessions. CSTA’S PRESTIGE Awards celebrate the people, places and events that make the Canadian sport tourism industryso dynamic. These awards are presented annually in seven (7) categories to individuals, companies andorganizations that have made outstanding contributions to the success of the sport tourism industry.

The awards are presented at a luncheon that takes place in conjunction with Sport Events Congress.

There are two ways to become a partner in CSTA’s PRESTIGE Awards – as presenting sponsor of the luncheon oras a sponsor of one of the award categories. Congress sponsors may also add-on sponsorship of an awardcategory to their sponsorship package. See page 11 for details.

ADDITIONAL CONGRESS REGISTRATIONS

Partners who have purchased any sponsorship package offered by CSTA at SportEvents Congress can secure additional delegate registrations at a discount in orderto have additional company representation at the Congress. The reduced rate is$500 per person up to a maximum of two additional delegates. These additionalCongress registrations must be purchased at the time of confirmation of thesponsorship package. This special rate cannot be offered after the fact. If youdecide at a later date to have extra company representatives in attendance, they willbe required to register on-line as a delegate and pay the current Congressregistration rates.

Notes:

1. Title or presenting status of a conference activity or session includes mention of your company on theconference website and in the event program and on any conference-related materials where thesponsored session/activity is referenced (i.e. Sport Events Congress 2016 presented by Destination XYZ orSport Events Exchange presented by Company ABC).

2. Branding/logo on Congress materials include the event program and schedule, signage (including digitalsignage), etc. Corporate logos are accommodated where possible or company name.

3. A speaking opportunity to address the crowd (i.e. a 2-3 minute welcome or thank-you to the speaker) for asenior member of your company/organization to take place in conjunction with your sponsoredsession/activity at the Congress.

7. Opportunity to conduct a customized promotional campaign and/or interactive activity (i.e. contest, raffleor draw, etc.) during the sponsored session/activity (at the sponsor’s cost).

8. Exhibit space includes a kiosk/booth (size = 8ft x 6ft), an 8 ft skirted table and 2 chairs plus a mention onCSTA’s website and in the Congress program as a participant in Vendor Alley. This activation is eitherincluded in a package or available as an add-on at a special price of $1,500 as noted above.

9. An electronic copy of the delegates’ list will be provided to sponsors following the conference. Hard copiesare provided to all delegates on-site.

10. Web ad banner is a rotating ad banner on the home page of CSTA’s website (in rotation with otherCongress sponsors). Banner includes a hyperlink (click-thru) to sponsor’s website.

11. Artwork for print ads in the event program to be provided at sponsor’s cost. Specs and deadlines will beprovided to sponsors by CSTA.

12. New! SEC-TV offers live programming on a television screen positioned in a high traffic area during theCongress where sponsors can feature their promotional message (max 2 mins in length) in rotation with allSEC-TV programming.

13. Inserts in delegates’ bags may include promotional literature or promotional items. Exact specs will beprovided. Estimated # of delegates = 400-425.

14. Reserved table for all meals/plenary sessions for you and your guests.

PRESTIGE EXTRA BENEFITS!

• If you choose to sponsor a PRESTIGE Awards category, your company name will be integrated into thename of the sponsored award in all references to the award, including engraving on the awards sculpture.

• Each PRESTIGE sponsor will receive two (2) guest tickets (value $75) for extra luncheon guests (note:sponsor reps have an awards ticket included with their comp Congress registration) and a reserved table atthe luncheon.

• Sponsor reps will be invited onstage to assist in the presentation of the sponsored award (PRESTIGEluncheon sponsor takes part in the official welcome)

• Your corporate ID (logo and name) will be visible on all promotional materials related to the PRESTIGEAwards including nomination forms, website, event program, signage, etc.

THE FINE PRINT

Confirmation of Participation

Sponsors and exhibitors may confirm their participation at SEC 2016 only OR at both SEC 2016 and SEC 2017 (asindicated).

To confirm your participation at SEC, please complete the confirmation form (posted on CSTA’s website) andreturn it to Krista Benoit, Director of Marketing & Events by fax (819-682-9669) or by email at:[email protected].

A limited number of spots are available and will be allocated on a first come, first served basis. Returningsponsors have first priority and will have first choice of the options available.

Fees & Benefits

Sponsorship fees and benefits associated with each package are outlined in the chart on page 12 and are subjectto change from year to year.

Sponsors who commit to participate in both the 2016 and 2017 events will reserve their preferred sponsorshipposition for both events and save on sponsorship fees. For the two-year commitment, payment can be made intwo instalments (year one in January 2016 and year two in January 2017) or in one lump sum in 2016. Norefunds or credits for packages not utilized in year two.

Sponsorship fees are invoiced and payable by cheque or credit card at least one month in advance of theCongress. Failure to pay fees in accordance with CSTA’s payment policy may result in your sponsorship positionor booth space being reassigned.

Official Activities & Unauthorized Events

Only those who are supporting Sport Events Congress through the payment of registration fees or sponsorshipfees are permitted to conduct business at the event or at official SEC functions.

Furthermore, any event s or activities conducted at the Congress venue or off-site are not permitted tobe staged during the hours in which an official Sport Events Congress activity is scheduled. Please consult theofficial Schedule of Events. Organizations violating this rule may be suspended from participating in futureevents.
