WELCOME The 2020 biennial 2WALKandCYCLE conference will be held in Dunedin, New Zealand. From the innovative separated cycleways on major arterials to the proposed urban realm enhancements along George Street, Dunedin has great new examples of redesigning our public space to encourage walking and cycling. The rapid implementation of road safety improvements for the cluster of five central city schools is another must-see.

Dunedin is a compact city, making for an easy stroll between conference venues, accommodation, museums, galleries, and theatres. Dunedin is home to the University of Otago, New Zealand’s oldest university, an innovative polytechnic and dynamic inventive technology sectors. The thriving student population generates a vibrant youth culture, and the City is renowned for its music, fashion, food and art. 

Stay an extra day or two to enjoy a city steeped in heritage and natural scenic beauty. Stroll among New Zealand’s largest concentration of Victorian and Edwardian buildings, visit the local farmers market or join a walking tour of Dunedin’s emerging street art scene.  Close to town, visitors can tour historic Olveston or stroll through the Botanic Gardens. Take a trip further afield to visit Larnarch Castle, Orokonui Sanctuary, or travel out to Taiaroa Heads to see albatross, penguins, fur seals and sea lions. Hire a bike and cycle along paths either side of Otago Harbour,  hit some of the city’s mountain biking trails, or visit the region’s rail trails. Alternatively, get out onto the harbour on a local cruise, or try your hand at kite surfing or sea kayaking. 

The theme for 2WALKandCYCLE 2020 is ‘walking and cycling: everybody’s business’. Investment in walking and cycling is often considered to be a ‘nice to have’ if there is money left over after providing for cars. Likewise, the convenience of driving often takes precedence over active modes when hard decisions have to be made during transportation system management. It emphasises that the many forms of walking and cycling have a central role to play in meeting society’s health, wellbeing, and climate change targets.

2WALKandCYCLE 2020 will showcase ways to enable us to achieve this goal and will inform our journey towards transport systems for the future. It will re-examine the balance between competing demands for space and resources, and ways to rebalance our transport system to better provide for walking, cycling and public transport.

The conference will be attended by engineers, urban planners, architects, academics, politicians, advocates and others from a broad range of organisations such as local and central government, consultancies, universities, businesses and departments focusing on health along with advocacy groups.

MOBILE APP

Subject to sponsorship a mobile app will be provided at the conference. A smart phone application can be used on the internet and all smartphones. The app will provide information on the conference and social programme, regular updates, session room plans, speaker, sponsor and exhibitor profiles and can be used to add calendar information to individual’s diaries (by creating their own itinerary on the device/app).

For the build up to, and during, the 2WALKandCYCLE Conference the app can be used for live announcements (e.g. changes to programme, social feeds) and will have a contact us page specifically linked to the app sponsor. The front page of the app will feature the sponsor’s logo, details and conference branding. This package offers an excellent opportunity for your company to be promoted directly to delegates in the most personal way possible; via their mobile phone. An online demonstration can be arranged for anyone interested in this opportunity.

P R O M O T I O N A L M A T E R I A L If your sponsorship package entitles you to placement of material in the conference bag, inserts are to be provided by the sponsor and must be no bigger than what has been specified. These must be delivered to the Dunedin Centre in order to be placed inside the conference paper bag.

C A N C E L L A T I O N P O L I C YAfter the official booking has been accepted by the Organising Committee, if the sponsorship or floor space can be resold to another company, the sponsor/exhibitor will receive a full refund, less administrative fees of 20% of the total sponsorship and or exhibition rate. If not able to be resold, the sponsor/exhibitor will be liable to pay the following fees:

50% of the total sponsorship/exhibition rate, if the cancellation request is received in writing before 14 August 2020.100% of the total sponsorship/exhibition, if the cancellation request is received in writing after 14 August 2020.Please note that all cancellation fees are payable irrespective of whether the invoice for sponsorship has been paid or not.

Participation as a sponsor or exhibitor is at the discretion of the organisers and the organisers reserve the right to approve sponsorship materials.

The sponsor will fully reimburse the 2WALKandCYCLE Conference for all claims, losses or expenses arising as a result of any breach or failure to perform any of the terms of the sponsorship agreement.

The Organising Committee reserves the right to charge interest on all outstanding debts for any

collection costs relating to outstanding invoices.

If, for reasons beyond the control of the conference organising committee, the conference is cancelled, the sponsorship fee will be refunded after deduction of expenses already incurred.

I N S U R A N C E / L I A B I L I T YSponsors and exhibitors must ensure that they are adequately covered for public liability insurance. This refers to damage or injury caused to third parties/visitors in the vicinity of an exhibition stand.Neither 2WALKandCYCLE Conference Organising Committee, Harding Consultants, Exhibition Hire and Dunedin Venues, nor any of their staff, employees, agents or other representatives shall be held accountable for, or liable for, and the same are released from accountability, or liability for any damage, loss, harm or injury to the person or any property of the exhibition, however caused or any of its staff, employees, agents or other representatives.

In the event of industrial disruption and/or equipment failure due to power supply problems, 2WALKandCYCLE Conference Organising Committee, Harding Consultants, Exhibition Hire and Dunedin Venues will not be held liable and accept no responsibility for loss of monies incurred by sponsors or exhibitors or damage to property.

The conference organisers accept no liability fordamage to exhibits by loss, damage, theft, fire,storms, strikes, riots, or any cause whatsoever. Exhibitors are advised to insure against such liability.
