This guide is provided, to assist members through the step by step registration process.

All players must register with Southwest Hockey Association (SWH) through the NEW Hockey Canada registration system, via TeamSnap. Online registration, is the only acceptable form of

registration. Therefore, a step-by-step process is provided, in order to assist with the new procedures.

STEP 1 Locating your player(s) Hockey Canada ID Number.

You must have each of your player(s) Hockey Canada (HCR) ID number(s) available, PRIOR to starting your hockey registration. Instructions on ‘How to’ find this HCR ID #, can be found on the SWH website under the Parent > Registration tab.

New Hockey Families, are required to FIRST complete the Respect in Sport – Parent Program, PRIOR to starting your hockey registration. Follow the instructions for new members, as outlined in Step 2

STEP 2 To begin registration, with Southwest Hockey:

1. Go to the Southwest Hockey website: www.southwesthockey.ca, then the Parent > Registration tab. Choose the APPROPRIATE BUTTON, that applies to the player you are registering and review the checklist PRIOR to logging into TeamSnap.

NOTE: To avoid unnecessary & incomplete registration delays – you MUST choose the appropriate statement for the player(s) you are registering. Choosing the wrong statement WILL result in your player NOT being properly registered.

2. Once you are at the checkpoint of logging in to your TeamSnap Account:

a) If you do not have an existing TeamSnap account, you can create one. When creating an account, we STRONGLY suggest that you use a PERSONAL email account.

b) It does NOT matter if your account was created for volleyball, soccer, or hockey. You will use the SAME login information.

c) IMPORTANT – be cognizant that the system may auto-populate! Therefore, please be

diligent when proceeding through each step. Check that the system did NOT auto-populate a wrong name; for the player that you are currently registering.

3. The Southwest Hockey Registration Form will appear.

This ‘pop up’ may also appear, when the registration form opens, IF you have an existing TeamSnap Account.

Click “Sign-up” if you do not have a

TeamSnap Account.

Login here, if you already have a

TeamSnap Account.

You will either checkbox the participant(s) listed, then click “Register Participant(s); OR

You will choose “Create New Participant”, if the player you are trying to register is NOT

listed, & then go to #5, below.

This is another screen that may appear, if you are creating a TeamSnap Account for the first time.

4. “Register Participant”

a) You will choose your player(s) from the list, or Create New Participant (see #5 below).

The participant(s), will be your child(ren), NOT yourself. If your name is listed, make sure it is NOT selected! b) If your player(s) are listed in the pop-up, then click the button beside each of the participant’s

name that you are going to be registering, then click “Register Participant”.

c) After you have selected “Register Participant” all fields that are on your TeamSnap profile will auto-populate. Be sure to REVIEW the information, and then fill in the remainder of the

requested information.

If you use the auto-populate feature of your browser, you MUST double check that the system did NOT change the participant name and other information!

5. “Create New Participant”

a) Enter all required information for your new participant.

b) All members are responsible for providing their own personal information. This information allows SWH to communicate with members during the season. PLEASE ensure that your contact information is the most current information.

c) Any information collected is used solely for the purpose of Southwest Hockey and its governing bodies.

d) BOTH new, and existing members MUST enter and agree to the Hockey Canada Sport Info

fields.

e) The Hockey Canada (HCR) ID Number AND birthdate of the player MUST match the system.

If there are no participants listed in your account,

then you will need to “Add New

Participant” and go to #5, below.

f) Hockey Canada Position – Specific position is only required for Peewee to Junior C players ONLY.

g) Hover your cursor over the question mark for helpful tips, and information →

NOTE: These are only some of the sections to be filled in. Please proceed through each section listed during registration; CAREFULLY and ensure ALL are FULLY completed.

NOTE: If you get an error entering the Hockey Canada ID, check the digits of the ID, and make sure the birthdate

was entered correctly.

The Birthdate and HCR ID #, MUST match what’s in the Hockey Canada database.

If entered correctly, you will see

Success! Under the Hockey Canada Hockey ID box.

NOTE: The Hockey Canada position only needs to be

filled out specifically (defence, forward or goalie), for Peewee up to Junior C.

DIVISION: The Hockey Canada division MUST be

chosen carefully!

IMPORTANT If you do NOT choose the correct division for your player(s), the payment at

the end of registration will NOT SHOW accurately!

6. Additional Participants. If you have more than one participant, click on the appropriate button.

7. Parent Information. Once all participants have been added, enter the parent information.

a) Proceed to complete each “Parent Info” for BOTH Parent 1 and Parent 2. b) Be sure this section has the MOST current contact (email) information.

NOTE: This email (contact information), is what will be used for sending Newsletters

AND for communicating during Evaluations.

c) Various other questions may also be asked. If so, then please provide appropriate responses.

NOTE: Indicating your interest to coach here, does NOT actually register you as a Coach. There are other steps required. Instructions & guidance have been provided on the SWH website, under the Coaches tab.

NOTE: Further information required in the “Sport Info”

section are questions pertaining to volunteering,

sponsorship, etc.

All questions requiring an answer will have an Asterisk beside the

question.

8. Review ALL PARTICIPANT information to ensure CORRECT & complete! Double checked your participant names are your child(ren), and NOT your name (due to auto-fill). Click Save & Continue.

9. Documents & Waivers.

a) Complete all the required Documents and Waivers as listed.

NOTE: Only PDF’s or JPEG’s can be uploaded to the system; where it is required to do so. You can NOT upload a Word document.

b) Waivers: All waivers must be read, and will be signed by the Profile Name of the person who is logged in to TeamSnap. Each waiver will be signed separately. This is completed by printing your name in the box, then must Click ‘Sign Waiver’.

NOTE: In the “Sign Here - Expecting Name” box, you MUST see YOUR name. If you see your child’s

name, you MUST IMMEDIATELY STOP registration now and complete the following:

1) If you see your child’s name – this means you set up the account in your child’s name. The account MUST be set up in YOUR name.

2) You MUST contact TeamSnap directly – as your child is a minor and they can NOT sign a waiver. Not having the proper name also affects your child’s hockey registration.

3) To contact TeamSnap – refer to either the ‘Help’ or ‘Chat’ button in the account.

c) There will be a green check mark beside all documents and waivers AFTER they have been completed/signed.

10. Once ALL Documents and Waivers have been completed: Click Save & Continue.

STEP 3

Payment – Participant Fees & Processing

1. Fee Packages: Choose from the available fee packages for your division.

a) Registrations that have a required fee, will be indicated with a *(Required). For example; if Prep

Camps were listed, they will not have a *, as they would be optional.

b) You must select the Participant Fee, by clicking the circle.

c) If you are a Bantam or Midget player, you must indicate if you are trying out for Body Checking or NON-Body Checking. Click the appropriate circle.

d) If you are trying out for Quadrant Hockey, review the information and check the appropriate circle.

e) Once all fees have been selected, then click ‘Save & Continue’.

2. Check out: Processing – Registration Fees (Refer to ALL picture samples below)

a) Review your shopping cart BEFORE completing the payment. Due to that auto-fill possibility, please ** DOUBLE CHECK PARTICIPANT(s) NAME(s) ARE ALL CORRECT **

b) If you missed registering other participants at the beginning of the registration process, you have another opportunity to add a participant. ALL participants must be entered, PRIOR to paying.

c) Payments will be by Credit Card, or “off-line” by Money Order or Cash. If you have used the

system before, then a credit card may already be in your file, OR you will need to add ‘New Credit Card’ information in order to process the payment.

d) PAY IN FULL – is the default option, however you can choose to pay in instalments. If you

would like to pay in instalments → You must click the ‘OFF’ button to ‘ON’.

i. NOTE: The 4 instalment amounts will depend on how many participants you have registered.

ii. IMPORTANT: Instalment payment dates will be indicated on the left-hand side.

e) When you click ‘Confirm Payment’, if the system returns you to the Checkout page, it may be due to your settings with ‘pop-ups’ being blocked. You must allow pop-ups on your browser settings. You may also need to try a different browser. Information on System Requirements (Operating Systems), was provided on Page 1, of this guide.

NOTE:

Pay in Full (Credit Card) Is the DEFAULT option.

However, you CAN pay in installments.

*Installment Plan cannot

be selected after full payment has been

confirmed and processed

If you want installments, you MUST click the ‘OFF’

→ to ‘ON’

NOTE: If you missed adding a

participant, this is when you need to add another player.

ALL participants MUST be entered, PRIOR to

paying.

NOTE: After you click to the ‘ON’ position, the installment

plan will show.

The installment amounts, will depend on the number

of participant fee(s).

The installment payment dates will show on the left

side.

Confirm Payment

Process payment by clicking the “Confirm

Payment” box.

If the system returns you to the ‘Check-out’ page – then

your ‘pop-ups’ may be blocked. Pop-ups must be allowed in order to process

the payment.

Pay Offline

If you chose this option, your registration is NOT

completed until payment(s) have been

received.

Important

This means if NO payments have been received by August 15th, then for returning community

members, the late fee will also be applied.

Review these instructions on completing your “offline

payment”, in order to complete the registration

process.

TEAMSNAP DASHBOARD Here are a few snapshots of the TeamSnap Dashboard to give you an idea how it looks. These examples show a member who has chosen to pay offline. If you have paid by credit card, your Dashboard may look slightly different. You can click on “Account” to update information.

As this is an “off-line payment” example, you will see “Waiting for Payment”. This means registration is NOT complete.

To finalize your “In progress” registration, click on “Finish Now”.

ADDITIONAL INFORMATION

1. If you choose to complete registration later, or in a different browser or on another computer, you will

NOT have to re-do the entire form.

a. Log in to the desktop version of TeamSnap and you will see “My Registrations” – with the option to “Pay Now”.

b. Reminder – Late Fees will be applied to registrations that are completed after the Late Fee Date.

2. In ‘My Registrations”, this is where you can manage your instalment payments – if you want to pay an instalment BEFORE the next scheduled date. Instalments can NOT be changed to a later date.

a. This is also where you can update your Credit Card information.

3. Official Receipt. After you have clicked the “Confirm Payment” button, you will only receive a

confirmation of payment from TeamSnap. If you require a receipt, you will need to:

a. Log in to the desktop version of TeamSnap, and under “My Registrations”, you will see an option to “View Receipt”. This will show you the full registration receipt, and who the fees were collected by (SWHA), all fees per participant, payment totals and payment summary. The payment summary indicates the date and amount of payment(s).

b. NOTE: Receipts will only be available for ONE YEAR after the registration has been completed. Please print and keep your receipt in a SAFE place. SWH will not have access to your receipt after this time period has lapsed.

4. You are done! You have successfully registered your child(ren) with the Southwest Hockey Association!
