Board Meeting Minutes November 19, 2015 Present: Denise Roberts, Pat Scharfe, Kitty Swindle, Chere Bargar, Joan Throgmorton, Tim Alton, and Bev VanderWeide Meeting called to order at 7:10 p.m. Treasurer’s Report: Denise distributed the budget through October 2015. Both the Scavenger and the Poker Rides showed a net profit. General Meeting: The November 13 meeting went well. Our guest speaker, Christine Amber, gave everyone a wealth of information on equine riding safety. Kitty will send a “thank you” note to her. Officer elections were held. Current officers were re-elected. New officer chair elections were Audra Soltis (County Parks liaison); Elaine Alton (General Meetings Clerk); Steve Oliveira (Officer at Large); Kathy McBride (Membership); and Tim Alton (Newsletter Editor). Gilroy Christmas Parade: So far we have 7 riders and 2 pooper scoopers. Bev gave Denise approved insurance rider and receipts for needed items purchased. Parade organizers have not yet sent staging information and parade route. When Bev receives this information she will pass it along to SMHA participants. Membership Roster: Bev has finished the Club roster and will distribute it at Club holiday meeting. She plans on updating roster around June or July. Joining members would receive a “welcoming” letter and roster in the mail and be able to pick up park maps and other information at the general meetings.

Job Descriptions: Board members should write down what duties their position requires and the time and frequency of the duties. Denise distributed a sample worksheet showing items she works on during the year. Discussion of job descriptions will be taken up at the January meeting. Holiday Party: Meeting/Holiday Party will be held Friday, December 11. Food: Chere, Kitty and Sue Stillman will cook turkeys. Pat will cook 2 hams. Kitty will bring water; Joan will bring soft drinks, and Denise coffee. Members will bring remainder food items. Decorating: Bev will ask Sandy to head up decorating the hall. Denise gave decorations she had to Bev. Kitty and Chere will check the barn for any other decorations. Guesstimate for tables is 6 for food, 8 for eating and 5 for silent auction. Other: Picture albums (Carolyn). Lon’s picture board (Kitty). Music (Denise). Microphone (Bev). Other: - Trail work dates at Calero are January 16, February 20, and March 19. - Trail work dates at Coe are January 23, February 13, and March 12 Next scheduled meetings: December 11 – General Meeting and Holiday Party January 8 – General Meeting January 13 - Board Meeting Meeting adjourned at 9:00 p.m.

the part of San Martin Horsemen's Association or any of its agents.

In consideration of my participation in events and activities organized or sponsored by San Martin Horsemen's Association I waive,

release and discharge San Martin Horsemen's Association, its directors, officers, agents and members, their representatives, heirs,

executors and all other persons and organizations in any way connected with the SMHA events from any and all claims of liability for

injury or damage to myself, my animals or my property arising out of my participation. This agreement is binding upon my executors,

heirs and assigns.

I expressly waive any rights I may have under California Civil Code 1542, which states "A general release does not extend to claims

which the creditor does not know or suspect to exist in his favor at the time of executing the release, which if known by him might have

materially affected his settlement with the debtor."

I agree that I will indemnify and hold harmless San Martin Horsemen's Association, their officers, directors, members and agents

against all claims, demand, and cause of action, including court costs and actual attorney fees, arising from any proceeding or lawsuits

brought by or prosecuted for my benefit, in which this release is upheld.

San Martin Horsemen's Association, its agents or employees shall not be liable for any damage which may accrue from any cause or

as a result of fire, theft, mining away, state of health, injury to person, horse or property.

December SMHA club meeting: will be accepting donations for The Teri Davis Patane Memorial Horse Camp for Kids (TDP Horse Camp). TDP Horse Camp is dedicated to providing disadvantaged kids with an opportunity to learn basic horsemanship skills and experience nature in an educational and fun setting. The annual seven-day camp is solely funded by donations and completely staffed by volunteers. It provides all the kids with room, board, their own horse and all necessary equipment. Items needed include boots, socks, helmets, jeans, horse equipment, etc. Contact Lon Davis @ 408-778-2525, this is a 501(c)(3), tax deductible non-profit.

The East Bay Regional Park District Fire Department has posted an entry on Facebook re: their fund raising efforts to purchase large animal rescue equipment, a life-size horse mannequin (which they will model after Emperor), and initial and annual training for first responders. They are hoping to raise funds for this purchase. Any or all donations can be directed to one of two places:

We have a new Large Animal Evacuation coordinator for our area, Area 7. Her name is Jayne Perryman. She is the person that the

LAE will reach out to in case of emergency. She is responsible for a very large area. Help her to better serve us by providing her with

your information. Some of the things she needs to know are:

- Where you live and how easily it is accessed

- Do you have a trailer?

- How many horses do you have?

- Your contact information

Obviously, if you can get your horses to safety on your own, you should do that first. But if you are away from home when a disaster

hits our area, the LAE needs to know where your horses are, how many you have and how to get to them. Contact Jayne Perryman,

CHITTY BLOG

Trail work opportunities in 2016. There is a new trail under construction in Calero County Park that is going

around the lake. There are a number of bridges to build, so it is an ambitious project. The Sweiko (a trail

machine) will do the hard work. The county is looking for volunteers to do finish work on this trail. As of now,

the scheduled dates are January 16, February 20 and March 19. This is fairly easy work and you can get a lot

done in a day. This is a great opportunity to get outside and get some exercise, earn double tickets for the

year end SMHA drawing AND get credit for SMHA special event fees. In 2015 the cost of a permit for our poker

rides and other events is $320. The last few years, we have had enough volunteer hours that we have not had

to pay the fees. On some of our events, if we had to come up with the cash, we would lose money. So it is

important for as many of us as possible to come out and do some work. The county credits us at $10 per

hour.

There are also 3 trail work days scheduled in Coe State Park: January 23, February 13, and March 12.Because it

is trail work, you get double tickets for helping out here too.
