WHY SMART??????

Generally the various methods used for taking the attendance are as follows:

1. Biometric 2. Card system3. Manually There are various flaws in the

above mentioned systems.

Page 3: Smart Attendance Management Sytem

There are various attendance systems available in the market.

In this fast world, TIME conservation is the main constraint. So, in order to give a clear view of the attendance in minimum TIME is the main motto of our project.

This is the main reason why we call our project SMART.

Page 4: Smart Attendance Management Sytem

INTRODUCTIONThe main objective is to design and create

a system, through which the time wasted in taking attendance or keeping a track of a

person’s regularity should be minimum. We take an example to understand the abstract

properly. In a class of an engineering college, suppose

there are 100 students. The class duration is 60 min . so if the professor takes the attendance manually, then approximate 20 minutes are wasted in this job. And on top of that calling out 100 roll numbers is a tedious job.

Page 5: Smart Attendance Management Sytem

REASONS FOR USEThis system will save the time of the

professors in any educational institute. This system gives an accurate average

attendance of a student and record of any student can be stored in the database

The regularity of a student increases because the attendance is taken on a random algorithm.

The student is sent a message if he is absent, and if the attendance drops below a specific %, a message is sent to their parents.

Page 6: Smart Attendance Management Sytem

In offices and other industrial areas this system will be quite helpful in taking the attendance of the employees

“Any institution or any company as a whole will become more efficient” this is the main reason.

Due to greater efficiency, the economy of the states will increase and as a whole it will add to the development of the country

PROBLEM SUMMARYGoing through the problems faced by

industries, we found the issue of attendance and its maintenance to be a tedious one. Also an unpractical approach is adapted by industries and institutes.

Considering the amount of time allotted to the resource to be counted , the time is wasted in case of lectures. And in case of any field work , the task of taking attendance manually is unapproachable.

So here in our project we would like to configure n find a practical approach and a feasible solution to attendance management problem.

FEASIBILITYEconomically Feasibility:The system being developed is economic

with respect to School or College’s point of view. It is cost effective in the sense that has eliminated the paper work completely.

The system is also time effective because the calculations are automated which are made at the end of the month or as per the user requirement.

The result obtained contains minimum errors and are highly accurate as the data is required.

Page 10: Smart Attendance Management Sytem

Technical feasibility:The technical requirement for the

system is economic and it does not use any other additional Hardware and software.

Behavioral Feasibility:The system working is quite easy

to use and learn due to its simple but attractive interface. User requires no special training for operating the system.

SPECIFICATIONS

The system will take a predefined number of student’s attendance according to the strength and flexibility of the class.

For a group of students who are remaining regularly absent, mass attendance will be taken .

If the strength of the class is less than 20 then the mass attendance will be taken.

Page 13: Smart Attendance Management Sytem

STUDENTLoginCan check his/her attendance at any

point of time. They can place query regarding

particular day’s attendance They can see their attendance for any

subjectThey can also see how many granted

leaves are left They can apply for leaveThey will be able to see the time table

for the day and whole week

Page 14: Smart Attendance Management Sytem

FACULTYLoginAttendance grid will be available for

them to mark presence of a particular day

He/she will be able to see the student s attendance at any point of time.

He/she can particularly add a student to the attendance list for a particular day.

They should be able to see at what time they have to take which lecture and in which class.

They can apply for leave.

Page 15: Smart Attendance Management Sytem

PARENTSLogin related to their wardThey should be able to see their ward

s attendance for a particular dayThey can also see a whole month

report for their wardThey can place a query to the

faculties for a particular subject and can know about their wards attendance

Check their wards class test report and time table

Page 16: Smart Attendance Management Sytem

PRINCIPALLoginHe/she can declare holiday or any

immediate leave when there is an emergency situation

The principal can declare an alert or notice to a particular department when and if necessary

The principal has the right that which rights should be granted to whom and how much a user can access the site

Automated and quick report generation for a particular department

Page 17: Smart Attendance Management Sytem

ADMINLoginThey will send a weekly sms to the

parents and students about their attendance

Similarly an e mail will also be sent regarding the attendance

They will be able to generate a report in which the names of those students whose attendance is less than 75% and accordingly the action will be taken

Page 18: Smart Attendance Management Sytem

HODLoginAutomated and quick report generation

for any particular of his particular department

He/she can give the alerts and notices whenever required to the respective faculties and students

They have to give every faculty the attendance sheet for their particular lecture

They will be able to assign a proxy teacher when a particular faculty is absent

FEATURESAccurate student attendanceDaily absence reportReduced paper workBulk sms facility for special

announcements Time savingFaster method of communicating

HOW THE ALGORITHM WILL WORK?????

Consider ‘N’ the total number of students to be 100 in a class.

The programmable percentage of students is P%.

Let it be 20%.So 20% of 100 will be 20.i.e 20

students are to be attended regularly.

Page 22: Smart Attendance Management Sytem

The levels of severity will be developed by applying randomization for ‘d’ initial days.

There are 3 levels of severity.

Severity 1(75% to 99% absentism).

Severity 2(50% to 75% absentism).

Severity 3(remaining).

Page 23: Smart Attendance Management Sytem

Now suppose on any day out of 20 ,5 students were absent.

Those 5 will be attended next day.

Remaining number to be attended will be 15.

Now 50% of 15 will be 8.These 8 students will be selected from severity 1.

Further balance will be 15-8=7.

Page 24: Smart Attendance Management Sytem

Now balance was 7,75% of 7 will be 5.So 5 students will be selected

from Severity 2.Remaining 2 students will be

taken from Severity 3.This goes on for any odd day. This is how the algorithm will

work. The efficiency is not 100%,but we

are trying to move closer to the same.

For which we are working on raw data.
