IntroductionDiscover enables you to analyse SIMS data and to display the results in a variety of graphical formats. These include bar graphs, line graphs, pie charts and Venn diagrams.

Several graphs can be created and viewed at the same time for the purposes of data comparison. It is possible to drag and drop various data items from one graph on to another to create compilation graphs and Venn diagrams. For example, you can combine data from the Student Totals by Year Group graph (which displays the number of students in each year) with data from the Student Totals by Key Pastoral Factors graph (which shows, amongst other things, the number of Students eligible for Free School Meals (FSM)) to show you the number of FSM students in a particular year.

Discover uses a separate database (data warehouse) from SIMS, which is populated from the SIMS database. The required data is copied from SIMS into Discover as a daily overnight scheduled task. This routine can also be manually launched if required.

Discover is pre-populated with a number of graphs, organised into the following categories:

n Pupil

n Pre-Admission

n Pastoral

n Attendance

n SEN

n Behaviour

n Achievement

n Exclusions

n Assessment.

Discover ConfigurationAs all schools are different, a Configuration utility is provided enabling you to define your own Assessment graphs.

The Discover Configuration utility also allows you to run the data transfer from SIMS to Discover without waiting for the scheduled task.

Logging Into Discover

Discover can be launched in a number of ways:

1. Start | All Programs | SIMS Applications | Discover and log in with your usual SIMS user name and password

2. Log into SIMS in the usual way, then select Focus | Assessment | Discover

3. Click the Discover icon on the SIMS toolbar.

Using GraphsThere are two elements to the Discover interface. The large white area is called the canvas. This is where the graphs are displayed and manipulated.

The dark bar at the top of the screen is the Discover Application bar. These are the graphs that are available to you are selected from the Category buttons on this bar.

1. Click the Assessment button to display the drop-down list of available graphs.

NOTE: For Secondary schools a pre-defined Assessment graph has been provided:

n KS3 Level 5+ for Teacher Assessments

These will display data for Year 10 by default but can be configured to display other years.

(If you have previously imported CTF files or the Key Stage 1 and 2 Wizards into SIMS, the pre-defined graphs for Key Stage 1 and Key Stage 2 will also be available for selection in Secondary schools.)

2. Click the KS3 Level 5+ for Teacher Assessments graph and drag the graph name or the associated orange box onto the Discover canvas.

3. Release the mouse button and the graph will be generated. It can then be re-positioned or re-sized as required.

This particular graph is a bar chart showing the numbers of students achieving a Level 5 or higher in their Key Stage 3 Teacher Assessments. Each of the three bars relate to a different subject.

Once a graph has been created, it is possible to move it around the canvas, to resize it and to export it (either as an image or the underlying Student data.

NOTE: When you first select a graph it will be positioned so that it is centred at the point on the canvas where you released the mouse button. This may result in the title bar at the top of the graph (and the Close button) not being visible (the top of the graph will appear to be underneath the Application bar). This will mean you cannot move the graph. However, you can drag the canvas: click any empty area of the Discover canvas and move the mouse. The canvas can be considered as being larger than the visible screen.

Viewing Student Information for a Data Item4. Click the bar representing English L5+ to reveal details of the students behind

this part of the graph. You may have to move items around the canvas to view this information.

There are a number of buttons at the bottom of graphs:

Information button: Switch between the graph and the underlying Student data.

Graph type buttons: Changes the Graph Type. Graphs can be bar charts, line graphs or pie charts.

Export button: Can export the graph as a graphic or the underlying data as text.

Save button: Allows you to save the graph if you have made any changes to it.

Delete button: Allows you to delete any graphs you have saved.

Students buttons: The graph can display either On-Roll students (including Dual registered students), Leavers (from the current academic year only) and/or Guest Students.

Information Button: Viewing the Underlying Data Behind the Graph5. Click the Information button on the front of the graph that you are viewing.

6. The graph rotates and the underlying data is displayed. You can resize the graph if required.

Graph to Graph FilteringWhen more than one graph is open on the canvas, it is possible to further refine the results displayed by dragging and dropping a data item from one graph onto another.

Drag and drop the Student Totals by Key Pastoral Factors graph (from the Pastoral button) onto the canvas and position it next to the KS3 Level 5+ for Teacher Assessments already on the canvas.

1. On the Student Totals by Key Pastoral Factors graph select the FSM bar and drag and drop it onto the KS3 Level 5+ for Teacher Assessments graph to see the number of FSM students at Level 5+.

Saving a Graph

It is possible to remove the original results from the selected graph and to filter the data points solely on the filter that you have selected. This new graph can then be saved with a new name.

1. Select the true (blue) data point name from the key panel, then click the x button to remove the filter. The graph is re-calculated to show data for KS3 Level 5+Teacher Assessments for FSM (not reflected in the title yet).

2. Click the Save button at the bottom of the selected graph dialog to display the Save as dialog.

3. Add FSM to the title and from the Save in drop-down select the Custom Catalogue.

NOTE: The Custom Category is designed as a location for your own graphs, but you can save a graph to any category. Saved graphs are only visible to the user who saved them.

4. Click the Close button to close all graphs on the canvas.

5. Open the Assessment Catalogue and drag and drop the newly saved KS3 Level 5+ for Teacher Assessments FSM graph onto the canvas. Note that the bars are now blue.

6. Click the Pie Chart button to display the data as a pie chart. Line graphs can also be produced for appropriate data.

7. Click the Close button to close the graph.

Venn DiagramsYou can select up to three data items from any graphs that you are currently viewing and drag and drop them onto the canvas to create a Venn diagram.

1. From the Assessment catalogue drag and drop the original KS3 Level 5+ for Teacher Assessments graph onto the canvas.

2. Now drag and drop the English Level 5+ item onto an empty area of the canvas to form the first circle of a Venn diagram to show total for this item.

3. Click the Mathematics L5+ data item from the original graph and drag and drop it onto the Venn circle in the new graph to show the number who have achieved Level 5+ in English and Maths in the segment of the Venn.

4. Repeat the above process for Science Level 5+.

5. Familiarise yourself with the way that information is displayed in the Venn diagram, in particular the position of the totals. The following graphic is a similar diagram for Level 6 and above:

n 95 students who meet all three criteria (Level 6 or higher in English, Maths and Science)

n 121 students who achieved a Level 6 or more in Maths, made up of all of the numbers that fall within the left circle:

o 4 students who achieved Level 6+ in Maths but not in English or Science

o 16 students who achieved a Level 6+ in Maths and Science

o 95 who also achieved L6+ in Maths, English and Science

o 6 students who achieved L6+ in Maths and English but not in Science.

6. Click the Save button to save the Venn diagram. Select the Custom Catalogue from the Save in drop-down and give the graph an appropriate name.

7. Click the Close button to close the original KS3 Level 6+ for Teacher Assessments graph, but leave the Venn diagram on screen.

8. Drag and drop the central Sector of the Venn onto the canvas. This forms the first part of a new Venn diagram. Note the appropriate title.

9. Now add other factors to this e.g. FSM.

2 Modifying the Pre-defined Assessment Graphs

Using the Discover Configuration Utility

The Discover Configuration utility sits between SIMS and Discover and provides the ability to change or customise different areas within Discover.

The configuration utility is also where the pre-defined Assessment graphs can be copied and modified as required.

1. Select Start | All Programs | SIMS Applications | Discover Configuration and log using your SIMS logon.

The General Settings tab controls the display and interval ranges of specific graphs.

The other pages of the Discover SIMS Configuration utility are used for the creation of your own Assessment graphs.

NOTE: Changes made in the Discover Configuration utility affect all users. Assessment graphs created here are available to all users, unlike graphs saved in Discover which are user-specific.

Click the Assessment Graphs tab.

3. Highlight the KS3 Level 5+ for Teacher Assessments graph, then click the Open button.

4. Note that for this example in the Pastoral Group section that Curriculum Year 10 is displayed. Also note this cannot be edited.

5. Click the Cancel button to close the Add/Edit Assessment Graph screen.

6. With the KS3 Level + for Teacher Assessments graph still highlighted click the Copy button.

7. A similar window appears but is now editable as this is a copy of the original graph.

8. Change the Pastoral Group to Year 11.14

9. Edit the Name of the graph to KS3 Level 5+ for Teacher Assessments Year 11.

10. Click the OK button to close the Add/Edit Assessment Graphs screen.

11. Click the Save button on the Discover Configuration screen.

12. Click the Close button.

13. Click the Close button to close Discover and re-open it to refresh the graphs.

NOTE: If any changes are made in the Discover Configuration utility these changes will not be visible in Discover until it has been closed and re-opened.

14. The modified graph (KS3 Level 5+ for Teacher Assessments Year 11) is shown in under the Assessment Category.

3 Creating Assessment Graphs in Discover

There are six different Assessment graph types you can create in Discover:

n Marks Tracking

n Grades Tracking

n Average Marks

n Venn diagrams

n True/False bars

n Levels of Progress.

The process will vary depending upon the specifics of the graph you wish to create, but, broadly, the process is:

1. Set-up SIMS Assessment and Record ResultsBefore Discover can graph any assessment results, these results must have been recorded in SIMS. This will have entailed the creation of appropriate aspects, result sets and the entry of individual student’s results.

Additionally, Venn diagrams, True/False bars and Levels of Progress bars require a further step, as results need to be in specific format for these Graph Types. For this we use a new kind of aspect - Discover Aspects. These are covered in more detail later.

2. Create Graphs and Configure Discover to Transfer the Required Results from SIMSThe next steps are carried out in the Discover Configuration utility.

The Transfer process that transfers data from SIMS into Discover does not routinely copy assessment results. Only results linked to aspects that have been used in graphs are transferred, so when you create a graph that uses an aspect that has not been used in discover before you will need to run the data transfer process after creating the graph.

3. View the Graph in DiscoverOnce these steps have been completed, the graphs can be viewed in Discover (you will need to have restarted Discover after having made any changes in the Configuration utility).

Creating a Grades Tracking Progress Graph

Example: a tracking progress graph showing progress in English Attainment for Yr 9 through each term in KS3.

1. Log in to the Discover Configuration.

2. In the Assessment Graphs tab of the Discover Configuration utility click the New button.

3. Select Grades Tracking Progress from the menu displayed.

4. In the Basic Details panel, enter the name English Termly Progress Y7-9.

5. Enter a meaningful description that enables you to differentiate this Assessment graph from other existing graph definitions. For this activity we will use Termly Progress For Cohort.

6. Enter a Topic Fragment of Progress (this is merely a short abbreviation of the description).

The Style field is populated automatically with the type of graph that you have chosen to define and cannot be changed.

7. In the Cohort Group select Year 9.

8. In the Grades Tracking Progress Specific Details panel, click the Green Add button to display the Find Aspects dialog.

9. Click the Search button or use appropriate filters and search to find, then select the English Attainment Level Aspect.

At least one aspect must be selected and the maximum number is 25.

10. Click the OK button to return to the Add/Edit Assessment Graph dialog.

11. In the Result Sets panel click the green + Add button to display the Result Set browser.

12. Click the Search button to display the list of available result sets.

13. Using your Ctrl key, select the following result sets:

n Year 7 Autumn Term

n Year 7 Spring Term

n Year 8 Summer Term

n Year 8 Autumn Term

n Year 8 Spring Term

n Year 8 Summer Term

n Year 9 Autumn Term.

14. Click the OK button, then click the OK button again to complete the graph.

15. Click the Save button.

16. Click the Transfer button to initiate the Transfer process.

Opening the Graph in Discover1. Relaunch Discover.

2. Click the Assessment Category button.

3. Drag the newly-created graph onto the canvas.

The data displayed shows the mean grade for the cohort in each term with the mean point score also displayed.

Creating an Average Marks Bar

Example : an average marks bar graph showing the average difference between target grades and current attainment for English, Maths and Science.

1. Open the Discover Configuration utility if it is not already open.

2. Click the Assessment Graphs tab.

3. Click the New button, then select Average Marks bar.

4. Complete the details as follows:

n Name: GCSE Difference En, Math, Science Yr11

n Description: GCSE Difference En, Math, Science Yr11

n Topic: GCSE

n Cohort Group Type: Year Group

n Cohort Group: Year 11.

5. Click the green +Add button.

6. Search for relevant aspects

– hold down the CTRL key and select each Aspect. Click the OK button.

4 Discover Aspects

IntroductionOf the six Graphs Types you can create in Discover, three: Venn diagrams, True/False bars and Levels of Progress bars require additional setting up in SIMS before the graphs can be created in Discover Configuration.

This is because Discover needs the aspects used by the graphs to be in a specific format which does not necessarily match the way the results are held in SIMS.

Venn diagrams and True/False bars are based on a True or False result. For example, the KS3 L5+ Teacher Assessments graph we used earlier.

Discover Aspects are different to Assessment Aspects. Assessment Aspects store data entered though a marksheet or as a result of a calculation defined in the Marksheet Template. Discover Aspects calculate their own results based on results linked to other aspects plus criteria defined directly in the Discover Aspect definition.

Discover Aspects can include school defined or statutory Assessment Aspects. Once Discover Aspects have been created and the results for these aspects have been generated in SIMS, the Discover Aspects must be transferred from SIMS into Discover.

Multiple Grade Targets Aspects

1. Select Tools | Performance | Analysis | Discover Aspects to display the Find Discover Aspect browser.

2. Click the Search button to see aspects that already exist.23

3. Click the New button to create a new Discover Aspect.

4. Select Multiple Grade Targets from the Mode drop-down.

5. Enter the details shown in the following graphic for the new Discover Aspect in the Basic Details panel.

NOTE: It would be good practice to prefix our Discover Aspects with a D so that searching is easier and to distinguish them from non-Discover Aspects.

6. In the Grade Value Definitions panel click the New button adjacent to the Grade Set panel to display the Add/Edit Discover Grade Value Definition dialog.

7. In the Basic Details panel, click the Browser button adjacent to the Grade Set field to display the Find Grade Set Browser dialog.

8. Select the GCSE (GA) Grade Set. In the Source Aspect(s) panel, click the Green Add button to display the Find Aspect dialog.

9. In the Grade(s) panel ensure a tick is placed in all grades from Level A* - C then click the OK button.

10. In the Result Set(s) panel click the green + Add button, then select result sets Year 10 Autumn Term and Year 11 Autumn Term, then click the OK button.

NOTE: Use the Ctrl key to select multiple result sets.

11. Click the Save button to save the aspect.

12. Create a Multiple Grade Targets Aspect for Attain GCSE Maths using the same grade set as above.

13. Create a Multiple Grade Targets Aspect for All Science named All Science Grade C containing the source aspects Attain Science Dbl GCSE and Attain Science Sgl GCSE.

Generating the Discover Aspect ResultsOnce the required Discover Aspects have been defined, it is essential that the results for these aspects are generated in SIMS before the aspects, grade sets and result sets are transferred into Discover to be used in the creation of Assessment graphs.

In a live school environment the calculation of Discover Aspect results will normally take place at a chosen time, e.g. 01:00 am when there are no users on the system. The results would not be visible in SIMS Discover until the following day in this case. It is possible, however to re-set this timing and to calculate results immediately if required. Consideration should be made before running this utility immediately as there may be some degradation to the performance of SIMS.

1. In SIMS, select Tools | Performance | Analysis | Discover Setup to display the Discover Setup Details page.

The Before Transfers check box is selected by default.

The Day(s) Between Generation field defaults to 7 but this can be changed to a different number of your choice. This figure indicates the numbers of days to elapse before the results are generated.

2. Click the Generate Now button to display the following warning message:

3. Click the Yes button to begin the generation of results for the Discover Aspects. When the process is complete, a message is displayed.

Once the results have been created for the Discover Aspects, you can begin incorporating the aspects, grade sets and result sets into your own Assessment graphs via the Discover SIMS Configuration utility.

Selecting Aspects to Build Graphs in Discover1. It is necessary to run a Transfer before the new Discover Aspects and the

generated results will be available to select. Click the Transfer button.

2. Click the Yes button and note the Transfer Progress box. When the following message appears click the OK button.

3. Click the Close button and restart the Discover Configuration utility.

Creating a True/False Bar Graph

Example: Analyse Students Above/Below Grade C in English, Maths and Science in Autumn Term Yr 111. In the Assessment Graphs tab click the New button.

2. Select True/False Bar.3. In the Basic Details panel enter the following details:

n Name: KS4 Eng,Maths and Science C+

n Description: KS4 Eng,Maths and Science C+

n Topic Fragment: C+.

Creating a Venn Graph to Analyse Multiple Grade Target Aspects

Example: C+ in English and Maths Autumn Term Yr101. In the Assessment Graphs tab click the New button.

NOTE: Venn Diagram graphs must have a minimum of two series, left and right. Adding a third series is optional.

Creating an Amount of Progress Graph

Example: Yr 7 Autumn to Autumn Year 9 Progress Analysis for Yr 9To do this we need to create Amount of Progress Discover Aspects. These will generate results based on whole levels of progress from one point to another, e.g. Year 7 to Year 9 in the form of <1, 2, 3, 3+ (where 1 level of progress is equal to six NC points, so for example if the grade set is subleveled Level 2b – 4b would return a result of two).

1. In SIMS select Tools | Performance | Analysis | Discover Aspects.

2. Click the New button to create a new aspect.

3. Select Amount of Progress.

4. Name the aspect D K3 Lev Prog English 7-9 and in the ColumnHeading type Levs Prog Eng 7-9

5. In panel 2 Amount of Progress, click the Source Aspect (From) browser, then select English Attainment Level.

6. Click the Source Aspect (To) browser, then select English Attainment Level.7. In panel 3 Result Sets in the Result Set (From) browser select Year 7

Autumn Term.

8. In the Result Set (To) browser select Year 9 Autumn Term.

9. Click the Save button to save the aspect.

10. In SIMS, select Tools | Performance | Analysis | Discover Setup to display the Discover Setup Details page.

11. Click the Generate Now button to display the following warning message:

12. Click the Yes button to begin the generation of results for the Discover Aspects. When the process is complete, a message is displayed.

Once the results have been created for the Discover Aspects, you can begin incorporating the aspects, grade sets and result sets into your own Assessment graphs via the Discover SIMS Configuration utility.

Creating a Levels of Progress Graph1. In the Assessment Graphs tab click the New button.

2. Select Levels of Progress Bar.3. In the Basic Details panel enter the following details:

n Name: Levels Progress English 7 – 9.

n Description: Levels Progress English 7 – 9.

n Topic Fragment: Levels Pro.

n Cohort Group: Year 9.

4. In the Starting Level panel click the Find Aspect browser button.

5. In the Grade Set box delete the *Level text, then click the Search button.

6. Highlight the English Attainment Level Aspect, then click the OK button.33

7. In the Amount of Progress panel click the Find Aspect browser, then search for the aspect D K3 Levels Progress English 7 – 9.

8. In the Result Set panel, select Year 7 Autumn Term then click the OK button.

A Using Graphs – Additional Information

Re-Positioning GraphsOnce a graph has been created, it is possible to move it around the canvas to enable you to maximize the space available. This allows you to drag and drop additional graphs onto the canvas at the same time.

1. Click the title area of the graph and drag it around the canvas.

2. Release the mouse button to position the graph in the required location.

Resizing Graphs3. Hover over a border or a corner of the graph until the two-way arrow cursor is

displayed.

4. Click and drag the cursor in the required direction to increase or decrease the size of the graph.

Exporting the Underlying Data5. Clicking the Export button on the reverse side of the graph allows you to save

the underlying data as a CSV file, by selecting a file location and file name, then clicking the Save button. The resultant file will then be automatically opened in MS Excel.

6. Click the Information button again to show the graph.

Changing the Graph Type7. Graphs can be either bar graphs, line graphs or pie charts. Use the Graph Type

buttons to change the Graph Type for the KS3 Level 6+ graph first to a line graph, then to a pie chart and finally back to a bar graph.

NOTE: Not all types are suitable for all graphs.

Exporting a Graph as an ImageThis enables you to insert the graph into correspondence or reports (for example, Assessment Individual Report Templates).

8. Clicking the Export button on the front of the graph that you are viewing allows you to save the graph as a graphic (as a Jpeg, Bitmap (.bmp) or Png file).

NOTE: The Export button therefore behaves differently depending on whether you click the front of the graph or the back (the underlying data). From the front of the graph it saves the graph as a graphic; from the back it saves the data as a CSV file.
