    ArchitechtureThe Inware Email Shuttle was designed with pure performance and data fidelityat the core. Our solution provides an industrial strength tool for managingmigrations. The Inware Email Shuttle considers a migration to consist of two

    partsthe email system migrated from and the e-mail system migrated to. TheInware Email Shuttle has a corresponding component for each of these two parts

    an Extractor to perform the migration from the legacy system and a Loader toperform the migration to the target system.

    Inware Email Shuttle ExtractorThe Inware Email Shuttle Extractor extracts data from the legacy e-mail system.

    After defining users to migrate and the specific location and requirements of dataon the legacy system, the Inware Email Shuttle Extractor automatically retrievesthe data and places it on a local or network drive.

    Inware Email Shuttle LoaderThe Inware Email Shuttle Loader loads data to the target e-mail server or cloudbased email system. After defining the specific locations and requirements ofdata on the legacy system, the Inware Email Shuttle Loader automaticallyretrieves the data from the local or network drive and populates the target e-mailsystem.

    Prerequisites and System RequirementsThe amount of time that it takes to install the Inware Email Shuttle is heavilydependent on the email systems involved, as well as the environment and theconfiguration of your migration system. Installation and end-to-end testing can

    take as little as a half an hour or it could take days. Inware Technologies, Inc.makes no claim as to the amount of time required for installation, testing andproduction migrations. Should it be required, Inware Technologies Support willmake reasonable efforts to assist you in the configuration of each machine withinyour environment, so that the installation goes as quickly as possible.The prerequisites listed below must be met according to which system you aremigrating to and from. For example, when migrating from Lotus Notes to

    Microsoft Exchange, be certain that the prerequisites for each of these systemsas listed below are met.This initial configuration is ultimately the hardest part of the process. Onceconfigured and running, sit back and watch the Inware Email Shuttle migrate yourdata. If you experience problems after meeting these prerequisites, contact our

    technical support team.If you have already installed the product, then it is likely that you have met eachof the software prerequisites. The key prerequisite remaining will be to ensurethat you have administrative access (with an account/profile) to the mailboxes formigration from the legacy system and administrative access (with anaccount/profile) to the mailboxes for migration to the target system.

    Minimum System RequirementsTo use the Inware Email Shuttle Lotus Notes Extractor, you need to meet the

    following minimum system requirements:

    Inware Email Shuttle may be installed on a PC with Windows XP Pro,Windows Vista or Windows 8-32 bit.

    If the IMAP-4 server is LDAP enabled run the Inware Email Shuttlethrough Launchpad as usual (User will need to know the details of theirLDAP directory for required attributes). Otherwise, configure shuttlin filemanually, configure extractor through Mission Control and launchextractor manually.

    The most recent service pace for the version of Windows installed on yourmigration PC. If running Windows 2000, then Windows 2000 SecurityRollup Package, January 2002 or Service Pack 3 (WLDAP32_VERSION"5.0.2195.4436" or higher)

    100 MB available hard-disk space for minimum installation.

    Optimally,sufficient Hard Disk space should be available on the MigrationPC to contain all user data to be migrated. If this is not possible,configuration changes can be made to require less space or a mappednetwork drive can be used to contain this data, but these measures can

    Setting Permissions - Microsoft Exchange 2013

    PowerShell on your Exchange 2013 server and run the following command line:

    Get-Mailbox -ResultSize unlimited -Filter {(RecipientTypeDetails -eq'UserMailbox') -and (Alias -ne 'Admin')} | Add-MailboxPermission -User eshuttle -

    Setting Permissions - Office 365

    The Eshuttle account must be given access rights of a User Management Adminor higher to allow access to the destination mailboxes.

    Migrating to Lotus Notes - PrerequisitesThe version of the Notes Client to be installed on the migration PC should matchthe version of the Lotus Notes server you will be loading into. Loading into LotusNotes 7.x or lower is currently supported.

    1. Install the Notes Client, R5 or higher preferred.

    2. Configure the Notes Client to use an Administrative ID file, and then close theClient. The Notes ID file used for loading needs to have Manager access to all

    mailboxes in Notes. The Notes Loader will log in with the last ID file used toaccess the Notes Client.

    3. Verify that the path to the Notes Client directory (generally c:\lotus\notes) isincluded in the Environment path on the migration PC.

    4. Install and run the Inware Email Shuttle.

    Migrating to an IMAP-4 System -

    PrerequisitesThere are no prerequisites for migrating to an IMAP-4 compliant system. TheInware Email Shuttle can function properly with these minimum requirements.Depending on the volume of e-mail and the desire for increased speed andperformance, the requirements can change.

    Installing the Inware Email ShuttleFirst launch the setup.exe that can be downloaded from the Inware Technologieswebsite. Follow the steps below to progress through the Wizard.

    1. Welcome screenClick Next.

    2. License AgreementSelect agree and click Next.

    3. Customer InformationEnter your user name, your company name and clickNext.

    4. Choose Destination LocationChoose your installation directory root level.C:\eshuttle is recommended and used throughout this documentation.

    5. Select OptionsChoose whether to install an extractor, a loader or both. It is

    strongly recommended that you install both even if you only intend on this pcdoing only either extracting or loading. To install both the extractor and loaderon a pc without the appropriate clients, cancel the Wizard and re-launch it froma command prompt by running: setup.exenoprereq

    Running the LaunchPadStep 1 Migrating from Lotus Domino

    When migrating from Lotus Domino to another system, LaunchPad simply

    requires that you specify the Domino server that contains the users data that youintend to migrate. This information can be input in a hierarchical format. Forexample:

    Granite/East/Acme.

    This information can also be input as the IP address of the legacy Dominoserver. LaunchPad also includesa Quick Search button that will search thelocal PC, specifically the local Notes .ini file, for the Domino servers that areavailable.

    LaunchPad Step 1-Advanced: Filters

    Exchange / Office 365 Loader Configuration

    The Exchange Loader can be configured by launching the ShutExIM.exe andchoosing Configuration from the menu.

    If you have licensed the full version of the Email Shuttle, fill in the AuthorizationCode as provided by Inware Technologies here. If you are evaluating the trialversion of the Email Shuttle, leave this field blank. Be sure you use the correctcode as the Loader code should always end with O.

    The Sleep Time specifies how long in seconds that the loader will wait beforechecking the bay file directories for new inbound bay files to process.

    XML File Disposition indicates if you want the metadata bay files to be deleted

    after the loader processes them or if you would like them renamed instead.

    Setting the Log Level to 10 will result in the maximum logging information beingcaptured in the log file. Setting it to 3 will result in only errors being captured.

    Set this value to 10 until you are sure the Email Shuttle is operating correctly.

    Here we will fill out the LDAP information for the Active Directory domain whereyour Exchange mailboxes reside. LDAP Server should be set to your PrimaryDomain Controller. Admin User and Password should be set to your Eshuttleadministrative account. Base DN should reflect the root level of your ActiveDirectory tree. Authentication Method should be set to as necessary for asuccessful LDAP bind in your environment.

    If loading into Exchange 2000 or 2007, choose this Destination option and fill inPrimary Domain Controller in the Server blank, enter the email address andpassword of an account that has access to do an LDAP lookup into your ActiveDirectory Environment. You will also want to create an Outlook profile that pointsto your Eshuttle account mailbox (that has permissions set as listed above) andset Outlook to use that profile by default in the Control Panel.

    If you are loading into PST files, select the PST option here. Loading into PSTfiles requires no special permissions for the Eshuttle account. The Directoryspecified is where the destination PST files will be created. If a Password isprovided, the PST files will be created and locked by the specified password. Ifthe Password field is left blank, the PST files will not be password protected.

    install and use the IMAP Loader to complete your migration.

    Migrating to Lotus NotesSTEP 2 Notes Target System Information

    LaunchPad requires that you specify the Domino server that contains thedirectory where the users will be migrated to. This information can be input in as

    a server name, an IP address or in hierarchical format. LaunchPad alsoincludes a Quick Search button that will search the local PC, specifically the localNotes .ini for the Domino servers that are available. The Inware Email Shuttle willlog-on to the user accounts to migrate the data requiring the path as well as thenaming convention for the mail databases (.nsf files).

    The Folder Names specified on this tab should be set to the names of the systemfolders for the destination email platform. These name will be used when loadingdata from source system folders. If after loading data into a mailbox you find thatsystem folder data is loaded into a similar named non-system folder, then thatvalue needs to be changed on this screen.

    Migration User SelectionAfter the Extractor and Loader have been configured, Selecting a single userallows a review of the legacy and target systeminformation. When selecting a single user, the information can be changed

    manually and these changes for that single user persist if multiple users aresubsequently selected.

    Start the MigrationAfter specifying which users to migrate, click the Next button on the userselection screen of the Extractor to begin the migration. Then you can start theLoader by clicking on the Start button on the front screen of the Loader. TheLoader should begin processing data once the first selected user has completedthe extraction.

    Mailbox Verification

    Detailed mailbox verificationAfter migrating data for the first few users, we suggest verifying the fidelity of the

    mailbox data. Open up a destination mailbox and examine the mail content.Verify that the time and date on mail items are accurate, that message headers,body text and formatting are unchanged from the original messages. Also, verifythat any message attachments are in place. Verify that personal folders weremigrated successfully and compare the total number of messages in the sourceand destination mailboxes to make sure all mail was migrated.

    Broad mailbox verificationOnce you are satisfied that the first few users were migrated correctly, you canproceed with bulk migrations. When migrating large groups of users, pay closeattention to the disposition of the bay files after migration. Prior to being loaded,

    user data will be stored in files with a .bay extension. After migration, theextension will be changed to either .shu if the loader encountered no errors or.bad if the loader had errors. Any user data files that have a .bad extension aftermigration should be subject to detailed mailbox verification or a closerexamination of the loader log file to determine what errors were encountered andwhat further action is necessary. Errors can represent a range of problems froma single field of one email being corrupt to not being able to access to mailbox atall. You should not assume that encountering an error necessarily required re-migrating the mailbox.

    Migration Flow Overview

    Here is the general procedure for a standard production mail migration.

    1. Create the destination mailboxes in Exchange.

    2. Change the user mail routing for all incoming mail to flow into the usersnew empty Exchange mailboxes.

    3. Migrate the users mailbox data using the Inware Email Shuttle.

    4. Verify the migrated users mailbox data.

    Extracting from Lotus NSF FilesBy creating a specially formatted shuttlin file, it is possible to extract from NotesNSF files. To extract from PST files, the shuttlin file is formatted exactly likenormal, except for two fields, which must contain special information:

    Server: This field must be blanked out.

    Database Path: This field must contain the full name and file path to the NotesNSF file.

    As stated above, all other parameters are filled in normally.

    Lotus Notes ExtractorQ. Notes Extractor cannot login to the users Notes Database.A. Make sure that the last ID f ile used to login to the Notes cl ient was an

    administrat ive ID f i le. Also make sure the Notes Cl ient is not o pen w hen

    runnin g the shutt le.

    Q. Launchpad throws an error dialog box that says Launchpad is unable to findthe notesusers.dll file.A. The error message is misleading. What it shou ld say is that i t cannot run

    the notesusers.dl l because the DLL canno t f ind the path to th e Notes

    Client. Make sure the path to th e Notes Client directory (general ly

    c: \ lotus\notes) is included in the environm ent path. This is no t included inthe environment path by d efaul t and may need to be added.

    Q. The Notes Extractor cannot extract PABs.A. Check the Notes PAB Migrat ion.doc f i le for mo re detai ls on the two

    method s of extract ion PAB s from Notes.

    Q. What is the target system server name?A. Certain aspects o f the Inw are Email Shutt le require the inpu t of the

    legacy and target server name. Depending on th e operat ing system, the

    server name can b e determined in di f ferent ways.

    For Window s NT:

    Right cl ick on the My Computer icon. Select Properties. Select Identi f ic ation tab. The server name is the Computer Name.

    Using the example (see Figu re 2): The Compu ter Name is test-server-2. The

    server n ame is test-server-2.

    The Lotus Notes C++ API provides on ly minimal sup port for recurr ing

    calendar events. In ord er to imp lement suppo rt for recurr ing calendarevents in the Lo tus Notes Mai l Extractor so ftware, i t was necessary to

    analyze a series of recurrence dates that are returned by the Lotus NotesC++ API, and from that analysis, attempt to dedu ce what type of recurr ing

    pattern th e or iginal Lotus Notes calendar event w as created w ith.

    The Lotus Notes Mai l Extractor software current ly sup ports al l of the basic

    types o f recurr ing calendar events. These are: dai ly , weekly, mon thly b y

    date (i .e. each month on the 12th), month ly by a speci f ied day of the week

    (i .e. each m onth on the 2nd Wednesday), and year ly. It also supp orts

    recurrences such as every other day, every 5th day, every 4th month , the

    1st Friday of every 5th mon th, every 7th year, etc. If a pattern canno t bededuced for the recurr ing c alendar event, indiv idual c alendar entr ies are

    exported to the bay f i le for each recurrence date of the event, and a

    warning is logg ed.

    If an event is marked as being recurr ing, but no recurrence dates are found,

    the event is exported as a non -recurr ing calendar entry, and a warning is

    logged.

    Add i t ional recurrence patterns may be sup ported in the future.

    Microsoft Exchange Loader

    Q. The Exchange Loader loads mail, but not calendar and a login popup windowisdisplayed when the Calendar Loader is run.A. The user is most l ikely not logg ed on as the Eshutt le user or the Eshutt le

    user is not a member of the correct dom ain or the Exchang e Domain

    Servers g roup. The di f ferent d ata types use di f ferent APIs to access th e

    mai lboxes so i t is poss ible for mai l to work co rrect ly and c alendar to have

    insuff ic ient access r ights.

    Q. The Loader is unable to login to mailboxes.A. Make sure you are logged into Window s as the Eshutt le user created

    above. Make sure that the Eshutt le user is a member of the co rrect group

    and is also a member of the same domain as the dest inat ion mai lboxes.

    Q. The Loader is unable to login under Exchange 2003

    Q. When running under Exchange 2003, the Mail Loader loads for a while, then

    increasing the d efaul t mai l and folder quant i ty l imi ts in Exchang e 2003.

    Q. When loading mail into PST files, the Mail Loader loads mail for a while, thenstops.A. Outlook 2000 has a 2 GB l imi t that migh t only al low fo r some of the data

    to be loaded w hen the bay f i le is larger than 2 GB. Outlook 2003 has no

    such size l imi t and can be used to circum vent this issue.

    Q. When loading mail into PST files, the PST files are not being created.A. Make sure you arent running the Inware Emai l Shutt le on the Exchangeserver or on a Win dow s server OS. These operat ing sys tems have

    documented p roblems w ith PST f ile creat ion.

    Q. The Loader is unable to login and the GroupWise mail client is on themachine.A. You may have to sp l i t the GroupWise Extractor and Exch ange Loader

    onto two s eparate machines. To do th is, copy the Eshutt le directory o nto a

    machine witho ut GroupWise and u se i t for your loader machine. You wi l l

    have to map a dr ive to the new m achine from the loader machine and set

    the bay f i le director ies to the new machine in order to run the extractor and

    loader simul taneously. If GroupWise is no t part of you r migrat ion, this

    problem c an be f ixed by u ninstal l ing both th e GroupWise mai l client and

    Outlook and then reinstall ing Outlook.

    Notes LoaderQ. The Notes Loader cannot login to the users Notes Database.A. Make sure that the last ID f ile used to login to the Notes cl ient was an

    administrat ive ID f i le. Also make sure the Notes Cl ient is not o pen w hen

    runnin g the shutt le.

    Q. Certain .DLLs are not being located by my system, how can I fix them?A. The Inware Emai l Shutt le is looking fo r .DLLs in the directory o r path of

    your L otus Notes or Domino Server software. Dur ing the instal l of the

    produ ct, you provid ed informat ion that was wri t ten to the path of the

    system. Be certain that this inform at ion is correct by: A t the DOS prom pt

    (for example, C: \), typepath and press Enter . The path for the Notes orDomino server should app ear in the display. For example on the Domin o

    Server, the default path is C:\Lotus\Domino\. For a dedicated migrationserver running the Notes R5 cl ient, the defaul t path is C:\Lotus\Notes\.

    IMAP-4 Loader

    Q. How can I configure multiple instances of the Inware Email Shuttle to runsimultaneously?A. Copy the distr ibut ion into un ique director ies on the migrat ion server .

    Each directory sho uld co ntain the executable f iles as wel l as the dist inct

    conf igu rat ion f i les for that migrat ion ins tance.

    Be aware that running mult iple cop ies of the Inware Emai l Shutt le on a

    single PC wi l l general ly not help throu ghpu t due to bandw idth restr ic t ions

    on a sing le NIC card.
