HOSTING A SHARE YOUR FAITH WORKSHOP:

Thank you for your interest in hosting a Share Your Faith Workshop. The following describes what is involved for the Host Church.

Host Church sets the registration fee – this may be different from the amount due to EE.

Host Church pays EE $15 per participant.

$100* non-refundable deposit is paid with the Commitment Form, by check or credit card. This amount is applied to the cost of materials for the workshop when the order is placed. At this point, the workshop is officially scheduled on the EE USA Training Events website.

A final manifest (see page 7) is to be completed and returned after the workshop; any adjustments to the finances will be made upon receipt.

Host Church pays the instructor’s expenses – transportation, lodging and optional honorarium. Mileage rate is IRS business allowance (2016 = .54)

Host Church covers the cost of drinks, snacks, lunch if provided, office supplies, nametags, etc. These costs can be recovered by raising the registration fee if desired.

*If the workshop is cancelled the deposit may be applied to another workshop scheduled within the year. Otherwise it will be forfeited.

Registration: Ahead of Time:

As soon as EE receives the Commitment Form on page 5, the workshop will be uploaded to our website for any online registrations at www.syfonline.org.

The church keeps registration lists. Information for anyone registering online will be immediately forwarded to the host church. Payment will be made online to EE and the amount will be subtracted in the final Manifest.

A sample registration log is included in this packet to help the church keep track of registrations and payments – this is for church use and does not have to be sent to EE.

Promotional materials will also be sent to the church at that time. Registration should be announced as beginning 30 minutes before the planned start of the

workshop. Please make copies of the 2 Question Forms on page 10, cut them out, and have Registration

Team give one to each participant at time of registration. Participants are to be asked to fill these out at the registration table and leave them there. They are given to the instructor when registration is complete.

Day of Workshop: A registration table is set up the night before the workshop with a list of those registered,

showing who has paid and who owes the fee. Pens and name badges should be laid out, or printed name tags can be made for those who have pre-registered.

A greeter arrives 1 hour before registration to welcome those arriving early, provide directions to the registration area, and to answer questions.

A team of 2-3 people should be in place 30 to 45 minutes before registration begins. The registration team is responsible for:

Checking in pre-registrants and collecting fees from those who did not prepay

Registering and collecting fees from any walk-ins

Issuing nametags

Distributing the SYFW Student Kits

Having each registrant complete the Two Question Form on page 10 of this packet

Reconciling Workshop Manifest with fees collected

We suggest round tables with 4 to 6 people at each but rectangular tables can be used. For large groups, theatre-style chair set-up is acceptable. The facility is to be opened one hour before the workshop so the instructor can set up

equipment and make any needed adjustments in the classroom set-up. A separate room is needed for a pre-workshop meeting where the workshop host and the

teacher will meet to review the schedule and pray. This room will also be needed after the workshop for an evaluation meeting between these two individuals.

Equipment:

Provision must be made to facilitate use of a video projector. The instructor will need a lectern, microphone (wireless preferable), small table for AV

equipment, screen, video projector, and an extension cord. Please advise if no video projector is available, so the instructor can plan to bring one.

The instructor will also need one microphone cord to connect to a laptop and run sound from the presentation; the instructor will have the necessary adaptor. Audio will run through your sound system.

Materials:

The EE USA Training Administrator will contact the church’s Workshop Administrator approximately 10 days before the scheduled workshop to determine the number of workbooks needed.

Payment of $15 per set will be required at that time, either by credit card or check. The $100 deposit previously paid will be credited to the cost of materials. Postcards requesting packets of “Do You Know” tracts are also shipped with the materials.

Please place the postcards on a table at the front of the room for when the instructor talks about them.

If the participants sign up to receive regular email updates on the ministry by filling out a postcard, they can receive 10 “Do You Know” tracts. Please send completed postcards with manifest and any returned materials so we can ship the tracts as requested.

Unused materials can be purchased at the discounted price of $6 per set ($9 per set will be refunded), or returned after the workshop for a full refund of $15 per set. Indicate on the final Manifest if returning or purchasing the materials.

Please ship your final manifest with returned materials, completed postcards and a list of the information on other churches that attended, within two weeks to:

If no materials are being returned, the manifest, church list and scanned postcards may be emailed within two weeks to syf@eeworks.org, if preferred.

Lunch: It is strongly recommended that the host church provide lunch. Host churches typically increase

the registration fee to cover this cost or else absorb the cost themselves. The advantage of providing lunch is that it encourages interaction and redeems valuable time.

If the participants will be “on their own” for lunch, a list of area restaurants with a map is to be provided and additional time must be added to the schedule.

Have each attendee complete the evaluation form on page 11-12 at the end of the workshop and give them to the Instructor.

Finances: At the close of the workshop, the Host Church gives a check to the instructor for his/her

personal expenses as outlined under Financial Responsibility above. An honorarium may be included as part of this check. The check is made payable to the instructor.

When the final manifest is received by the Training Administrator, any refund due will be processed and a check will be issued within 30 days.

Share Your Faith (on-the-job training):

If your church currently uses any of Evangelism Explosion’s tools, we highly recommend you promote your ministry by offering on-the-job training opportunities sometime following your workshop. EE churches have had success by scheduling a time (or times) that their EE Trainers would be available to allow Share Your Faith Workshop participants to accompany and observe them in on-the-job training visitation opportunities. Since evangelism is better caught than taught, this has been found to be an excellent follow up for those who have attended the Share Your Faith Workshops.

If your church does not presently use the EE Ministry, in certain situations on-the-job training experiences can be arranged with “Missionary EE Trainers” in partnership with another church in your area. You are encouraged to discuss these opportunities with your workshop instructor during the planning stages of your workshop.

A Share Your Faith Workshop is a pre-requisite to Everyday Evangelism (Ev2) where your church can take those interested in learning more into seven weeks of additional training. Share Your Faith Workshop Commitment Form

By signing this Commitment Form, on behalf of the above named organization, we agree to the terms and conditions:

o We have carefully read the Share Your Faith Administrative Procedures and with the Lord’s help agree to carry out all responsibilities listed.

o We will communicate closely with the EE Training Department and with the SYF Instructor to ensure all requirements are met. Elaine will call the Workshop Administrator at least 10 days before the workshop to order materials. We will provide that individual’s name and direct phone number to ensure the materials are ordered in plenty of time.

o A $100 deposit accompanies this Commitment Form. We understand this deposit is non-refundable in the case of cancellation, but may be applied to a future workshop within one year.

o The church may purchase unused workshop kits at $6 each, or they may be returned to the EE warehouse within 30 days along with the manifest. When the materials are returned or payment is received, the $100 will be applied to the final cost. If materials are not returned or purchased within 30 days, the deposit will be forfeited.

o We will remit payment of $15 per attendee, check payable to SYF Workshops or we will call to authorize a credit card payment no later than 10 days prior to the workshop date. Local attendees will register through the church, but others may register through the EE website.

o EE will ship materials based on this payment. Any expedited or overnight shipping required because of late submission will be charged to the church.

Additional items that church may be responsible for:

We will will not be serving lunch. You may charge workshop attendees extra to cover lunch or other expenses.
