Assessment Requirements:This assessment requires the preparation and submission of a portfolio of organisational documents using at least three different software applications. Examples of possible documents are:

business letters

a memorandum or fax cover sheet

a spreadsheet used for payroll, staff attendance or financial report

a Powerpoint presentation about a project, product or service

an advertising flier

a database of clients or products

There are two options for students in this assessment:1. The completion of documents according to the Neptune Realty scenario in Option 1

(Sections 1 – 3) following from page 4, covering word processing, spreadsheets and database documents.

OR2. The completion of documents described in “Portfolio of Real Documents” Option 2 from

page 9, involving the production of real business documents from a workplace or community organisation.

DESIGN ORGANISATIONAL DOCUMENTSOption 1 - Neptune Realty - Section 1

Scenario - You have joined a real estate company called Neptune Realty who specialise in selling houses and commercial property.

No standards have been set within the company for document creation, i.e. everyone creates letters and documentation in whatever font and font size they desire at the time!

You have decided to standardise such procedures to ensure your company has a more corporate look and have asked your colleagues for their input.

You have compiled the following information which you are required to use for this assignment.

Modify the heading styles in all templates you create to the following formats:

► Heading 1 – Arial, 24pt, bold, left aligned, 18pt after 0pt Before

► Heading 2 – Arial, 14pt, bold, left aligned, 9pt after, 12pt Before

► Heading 3 – Arial, 12pt bold italic, left aligned, 9pt After, 12pt before

► Normal – Arial 11pt with 6pt Spacing After

All articles must include a header with Neptune Realty Pty Ltd aligned at the left. Page numbering to be inserted at the bottom of the page, right align, Arial, 10pt in the style of Page # of # for documents that are more than one page. For the purpose of this project also include your name at the left margin.

TASK 3 – SPREADSHEET TEMPLATE________________________________________________35 Marks

Neptune Realty sells an average of 10 houses each month. Design a monthly sales template that will allow the office assistant to input the details of the house sales (maximum of 10) for each month.

Enter formulas to calculate the total for each sales person (hint- sumif function) and the amount of commission earned by each Sales rep using the following information:

► Houses sold between $100,000 and $149,999 receive a 0.5% commission

► Houses sold between $150,000 and $199,999 receive a 1.0% commission

► Houses sold at $200,000 and above receive a 1.5% commission

Each sale rep will receive an additional bonus of $2000 if their total commission is more than $10,000.

Create a summary worksheet to record the total sales for each sales rep for the month.

Below is an example of the data you could include in the spreadsheet – NOTE not all data in this example is required in the Monthly Sales template)

TASK 5- DATABASE_____________________________________________________________35 MarksNeptune Realty currently has the details of all their clients and properties in a paper-based filing system. This system requires computerisation so that reports can be produced quickly and accurately.

The office assistant will be required to enter data, find out specific information and produce periodic reports. The computerised system you design will need to have user-friendly screen selection and include the company name and logo.

Each month a report of all the current rental properties, listed by each owner is produced.

NOTE: Marks for this task will be awarded for creativity in data/table properties, user-friendliness of the screen design and readability of the report.

When designing the tables and field properties, consider data type, primary key, field sizes, formats (e.g. decimal places, uppercase etc), captions, default values, validation text and validation rules.

(See below for data to be entered in the database).

Produce reports and/or queries to extract the following information:

► All rentals grouped by owner.

► Calculate the monthly rental for each property and the amount of rental bond required for each rental (rental bond is 1 month’s rent in advance).

► Use a parameter queries to ask the user for the rental amount and area. Test your query and produce a report with the following criteria:

All properties under $260 per week in the Sherwood area

All rentals in Chapel Hill

All rental properties with a weekly rent that is equal to or over $280.

DESIGN ORGANISATIONAL DOCUMENTSOption 2 - Portfolio of real documents

This is an alternative to completing the set of documents in Option 1. If you are going to follow this path, please speak to your teacher for guidelines to ensure that your proposed portfolio will provide sufficient evidence for your skills to be assessed. Directions1. In this alternative assessment you are required to design and produce a portfolio of

documents for a specific business purpose.

2. You should use MS Office Suite programs, to develop these documents.

3. All documents should have a common design theme appropriate to a business environment. This should include a common logo, font style and colour scheme.

4. The documents need to provide evidence of the full range of skills and knowledge that are reflected in the unit requirements (The documents required in the Scenario in Sections 1-3 will give you an idea of the scope required).

5. If you submit these documents for assessment, you will need to provide authentication from your workplace or community group that the documents represent your work. This could be a responsible officer from the organisation signing each of the documents with: “This document is the work of ………………………”

6. Drafts (handwritten or early samples) can be included in the portfolios to show the development process. Copies of the final documents need to be submitted on a USB stick.

Examples of Real Documents For this portfolio you will design and develop documents to suit your own individual work and community context. You need to develop a range of documents that allows you to demonstrate your skills in MS Word, MS Excel and MS Access. Possible ideas include:

Workplace documents: These can be real documents designed to meet the business requirements of your enterprise or community group. They could include:

A business letter with a new design of letterhead (MS Word)

An advertising flier (MS Word)

Letters to clients, customers or producers (MS Word, Mail Merge)

A database to track customers, products or other relevant data for the enterprise. (MS Access)

A spreadsheet of product sales or other appropriate data using simple formulae. (MS Excel)

A business report (MS Word)

Minutes of a team meeting (MS Word)
