    GENERAL

    a. The PICE 2011 National Midyear Convention will be attended by some 3,500 participants on June 30 July 2, 2011 with diverse training, backgroundandinterests. With such diversityoftopics andinterests,andthe limitedtime available, the Convention Committee recognizes thatthe value ofthis conventionliesprimarilyinthe published proceedings andonthe exchange ofinformationduringthe openforum.

    b. The qualityandtenorofthe sessiondepends greatlyonthe active and early participationofthe sessionchair. The chaircan buildanetworkamongthe presenters, setthe tone forthe session, make connectionsamong the people and topics, ensure fair allocation of the time available, and foster collegial andprofessional exchange. Shouldchallenges arise, the sessionchair will be lookedforguidance. Throughoutthe session, the chair willlookedforleadership. The role ofthe chairideallyincludes both pre-conventionpreparationandduring-conventionfacilitation.

    c. PICE Secretariat will provide a cellphone directory of the speakers. You may contact your speakersbefore theirallottedtime. Remindthemto bringan electroniccopyoftheir presentationona CD or USBdevice (and, if possible, to emailyou or the PICE Secretariatacopyfor backup), and findout if theyhave any special equipment requirements. Each session room will have a multi-media projector andlaptop computer. A backup laptop is desirable.

    d. Because ofthe numberof speakers andlimitedtime, we requestall sessionchairs and speakers toarriveatthe functionroomat least twenty (20) minutes before the session starts. Make sure the computerandprojector are booted up and working. Upload all of the electronic presentations onto the laptop.Familiarize yourself with the microphone, pointer, timerandoverheadlights.

    e. Startthe sessionontime. Manage the sessionandcontrolthe timingof each presentationtomaintaintheoverall schedule ofthe papers. The allottedtime for each presentation will be postedonthe event site.

    f. Use the short biography as provided by PICE Secretariat to introduce each speaker before theirpresentation. If bios are not providedfor some speakers, sessionchair shouldmeet with those speakerspriortotheir presentationand have them prepare a short bioatthattime.

    g. Be certainthatthe entire audience can hearthe speaker. Ifyou feelitis necessary, interruptthe speakerandask him/herto speaklouderandintothe microphone.

    h. No paper should be startedaheadof the scheduled time. In the event thata paper is cancelled, anintermission or short break should be announced. In the event that a speaker does not show, it isrecommendedthatthe Session Chair surveys the attendees before adjustingthe presentationorder.

    i. Ifthere is time for questionandnone are asked bythe audience, the sessionchair should have a questionprepared.

    j. Speakers must be asked to stop when theirallotted time is up inacourteous butfirmmanner. Keep inmind that sessionmust endon time, and that the last speaker has justas much right toanaudience asdoes the first speaker.

    k. Attire: Session Chairs should be in business attire
