Courier Service The VDL courier picks up from veterinary clinics and hospitals in Wagga Wagga at 11.30 - 12.30 and 4.30 - 5.30 pm, Monday to Friday. Clinics are also welcome to deliver specimens to the VDL during its opening hours.

Our preferred courier from other centres is Toll Priority. For a pick-up, phone 131531 and consign on account 291133. For pre-addressed consignment notes, simply phone the VDL. Samples submitted by courier should be packed to IATA Packing Instruction 650, which can be found at www.iata.com

Laboratory OverviewThe Veterinary Diagnostic Laboratory (VDL) provides a complete diagnostic service to the region’s veterinarians. In addition, it is a valuable resource for teaching undergraduate students in Charles Sturt University’s Veterinary Science program.

The facility has been purpose-built to provide post-mortem services for both small and large animals in a contained, bio-secure environment. It has been built to physical containment (PC) level 2 standards and houses one PC3 level laboratory, affording the capability to handle most pathogenic organisms or animals infected with them.

The VDL provides complete clinical pathology, anatomical pathology (post-mortem and biopsy) and microbiology services to veterinarians, and parasitology testing to veterinarians and primary producers. It also provides research support to the University’s staff and graduate students, and to corporate clients and industry bodies.

The service that the VDL provides to its clients has the enhanced benefit of building resources for veterinary teaching and research. It provides students with the opportunity to learn routine laboratory procedures in the context of real investigations of animal health problems.

Our staff aims to deliver clients prompt, accurate results. We believe close communication with our clients helps achieve the best outcomes for their patients. The laboratory maintains a rigorous quality assurance program to guarantee the accuracy of results.

The VDL collaborates closely with other diagnostic facilities, giving it access to a range of specialist services with national and international reach.

StaffStaff include a board certified pathologist, 3 specialist pathologists (including an expert in avian and exotic species) and a resident. They are supported by highly trained scientists in clinical pathology, histotechnology, microbiology and parasitology. We are all committed to a high standard of service and communication, and welcome feedback and case involvement.

Laboratory SuppliesSample containers including blood tubes, sterile tubes, formalin pots for fixed tissue, swabs and sample submission biohazard bags are provided free of charge to veterinarians who use the VDL as their primary pathology laboratory.

Submission of Samples Samples must be submitted in biohazard bags (provided on request), together with a Sample Submission form (also provided). All samples must be correctly identified and labelled, and Sample Submission forms must be fully filled out.

The ‘TESTS REQUESTED’ section of the Sample Submission form lists only the VDL’s more frequently requested tests. Its full range of tests is in its SERVICES & FEE SCHEDULE handbook. Use the ‘Other tests’ section of the form to request tests that are not listed on the form or in the handbook.

The VDL does not accept samples submitted in a syringe with needle attached. These samples should be submitted in sterile, screw-capped containers for the safety of couriers and laboratory staff. Faeces should not be submitted in plastic bags.

Turn-around TimesListed below are our turn-around times for various services. These are from receipt at the laboratory, and are for tests performed in-house (including all routine clinical and anatomical pathology).

• Haematology,biochemistry,cytologyandurinalysis: 4 working hours.

• Biopsiesandpost-mortemhistopathology: 2-3 working days unless processing necessitates a delay, e.g. inadequately fixed, large samples, or tissue requiring decalcification; the VDL will inform the submitting veterinarian of any such delay. Large animals’ brains may take longer. The results of special stains may be reported later.

• Post-mortems,grossfindings: 1 working day, except insurance and legal post-mortems, which may take longer. The timing of further reports depends on the submitter’s requirement for additional testing.

• Microbiology: preliminary results within 1 working day. Follow up results depend on the type of organism, rapidity of growth, etc.

• Parasitology: simple tests, e.g. FEC, within 1 working day. Other tests depend on the complexity of requirements.

Some specialised tests are out-sourced. Their turn-around times are dependent on the laboratory to which the tests are referred.

ResultsMost results are validated by the duty pathologist and are reported by fax or email to the submitter. Reports are confidential, and the VDL sends them to third parties only with the submitter’s approval. The VDL keeps digital copies of reports indefinitely, and can re-issue them at the submitter’s request.

Practitioner feedback on service provision and timeliness is encouraged.

Retention of Samples The VDL keeps samples of blood, urine, body fluids, faeces and unfixed tissues for 14 days. Fixed tissues are kept for two months, and paraffin blocks are kept indefinitely. Submitters may request additional tests within these times.

FeesThe VDL issues invoices with final reports, and requires payment within 30 days. Statements are issued monthly.

Specimen Collection Guidelines - The do’s, the don’ts and quality control

Full Blood Count• An EDTA tube is required (except from birds, where Li Hep is required), with the correct ratio of blood:EDTA.

This is usually about ¾ filled and is automatically achieved when the vacuum is exhausted.

• Please also submit a blood smear that is correctly made at the time of blood collection. RBC and WBC morphologic changes that are important to diagnosis can be lost by the time smears are later made at the laboratory.

• In all cases a manual platelet estimate is performed.

• All animals that are anaemic receive a reticulocyte count.

• All animals receive a manual PCV.

• All WBC differentials are done manually by a trained haematologist and, if abnormal, checked by a pathologist.

• Lipaemia (usually post-prandial) or haemolysis (usually iatrogenic, sometimes due to difficult venipuncture) may compromise FBC and biochemistry results. To avoid post-prandial lipaemia, collect blood after animals have been fasted for 6-12 hours.

• FBC cannot be done on clotted samples.

Coagulation TimesA citrate tube (blue top) is required, and the tube MUST be filled to the correct volume (to the mark on the side of the tube) for accurate results.

BiochemistryIn cases of lipaemia and haemolysis, VDL reports indicate results that may be inaccurate. To minimise artifactual changes, collect free-flowing blood from fasted animals.

Recommended drawing order of blood samples

1. Sterile samples (e.g., blood cultures) 4. Serum (clot activator and gel tubes) 2. EDTA 5. Heparin and heparin gel 3. Citrate if needed (filled to mark) 6. Fluoride oxalate (for glucose)

CytologyPerformed on fine needle aspirates, fluids, scrapings and imprints.

All slides should be accurately labelled (use the frosted end and pencil). Exposure to formalin fumes renders cytology slides unreadable; they MUST NOT BE submitted in a package that also contains formalin-fixed samples.

Cytology cannot be done on swabs submitted in transport media.

Submitters are encouraged to submit multiple aspirates from a single lesion, and these are charged as a single cytology fee (“First Site” in the Fee Schedule). Aspirates from different lesions will incur an additional fee, except in the case of aspirates from multiple lymph nodes; these will be considered as one organ and charged as a single cytology.

VDL fees apply to cytology examinations whether the slides contain diagnostic material or not. We recommend that submitters prepare at least 3 slides of aspirates, and stain and examine one of them to ensure that diagnostic material is present.

Body fluids (thoracic/peritoneal/CSF/joint) must be submitted in EDTA tubes to prevent clotting and allow accurate cell counts and assessment of protein and cytological features. Other fluids should also be submitted in EDTA if cytology is required. If culture may also be required, a separate sample of the fluid must be submitted in a sterile container (usually yellow-topped).

Histopathology

Tissues should be placed in 10-times their volume of 10 % formalin for adequate fixation. Formalin does not penetrate > 1cm into tissue, so larger tissues/organs should be multiply sectioned to allow full formalin penetration. Brains may be fixed whole (but, in appropriate cases, after unfixed subsamples have been taken for microbiology or virology).

Multiple post-mortem tissues can be submitted in one pot of formalin, provided there is 10-times their volume of 10 % formalin. Biopsy tissues from different sites, or structurally similar tissues to be examined separately must be submitted in separately labelled containers.

Formalin is a hazardous substance, and all fixed samples must be submitted in a leak-proof container surrounded by enough absorbent material to contain any leakage. Large tissue samples may be best fixed at the submitter’s premises, and then submitted with a small amount of formalin to prevent the already fixed tissue from drying out.

Post-mortemThe VDL offers post-mortem services, including insurance/legal cases, at commercial rates. Before submitting cases, veterinarians should contact the VDL’s duty pathologist to discuss the circumstances of the case, the scope and costs of laboratory examinations and delivery of the animal.

When the VDL has veterinary students on their Diagnostic Services rotation (>50% of the year), it offers free post-mortems on suitable animals. There is no fee for the post-mortem, histopathology, and preliminary and final reports, but fees do apply to other services that the submitter requests (such as microbiology). If you wish to offer an animal for a teaching post-mortem, you must phone the front desk and ask for the duty pathologist, who will assess the teaching potential of the case.

The VDL does not offer free post-mortems for insurance purposes, nor if there is potential for legal action. These cases will be charged for at commercial rates (see the Fee Schedule).

The VDL will not release post-mortemed cadavers to owners, but will release them to providers of cremation services if owners or their veterinarians make appropriate arrangements.

MicrobiologySamples for culture taken from sites that are normally sterile must be collected aseptically and submitted in separate sterile containers (not in red top tubes, which are not sterile). Samples from sites with a resident bacterial flora must be collected without contamination from elsewhere, and submitted in separate sterile containers so that contamination does not confound interpretation.

ParasitologyAt least 10 grams of faeces is needed for a worm egg count. It should be collected from the rectum and put straight into a jar which is then tightly closed (to minimize exposure of worm eggs to air, which facilitates eggs hatching).

The VDL ParaScreen kit is available free of charge, and contains 10 jars for faeces, gloves and a Sample Submission form. The kit also has a reply paid label for free postage back to the VDL.
