AGENDA 10/10/2015 @ 2:00 pm GENERAL MEMBERSHIP MEETING Chris Barch’s home in Granby, MA

Meeting was called to order at 3:10 pm following a delicious pot luck dinner. Thank you, Chris, for the wonderful spread and opening your beautiful home to us. We had 6 members and 3 guests attending: Sue Cormier, Mary Bourdon, Lynn Wentworth, Kim Lussier, Chris Barch and Amber Makowski, Nadine Makowski, Janet Zajac and Bill Metzger. Regional Show Discussion:

We had a great show this year, I think the best one in quite a while. Surprisingly, our entries were about 50 less than last year, but it was still a great show. We had a lot of positive feedback on the show and a suggestion to make Friday and Saturday longer show days and shorten Sunday, so people can get a head start on getting home.

Open Show Discussion: Our priority is and always has been the Yankee Color Classic. We all agreed that we need to concentrate more of our efforts into YCC. Our open shows were originally designed to raise money for the Yankee Color Classic. When we started the open shows, we had two rings, two judges and MANY, MANY volunteers. Our open shows used to bring in profits of $20,000/year. Unfortunately, that is no longer the case. We have to cut our work load, and re-think A LOT the open shows and open show circuit because what we are doing doesn’t make sense anymore. There is too much to do and not enough hands to do it. We no longer have the MANY, MANY volunteers of years ago; we barely have a skeleton crew to get through the day. Sad, but true and every other volunteer organization is in the same boat. I received some figures from Darlene for the open shows from 2014 and 2015 but only included items that increased noticeably. Some of the expenses are misleading. For example, in 2013, a full set of ribbons was purchased without realizing what we already had, so we went into 2014 with a full set of ribbons purchased on 2013 budget. The awards costs are WAY up and judges’ fees are up. Expenses 2014 2015 Judges 1,750 2,125 Food Booth 249 397 Ribbons/cups 342 1,541 Awards 732 1,299 We also had a lot of class awards going into 2014 and had to re-stock for 2015. Our profit for 2015 for the open shows after all we paid out in expenses was only $488. With all the work everyone put into this, this is simply not enough. Our profit for 2014 was about $5,000 because we were stocked going into the show season. Suggestions that were made:

Cut our open shows to two per year

Allow our open show members to use other clubs open shows to count towards our open show circuit year end points. They would have to show at one of our open shows and they could do as many open shows as they wanted, BUT only their top 6(or whatever number we decide on) pinning would be counted towards YEAs. They would have 15 days to mail in their show results.

Cut/combine our divisions. We have way too many divisions resulting in too many day end awards, which increases our expenses. Sue will get the entries list out to

Kim and Lynn for them to look over for the hunter show divisions to see what can be done.

Cut back to one ring and include hunter divisions into this ring.

Eliminate trail.

Change the Appaloosa division to a Color Breed division or a Registered All Breed division. We all agreed this is something that needs to be done.

Cut our open shows to one and add open classes at the YCC that would count towards YEAs for the open circuit (this will take a lot of re-working the class list). The open circuit people may or may not take stalls, but it's going to cost them $20 to show out of their trailer, per horse, each day. We discussed many different options for this. We have way a lot of down time at the YCC and this would help to make better use of that facility, as well as, eliminate the added cost of a separate open show. We can also look at several of the other regional class lists of the clubs that are already doing this, to see how they are working the open classes into the program.

Look into other facilities to hold our open shows. Darlene double-checked and Westfield Fairgrounds is $175 per show. Suggestions were Goshen Fairgrounds and 4-Town Fairgrounds. We will look into pricing at these two places to see if they compare.

Guest, Janet Zajac informed us that driving classes in the open shows are huge,

right now. Many of the open shows in the area are offering them with a division for horses/ponies and a separate VSE (very small equines – minis) division. Apparently the shows that are offering this are drawing in 11-15 entries.

Janet also has a new 4-H group and is looking for community service for the

members to perform. She suggested having them work the food booth at our open show.

Guest, Bill Metzger suggested offering a ranch horse clinic to bump up entries in

these classes.

New Business: We would like to get the Whitmores out for another clinic. Chris Barch has offered the use of her place for any clinic we would like to hold. Elections Voting on Officers and Committee nominations was held until our next meeting as we did not meet a majority of the current board of directors to vote. 2015 Officers President: Sue Cormier Vice President: Scott Artioli Secretary: Sue Cormier Treasurer: Darlene Dehman 2016 Nomination and Election of Officers President: Sue Cormier Vice President: Mary Bourdon –interim during Scott’s absence Secretary: open – must reside in Massachusetts Treasurer: Darlene Dehman
