BACKGROUND: Located in New York, New Jersey, and Pennsylvania, Seeger Weiss is one of the nation’s top plaintiff’s law firms handling complex mass and class action litigation on behalf of consumers, investors and injured persons. Nationally renowned for the quality of their representations and industry-leading results, they do not have the scale or the support services of a large national defense firm, and therefore have to rely on the expertise and acumen of third-party service providers that large defense firms have in-house.

With over 70 attorneys and staff, the company’s technology demands were increasing faster than what the existing IT staff could fulfill. More importantly, the company’s technology requests were becoming more complex and specialized. It soon became apparent that Seeger Weiss needed to hire a specialized consulting firm to help manage the company’s growing technology requirements.

Seeger Weiss began researching managed IT service firms specializing in legal solutions that could help support their technology needs across all three of their offices and remote locations depending on where individual trials are located.

At the same time, Seeger Weiss had outgrown its existing printing capabilities and needed new equipment that could accommodate its increased printing and scanning needs. Employees requested that the scanning and multifunctional printers (MFPs) be simpler and easier to use than its current copiers. In addition the scanners and MFPs needed to include document back up as well as security features to protect our client confidentiality.

Working with All Covered’s managed services team, Seeger Weiss implemented a comprehensive IT strategy that included addressing immediate needs such as upgrading desktops and servers and long-term initiatives such as consolidating their infrastructure within a virtualized environment, disaster recovery planning and data security. All Covered helped assess the technology infrastructure at Seeger Weiss and make recommendations on how to streamline IT services while ensuring that the systems were reliable and included secure remote access to content from laptops and mobile devices.

To address the firms printing and scanning needs, Seeger Weiss went from four aging Canon copiers to five high speed Konica Minolta bizhub Color office MFPs, one Konica Minolta bizhub PRO production print system and one Fujitsu digital scanner. The new Konica Minolta solution increases the firm’s printing and scanning capacity without incurring additional budgetary and maintenance costs while also providing the highest level of service and security for their system.

For all law firms, data security is of critical importance. All Covered helps Seeger Weiss adhere to specific requirements related to client information and how it is accessed. Seeger Weiss also deals with a lot paper documents which must be security scanned and stored electronically. Leveraging the security features on the Konica Minolta MFPs, Seeger Weiss has enhanced security and password protection on all MFPs. The firm can easily erase the MFP’s hard drive to ensure documents that are copied, scanned, faxed or otherwise transmitted, do not remain stored on the MFP hard drive or anywhere in the system.

Both Konica Minolta and All Covered were instrumental helping Seeger Weiss move to new offices. All Covered provided the network support for the move working to minimize system downtime to a few hours during the evening. In addition to ensuring that the MFP and scanning equipment was properly moved to the new offices, Konica Minolta helped Seeger Weiss go green by digitizing years of paper files that were stored in multiple file cabinets. Using the new Konica Minolta scanning solution, the firm was able to easily digitize documents and send file attachments directly to email or a document repository in one third the time it took with their old copier. As a result, digitizing documents dramatically reduced moving and long-term physical storage requirements and expenses.

With the help of All Covered, Seeger Weiss now has disaster recovery and business continuity strategies in place. In preparation of Hurricane Irene, All Covered worked with Seeger Weiss to determine the best way to maintain network availability while weighing the risks associated with the natural disaster. The firm had minimal systems downtime during the hurricane and all offices had network availability by 6:30 am Monday morning. Partners and associates were able to access their information and respond to client requests without delay. With All Covered managing their network, the partners do not have to worry about lost productivity due to network outages.
