STUDENT INFORMATION SYSTEM SCREEN 16 - UTILITY MENU REV 12-06 24-1 SCREEN 16 - UTILITY MENU PURPOSE/DESCRIPTION The “Utility Menu” screen contains access to 13 specialized utilities. They are grouped by activity: Options 1 through 2A are related to establishing staff assignments, including administrative and classroom: - Option 1 is used after any entries are made in Screens 2 and 2A to rebuild the files that have been changed. This screen must be run for the changes to take effect. - Option 2 is required to establish the room numbers and non-register carrying certificated staff positions at your school. Children cannot be assigned to rooms in screen 10 until the rooms have been set up in Screen 16, option 2. Rooms/positions no longer being used should be deleted (DE) using Screen 16 option 2. Certificated staff (teachers, non-register carrying personnel, long term subs, and regular subs) required to enter Open Court scores (SOAR), or enter report card (OPR) grades need to be entered into the rooms using their employee #s. - Option 2A is used to enter the certificated staff LAUSD history, non-register carrying certificated personnel activity codes and to view EL Authorizations. Options 3 through 5 are related to students: - Option 3 can be used to copy data from a previous school to be used when a child who was previously enrolled at your school re-enrolls. This will re-activate the previously used 4 digit Local ID #. You will need the previous location code and 4 digit Local ID #. - Option 4 is used to return a student to your active file from your retired file. This student must have attended your school some time in the past, and now has returned. - Option 5 is used to lookup a retired student who has attended your school for at least one day and then checked out. Options 7 through 9 are related to new classes and room assignments at the beginning of the new school year - Option 7 is used to enter data by class or to enter/update data in any field by room. SCREEN 16 - UTILITY MENU

PURPOSE/DESCRIPTION

The “Utility Menu” screen contains access to 13 specialized utilities. They are grouped by activity:

• Options 1 through 2A are related to establishing staff assignments, including administrative andclassroom:

- Option 1 is used after any entries are made in Screens 2 and 2A to rebuild the files thathave been changed. This screen must be run for the changes to take effect.

- Option 2 is required to establish the room numbers and non-register carrying certificatedstaff positions at your school. Children cannot be assigned to rooms in screen 10 until therooms have been set up in Screen 16, option 2. Rooms/positions no longer being usedshould be deleted (DE) using Screen 16 option 2.Certificated staff (teachers, non-register carrying personnel, long term subs, and regularsubs) required to enter Open Court scores (SOAR), or enter report card (OPR) gradesneed to be entered into the rooms using their employee #s.

- Option 2A is used to enter the certificated staff LAUSD history, non-register carryingcertificated personnel activity codes and to view EL Authorizations.

• Options 3 through 5 are related to students:- Option 3 can be used to copy data from a previous school to be used when a child who

was previously enrolled at your school re-enrolls. This will re-activate the previously used 4digit Local ID #. You will need the previous location code and 4 digit Local ID #.

- Option 4 is used to return a student to your active file from your retired file. This studentmust have attended your school some time in the past, and now has returned.

- Option 5 is used to lookup a retired student who has attended your school for at least oneday and then checked out.

• Options 7 through 9 are related to new classes and room assignments at the beginning of the newschool year

- Option 7 is used to enter data by class or to enter/update data in any field by room. You willenter the field number to be updated.

- Option 8 is used to enter new room assignments for the next school year by track or grade- Option 9 is used to enter new room assignments for the next school year by student ID #

OPTION 1 - REBUILD CROSS-REFERENCE FILES

PURPOSE/DESCRIPTION

This utility screen will rebuild Cross-Reference Files. Student records are alphabetized to facilitatestudent ID lookup and current teacher names are entered into student records. New data fields areadded to the SIS dictionary which is used to generate “English” sentences. Current screens are up-dated and new screens are added.

Rebuilding files should occur whenever changes have been made to the teacher files (Screen 16,Options 2 or 2A). During periods of heavy enrollment, files should be rebuilt at least once a week.Processing will occur, then the Utility Menu will be displayed when the Rebuild procedures have com-pleted. All other SIS computers must log out before running "Rebuild Files".

OPTION 2 - ENTER ROOM ASSIGNMENTS

PURPOSE/DESCRIPTION

The Enter Room Assignments screen is used to add, delete, or change teacher room assignments.

This screen must be initiated for each classroom prior to assigning students to the room.

Current data on this screen is required for accurate Classification reports, Fall Survey reports, Title 1reports and all class roster reports and labels.

At the Main Menu, type 16 and press <ENTER>.

HOW TO ENTER A NEW CLASSROOM

At ROOM #, enter the room number. Room numbers should be entered using the following format:• Multi track schools must use a track letter after the room number. The track letter is placed

as the last character in the room number field. (e.g. Room 11, Track A = 11A)• Rooms assigned to roving teachers may use the first room number of the series of rooms

and add the letter X before the track letter. (e.g. Rooms 11, 12, 13, Track A= 11XA)• A.M. and P.M. rooms must use A or P before the track letter to indicate morning or afternoon

classes. (e.g. A.M. Kindergarten, Track B= 15AB; P.M. kindergarten, Track B = 15PB)• Single Track Calendar schools are not to use a track letter in the track field or

in the room number field.

After Room # is entered, since this is a new room, NEW ITEM will be displayed in the lower left corner ofthe screen and the cursor will be at the EMP # field.

At EMP #, type in the teacher’s employee number. Press <ENTER>. The teacher’s name willautomatically appear. The cursor will move to the next field.

Continue to type in data for the new classroom.

NOTE: For administrators and non-register carrying positions, such as coordinators, resourcespecialists, literacy coaches, math coaches, magnet coordinators, and others, enter the employee's titlein field 0 (room number) i.e. PRIN, AP, APEIS, RST, LITCOAC, MATHCOA, BILCOOR, TITLEI,MAGCOOR. Do NOT enter a room number, grade, or track for these positions. Any letter/numbercombination (up to 7 characters) can be used for the name of these positions, although PRIN must beused for Principal.

HOW TO UPDATE A PREVIOUSLY ENTERED CLASSROOM

At ROOM #, enter the room number and press <ENTER>.

Data previously entered for the room will be displayed. The cursor will be at CONTROL at the bottomof the screen.

Type the number of the field you wish to enter/update. Press <ENTER>. The cursor will move to thefield indicated. Type in the data for this field and press <ENTER>. Continue to press <ENTER> toadvance to the next field(s) to be updated.

To make corrections to previously entered data, type correct data over any data appearing in the field.Press <ENTER>.

NOTE: Do not use the space bar to delete data from a field or from the end of newly entered data. Toerase data from a field (when not entering new data), press <CTRL> + N. This will erase thepreviously entered data and move the cursor to the next field.NOTE:Do not erase the room #, or type over the room # to change a room. Follow directions in thesection below, "How to Delete a Classroom."

HOW TO DELETE OR CHANGE A CLASSROOM

At ROOM #, enter the room number and press <ENTER>.

Data previously entered will be displayed. The cursor will be at CONTROL at the bottom of the screen.

Type DE and press <ENTER> to erase the complete class assignment. Enter a new room number (ifapplicable) after this room has been deleted.

Be sure to Rebuild Files (Screen 16, Option 1) after you have completed deleting any room assignment.

To return to the Main Menu, press <CTRL> + E.

OPTION 2A - ENTER TEACHER DATA

PURPOSE/DESCRIPTION

This screen contains data about the teacher. Be sure that Screen 16, Option 2 data was entered forthat teacher/administrator before entering this screen. This screen will be accessed by using theteacher's employee number. Some of the information on this screen is taken from Screen 16, Option 2- Room Assignments, and some of the information provided by Personnel. Fields without a field numberare view only and display data from other sources.

The additional fields required on the teacher screen will be used for the Fall Survey and Master PlanSurvey. They are used to calculate the number of years the teacher has been at the school, in theDistrict, and in the teaching profession. The right side of the screen pertains to the teacher'sauthorization to teach EL students. The section on the bottom of the screen is used to indicate theactivity code for the position of non-register carrying certificated personnel.

At the Employee # field enter the teacher/administrator's employee number, press <Enter>.

Continue to type in data for the new teacher. Authorization to Teach ELs data will transfer into theapplicable fields from the Certificated Personnel Division. These fields cannot be added, changed, ordeleted on the SIS computer. Field 21 should only be used if you have hard copy proof that the teacherhas enrolled in an AB-2913 class and has completed Teacher In Training paperwork

HOW TO CHANGE INFORMATION

Type LI and press <ENTER>. The word CONTROL will change to LI-CONTROL.

Type the line number (e.g., 1) and press <ENTER>

Press <ENTER> to move to the next field, ACT CODE. Enter the 6-digit activity code next to thePosition Title (see chart below) and press <ENTER>.

Upon entering the activity code, the correct POSITION TITLE should appear in this field. In the HRS/MONTH field, enter the hours assigned to that position each month at your site, then press <ENTER>

If the position is a Direct Service assignment, enter the number of male/female students who receivedirect service daily at this site. If the number of students varies, calculate the daily average based upona week's work.

SCREEN 16, OPTION 3 - COPY STUDENT DATA FROM A PREVIOUS SCHOOL

PURPOSE/DESCRIPTION

This screen is used to electronically transfer student information from another SIS school to yourschool's SIS. It is used only in special circumstances when it is discovered that the student record atyour school has partial or missing data (e.g., CST, Performance Assessment, etc.) compared to thestudent record from the previous school.

Partial or missing data can be attributed to an error in enrollment. For example, this can occur when aschool enrolls a student on Screen 10 and later discovers that the student has previously attendedanother LAUSD school and has testing results. Use this option to copy student data from the previousschool to bring in the complete information. Any data that you currently have will not be changed. Onlynew, or missing, data will be added.

NOTE: Always use Screen 0 - Districtwide Student ID Lookup to search and verify whether a newstudent, enrolling without a PAR, does not have a District ID on file.

HOW TO COPY STUDENT DATA

If the student enrolls with a copy of the Pupil Accounting Report (PAR) from another LAUSD school,note the student’s old 4-digit ID# and the old school’s location code.

If the student enrolls without a copy of the PAR from another LAUSD school, look on Screen 0 or call theprevious school to request the student’s 4-digit ID#. (The previous school must “retire” that studentfrom their SIS.)

At OLD LOCATION CODE, type the location code of the student’s previous LAUSD school. Press<ENTER>.

At OLD ID#, type the 4-digit ID number the student had at the previous LAUSD school. Press<ENTER>.

At NEW ID #, type the 4-digit ID number the student has at your school. Press <ENTER>.

A message will be displayed to indicate the transfer has been completed, or that the transfer cannotoccur because something is wrong.

To return to the Utility Menu, press <ENTER>.

This screen may also be used at the end of the school year to enter new year's room assignments infield number 194 by current year's class.

To return to a previous student, press <CTRL> + B and press <ENTER>. Repeat this key combinationuntil the required student is repeated on the screen. Press <ENTER> to continue with data entry.

To erase data from a field during this process, press <CTRL> + D. The cursor will then skip to the nextstudent's field.

To interrupt the data entry process and return to the initial selection screen, press <CTRL> + E andpress <ENTER>. It is not necessary to type "FI" to save this data. It will be done automatically on thisscreen each time you press <ENTER>

Option 8 allows the entry of new classroom assignments for anentire track and/or grade level. Option 9 allows the entry of room assignments for a single student forthe upcoming school year.

At the initial selection screen, enter the track desired and press <ENTER>. (Year-round schools only).Traditional and LEARN calendar schools must type ALL. Press <ENTER>.

NOTE: Year-round schools may type ALL if they wish to enter room data for the whole school.

At the grade prompt, enter ALL if you wish to work on entering rooms for all grades (matching your firstcriteria) or enter a single grade level and press <ENTER>. If no other grade level is to be done at thistime, press <ENTER> again or indicate another grade level and then press <ENTER>.

Processing will occur. Now enter the new room assignment for the student displayed on the screen.Press <ENTER>, and the next student will appear. Continue entering new rooms until the entire gradelevel and/or track is completed.

To return to a previous line entry, press <CTRL> + B and press <ENTER>. Repeat this key combina-tion until the required line is highlighted. Press <ENTER> to continue with data entry.

HOW TO TRANSFER A STUDENT

If the student enrolls with a copy of the Pupil Accounting report (PAR) from another LAUSD school, notethe student’s 10-digit District ID number at the top of this report.

If the student enrolls without a copy of the PAR from another SIS school, use Screen 0 - DistrictwideStudent ID Lookup or call the previous school and request the student’s District ID number. The previ-ous school must “retire” that student from their files before you will be able to transfer the student intoyour school. If you are not sure whether a student has previously attended an LAUSD school, useScreen 0 or call SIS Support for assistance. Also check to see if the child is in your own retired file. If so,locate the 4 digit local ID number and write it down. You will need it to transfer the student back in to yourschool.

Type the student’s 10-digit District ID number. Review for accuracy and then press <ENTER>. Next,the system will ask if the student has ever attended your school, previously. Answer Y/N to this ques-tion. If yes, enter the student's previous Local ID number. If the transfer is successful, a 4-digit localschool ID number will appear on the screen. If the child has never attended your school, previously, thesystem will assign a new 4 digit local ID number. Write this ID number on the student enrollment forms,registration card, etc.

Press <ENTER> and Screen 10 - Enrollment Screen will appear automatically. Continue to enroll thisstudent by updating any data on this screen that is not current using the student's enrollment form.

If the transfer is not successful, a message will be displayed explaining why the transfer did not occur:

"STUDENT HAS A DISCONTINUED ID" Call SIS to find out the new District ID# forthis student.

"STUDENT IS STILL ENROLLED AT XXXXXX EL Call the school that still has the studentA STUDENT MAY NOT BE ENROLLED AT 2 actively enrolled and ask them to L theSCHOOLS. CALL THE SCHOOL AT XXX/XXX-XXXX" student out of their SIS system.
