Setting Up the Race Office

Introduction

The first action to take on arriving is to open and set up the Race Office.

Opening the Race Office

1. The key to the Race Office is kept behind the door to the store room in

the Canteen. Its brand is Edmunds.

2. The key to the shutters is kept behind the door to the store room in the

Canteen. The brand is Masters. To prevent the padlock being lost or

stolen refasten it to the latch once the shutter is open.

Checking the Entry Form Boxes

Note: There are three of these boxes. Sailors pay their entry fee for the day by

taking their Boat Entry Form out of the red Boat Entry Form storage box

(arranged alphabetically by owner family name) and placing it in the green

Entry box. Sailors who have not paid a season entry fee should include it with

their entry form.

The boxes also provide a manual list of contact numbers in case of an

emergency. The blue Crew box contains entry details for crew.

1. Check the green Entry box. It should be empty. If it is not return the

forms to the red Boat Entry Form Storage box. File them alphabetically

by owner’s family name. Remove any cash and hand it to Jeannette to

be entered as Race Fees.

Preparing the Laptop

Note: The laptop is used by new skippers to enter their boats into the Sailwave

Master Series. It can also be used by anybody wishing to pay membership on

the spot.

1. The laptop is kept in the red pack on top of the Race Management

locker. Take it out and put it on the big wooden table. Plug in the power

and put “How to Enter Your Boat on our Master File” Aide Memoire and

Instructions beside it (Laminated copies are kept in the pack).

2. Turn on the Laptop and go Google. Bring up our membership page.

3. Leaving Google running open Sailwave. Open the Masterfile Series.

Printing Sign On Sheets

Print the Sign On Sheets for todays races (See item 4 in this manual). Pens are

kept in the top drawer of the drawers in the race office.

Forms

Forms (Entry Forms, Crew Registration Forms, Results Sheets etc) are kept in

the stationery cabinet in the South West corner of the office (to the left by the

outside wall looking out window). Each drawer is labelled.

Boat Hire

Prepare the Boat Hire Book. Its the black ring binder kept on top of the

stationery cabinet. Boat hire procedures are documented in the binder.

Preparing to go out Scoring

Introduction

The best way to ensure timely results after racing is to enter and process

results as the boats finish. This document is a checklist to ensure that you have

taken all that is necessary with you.

Action Guide/Equipment Checked

Set up the Laptop See item 5 in this manual

Place it in red clam shell carrier

Place sign-on sheets in carrier

Confirm Sailwave instructions for entering and processing results are in carrier

They are in a green covered slip folder, which should be in the carrier

Confirm you have a copy of the Sailing Instructions

Confirm Race Officer has clipboard with finishing sheets

Confirm you have at least 2 pens

Confirm Race Officer has the Club printing stopwatch

Place the “How to Enter Your Boat on Our Master File” instructions in the red clam shell carrier.

That is where next week’s scorer will expect to find them.

Closing the Race Office

Introduction

The last action to take before departing is to close the Race Office.

Checking and Banking Race Fees

3. Return all entry forms in the Race Fee box to the Boat Entry Form

storage box. As you do so check whether all entries have paid their race

fees. DNC any who have not. (Note: This should be done before

publishing results). Also remove any cash in entry form pockets.

4. Hand any cash to the till to be recorded as Race Fees.

Banking Boat Hire Fees

1. File the Boat Hire Sign-on Sheet. Check that all club boats used paid hire

fees. DNC any who have not.

2. Hand any cash in the Boat Hire tin to the till to be recorded as training.

Filing Finish Sheets and Sign-on Sheets

These are kept in case a competitor questions results.

1. They are kept in a white ring binder labelled Finish and Sign-on Sheets.

2. The folder is organised by series and then race number.

Last but not Least

Have a beer – you’ve earned it.

Use the desktop printer in the race office for this – it is always connected to a printer.

Activity Help

In Sailwave using the File button and then the Open Series button open the appropriate series

Sort entrants by Division and Sail No. Step 3

In Publish select Populated sign on/Sign off sheet and confirm the only choice is ‘Sign on’

Steps 4, 5, 6

For Destination select ‘An installed application’ and for Application select ‘MS Excel’ Steps 7, 8, 9

In Excel delete the ‘Boat’ and ‘Club’ columns (Allows you to print all in one page). Insert page breaks at the beginning of every division (Prints one division per page). After the last entry in Div 6 add 10 blank lines.

Steps 10, 11, 12, 15, 16

Using ‘Page Header’ insert the date on every page. Steps 13, 14

Print the Sign-on Sheets (Landscape) using the Xerox Phaser 310MFP printer Step 17

Printing the Sign On Sheet

Use the desktop printer in the race office for this – it is always connected to a printer.

1. Open Sailwave

(Hint – Double click on the Sailwave Icon)

2. Using the File button open the appropriate series.

(Hint: the path is computer/OS(C:)/Users/Sailing/My Documents/Racing/Results 2015-16/Club

Results)

3. Click on the Header for the Division Column. Then hold down Ctl and click on the header for

the Sail No column. This should sort entrants by division and then by sail no.

4. Push the Publish button – (Hint – same row as File button)

5. Select Populated Sign On/Sign Off sheet

6. In the “extra columns” row delete the “race” and “sign off” options (if present). Then push

the Next button.

7. The “Destination” row should read ‘An installed application’. If it does not select it from the

drop down list.

8. Select the MS Excel button

9. Push the Publish button

Note: We want a sign on sheet for each division. This can be done more easily in Excel.

10. Delete the “Boat” and “Club’ column (allows you to print one page wide)

11. Insert page breaks at the beginning of each division (allows you to print on division per page)

(Hint – in the Page Layout menu)

12. Use ‘page header’ to insert the date on every page.

(Hint – Page Layout – Print Titles – Print Header – Custom Headers)

13. If you go to the last page (in Print Preview) you will find it looks like this.

14. You will need to add some lines to allow room for more members to sign on (Hint – in Excel

highlight the required number of lines in the left (line number column) – right click and hit

“Insert”.

15. Print (using the Xerox Phaser 310MFP printer)

If this is the first day of a new series you may need to set up the starts from scratch. You will find

instructions in steps 7 to 13 of Activity 1. However, get the Race Secretary or Club Captain to help

Activity 2 – Confirm All Competitors Entered

Activity 1 – Confirm Races Setup Correctly

1. If your screen only shows sailed races click on View (top row 2nd left) then Hide unsailed

races.

2. Place your cursor over the column header for the next race (it will have no results) and right

click.

3. Click on edit race.

4. You should get the following screen (Note: The screen for Alternate Course races will only

have two start times). If you do Click on Cancel and go to Activity 2. Otherwise go to step 5.

5. If you get a different screen (such as below) you will have to copy this information to today’s

races from the last race sailed. Place your cursor over the column header for the last race for

which results have been entered. You should get a screen like the one under step 4 above.

(If you don’t go to Step 7) Go to the box in the left hand corner of the screen (next to the

Copy starts button) and enter the race numbers of the races that you wish to copy start

information to – thus: 3,4 Push the Copy starts button and then the OK button.

6. Right click on the column header of one of the races you copied start information to and

check that it has copied correctly. Click on the Save button (4th from left 2nd row). Hide

unsailed races and go to Activity 2.

7. The procedure to edit starts follows. Push the Edit button in an edit race screen (above). This

will give you an edit start screen (below).

8. Push the Select Competitors button. Use the drop down buttons to select a division (you can

only set up one division at a time). When you have finished click on OK.

9. Back in the Edit Start screen on the “Finishes will be recorded as” line use the drop down list

to select ‘Finish time’1.

10. On the “Start time” line enter the start time (for point score and championship races the

first start is entered as 00:03:00, the second as 00:06:00 and the third as 00:09:00). (Hint:

get the divisions and starts from the Sailing Instructions)

11. Click on OK. You should now have a screen with one line like the screen under step 4 of

Activity 1.

12. Using the new button set up all other divisions.

13. To include this information for the second race of the day enter the race number(s)

(separated by commas) in the “copy starts” box.

14. Click on OK. Then push the Save button (2nd row 4th from left)

Activity 2 – Confirm All Competitors Entered

1. Examine the sign on sheets. Any competitor whose entry is handwritten will need to be

entered into the series.

Note 1: It is the competitor’s responsibility to ensure that their boat is entered into the master list

(see instructions for How to Enter Your Boat on Our Master List- Item 6 in the practice package). No

entry in the master list – no score in the race.

Note 2: Competitors using club boats are identified by name in Sailwave, not sail number. They

should handwrite the sail number of the boat they are using on the day in the sail number column,

but this information should not be entered into Sailwave. (Hint: Club boats include Pacers, Bics,

Spirals, Laser 4.7s, Laser full rig, Hobie 16 and a Maricat 4.3).

Note 3: Members using Club boats must have a separate entry in the Master file for each type of

boat they sail e.g. a member sailing a Pacer one week and a Spiral the next will have 2 entries in the

Master File.

1 As we use yardstick calculation in all our races we must record and use elapsed time. Our printing stopwatch

records the time from the first warning signal. By using the ‘finish time’ function in Sailwave we can enter the time recorded from our printing stopwatch and use Sailwave to calculate the elapsed time. See the instructions for Entering and Processing Results for more information.

Note 4: A Pacer sailed with a spinnaker (Pacer) has a yardstick of 127.5. A Pacer sailed without a

spinnaker (Pacer w/o spinnaker) has a yardstick of 130. Where a competitor does not specify they

will be assumed to be sailing with a spinnaker.

2. When a competitor needs to entered into a series select File/Import Competitors from the

within the series.

3. If you are lucky the file you need (Master File 2015-16) will appear in the box. If not the file

path is Windows 7_OS(C:)/Users/Sailing/My Documents/Club Racing 2015-16. Select Next.

4. Search until you find the boat you want. (Hint: the boats appear in the order in which they

were entered into the master file – so boats entered today will be at the bottom. If you are

having problems open the master file and search it.)

5. Select the boat(s) you want and click on Next. (Hint: use the Shift key to select more than

one boat at a time – if you select more than you want click on the ones you don’t want to

deselect them).

6. Click on Next and then Finish.

7. Confirm you have the boats you want. Push the Save button.

8. Once a boat has been entered into a series it is entered in all further races in the series.

Activity 3 Backup the Laptop

To ensure against disaster we now need to get a copy of the data base onto another computer,

which is desktop in the Race Office. Note that Sailwave files on the desktop are backed up to the

YMCA Extranet each week.

1. Ensure that the laptop is turned on and logged on.

2. Turn on the desktop in the Race Office. (User ID Sailing – Password YMCA101)

3. Go to Computer/Network/Results PC

4. The user ID is Sailing – password Sailing101

5. Go to User/My Documents/Sailing/Club Racing 2015-16

6. Copy Masterfile (if this has changed)

7. On the Desktop go to Computer/Users/Sailing/Users/My Documents/?

8. Paste Masterfile (overwrite the existing file)

9. Go to the Laptop (User/My Documents/Sailing/Club Racing 2015-16)

10. Select the appropriate file (Championship – Pointscore – Alternate Course)

11. Copy

12. Paste to Desktop (same directory).

Now you can go racing.

Using Sail Numbers

Click on the Sail num wizard and enter the number of the current race Steps 1, 2 and 3

Make the “Field” box SailNo. Make certain the Ignore alphabetic characters when matching competitors box is not ticked.

Step 4

Click on next. You will get this screen. Ensure that the Don’t show competitors that already have a result for this race box is ticked. This will save you time later.

Step 5

Enter the Sail number of the first boat. If you get duplicates select the boat you want. Click on next or push enter.

Step 6

Check the button for the Start time and Finish time or retirement code is selected. Enter the finish time (1 hour 1 min 10 seconds is enter as 1:01:10). The calculate elapsed time should now be shown.

Step 7

Push enter and record the result for the next boat Step 8

Using Helm Name

Competitors using Club Boats are identified by Helm Name. To enter a Club Boat competitor :

Enter the Name of the skipper of the first boat you wish to enter. Click on next or push enter.

Correcting a Mistake

Result against wrong boat. Close Sail num wizard. Right click on the cell with the wrong result. Select Clear Result

Wrong time. Close Sail num wizard. Right click on the cell with the wrong result. Select Edit Result. Change the time in the resulting dialogue box and push enter (or select OK).

Step 2

Competitor entered twice. Click on the duplicate competitor (should have no results on that row). Click on the Delete button. In the box that appears confirm you have selected the correct competitor and click OK. If you are happy click OK again.

Step 2

Changing the Offset for a General Recall

The sailing instructions require that a division with a general recall has its restart after all other

divisions have started. That is at 12 minutes. This means you only have to change one offset time.

To record the correct start time:

Right click on the column heading for the race. Click on edit race Step 1

Click on the division which had the general recall. (Note: If you recalled divisions 2, 3, 4, and 6 you will have to change all of them. You must do this separately for each one). Click on the Edit button

Change the Start time. Click on OK to close each dialogue box. Step 3 and 4

To Process a Race

When you have entered the times for all boats in a race enter any DNFs, OCS etc using the Sail num wizard.

Step 1

Press the Score Series button. Ensure that you are scoring by Division (see below). Push the score series button. Don’t forget to push Save.

Note that in the race column times have disappeared and been replace by places. Don’t worry, the

times are still there. (On the 3rdnd row 4th from right you will find this symbol ) When you click on

it you get a drop down list which gives you a choice of what is shown in race columns. If you click on

Elapsed times these will show)

Entering and Processing Results

The user ID is Sailing – the password is Sailing101.

1. Open Sailwave (if it is not already open)

(Hint – Double click on the Sailwave Icon)

2. Using the File button open the appropriate series

(Championship 2015-16 – Pointscore 2015-16 – Alternate Course 2015-16)

(Hint: the path is Computer/Windows7_OS(C:)/Users/Sailing/My Documents/Club Racing

2015-16?)

Using Sail Numbers

You will enter most competitors using sail numbers as follows:

1. Click on the Sail num wizard button. (Hint – bottom row 5th from left)

2. You will get a screen like this.

3. In the Race number row make sure the race number is the race you wish to score (the next

blank race result column).

4. Make the Field box Sail No. Make certain the Ignore alphabetic characters when matching

competitors box is not ticked.

5. Click on next. You will get this screen. Ensure that the Don’t show competitors that already

have a result for this race box is ticked. This will save you time later.

6. Enter the Sail no of your first boat. Note that if you have 2 boats with the same number (or

with same first or more digits) you will get all such boats displayed. You can click on the boat

you want or finish putting in the number. When you have the boat you want click on Next or

push the Enter button on your keyboard. If no boats show go back to the screen shown

under step 3 and check you set the right race (Step 4).

7. The next screen is where you enter the time. Before you do so confirm the highlighted

button is for the Start time and Finish time or retirement code row. The example is 45

minutes 35 seconds. This is entered as 0:45:35. You must have the colon. If the time is an

hour or more enter hh:mm:ss. 1:01:10 is 1 hour 1 minute 10 seconds.

Note that once have entered the complete number the elapsed time is shown and the offset for the

division are shown.

8. Push enter. You are now back at the screen under step 7 ready to enter another sail number.

An elapsed time of 0:39:35 (45:35-6:00) has been entered in the results column for race 3

against the boat you selected. Enter the next sail number and carry on. Push enter to swap

between Sail no and time screens.

Using Helm Name

Competitors using Club Boats are identified by Helm Name. To enter a Club Boat competitor :

1. Close the Sail num wizard and open it again. Click on the Save Button (2nd row 4th from left).

Using the drop down list change the Field box to HelmName. Push enter.

2. Start entering the helm name as it appears on the sign on sheet. If there is more than one

helm name starting with the same letter all will appear. Select the boat you want and carry

on as you did for Sail No. Push the Save button frequently.

Correcting a Mistake

Dead easy!

1. Result against wrong boat. If you are in Sail num wizard close it. Right click on the cell with

the wrong result. Select Clear result. The time disappears.

2. The time is wrong. Right click on the cell with the wrong result. Select Edit Result. Change

the time in the resulting dialogue box and push enter (or select OK).

3. Competitor entered twice. Click on the duplicate competitor (should have no results on that

row). Click on the Delete button (3rd from left bottom row). In the box that appears confirm

you have selected the correct competitor and click OK. If you are happy click OK again.

Done!

Changing the Offset for a General Recall

We start the clock when the first flag goes up, so the first start is at three minutes on the clock, the

second at 6 minutes and the third at 9 minutes. So what do you do if you have a general recall.

The sailing instructions require that a division with a general recall has its restart after all other

divisions have started. That is at 12 minutes. This means you only have to change one offset time. (to

ensure this you can use the black flag)

To record the correct start time:

1. Right click on the column heading for the race. Click on edit race.

2. Click on the division which had the general recall. (Note: If you recalled divisions 2, 3, 4, and

6 you will have to change all of them. You must do this separately for each one). Click on the

Edit button

3. Change the Start time.

4. Click on OK to close each dialogue box.

To Process a Race

On the Race Office desk top (User ID Sailing – Password YMCA101) go to Computer/Network/Results PC (user ID is Sailing – password Sailing101)

Steps 2, 3 and 4

Go to the folder Windows7_OS(C:)/Users/My Documents/Sailing/Club Racing 2015-16 Step 5

Select and copy the appropriate series file (Championship – Pointscore – Alternate Course)

Steps 6 and 7

On the Desktop go to the folder Computer/OS(C)/Users/Sailing/Users/My Documents/Racing/Results/2015-16 Results)

Step 8

Paste onto the desktop computer (overwrite the existing file if necessary) Step 9

Activity 2 Print Results

Action Help

Open today’s file on the desktop computer Step 1

Using the symbol (2nd row 4th from left) ensure that the race columns you wish to print are showing ‘Scored points’.

Step 2

Click on Publish (top row 4th from left), then Results. Step 3

In the dialogue box ensure that the bottom left hand corner box includes all divisions. If necessary sort divisions into order. If required highlight all divisions using the All button.

Step 4

Tick the Publish a series summary table box and the All sailed races button to print all races sailed to date and series points to date

Step 5

Tick the Publish individual race tables box and the Just these races button to print only todays results (you must enter today’s race numbers (separated by a comma) in the box below the Just these races button

Step 6

You can print elapsed times and corrected times for today’s races. To do this Click on the Options tab, then tick the ‘Include race times’ box in the left column and the ‘Include corrected times’ box in the right column’

Step 7

To print each division on a separate tick the Add a page break box. (Note: page breaks do not appear on Print Preview). Press Next.

Click on Preview. If you are happy with the result push CTL/P on the keyboard. Print using the Xerox Phaser 3100MFP

Activity 2 Print Results

1. Open today’s file on the desktop computer.

1. Using the symbol (2nd row 4th from left) ensure that the race columns you wish to print

are showing ‘Scored points’.

2. Click on Publish (top row 4th from left), then Results.

3. You will get the dialogue box above.

4. In the bottom left hand corner there is a box ‘Include these scored groups’. Make sure that

it includes all divisions and that all divisions are highlighted. If the divisions are not in order

press the ‘None ‘ button and then highlight the division you wish to change (in the example

above 2) by clicking on it. Promote it above 4 by pushing the up arrow. Now select all

divisions by pushing the All button.

5. By ticking the Publish a series summary table box and the All sailed races button you get all

races sailed to date for the series and the series points to date. (Hint: print this first – go to

item 9 for how)

6. By ticking the Publish individual race tables box and the Just these races button you get a

table showing the races specified in the box. In this case you must enter today’s race

numbers (separated by a comma) in the box.

7. You can print elapsed times and corrected times for today’s races. To do this Click on the

Options tab, then tick the ‘Include race times’ box in the left column and the ‘Include

corrected times’ box in the right column’

8. By ticking the Add a page breaks box each division will print on a separate page. (Note: this

only happens when printing, not on Print Preview)

9. Press Next.

10. In the next dialogue box click on Preview.

11. Check you are happy with the result and push CTL and P on the keyboard.

12. Select the Xerox Phaser 3100MFP printer and click on Print.

13. Click on Cancel in the dialogue box.

14. Click on the Save button in Sailwave.

15. Close Sailwave
