1 Introduction

Welcome to the SchoolInsight Admin Guide for attendance. This guide will explain how to setup anduse attendance in SchoolInsight for your school. It assumes that you have already used the BasicSetup Admin Guide to set up school information. If you have not completed your basic setup, pleaserefer to that guide before entering attendance.

1.1 AudienceThis guide is written for the SchoolInsight admin. This is someone who is responsible for setting upSchoolInsight and will also do the occasional “care and feeding” of SchoolInsight (i.e. adding newstudents when they enroll). Often this is a member of the main office staff or the technologycoordinator at a school.

This guide is NOT written for school administration – principals, assistant principals, etc. Thoseindividuals are referred to as “principals” within SchoolInsight.

1.2 Setup OverviewFor schools using SchoolInsight for school-wide attendance, classes and rosters are typically createdby the admin. Please refer to the Basic Setup Guide for more details.

2 Login

The first step is to login to SchoolInsight. Once you have entered the Internet:

• Go to www.SchoolInsight.com

The home page describes the basic features of SchoolInsight. Feel free to browse the site. Beforeyou can set up or use any of these features, you will need to login:

• Type in your email address and password. Typically you will use the email address and passwordsupplied by the school.

• Click “Log In” to access your school data.

Once you've logged in from the site's main page, you can log out and log back in from within theprogram.

• Choose to have your email address remembered on the logged in computer.

• If you ever forget your password, click on the “Oops, I forgot my password” button. This will allowSchoolInsight to automatically email your password to you.

Note: Standard Mode allows you to browse SchoolInsight with the best performance. Choose“Secure/Encrypted” if you want to encrypt all the pages with SSL (secure socket layer). This will beslower but very secure.

2.1 Update AccountThe first time you login, you will be asked to change your password. SchoolInsight will automaticallypull up the “Update Account” page. Choose a password that is easy for you to remember, but hard forsomeone else to guess. There are no limitations on the characters used for passwords, but realizethat they are case sensitive.

If you would like to change your password at any other time, click on the “Update Account” link on the“Main” page:

3 Admin Main

Once you have logged in, you will find yourself on the "Admin Main" page. This page allows you toeasily access the different functionality of SchoolInsight. For example: adding instructors, addingstudents, or creating classes.

To navigate the site, either use the dropdown menus or click the links. Each is organized the sameand contain the same functionality access. The Basic Setup, Yearly Setup, Modules, Planning andMisc tabs are organized the same as the links on the Main page.

Functionality has been grouped into common areas for ease of use. Note: Access to sections under"Modules" and "Planning" depend on which portions of TeacherEase your school has purchased.

To get back to "Admin Main" at any time, go to the top of the page and click on "Main." These twonames are synonymous, and we will call it "Main" page throughout the rest of the guide.

This guide will take you through the "Attendance" portion of SchoolInsight. The following notation willguide you through the appropriate web pages.

4 Attendance Overview

Schools manage attendance differently. SchoolInsight provides several methods to support schools'attendance scenarios. Setup and manage your school's attendance using the mode that matchesyour school.

Attendance can be taken once daily or every period throughout the day. Schools with self-containedclassrooms often choose to enter attendance once daily, at the beginning of the day. If your schooluses this method, refer to the "Self-Contained Workflow" section for an overview.

Secondary schools that have students moving between classes throughout the day usually enterattendance every period. Typically middle and high schools use period attendance. There are twomodes for secondary attendance. If your school takes attendance every period, refer to the "Secondary Workflow - Calculate" section for an overview. If your school takes period attendance, butimports first period into daily attendance, refer to the "Secondary Workflow - Import" section for anoverview.

• Period Attendance – This attendance is taken by instructors and entered into their individualgradebooks. Admins can import period attendance to initialize daily attendance.

• Daily Attendance – This is the official attendance record kept by the office, and it is used forstate reporting. It can either be imported from period attendance or calculated at the end of theday. Student entries/exits are recorded in the office.

Prior to using the SchoolInsight "Attendance" module most of the "Basic Setup" for your school needsto be completed, such as, academic year, calendar(s), grading periods, instructors, students, courses,classes/sections. Additionally, instructor and student schedules/roster assignments need to becomplete.

A few other items need to be taken care of to complete setup for attendance:• Determine when attendance will be taken, once daily or every period.• Mark which classes/sections will be taking attendance. You can do this when defining classes, or

with mass edit. Note: Often a special "Homeroom" or "Attendance" class is setup for teachers inself-contained classrooms for taking attendance.

• Set your schools "Attendance Options" for the academic year. Note: Admins should work withSchoolInsight support to determine optimal settings for their attendance mode/options.

4.1 Self-Contained WorkflowSchools with self-contained classrooms typically take attendance once every morning. These schoolsuse the "Self-Contained" Attendance Mode. Note: For more details on Attendance Modes see Main >Attendance > Options.

A common scenario for managing attendance using the Self-Contained Mode is as follows:

• Each morning, teachers enter student attendance into the gradebook.

• The attendance admin imports period attendance into the official school record, daily attendance.This replaces sending an attendance slip to the office. If a teacher hasn't entered their attendanceyet, the office can remind them.

• The attendance admin modifies daily attendance throughout the day to reflect student entries/exits.

• During the day, teachers can view the daily attendance online to see if students are missing fromtheir class and report absences to the administration. This replaces distributing a master list ofabsences throughout the day.

• Various reports can be run on real-time attendance data. As with other areas of SchoolInsight, bothsummary and detailed reports are provided for both daily and period attendance.

4.2 Secondary Workflow - CalculateSchools, such as high/middle schools, where students move between classes throughout the day,typically take attendance every period, throughout the day. These schools use the "Secondary"Attendance Mode with "Calculate Daily Attendance". Note: For more details on Attendance Modessee Main > Attendance > Options.

A common scenario for managing attendance using the Secondary - Calculate Mode is as follows:

• At the start of each period, teachers enter student attendance into their gradebook.

• The attendance admin monitors teacher entry and views absent/tardy students from the ‘PeriodAttendance Console’. If a teacher hasn't entered their attendance yet, the office can remind them.

• The attendance admin updates students’ attendance throughout the day to reflect entries/exits andadd notes.

• During the day, teachers can view all period attendance, along with in/out/notes entered by adminsto see if students are erroneously missing from their class and can report absences to theadministration.

• Admins also view absent/tardy students throughout the day to quickly identify truants or otherattendance discrepancies which can be then be rectified.

• At the end of each day, or the following day, admins update and finalize the period attendance. Fillin missing attendance, update absent to absent-excused/unexcused, add/modify notes, etc.

• Once the day’s attendance is complete, admins will auto-calculate daily attendance from the periodattendance data. They can also lock teacher entry to prevent them from changing periodattendance.

• Summary reports needed for state reporting can then be generated using the daily attendance data.

4.3 Secondary Workflow - ImportSome secondary schools, high/middle schools, take attendance at the start of the day and then importit into daily attendance which is then managed in the office the remainder of the day. These schoolsuse the "Secondary" Attendance Mode with "Import Daily Attendance". Note: For more details onAttendance Modes see Main > Attendance > Options.

A common scenario for managing attendance using the Secondary - Import Mode is as follows:

• First period, teachers enter student attendance into their gradebook. The attendance adminmonitors teacher entry and views absent/tardy students from the "Period Attendance Console". If ateacher hasn't entered their attendance yet, the office can remind them.

• Then, the attendance admin imports first period attendance into the official school record, dailyattendance. This replaces sending an attendance slip to the office.

5 Attendance Mode/Options

Set mode/options to manage attendance for your school. Each school year can have differentattendance mode/options.

Main > Attendance > Options > Edit

The first step in setting your attendance options for an academic year is to select the attendancemode. Two primary modes are provided to meet your attendance needs. Additional selections areavailable when using the "Secondary Mode".

Self-Contained Mode: Used by schools with self-contained classrooms. Attendance is taken in oneclass each morning. This period's attendance is imported to initialize daily attendance. Adminsrecord student entries/exits throughout the day, managing daily attendance. Reporting is done usingdaily attendance values. Daily attendance is shown on the parent portal.

Secondary Mode: Used by schools that take attendance each period as students move from class toclass. Schools have master/student schedules defined. Daily attendance is used for reporting and isdetermined using one of the following methods: Calculate Daily Attendance at the End of Day, orImport First Period Attendance.

Calculate Daily Attendance at End of Day: Used by schools where attendance is taken eachperiod. Daily attendance is calculated from finalized period attendance at the end of the day. Thismode requires complete student schedules. Note: For more details on the attendance calculationssee the "Console - Calculate" section of the "Period Attendance Console".

Two methods of auto-calculation are provided; choose the one that meets your school's needs. Note:The aggressive mode is recommended, and the default when switching to the "Calculate" mode froma different attendance mode. If you need to change from aggressive to conservative mode, pleasecontact SchoolInsight support ([email protected]) for assistance.

• Aggressive Missing Period Attendance Calculation: This mode uses an aggressive methoddesigned to save admins time. It will calculate likely values for missing period attendance usingentered values. Missing attendance values are determined using any entered period attendance,along with time in/out. Blanks are set to the most optimistic of entered values (e.g. Present). Timein/out entered between periods is used to fill in missing attendance whenever possible. This modereduces time spent by admins entering details when period attendance is missing. Note: Warningswill be given for ambiguous situations.

Note: For details on the "Aggressive" attendance calculations see the "Console - Calculate" section ofthe "Period Attendance Console".

• Conservative Missing Period Attendance Calculation: This mode uses a more conservativemethod. Most periods must have data entered or admins will be required to manually enter muchof the missing information. Missing attendance surrounded by the exact, same attendance valuesare automatically set to that value. First period attendance is never automatically calculated. Limited use of time in/out is provided. Admins will need to manually update the remaining missingperiod attendance prior to calculating daily attendance.

Import Period Attendance: This mode is more forgiving; for schools with incomplete studentschedules or when attendance isn't taken reliably each period.

Attendance is taken first period and then imported to initialize daily attendance. Admins then managedaily attendance, recording student entries/exits throughout the day. Note: For more details on theattendance calculations see the "Console - Import" section of the "Period Attendance Console".

Once a mode is chosen, set the remaining attendance options. Options for some modes may be pre-selected based on the mode, and cannot be changed.

• Which Attendance is shown to parents/students: Determine which attendance is shown on theparent portal.

• Teachers can create attendance for future days: Allow instructors to create attendance for future

days beyond the current date. Note: For schools importing period attendance into dailyattendance it's recommended to set this option to "No" to avoid problems. If a school imports priorto teachers entering period attendance, all of the students will be marked present.

• Attendance Code Selection: Choose to manually or auto select attendance codes. Auto select isbased on minutes in attendance defined for each attendance code and must be used whencalculating daily attendance. For more details on setting attendance code minutes goto Main>Attendance > Attendance Codes.

• Time in Attendance Calculated By: Decide to calculate minutes using clock time or instructionaltime. Most states typically use instructional time. The "no time" attendance calculation is historicalin nature. When used, no minutes are calculated and attendance must be displayed in "Days".

• Show Periods When Entering Time In/Out: Available with clock/instructional time. Use periodsinstead of time when entering student entries/exits. Note: Your school must use the "Scheduling"module to use this capability.

• Attendance Displayed As: Choose to display attendance in days or hours when viewing dailyattendance, based on state reporting requirements. Note: Attendance must be in days in order tohave students with multiple overlapping enrollments.

• School Time: Enter the start and end times for the regular school day. This is needed if you wantattendance minutes to be displayed when using clock or instructional time. Note: Individualstudent start/end times can be entered to reflect their own regular schedule. Set times at Main >Students > Create/Edit Student in the "Enrollment Details" section. This is useful when a studenthas a normal schedule that doesn't match the typical school times. You must calculate time inattendance by "Clock time" to use this option.

• Default Hours Enrolled: (Available if attendance is displayed as hours) Set a default value forhours students attend class for a regular or half day.

• Note: The School Start/End Times and Default Hours Enrolled can be overwritten for a chosencalendar day at Main > Calendars > View > Edit [month] > Set School Time.

6 Verify Attendance Rosters

When importing period attendance into daily attendance, a student can only be on one roster beingimported (so SchoolInsight knows which period attendance to import into daily attendance). If youtake attendance once daily, students can only be on one class roster that takes attendance.

SchoolInsight automatically finds students with conflicts (multiple rosters which take attendance).You'll need to remove duplicates using one of the methods outlined below.

Main > Attendance > Verify Attendance Rosters

Edit RosterModify the roster entry/exit dates so students are in only one class at a time.

Delete StudentRemove the student from the roster. Note: This should be used with caution. All associated scoresand comments will also be deleted and cannot be recovered. Mark the student "inactive" to preservetheir data while hiding them from view.

Edit ClassEdit the class to mark it to not take attendance.

7 Attendance Codes

SchoolInsight provides initial default attendance codes and present/absent credits. Create new ormodify existing codes to meet your school's needs.

When your school options are set to use automatic attendance code selection, time in minutes areused along with the present/absent credit for generated reports. Each code must have the "timestudents should be in attendance" defined in minutes. The time can be the same or different basedon grade level and can be set for both full and half days. SchoolInsight initializes codes with defaultminutes based on state criteria. For new codes, you supply the time in minutes per grade level. Then, attendance time is calculated using the minutes along with recorded in/out times, per student. Minutes are matched to a corresponding attendance code. If multiple codes match, the first one in thetable is automatically selected. For more details on attendance options goto Main > Attendance >Options.

EditModify existing codes, make them available for use by teachers, mark codes active/inactive.

DeleteRemove an attendance code from the list. Note: You cannot delete attendance codes that are beingused.

7.1 Create Attendance CodeCreate new attendance codes customized for your school. For example, you may want to record anexcused tardy (student has a pass) separately from an unexcused tardy. This allows for a great levelof detail in recording student attendance. Also different attendance minutes can be define per gradelevel.

Main > Attendance > Attendance Codes > Create Attendance Code

Set the parameters for the new attendance code. Once saved, the code will appear on the"Attendance Codes" page and be available when entering attendance.

Abbreviation: Enter an abbreviation for the new attendance code.

Description: Enter a corresponding description of the new code.

Type: Select a code type. The type is used when calculating student attendance for the Truancy andPerfect Attendance reports.

Status: Select a status for the new code. The status is used when calculating student attendance forthe Truancy and Perfect Attendance reports.

Days counted Present/Absent: Enter a value of less than or equal to 1 for Present/Absent days.(Usually, 0, .5 or 1) These values control the calculations for attendance reporting.

Teachers Can Use this Code?: If set to "No", the code will not appear when teachers enterattendance. It will be available for use by admins.

Sorting: Determine where in the list of codes the new code will appear. Put most frequently usedcodes near the top of the list. Note: If multiple codes match, the first one in the table is automaticallyselected.

Time students should be in attendance for this code: Set the number of minutes, by grade level,that students must be present in order to use this code. Note: Schools using automatic attendancecode selection must define attendance times in minutes for each code.

Time (minutes): Set minutes full and half school days.Full School Day: Min/Max number of minutes in attendance for a student to be countedpresent for a full day.Half School Day: Min/Max number of minutes in attendance for a student to be countedpresent for a half day.Grade Level: Note: If grade levels aren't specified, minutes are assigned for all gradelevels.Min/Max: Grade level range for this set of minutes.

8 Letter Templates

Create new attendance letters or edit provided templates to personalize them for your school's needs. Use the templates to generate printed letters or to send emails to parents regarding studentabsences. View, edit, delete letter templates or create new ones.

Main > Attendance > Letter Templates

View the existing template by clicking the topic link in the "Description" column. Letter Templates areaccessed from the Truancy and Perfect Attendance reports. They are also used when generatingnotification of truancy threshold violations. For more details see "Create Truancy Threshold".

EditModify template description, body, subject and print options. Mark templates inactive to preserve forfuture use.

10 Teacher Attendance Entry

In most schools, teachers enter student attendance into their gradebooks for at least one class. Depending on your school's operations, the attendance admin will either import the teachers' entriesinto the official record, or calculate the daily attendance at the end of the day. This is determinedduring setup when choosing your "Attendance Mode/Options".

A small school may manage all attendance in the office using daily attendance only.

Three modes of teacher entry are provided, based on which attendance mode your school uses.Teachers enter attendance for classes marked to "take attendance".Teachers enter attendance into "active" grading periods.

11 Period Attendance Console

Admins monitor and manage student attendance throughout the day from the "Period AttendanceConsole". Note: This capability is available for schools using either "Secondary" attendance mode.

The Period Attendance Console has much of the same functionality for both secondary modes. Outlined below are the common items for both modes.The unique details for each secondary mode are documented in their respective sections, "Console -Calculate" and "Console - Import". Additional details on managing attendance for students attendinga different serving school is covered in the "Multiple Enrollments" section.

Teachers enter attendance into their gradebooks at the start of each period. Admins view theirprogress from the console and remind teachers who haven't finished their entries. If necessary,admins can enter attendance for a class. This is useful when there's a substitute teacher that doesn'thave login permission. Throughout the day admins enter/update student attendance, recording theirin/out times and notes. Teachers can see students' attendance for every period of the day, along within/out/notes entered by admins.

Main > Attendance > Period Attendance Console

Unentered Attendance: In this portion of the console, admins monitor teacher attendance entry fortheir classes. Classes are shown when attendance has not yet been entered. At the beginning of anew period this will be most/all teachers. After the first several minutes of a period, the list ofteachers/classes should shrink to include only the few remaining teachers that still need to enterattendance. Admins can remind teacher to finish their entries, or enter attendance for them. Click ona class link to "Edit Attendance by Class". Note: The current period is highlighted in blue. Futureperiods are blank. Stats at the bottom of the table provide an overview.

Students: In this portion of the console, admins monitor student attendance and can quickly identifyabsent/tardy students. Using the "Show Students With" filters, view students with absences/tardies,notes, missing attendance, scheduling problems, and/or marked present. The "New" column shows

As students arrive late/leave early, admins update theirindividual attendance record. Click on a student link to "Edit Attendance by Student". Enter time(s) in/out, add notes, change an attendance code, fix an incorrect record, enter external attendance times. Teachers can view in/out/notes when entering their period attendance. Note: The current period ishighlighted in blue. Stats at the bottom of the table provide an overview. Use the "contacts" link toquickly find the student's contact information.

Enter Future AttendanceEnter an attendance code for multiple dates for one or many students. This is useful to recordextended attendance situations.

11.1 Console - CalculateBelow outlines details unique to the "Period Attendance Console" when your school attendanceoptions are set to "Secondary Mode: Calculate Daily Attendance". This mode requires that studentsbe fully scheduled in order to accurately finalize daily attendance. Each daily period must bescheduled. For a process overview see the "Secondary Workflow - Calculate" section in the "Attendance Overview".

At the end of each day, or the following day, admins will finalize students' period attendance and thenuse it to calculate the daily attendance. Missing period attendance can be auto-calculated and/ormanually entered. Update absent to excused/unexcused, as needed. Enter external minutes forstudents attending different serving schools. Once complete, calculate daily attendance from periodattendance and lock teacher entry to prevent further changes to the period attendance.

Calculate Daily AttendanceOnce period attendance is finalized, calculate daily attendance automatically from the periodattendance values. Time in attendance will also be calculated. Lock teachers to prevent them fromchanging period attendance after daily attendance is calculated. Note: For students with enrollmentsat different serving school(s), enter their "External Minutes" prior to calculating daily attendance. Formore details see the "Multiple Enrollments" section.

Some daily attendance values may not be automatically populated, requiring manual updates. Showstudents with "Missing Attendance" to find/enter missing daily attendance or for more filtering optionsrun the "Missing Daily Attendance" report. Teachers enter first period attendance each morning. Admins will then import first period attendanceto initialize daily attendance. Enter external minutes for students attending different serving schools. After the import, admins enter student in/out times and manage daily attendance only. Periodattendance can be entered into later periods, but it will not affect the daily attendance values. Teachers can view admin entries in their gradebooks and check for missing students.

Note: Set the period to be imported into daily attendance at Main > Scheduling > Bell Schedules >Daily Periods > Edit.

Import Period AttendanceCopy period attendance into daily attendance, the official school record. This is typically done at aspecified time of day, often first thing in the morning, just after teachers have had time to finish theirattendance. Note: For students with enrollments at different serving school(s), enter their "ExternalMinutes" to finalize attendance times. For more details see the "Multiple Enrollments" section. Note:If you have student’s on conflicting rosters, you'll need to resolve them before the import can becompleted. Resolve roster conflicts at Main > Attendance > Verify Attendance Rosters. Additionalimports can be done, as necessary.

11.3 Edit Attendance by ClassAdmins can enter attendance for an entire class from the "Period Attendance Console". This isespecially useful when substitute teachers take attendance on paper and admins enter it for them.

For all but the first period of the day attendance can be set to the previous period’s attendance. Thelikely attendance value can also be calculated based on other period’s values at the end of the day.

Absent students are highlighted and automatically sorted at the top of the page. Note: The sort ordercan be changed by clicking any column header.

Main > Attendance > Period Attendance Console > [Class Name]

Set Unmarked to:• Previous Period's Attendance: Use for all but first period to set the current period's attendance

value to the previous period's value.• Calculate Likely Value: Use at the end of the day to calculate the likely value for missing period

attendance. For example, if a student is marked present for several periods but appears blank for aperiod, SchoolInsight will fill in the value as present for the blank period, since that is the likelyvalue.

• Some attendance must be entered and missing codes surrounded by the same attendance valueswill be set to that value with the following exceptions:

If the last period of the day is blank it will be given the previous period's valuePeriods that fall during the entered time in/out are left blank and must be manually populatedFirst period is never automatically calculated

11.4 Edit Attendance by StudentAdmins can enter attendance for an individual student from the "Period Attendance Console". Asstudents arrive late/leave early, record their entries and exits, and add/update corresponding notes. Teachers can view this throughout the day, in their gradebooks, and compare it to their periodattendance.

Enter/update a student’s attendance details for the day by clicking their name on the attendanceconsole. Populate blank entries, fix an incorrect code, update absent to absent-excused/unexcused. Also useful to finalize attendance that cannot be automatically calculated.

Note: Attendance can also be entered by student on Main > Students - Single View > Attendance >Enter Attendance.

Main > Attendance > Period Attendance Console > [Student Name]

Shift: Populate all remaining periods with the current period entry.

Conflicts: Conflicts between daily and period attendance values are highlighted in red to quicklyidentify discrepancies. Determine if the entered values need to be corrected.

In/Out Times: Entering in/out times allows SchoolInsight to keep track of the number of minutes/hours that a student is present for the day. This will be used for attendance reporting. Based uponthe number of minutes in attendance, SchoolInsight will automatically select the appropriateattendance code when calculating daily attendance.

11.5 Enter Future AttendanceEnter an attendance code for one or more date/student. This is useful for recording extendedattendance situations, such as, vacation, long-term illness, etc. This is also useful to recordattendance when many students will be participating in a special, off-campus event, such as a classtrip.

Main > Attendance > Daily Attendance > Enter Future Attendance

Student(s): Enter attendance for single students, by grade level, homeroom, or group. Search forsingle student(s) to enter their attendance. Use the to add more students.

First Date: Enter the first day that the attendance code will be applied.

Last Date: Enter the last day that the attendance code will be applied.

Future Attendance: Enter daily and/or period attendance codes for the corresponding date(s). Note:For period attendance, also enter period start/end time. 11.6 Multiple EnrollmentsCreate multiple enrollments and then manage student attendance from the Period AttendanceConsole. Note: The minutes/hours a student is at a serving school can be defaulted for schools usingthe "Secondary Attendance" mode. For more details on setting up multiple enrollments goto the"Multiple Enrollments" section in Basic Setup, under "Students - Multi View".

The striped periods signify that a student is not at the home school for those periods. The studentmay be attending another serving school, or they may have custom start/end times set. For studentswith external school enrollment(s), set external minutes/hours when editing students' attendance orfrom the "External Attendance" page. You'll want to enter external minutes prior to finalizing dailyattendance.

Use [set] to quickly give students full credit for being present at their external school. Manually entera different value, when needed. Once set, the external minutes/hours are added to the instructional

Students don't need to be scheduled for periods when they are not at their home school. Periods thataren't scheduled show "External School" for students with external enrollments and "Not Enrolled" forstudents with custom start/end times when not enrolled. Note: Define enrollment details whencreating/editing the students, as follows: set FTE, minutes/hours at serving school and regular start/end times at the home school. This tells the system when the student is at their home school.

12 Daily Attendance

Daily attendance is the official school record kept by the office. This data is entered by theSchoolInsight admin either by importing the teacher's period attendance or manually enteringattendance. It is used to generate most attendance reports, including state reports. After dailyattendance has been entered, admins can send email to the parents of students who are absent,tardy, etc. This gives the school an opportunity to increase attendance levels by communicating withparents. This is done at Main > Attendance > Compose Attendance Email.

View/manage a chosen day's attendance. Use filters to customize information to view by grade level,homeroom, and/or serving school. Present/absent statistics are automatically calculated and totaledat the bottom of the page for the day.

Main > Attendance > Daily Attendance

Choose the academic year, date and grade level to view attendance. Note: Inactive students willappear in the list unless they have been assigned entry/exit dates.

Serving School: Enter attendance for student's home or serving school, as needed. Select "All" toview/enter attendance for all schools.

Mode: Enter attendance by"Date" for many students, or by "Student" for many dates.

Quick EntrySearch for students, then enter attendance codes, in/out times, and/or notes for one or more students. (See Student Search in the Basic Setup Guide for more details on searching.) Note: This willoverwrite any existing attendance values.

Period AttendanceGo to the 'Period Attendance' page to manage student/class period attendance.

Enter Attendance: (link) Enter attendance for a chosen student. Note: When entering attendancefor a single student, two sets of entry/exit times are provided.

Rosters: View all classes for which the student is on the roster.

Hide Present Students: Check to only show students not marked "present".

Note: Attendance can be entered throughout the day as students enter/exit the school. Attendance isoften entered in advance of a student’s excused absence (family vacation, scheduled medicalprocedure, etc.).

12.1 Import Period AttendanceWhen admins import period attendance, they copy the period attendance (usually entered byteachers) into the daily attendance (the official school record). This is typically done at a specifiedtime of day, often first thing in the morning, just after teachers have entered attendance into theirgradebook. This is the electronic equivalent of a student running an attendance slip up to the office.

Admins can view what teachers have entered and remind those missing period attendance to finishtheir entries.

Note: Remember, if you have student’s on conflicting rosters, you'll need to resolve them before theimport can be completed. See the “Verify Attendance Rosters" section for more details.

Overwrite existing daily attendance info?Check to overwrite existing daily attendance with the period attendance. Note: Typically this fieldshould remain unchecked, and only blank values of daily attendance will be updated.

Note: Prevent teachers from creating future attendance days to avoid problems when importingperiod attendance. This can cause problems if the import happens prior to teachers entering periodattendance, as all of the students would be marked present. This option is set at Main > Attendance >Options.

12.2 Enter Daily AttendanceSchoolInsight admins can also manually enter daily attendance. Choose the appropriate attendancecode and save.

Attendance reports are driven by the attendance codes selected. Notice the number in parenthesisnext to the code. This shows how much credit a student receives for being present that day. Adjustthe codes as necessary on the Attendance Codes page.

Also notice that entry/exit times can be set. This allows SchoolInsight to keep track of the number ofminutes a student is present for the day.

Search for a student to mass edit their daily attendance details for a chosen grading period.

Enter a daily attendance code per date, provide time in/out, as needed.

Total minutes (or hours) and the corresponding attendance code are automatically populated whentime in/out and/or external minutes/hours are entered.

Note: For students enrolled in a different serving school, you can also enter their external minutes/hours.

Set students external attendance to their "Present" default value or manually enter their number ofminutes/hours for each date. Note: Setup default external minutes when creating new or editingexisting students.

Once saved, minutes/hours will be shown on the students' daily attendance and added to any otherinstructional minutes.

You also have the option to set the corresponding attendance code after daily attendance has beencalculated or when using the Secondary - Import mode. Available codes will correspond to the totalminutes entered.

Group By: Group report information by demographic data such as, gender, grade level, race, etc.Also group data by month, resident school, as needed.

Below is an overall attendance report for a single day.

School Days: The number of days in each month where school is held.

Student Days: The number of days in each month where school is held multiplied by the number ofstudents enrolled during that period.

Student Days with Data: The number of student days for which attendance has been entered.

Note: For months that have been completed, the numbers for “student days” and “student days withdata” should be equal. If there is a discrepancy between these two numbers, your attendanceinformation contains incomplete data.

Days Present: The number of “student days” that are counted as "present".

Days Absent: The number of “student days” that are counted as "absent".

Attendance Codes: At the right side of the table are usage counts/percents for each attendancecode. All active attendance codes will be reported. To the right of each attendance code is thepercentage of “student days” where that code is applicable.
