What is SAVCO?

SAVCO® is a set Windows® based software products that are used by SACCOs, Credit Finance and

Micro Finance Institutions. The set of software products include SAVCO® Sacco & MFI software,

SAVCO® Live, SAVCO® SMS & Kazlipa® HR & Payroll Software.

SAVCO® is a real time integrated system which means that loans, shares, statements, income and

expenses and all accounting transactions are updated immediately. You get your results immediately

not at any period end.

SAVCO® is easy to use and very customizable such that all your requirements will be easily met.

simpler & complex finance environments that let you manage all activities of front-office & back-office

SAVCO® Deployment Technologies

SAVCO® is deployed in a distributed networked environment in Local Area Networks (LAN), Wide

Area Networks (WAN) and Virtual Private Networks (VPN) setup in our clients’ premises.

SAVCO® is also deployed as a cloud solution in our IBM Cloud hosted servers.

How to Acquire SAVCO®: Lease or Purchase License

SAVCO® can be acquired through a one-off license purchase or can be acquired as a service,

Software as a Service (SaaS). In Saas deployement, the client pays an agreed monthly/annual fee

for the software deployed as a cloud service in our IBM Cloud hosted servers, where 100% uptime,

speed and efficiency is guaranteed.

Business Activities It has product buying, reselling and revaluation for customers.

It is customized for customers specific need like appendages that can automatically read from

weighing machines or scanners for automatic data entry for customers produce buying e.g milk

weighing for dairy farmers SACCO, Tea weighing for Tea Farmers SACCOs etc

Customers may supply additional specifications they require and if they are not already there, they

are developed and tested and then included

Ledger Accounting & Budget Control SAVCO® accounting is flexible and allows you to structure your own chart of accounts by giving

broad blocks on which to build on. A template chart of accounts is provided to give you a good start.

Available functionalities handle all aspects of financial accounting, budgeting, reporting,

consolidation and transaction processing with the appropriate internal controls.

SAVCO® Reporting

Produces statements for members and customers that can be printed or saved as word excel web pages and acrobat files to be sent via e-mail.

Allows you online inquiries on balances, history and statements.

Gives loan loan/share statements that can have your logos implemented.

Allows special reports to print slips on special printers like the 60 0r 80 mm roll printers.

SAVCO® comes with standard reports and queries and users can add more or request more from service providers.

SAVCO® runs report files produced using Crystal Report Writer and does not have hard coded reports

within it which mean that all reports are independent files that can be customised for the users or by the

users themselves. There is a selection of rich standard reports that are deployed by the system. Users

can add own reports to the list if they have report writing knowledge of Crystal Reports. Additional

reports can be sent to users on request.

Send by Mail For example the system automatically generates member statement on any of the above format such

that users can be sent statements as mail attachment and thus saving on paper.

SAVCO® Cards & SMS Features; Allows Customers to use ATMS to withdrawal money or query saving balances and receive a mini-

statement. Allows Customers to use mobile phone SMS to query their Loan, Shares or Saving Balances It has excellent SMS handling facilities and supports ATMs and POS for non counter money

handling You can purchase items at retail sites such as super markets, petrol stations and other card

supporting sites

Automated Services & Processing - SAVCO® Live SAVCO® Live enables you set automated transactions or processing that include internal transfers,

standing orders, loan penalties etc

SAVCO Data Representation (Excel Imports & Exports): Remittances can be exported and imported through Microsoft Excel or Text Files

Automates regular charges, standing orders, loan penalties and any other user required automation.

Easy in data entry and allows storage of recurrent and repetitive transactions so that they are used

again without re-keying. This saves time and ensures accuracy.

Has all standard reports including those requested by regulatory bodies.

Can Import and export data to Microsoft Excel, Word, Internet, Acrobat and universal rich text

format.

Unlimited number of standard and customizable reports.

No Limit in number of users, members, customers, accounts, or transactions.

Has immense audit control on all records including creation date, modifying date, by who and when.

Does not limit you in the amount of data, both current and historical that you can store.

Remittances can be entered one by one or within a journal batch where several are entered before being

posted. Journals can be imported from Microsoft Excel or text files to be processed and posted. They can be

retained as recurrent such that they are re-used every periods with minor changes. The Excel Importing is

very advanced and users can design worksheets with formulas and forms that resemble their own office

documents.

SAVCO® Security Security is implemented by use of usernames and passwords.


Security is also achieved by use of usergroups & profiles that defines the specific roles & functions

of an individual or particular individuals

The system keeps an audit trail of all transactions

SAVCO® System Requirements

SAVCO® employs client server technology where it is installed in a user computer and is

independent of the database to be used. The same software connects to multiple databases either

of any type. The user makes the choice of where the data is stored and can e IBM DB2, Oracle or

Ms Access databases.

Oracle and IBM DB2 are used in a network environment and for medium and large organizations.

They allow hundreds of computers distributed locally or within a large geographical area to access

data. Software licenses and the databases are bought separately for large organization with large

number of members. However, there are free Express editions that can be used for small and

medium companies and have all functions of licensed full products.

Client User Requirements

The client can be installed on any PC running on any Windows version released after year 1999.

A Pentium PC with over 256 MB memory and over 20GB hard disk is preferred. Higher specifications personal computers will deliver better performance. We recommend memory of 512MB or above and disk space of 60GB or above for optimum performance.

Databases

Oracle and IBM DB2

Oracle and IBM DB2 are supported and should be installed in a Pentium 4 or above Server or workstation with a memory of 512MB or above and at least 80GB hard disk or above. The server should be running Linux, Unix or Microsoft Window servers. We recommend memory of 1G and above.

Flat Database MS Access Compatible

Ms Access compatible is a flat file database and can be placed in any server taking into account of available disk space for current and future growth.

Network

Any configuration of TCP/IP network will work. Local Area Network may work with any number of

computers as long as there is enough server memory. Bandwidth of remote connections should be


adequate and will be determined by the number of remote connections. Small bandwidths will make

remote computers respond slowly.

Standard SAVCO® Licensing & Support: Licence Notes:

o No Limit on Number of Users or number of sites. o SAVCO License is given to the entire organization. o SAVCO License is supplied and paid within initial cost. o SAVCO License is permanent - No annual or renewal fees. o SAVCO License is not transferable to other parties. o Free Oracle/DB2 database available for small and medium organization. o Oracle/DB2 Licenses can be obtained from Providers or Dealers. o Only Oracle/DB2 server licenses are required as SAVCO users do not need database

licenses. Support Notes:

o Annual Software Support Agreement is signed after the system is in production. o Support Agreement is necessary so as to receive updates and be assisted at all times. o Data Entry and Outsourcing (Maintaining, entering and Serving SACCO Customers) is

payable. o Data Outsourcing is charged at the lowest available rate in the market.


KazLipa® HR & Payroll Software (Supplied with SAVCO)

KAZLIPA® is a full featured payroll system with full capabilities and that is extremely easy to use. You can

use it to run your payroll whether you are a single company or multi-company organization because it

supports multiple hire and pay companies. That is, the software will produce reports for several other

companies within your group and enable payments at different times.

It produces all required reports and can export net payments to any bank. The format required by your bank

can be created by yourself or done by our team and then sent to to you to add it to the menu. It can also

export data to financial institutions, government agencies such as NSSF, NHIF and lets you configure all

these by yourself.

It will handle any payroll because the pay codes are easily added or modified by yourself. The software

comes with a range of pay codes that you can adopt and use or copy to make your own. They range from

earning methods, deduction parameters and taxation based on flat amounts, percentages, lookup tables or

combination of all these. They will cover all known area of concern such as employer contribution,

exemptions, relief, base or gross salary pegging, amount limiting, pension, hours, leave, overtime and so on.

You do not have to redo your salary every month because recurrent amounts whether based on formulas or

not can be done for you every month. You are also given the opportunity to run several trial payrolls until you

are satisfied before committing the final pay. The trial payroll can be based on an individual, a group or a

company.

Employee Information

With just minimal information, new employees can be setup and ready to be paid. Additional information, when available, can be added to the master file with our easy employee payroll set up system. The system allows only unique employee number and it is impossible to have duplicates.

Employee Lookups

A simple multifaceted employee lookup is available in all screens and locating employees can be done by partial first or last names, employee type, company or location. This lookup is used in the master file as well as during payroll input.

Multiple Pay Transactions by Employee

An unlimited number of pay earnings, deductions, taxes and other rates can be maintained for each employee. This is important if you have employees who work at different jobs with different rates of pay.


Historical Data

Historical data is recorded up to the capacity of your computers and the rest can be archived in MS Excel Formats. Reports can select from current and historical data – for example you can reproduce an employee’s tax card of several years ago.

Payroll Data Input

Import data from a time and attendance system – KAZLIPA can accept payroll input from any time clock or time keeping system that produces an interface.

Import data in Excel® format

KAZLIPA can import data entered into an Excel® worksheet. Use this feature to import hours, pay transactions, mass basic increments.

Trial Payroll

You have the ability to ask “what if” by running a trial payroll for an employee, pay group or the whole company. You can view trial payslips and reports and correct if necessary before running the final payroll.

Payroll Processing

Process payroll on your schedule – Since you control the payroll process, you process payroll at any time at your convenience. You can process one employee, pay group or single companies. Each pay group can be weekly, biweekly, monthly or any frequency you choose.

Supports three types of employee classifications: Salaried Hourly Rate Scaled Basic and Hour Rate.

Flexibility: Employees can have additional earnings, benefits, deductions taxes applied as an individual or

within their pay group. Service Vendors payment is supported and can be accumulated and sent separately. These are

third part recipients such government agencies, mortgage and credits firms, insurance and pension agencies etc

Allows you to define own pay codes that controls an individual or group pay transaction. Supports Multiple tax rate tables by pay groups or company wide Supports multiple companies or single company setup.

Reports: Report menus are user customizable and also supports own report development. Reports can be sent via mail electronic media and added to the system by the user. Payslips can be saved or sent via mail as attachments in Ms Word, Ms Excel, Acrobat PDF or Rich

Text. Authority tax forms are produced individually or company-wide and previous years can also be

accessed.

Value Adding Functions: Has customizable general ledger interface. Recovery of missed days from leave. Direct leave payment through payroll.

Comprehensive security such that: The database can only accessed by authorized personnel Each user has own profile and data view level Users can be restricted from viewing data of particular employees Users can be restricted from viewing certain reports Users can be restricted from viewing certain pay groups Users are restricted to own roles and menus It auto shuts itself if left unattended

Extremely easy to use and learn: You can include only those functions required by a user in a favourites menu such that they have
