A student came forward and said that there has to be a place to pray on campus. Said that for one person it is ok, but for any more than one person it does not work well. So a safe, private place to pray. Will reach out to facilities and the International Department to work with them on a solution for the new academic year.

1. Introduction & Welcome:

Jesse welcomed everyone to the meeting.

2. Election Results:

Anna Lueke has been elected as the incoming VP for Prince Albert campus. Campus Directors will be appointed in the fall.

3. Old Business:

i. Slow in-class computers and Wi-Fi & additional water fountains and water bottle refilling stations

Jesse has not been able to connect with Facilities regarding the water fountains. He has brought up the network, computer and WiFi issues with a number of different departments including Dr. Rosia and the Minister of Advanced Education. The Minister seemed concerned so hopefully there will be changes coming. In terms of in-class computers, that is a program concern and would be addressed by increased program funding. Anna will carry these concerns forward over the summer and into the next academic year.

4. Student Concerns:

No concerns were reported at the meeting but Jesse encouraged students to bring issues forward to him via email to [email protected] until the end of the academic year.

Campus cleanliness has been brought up multiple times throughout the year in all of the four campuses. Council has taken this issue forward to Facilities and Student Services but they have not yet received an adequate response so the issue was taken forward to the Minister of Advanced Education as well. Students are encouraged to take pictures of unclean facilities or unemptied garbage/recycling bins and send them to the SPSA.

5. Happenings/Events:

Jesse reported that the SPSA is going to host an additional pub night due to the success of the last one. This will be held at the end of the academic year, hopefully after all programs are finished writing their exams. Nadine plans to do a similar promotion as the “find the clover” campaign last pub. Prizes can be redeemed at the pub, to encourage students to attend. Discussion of whether there should be trivia as well. Most students thought we should try a pub without trivia. There will be music instead and free pizza as well. Tentative date is April 26th.

Stress Better activities and giveaways are planned from now until the end of April in the Student Lounge and the Canteen. There is a table set up in the Student Lounge with puzzles and activities and there are two Oxy Cycles set up in the lounge as well for students to use while they study or just to take a break.

If students think of anything they would like to see for the next academic year, including for Welcome Week, stop by the office or send Jesse an email.

Facilities concerns – Main Campus and Avenue W

Dallas received a response from the Ministry of Central Services which indicated that the newly contracted cleaning company was meeting the guidelines as set by their contract. Dallas has responded by requesting a copy of these guidelines. Staff is in the process of compiling the petition wording and will dependent on what is received.

Electronic Banking for Clubs

Carol indicated that the intent of banking through the SPSA is to ensure accountability and e-transfer may not be the most fiscally responsible when dealing with other individuals dollars. Carol will research other SA/SUs procedures and processes relating to electronic banking.

Construction Concerns at Main Campus

Dallas reported that he is awaiting a response to his correspondence. Students located in the basement have indicated that the sound is seems to be better however the ceiling fixtures including lighting seem to be hanging down and not really attached to anything. Carol will inquire with the Facilities Department as to the completion status of this area.

Library Study Room Rentals

Diane, Library Services indicated that they have looked into on-line student room bookings, however the

cost of the appropriate software is beyond their budget at this time.

Dallas reported that between 11:30 a.m. – 1:30 p.m. Thursday, September 6, 2018 has been booked off for all students to attend a “students meeting students” event sponsored by the SPSA.

Dallas asked for event ideas and members responded with the following ideas: photo scavenger hunt, trivia, balloon fight, dodgeball, debate club, carnival type fair down the hallway, mini intramural day, talent show, bands, beer gardens.

External Exhibitor’s hall could be more community based ie) inclusion of event type businesses like Apex trampoline, restaurants, parks, etc.

Dallas encouraged members to email any additional ideas to him.

Awards Night Questionnaire

Dallas asked for feedback regarding hosting an on-campus Awards Night. Awards presented could include citizenship award, class spirit, participation award, instructor excellence award, leadership award, etc.

It was noted that should an event such as this be implemented, that it be planned ahead of time and advertised on the membership on an ongoing basis beginning at the start of the academic year.

Membership agreed that the most effective way to communicate is through email. Dallas indicated that the SPSA must obtain the student’s permission to receive information from us and that system presently used to obtain such is a rather lengthy process. Members suggested developing online approval permission during registration. Dallas to further inquire about this option.

mywellness Program – needs additional advertising.

Close to 70% of the student membership were not in favor of supporting a Bus U-Pass option.

Rapid transit – is unclear of what the City is doing.

Tanvir introduced himself and called the meeting to order at 12:16pm .

2. Updates From January 16, 2017 Meeting Food Services/ Cafeteria Pricing

Cafeteria Pricing is too high, it is a common theme among campuses will be taken to Executive Council to bring forward to Saskatchewan Polytechnic.

A Student said that they need to offer vegetarian or Halal meat. Action: Executive Council ( Ongoing)

Fridge/Microwave in classrooms

Adeyemi contacted facilities and they are not actually supposed have the fridge or microwave in classrooms as they are a safety concern on campus, some of the equipment that was brought in was left by staff and was put in to the classrooms. Adeyemi said that facilities is looking into it and trying to enforce it. Adeyemi will see if the microwaves are still in the classrooms

The idea of a bus that runs from Regina to Moose Jaw and back came up again and it was explained that the cost is just too high for it to be considered an option, even if the fee was added in or part of the student fees, the student fees would have to increase dramatically, and there still wouldn’t be anything left for other events. Encouraged students to car pool if they are travelling between the two cities.

3. Bylaw 11: Section D

Carol explained the Remuneration & Honorarium Committee and the need for a student at large on each campus to sit on the committee. It was explained that it is an annual meeting to review the Executive Remunerations and Directors’ Honorariums. No student stepped forward at this time. If students are interested they are to give their name to the SPSA so it can be forwarded on to the VP finance so that the meeting date can be set.

4. Elections

Elections Open positions for the upcoming election: President, VP finance, and VP Moose Jaw : Carol explained the President, VP finance, are province wide and the VP campus Moose Jaw.

1. Introduction & Welcome:

Jesse welcomed everyone to the meeting.

2. Bylaw Changes:

Jesse provided information regarding several of the new bylaw changes.

Student Advisory Council has been changed to the Student Open Forum Assembly. While this bylaw change has passed, we will likely continue to hold the monthly Student Advisory Council meetings until the next academic year.

Directors will no longer elected during spring elections. They will be appointed by campus VPs in the fall.

VPs will work and receive training over the summer months, allowing them to be fully up to speed when the academic year begins.

3. Intercultural Week:

Holly Rivet, Student Services Program Head, provided an update on this year’s Intercultural Week activities on the Prince Albert Campus.

This year’s theme is “Intentionally Intercultural”.

A full listing of activities can be found on Sask Polytech’s website by searching “Intercultural Week”.

4. Old Business:

i. Open textbook initiative

The SPSA has taken this item as far as possible at this point. Sask Polytech is working to implement the open textbook initiative. If Sask Polytech does not implement it during the next academic year, the SPSA will continue to pursue.

ii. Slow in-class computers and laptops & additional water fountains and water bottle refilling spouts

Jesse is continuing to work on these concerns and has an upcoming meeting with Facilities. He will

report back at the next meeting.

iii. Fitness classes cancelled

Jesse met with Recreation Program Head, Lisa Davis to get more information about the cancelled fitness classes. Boot camp was cut due to attendance, however yoga will resume when the instructor is available again. If students would like to see boot camp return, they should express their interest to Lisa.

Justin requested a volunteer for the Remuneration & Honorarium Committee. This committee meets to review the Executive Remunerations and Directors’ Honorariums for the upcoming year. Anna volunteered for the committee.

6. Happenings/Events:

Jesse introduced the new Campus Manager, Nadine and noted that events on campus will increase with the filling of the Campus Manager position. Jesse noted that the SPSA is open to student feedback regarding events.

The next Pub Night is on Thursday, March 1st from 4pm to 6pm. There will be a trivia contest hosted by Justin during the pub with great prizes available for the winners and those who dress up in a sitcom-themed costume.

SPSA Ice Fishing Derby is on March 10th at Wakaw Lake. There are still a few spots available, interested students can sign up at the SPSA office.

A clover hunt will begin on March 8th to promote the St. Patrick’s Day pub on March 15th. Students who find a clover can redeem it for their prize at the pub.

Card tournament is scheduled for March 17th, however sign up has been minimal so far so there is a chance the event could be cancelled. Interested students should sign up at the SPSA office ASAP.

A discussion occurred about the best way to notify students about events. Jesse mentioned that we now have access to the student email list. It was noted that the App does not have updated information about events.

Pi day is on March 14th – details have not yet been finalized but Nadine is working on securing pie donations.

The next Paint Nite is on March 27th. It will be a 19+ event with alcohol sold.

7. Student Concerns:

The soap dispensers in the women’s washroom in the Academic Centre by the Canteen are not working. Nadine noted that Facilities is already aware of the concerns with this washroom.

8. Announcements:

Nominations for Spring Elections open on March 5th. A new Executive Council will be elected on March

21st. Jesse discussed the benefits of getting involved with student government and encouraged

interested students to come by the SPSA office for more information.

1. Introduction & Welcome: Marissa Introduced herself at called the meeting to order 3:58

2. Health, Safety, and Security

Debbie Lebert, from Health,Safety, and Security came and introduced herself and explained what health, safety, and security does. She asked if there were any concerns from any of the students in regards to what they would like to see done on campus or if there was anything that needed to be improved.

Debbie explained that that Saskatchewan Polytechnic contracts out the snow removal and that the campus is cleaned in sequential order and that the “Ice storm,” that happened was hard to get under control due to weather conditions, but sand was put down to try and help the slipping.

Marissa mentioned that she has a classmate who could benefit from a stepstool I the washrooms, and Debbie explained that there is one in the main bathroom by the cafeteria, but that they can look into getting another one near the students classroom.

Debbie encouraged students to come see her, if they have any other concerns, and pointed out her office. She also said that she would happy to come back to Student Advisory Council meetings and answer any questions that may arise.

2. Old Business:

SPSA survey participation for satellite campuses

Dallas is working with SPSA staff on the logistics of creating this survey.

Survey Monkey is now set-up

IT Services and Bookstore concerns

AVP Strohan has indicated that it is the program’s responsibility to provide the bookstore with up-to-date booklists and the bookstore places the orders accordingly. The request has been made to not only ensure that the book lists are current but also available for students to purchase prior to the start of the semester.

Facilities concerns – main campus and Avenue W

The ladies washroom in the basement by the elevator Still has no hot water. Students can’t perform proper handwashing techniques, which are a requirement of their program.

It was also noted that the basement washrooms are not being cleaned frequently enough. On occasion the paper towel and toilet paper Still not being replaced frequently and on occasion the rolls look like they have been wet already and students do not really want to use them.

Hospitality women’s washroom is also very unclean and they think there may be a possible sewer problem as there is a very bad smell.

Dallas will be taking concerns forward to the ministry of education at their next meeting. ACTION: Dallas

The main faculty office upstairs at Avenue W is now no longer accessible to students. The entrance door to the office is now locked and students are not able to talk with faculty as they previously could.

A student requested an ATM on the Avenue W campus as there are no establishments nearby for students to withdraw cash if they need it.

Slow Computers in the Library

The slow computers in the library have been fixed and Dallas will continue to monitor to see if the problem persists.

Electronic Banking for Clubs

The clubs were requesting if there was a possibility of getting electronic banking to make deposits easier so they do not have to walk around with large amounts of money on them. Action: Andrew

Bylaw Changes

SAC will be changed to SOFA (Student Open Forum Assembly) next year. Students are concerned if it is optional attendance will fall off, so wanted to know if they can still elect class members to attend these meetings even though they are open forum.

Slow WIFI on Campus

This is still an ongoing issue and there is little to no cell service in the basement Action: Dallas

Request for Volunteer for Remuneration & Honorarium Committee

Dallas brought forward but there was no interest from anyone in attendance. Dallas mentioned he will try and recruit someone from his program. Action: Dallas

3. Happenings/Events:

Pub night – March 1st, March 8th, March 15th.

Elections March 5th – Nominations open March 5th and packages can be picked up at the SPSA office. Voting will be on March 14th. For additional information or to learn about the different positions please come by the SPSA office.

Mindfulness Meditation Sessions: Student Development will be hosting meditation sessions to help students with stress and anxiety. Sessions will be help in room 128 on Main Campus; Tuesday at 3:00, Thursday at 12:00. These will be held until April 26th.

SPSA Ice Fishing Derby: This will be a joint event for students from Saskatoon and Prince Albert which will be held March 10th at Wakaw Lake and will run from 10:00-2:30. There are a maximum of 50 spots available for sign up at the SPSA office. Students will be responsible for their own transportation.

Intercultural Week will be happening March 20th – 23rd. The website is set-up if you are looking for further information.

The Recreation & Community Development Program will also be holding a pub crawl on Sat March 10th

and a Floor hockey tournament on March 16th. For more details or contact Dallas at

4. Student Concerns:

Students were concerned with the missing tiles in the basement as it is making very hard to focus in class as you can hear everything going on in the next classroom and if that teacher is louder it is very difficult to focus on their instructor. Students are also being told by their instructors to be quiet when outside the classroom because the students can hear them, especially after exams when students are discussing the exam. They are wondering if there is anything that could be done, even if it is moving to a new classroom.

Workers are leaving a mess like handprints on the wall, garbage on the floors and are failing to put signs up when a male worker is working in the change room. There has been a few times where they would walk in and there were male construction workers in their change room. They did leave when asked but would like it if signage could be posted.

Students are concerned with the temperature in Henri’s as there is cold air blowing from the vents and make it very uncomfortable to sit there. Requesting that be looked at so that students can continue to use the lounge.

The mats at the front doors are becoming increasingly dirtier with the warmer weather and are wondering if they could be changed more frequently as the tracking is adding to the uncleanliness in the building.

Students are wondering if the visitor doors could be opened earlier than 8:00am as they do arrive earlier than 8:00 and find it an inconvenience to walk to the front set of doors

Students are wondering if they would be able to rent the study rooms in the library online so they do not have to wait in the long lines that occur. They would also like to know if better sound proofing could be installed in the study rooms as they are very noisy.

2. Updates From Nov 21, 2017 Meeting City Transit- Bus Routes

Suketu explained that council had a conversation with AVP Strohan, regarding transit between Regina and Moose Jaw Campuses; private organizations are too pricey even to subsidize.

Timing of the in City Transit Routes- Suketu explained that the City of Moose Jaw’s schedule is pretty set, that they can’t change the schedule just for Saskatchewan Polytechnic.

Question was raised by a student is it would be possible for Saskatchewan Polytechnic to buy a bus for transportation between Regina and Moose Jaw.

Other side is café is now open until 5:00pm and is now offering meals after school.

Will mentioned that facilities is also looking into getting a vending machines outside of the Other side café that will sell sandwiches etc, rather than just chips.

Not much to update on this matter at this time.

Cafeteria Pricing

Sask Poly sets price, they are matching prices to sales. Sales are low in the cafeteria. Students are saying that the pricing is still too high.

Was mentioned that there is not a lot of options for students, as they cannot walk to get something from somewhere else as well.

Asked the cafeteria to serve more food options for different cultures and beliefs. Action: Council ( Ongoing)

3. Student Concerns for Discussion

Students are concerned that there are not enough activities on campus for students. More extracurricular. Looking into games night, suggested that he set up a Campus Club.

1. Introduction & Welcome:

Jesse welcomed everyone to the meeting and thanked everyone for attending.

2. Campus Directors vacancies:

Justin has assumed the role of VP Finance and Internal Operations and Parampreet has resigned due to school commitments so there are two vacant Campus Director positions. Jesse explained the role of the Campus Director and answered questions. Megan Yelland and Alyssa Unger were appointed the new Campus Directors.

3. Old Business:

i. Open textbook initiative

This item has been brought forward to Senior Administration and Jesse will have an update from AVP Dennis Johnson at the next meeting.

ii. Slow in-class computers and laptops

iii. Additional water fountains and water bottle refilling spouts

Further feedback has been received since the last meeting. There are no water fountains on the east end of Technical Centre. They’re all located right in the middle of the building on the lower and upper levels, none on the wings. There are only two in the Academic Centre. Overall it was noted that there could be more water fountains and more filling spouts added to existing fountains. Jesse will discuss this with Facilities.

4. Happenings/Events:

SPSA Ice Fishing Derby is on March 3rd at Wakaw Lake. Sign up deadline is February 23rd, see the SPSA office for more details.

SPSA Shinny Tournament is on February 10th in Corman Park. See the SPSA office for more details.

5. Announcements:

CICan 2018 Art Show call for talent. Vanessa will forward the email to interested students.

Indigenous Student Council will be selling candy grams from January 30th to February 12th. Tickets are $2

each or 3 for $5. They will be set up in the Technical Centre on February 5th and 7th, all other days are in

the Academic Centre. Jesse reminded the student that as a ratified club they are able to post their

advertisements on our bulletin boards.

6. Student Concerns:

A student mentioned she was having a conflict with one of her classmates. Jesse encouraged her to speak to her instructor about the concern and if it isn’t resolved, contact the Advocate.

A student reported that his class would like to have scheduled time in the gym as part of their program curriculum. Vanessa suggested he discuss this with his program head and get in touch with Lisa Davis to see if a gym class would be possible in their second year.

A student reported that the bootcamp fitness class was cut. It was noted that attendance was lacking a bit at the end of last semester but there were still students participating. Jesse will investigate.

The temperature in GIS lab is way too warm and students are having to leave the class to cool down. Campus Council will investigate.

The IRM students are taking a course where they earn credit for attending cultural events. The course didn’t start until second semester so the students missed the opportunity to attend and earn credit for events in the first semester. A Corrections student commented that her program takes a similar class but they were provided the information at the beginning of the year so even though the course isn’t until the second semester, they are able to earn credit in the first. The student will discuss this with his program head.

A student raised a concern about the lunch prices in the cafeteria. This issue has been discussed previously and Jesse reminded students that the cafeteria offerings are part of the Culinary Arts curriculum.

3. Request for Course Outlines • The Advocates are doing a second round of collections for course outlines to see if the issued raised in

the Fall semester have been addressed. If anyone is willing to share their course outlines they can be sent directly to Tara at [email protected] or dropped by the SPSA office.

• Bell Let’s Talk: Student Development is promoting Bell’s event to help raise awareness on mental health issues. Programs are welcome to pick up “speech bubbles” from their office to share positive messages to the rest of the campus community. The bubbles can be returned to the Let’s Talk table which will be located outside the SPSA Office (room 119) on Jan. 30 from 11:00 – 1:00. Participating programs will be entered to win a pizza party for up to 35 people.

• The counsellor’s are also open to assisting students who may have additional mental health initiatives they would like to put forward. They are always receptive to helping students and can even help apply for funding that would assist with these ideas.

Lunch and supper will be provided and the will be a beer gardens on site (at $4/beer). Teams are guaranteed four games and can sign up at the SPSA office.

• SPSA Ice Fishing Derby: This will be a joint event for students from Saskatoon and Prince Albert which will be held March 3rd at Wakaw Lake and will run from 10:00-2:30. There are a maximum of 50 spots available for sign up at the SPSA office. Students will be responsible for their own transportation.

• SPSA Student Elections: All positions within the SPSA will be open for any students interested in running for a position. Nominations are open from February 26th through March 9th, voting will be on March 14th. For additional information or to learn about the different positions please come by the SPSA office.

• The Recreation & Community Development Program is having a steak night fundraiser on February 4th at the Sutherland Bar. See their Facebook Page for more details or contact Dallas at [email protected]

• The Recreation & Community Development Program will also be holding a pub crawl on Sat February 10th and a Floor hockey tournament on a later date. For more details or contact Dallas at [email protected]

• Dallas communicated that he is hoping to start an Environmental Club on campus with a focus on energy conservation, recycling, waste reduction and so on. Anyone interested in joining can contact Dallas at [email protected]

5. Student Concerns: • Students were asking if there could be some type of electronic banking available to clubs. At times clubs

may have upwards of $1000 dollars and they are uncomfortable having this type of money on campus. Could there be an option of PayPal or e-transfers to eliminate this issue.

Action: Dallas • Students are requesting that the availability of hand sanitizer and tissues be increased on campus.

Action: Campus Council • The question was raised about scholarships for international students. There are a number of

scholarships available and students can learn more about them through Coralee in the scholarships department or through Candice in the International department.

• Students are struggling to stay focused in class due to the low temperatures, particularly in the library. Action: Campus Council

Facilities is working on getting a vending machine that serves sandwiches’ etc, so students have options of where to eat after hours.

Concerns were raised about getting coffee makers in classrooms and it was explained that there are different options around the school for coffee and it would be a liability/safety issue.

Question was raised about changing the time of Thirsty Thursday, from 3:00 to 5:30 to about 4:00 to 7:00pm, and the frequency so that it could happen weekly. Adeyemi explained that we will be looking at changing the time and frequency in the new school year.

A question was raised about the number of courses that are offered at each course. It was explained that it depends on needs base.

3. Happenings/Events:

Intercultural Week started yesterday. A full listing of events can be found on the Sask Polytech website.

Elections are tomorrow. Students can vote at the SPSA office with a valid student ID card. Students suggested that the SPSA set up online voting or voting through the AskPoly App for the next election, as this would see an increase in voter turnout.

Vanessa asked students when they are writing their exams and what week would work best for Stress Better activities. Students indicated that the weeks of April 9th and April 16th would work best for them.

Students have requested an additional trivia night before the end of the academic year. Nadine asked what other events students would like to see in the next month or so. The hidden clover campaign to promote the last pub was very well received. The plan will be to do a Movie Trivia night with prizes on April 5th and one last pub before the end of the year. If students have any other ideas they should get in touch with Nadine.

Paint night is on March 27th. It is full as of right now but there may still be a couple of spots open for students who contact Nadine ASAP.

Dallas has sent a letter to the Ministry regarding the ongoing concerns; he has yet to receive a response. He also noted that the Executive Council will be meeting with the Minster of Advanced Education on the 22nd and may have an opportunity to personally address the issue there.

Electronic Banking for Clubs

The clubs were requesting if there was a possibility of getting electronic banking to make deposits easier so they do not have to walk around with large amounts of money on them. Andrew was working on this but is no longer with the organization. Dallas will speak with the SPSA General Manager to help explore the option.

Slow WIFI on Campus

Dallas has brought the concern forward to Sask Polytech and they will be working on improved signals over the summer.

Construction Concerns at Main Campus

Students are frustrated that there is still no ceiling in the basement and it is disruptive to class. Further, the rooms are not being cleaned after the workers are done for the night. It was discussed that the work being completed will help to address some of the previous concerns that have been brought up but it does not help with the disruption to the class time.

Students are prepared to take additional action to address this ongoing issue and so starting a petition to present to the Ministry was discussed. Dallas is going to bring this up to Executive Council who will assist in drafting up a statement for students to bring back to their classes to sign.

Library Study Room Rentals

Dallas has a meeting with the library next week to discuss the option of on-line booking and improving the sound levels. He will report back.

2. Updates From September Oct 21, 2017 Meeting City Transit- Bus Routes

Suketu explained that council had a conversation with AVP Strohan, regarding transit between Regina and Moose Jaw Campuses; private organizations are too pricey even to subsidize. Council is still looking into the matter

Suketu explained that council met with AVP Strohan, and the concern was brought up that the cafeteria is not open long enough, the reason provided was that it was not feasible to run the canteen. Other side café is now open until 5, council continues to look into the matter

Questions are still raised why the cafeteria closed early and not over summer months. Action: Council(Ongoing)

Library Hours:

Suketu explained that council met with AVP Strohan , the issue is feasibility, and paying of staff.

3. Open Textbook Strategies

Explained the idea of an online textbook version for text books with option of printing the book off.

4. Awards Night

Explanation of what the awards night could look like .

Question was raised if it was a “South” Campus Location where would it be held, and who would come to either location, which raised the point of taking switching back and forth each time.

The thought that it would be difficult to attend outside of class hours as well

Question was raised if it was yearly- who would attend. A lot of people are off campus if it only happened once a year. A lot of students would be on a work term

Jesse welcomed everyone to the meeting and announced that this will be the last meeting until the New Year.

2. Old Business:

i. Cafeteria food prices and offerings

Jesse did bring concerns regarding the cafeteria food prices and offerings forward at his most recent meeting with AVP Tobi Strohan who said she would investigate and get back to us.

ii. Workout room space

Jesse reported that according to AVP Strohan, the Prince Albert workout room space is on the list of facilities improvements being considered by Sask Polytech. It is being discussed very seriously and there is a plan in place for improvement, however she is not able to officially comment as to if or when any changes will be made at this time. The next meeting with AVP Strohan is in January. Jesse will report back to members after that meeting.

3. Campus Council Reports:

4. Open Textbook Initiative:

Jesse explained the Open Textbook Initiative that is being pursued by many post-secondary schools. The idea is that the textbooks for courses that are standard or common among many programs should be freely available to students. The SPSA would like to raise awareness about this initiative to push it forward to Dr. Neufeld but it will need student support. Students commented that they are in favour of the initiative and that using social media or sending emails out to Program Heads would help to spread the message. Jesse will discuss these ideas with Executive Council.

ACTION: Jesse 5. Awards Night:

Last year there was no Awards Night held in Prince Albert as there had been in previous years and Jesse noted that he is hoping to reinstate it this year. The idea is to separate the event into North and South and combine the Saskatoon and Prince Albert campuses into one event. Students commented that they would like to see the event again this year, however a concern was raised about attendance if it is only held on one campus.

6. Request for Feedback on SA/SU Structures:

Jesse informed members that there was a discussion at the most recent General Council meeting about potentially revising the current SPSA Governance structure, particularly Student Advisory Council.

Research was done into other Student Association and Student Union Governance structures. Many had more purposeful appointments or elections of student representatives than our current structure. Jesse asked members for feedback on if there were any ways that our current structure could be improved. Jesse can provide the research to members so they can review it more closely and provide feedback.

7. Assessment of Part-time Students for Health and Dental Plan:

Jesse explained that currently, only full time students in core programs are assessed the Health and Dental plan fee. Part time students are eligible to opt in, however they must pay for it on their own. It is not listed on their tuition and so it cannot be covered by a student loan if that is how the student is paying for tuition. The SPSA is currently investigating the potential of automatically assessing part time students and is requesting feedback from students. There were no part time students present at the meeting, however members commented that this was a good idea.

8. Happenings/Events:

Jesse proposed an idea of a Christmas movie night on December 5th or a Christmas themed pub night or December 7th. Members are encouraged to ask their classmates for feedback on either event so the SPSA can decide how to proceed.

A student proposed the idea of Candy Cane grams that could be purchased through the SPSA and delivered to classmates. Jesse will look into this as a potential event for the Prince Albert campus.

The SPSA is interested in hosting an Interprovincial Tournament. The game is yet to be decided but the idea is that students from all four campuses would compete against each other in an attempt to bring the campuses together. Each campus would hold its own tournament and once a winner is selected on each campus, they would compete against students from another campus. Jesse asked members what game they would like to see and whether they thought this was a good idea. A student suggested a weekend for the final as a way to get more student participation and make it more of an event.

Vanessa once again requested volunteers for the Intercultural Week planning committee. Interested students should email her so she can provide them with more information.

9. Student Concerns:

A student commented that the SPSA office has often been closed during the lunch hour over the past few weeks. Jesse commented that we have been short staffed lately but he will investigate to ensure the office is remaining open.

A student reported that the in-class laptops are very slow and students are often times not able to log on. Campus Council will investigate.

Many of the concerns brought forward by Avenue W students have been previously investigated over the years. Campus Council would like an opportunity to gather information on the past histories of these concerns and a meeting will be set with Avenue W students on their campus to report back as well as discuss strategies for pursuing these concerns further.

3. Campus Council Reports:

Ankita has been working to resolve concerns brought forward at the last meeting with Facilities. She also continues to work with Al Peterson on the potential to have a fitness centre at the Avenue W campus.

Arushi worked with Andrew to address the microwave concerns.

4. Request for Feedback – U-Pass:

Ankita provided an update to this item and reported that Dallas recently met with Saskatoon Transit. They are willing to discuss a U-Pass option for Sask Polytech students, similar to what students at the U of S have. Students would be assessed a mandatory fee for the U-Pass and they could opt out only if they meet certain criteria. Saskatoon Transit is not interested in prorating the fee based on program length, however they would consider one prorated rate for programs less than 6 months. Ankita asked students for feedback. A student from Avenue W commented that the majority of students on that

campus drive to school and likely would not utilize the U-Pass. Another student commented that she feels many students would be open to it if the bus routes were improved. Student feel there should be a vote to decide whether to implement the U-Pass.

5. Open Textbook Initiative:

Vanessa explained the Open Textbook Initiative that is being pursued by many post-secondary schools. The idea is that the textbooks for courses that are standard or common among many programs should be freely available to students. The SPSA would like to raise awareness about this initiative to push it forward to Dr. Neufeld but it will need student support. Students commented that they are in favour of the initiative and that using social media or holding a forum to provide students with more information would help to spread the message.

6. Awards Night:

Tara explained that the SPSA used to host an annual Awards Night. The SPSA would give away awards for student leadership and participation, intramural, athletics and instructor excellence. Over the years students lost interest and stopped participating in the event. The SPSA is currently wondering if there was enough interest to bring the event back. A suggestion was to make a big event out of it, perhaps with semi-formal attire, different types of awards, food and drinks.

7. Request for Feedback on SA/SU Structures:

Ankita informed members that there was a discussion at the most recent General Council meeting about potentially revising the current SPSA Governance structure, particularly Student Advisory Council. Research was done into other Student Association and Student Union Governance structures. Many had more purposeful appointments or elections of student representatives than our current structure. Ankita asked members for feedback on the current structure of the Student Advisory Council. Students said they like the drop in nature of the meetings and indicated that they all report back to their classmates with updates after the meetings. Students indicated that they aren’t looking for more responsibility within the SPSA, even if there was compensation involved.

8. Request for volunteers for the Student Appeal Committee

Tara once again explained the Student Appeal process and requested volunteers for the Student Appeal Committee. Students who are interested should contact Tara.

9. Assessment of Part-time Students for Health and Dental Plan:

Ankita explained that currently, only full time students in core programs are assessed the Health and Dental plan fee. Part time students are eligible to opt in, however they must pay for it on their own. It is not listed on their tuition and so it cannot be covered by a student loan if that is how the student is paying for tuition. The SPSA is currently investigating the potential of automatically assessing part time students and is requesting feedback from students. Members indicated they felt this was a good idea.

10. Happenings/Events:

Pub night – November 23rd

Movie night – December 5th

The SPSA is interested in hosting an Interprovincial Tournament. The game is yet to be decided but the idea is that students from all four campuses would compete against each other in an attempt to bring the campuses together. Each campus would hold its own tournament and once a winner is selected on each campus, they would compete against students from another campus. Ankita requested feedback from students. Suggested games were Cribbage or other card games, ping pong, foosball, billiards or darts. A student noted that hosting these events on a weekend would be best. Questions were raised about transportation between campuses for the events. Another student commented that there would need to be enough advanced notice for the events so students can plan their schedules accordingly, as well as a good prize as an incentive for participation.

11. Student Concerns:

A student raised a concerns about an incident that occurred in his classroom. Students who did not have their textbook with them in class were asked to leave. The program held a meeting afterwards and informed students that sharing textbooks is a copyright infringement, however they have not provided students with any policies or anything in writing that says they must purchase their own textbook. Vanessa will look into this issue with the students.

The ladies washroom in the basement by the elevator has no hot water. Students can’t perform proper handwashing techniques, which are a requirement of their program.

It was also noted that the basement washrooms are not being cleaned frequently enough. On one occasion the paper towel and toilet paper had not been replaced for days.

There are no garbage cans or recycling bins in the area around the B2.2 classroom. Lots of recyclable material is being thrown in the classroom garbage cans.

The washrooms in Hallway 10 have very low water pressure. ACTION: Campus Council

A student requested an ATM on the Avenue W campus as there are no establishments nearby for students to withdraw cash if they need it.

The main faculty office upstairs at Avenue W is now no longer accessible to students. The entrance door to the office is now locked and students are not able to talk with faculty as they previously could.

3. Updates From September 12, 2017 Meeting Parking:

Adeyemi gave an update on the parking situation. He said that he spoke with facilities and that they only sell 92 parking passes and there are 150 parking spots.

Michelle explained the Supplemental Policy deletion and the passing grade change this year and asked that if any student had their course outline’s to either email them to her, or take a picture of them and send them.

Renovation Update:

Adeyemi gave the update on the swing space completion as well as the future renovations for the SPSA office are hopeful to be done by January 1, 2018.

City Transit

Still complaints that the timing of the bus route does not work for students and class schedule. Campus Council will be tasked with getting in touch with Moose Jaw transit to try and solve this issue

Host Program For International Students

Apoorav explained that there is a club being started for International Students, which opened the discussion to Adeyemi on how to start a club and the benefits of being part of a club.

5. Student Concerns for Discussion Food Services

Students have concerns that there is no food service available on campus after certain hours in the afternoon, so if they are staying on campus to study or have late classes there are no food options. Campus Council to look into the operating hours of Other Side Café and the Cafeteria.

1. Introduction & Welcome:

Jesse welcomed everyone to the meeting.

Jesse announced that Justin Skwark and Parampreet Singh were elected as Campus Directors in the by-election on October 4th.

2. Old Business:

i. Cafeteria food prices

Jesse visited the Regina campus during elections. He noted the cafeteria on the Regina campus is very nice with many more options than the Prince Albert campus cafeteria. If this is something that the students would like to approach Sask Polytech about, Jesse feels the approach should be an argument of equality among campuses. Campus Council will collect more information about what other campuses have for food offerings before deciding how to proceed.

Jesse also noted that the Canteen is currently closed because there is a problem with the gate and it is posing a safety issue. As soon as Facilities is able to repair the gate, the Canteen will reopen.

ii. Additional student events

Jesse noted that attendance at events on the Prince Albert campus, particularly pubs, has been very low. Before committing to additional events that may end up costing the SPSA money, we need to see better participation during the events that are running currently. Jesse noted that it would be best to start with events that are low-cost, and when participation increases, we can try more events.

iii. Ideas for better communication of events and services

The SPSA is currently using posters, the Ask Poly app and social media to communicate events and services to students. The SPSA currently does not have access to students’ email addresses, however access to this has been requested to Sask Polytech.

One student suggested that SAC members send out emails to their classmates.

Another student suggested ensuring that each poster board has all of the advertisements on it, as some students only see the same poster boards near their classrooms.

Jesse suggested a group chat with SAC members.

3. Campus Council reports

Jesse explained how Campus Council will be reporting on their activities to the students. Going forward, the Campus Council reports will be sent out to SAC members with the agendas prior to each meeting. SAC members are asked to hold Campus Council accountable.

4. Academics

Tara explained the former Supplemental Policy that has been deleted this year, and also explained the new passing grade and GPA requirement. Tara expressed concern that many students may still be unaware of these changes and she has an upcoming meeting with the SPSA President and AVP of Student Services to discuss how these changes are being communicated to students. Tara explained that all core programs should provide their students with course outlines which provide all of the important information the student requires. Tara asked if any students would volunteer their course outlines for her to take a look at. The hope is that the next course outlines that come out in January will have all the correct information and that these policy changes are communicated properly to students in the future.

Tara explained the Student Appeal policy and how formal Level Two appeals work. The Appeal Committee is comprised of two faculty and two students who hear and render decisions on Level Two student appeals. The SPSA is responsible for collecting names of students who are willing to serve on the Appeal Committee. These students would be contacted in the event that a Level Two appeal does go forward on their campus. If a student is not available, the next student on the list will be contacted. A student will never be asked to serve on a committee where the appealing student is in the same school. If a student is willing to serve on the committee, they can speak to Tara or Vanessa about it.

5. Facilities

A student commented that the current workout room is very small. Jesse noted that the other three campuses all have bigger and better fitness facilities than Prince Albert. Jesse noted that this will be put forward to Sask Polytech in their discussion for facilities improvements

6. Happenings/Events

Trivia Night – Date TBA. Advertisements are coming and Jesse will inform all SAC members.

Pub Night – November 16th. Jesse requested feedback from students on ideas for themes or ways to improve pubs. Board games and foosball were suggested and perhaps a tournament could be set up to keep students coming back to future pubs. Another student suggested handing out coupons for free pop and pizza at the pub to encourage students to come. Another student noted that the times for the pub should be reviewed as 3:00 to 5:30 p.m. is not conducive to all schedules. Intramurals also take place on Thursdays after school.

Paint Nite – November 14th. At least 15 students must sign up for this event to go ahead. The cost for students is only $10, which is heavily subsidizes. There will be no alcohol served at this event to accommodate all ages. Sign up in the SPSA office.

Vanessa requested feedback on the Welcome Week activities as well as volunteers for Intercultural Week. As many students had to leave at this point in the meeting, these requests will also go out in the email to all members with the minutes.

Water Fountains

Crystal talked with facilities, who said that Sask Polytech had a water quality analysis done, Crystal has a copy, for anyone who would like to see. Water is safe for consumption but they continue to look into the metallic taste.

Smoking Areas

Crystal explained that Sask Polytech is trying to keep the Smoking Pit area clean and keep smokers in the designated area.

Lockers

No clear answer and no control over size of lockers, The lockers were put wherever they could fit.

Faculties:

There was a complaint saying that people are parking incorrectly in the parking lot, making it hard for other students to find parking.

No cameras on the bike lock areas, bikes have gotten stolen and there is nothing that can be done.

Absences:

A student said that he was marked absent due to weather last year and mentioned that this should happen on a sliding scale and circumstances should be taken into consideration. Michelle explained that if this becomes a problem to come to the Student Advocate for help

i. Microwave at Avenue W

Andrew did get a new microwave and it is on its way to Avenue W. A student reported it was the outlet that wasn’t working, not the old microwave. A new outlet is now being used.

ii. SPSA survey on satellite campuses

Dallas is working with the SPSA Marketing Manager to develop an additional survey as the current survey doesn’t reflect the satellite campuses well. This work is ongoing.

iii. IT Services and Bookstore Concerns

Dallas reported that the Executive Council will be meeting with AVP of Student Services, Tobi Strohan and they will discuss the IT and Bookstore concerns with her at that time.

3. Campus Council reports

Dallas is currently working with the City of Saskatoon Transit to investigate the option of a U-Pass for Sask Polytech students. Dallas asked SAC members whether they thought this would be a good idea to pursue. There were a few concerns noted. The bus routes would likely not change so it may not be a good option for students at the satellite campuses. The U-Pass may not be able to be prorated so students in shorter programs would have to pay the same amount as students in full-year programs. A decision would also have to be made as to whether students on clinicals or work placements would be able to opt out of the U-Pass.

Dallas also attends Program Council meetings and plans to bring forward the concerns about the new passing grade at the next meeting.

Dallas announced that there are now SPSA representatives at all four campuses which is very exciting and should strengthen the voice of the student body.

Dallas will be visiting the satellite campuses regularly to answer questions these students may have.

Ankita has been investigating the option of a fitness centre at Ave W. She is waiting on a response from the student who proposed this idea initially. This work is ongoing.

4. Academics

Tara explained the former Supplemental Policy that has been deleted this year, and also explained the new passing grade and GPA requirement. Tara expressed concern that many students may still be

unaware of these changes and she has an upcoming meeting with the SPSA President and AVP of Student Services to discuss how these changes are being communicated to students. Tara explained that all core programs should provide their students with course outlines which provide all of the important information the student requires. Tara asked if any students would volunteer their course outlines for her to take a look at. The hope is that the next course outlines that come out in January will have all the correct information and that these policy changes are communicated properly to students in the future.

Tara explained the Student Appeal policy and how formal Level Two appeals work. The Appeal Committee is comprised of two faculty and two students who hear and render decisions on Level Two student appeals. The SPSA is responsible for collecting names of students who are willing to serve on the Appeal Committee. These students would be contacted in the event that a Level Two appeal does go forward on their campus. If a student is not available, the next student on the list will be contacted. A student will never be asked to serve on a committee where the appealing student is in the same school. If a student is willing to serve on the committee, they can speak to Tara or Vanessa about it.

5. Facilities

A number of facility concerns were raised about the main campus:

In the Hospitality the locker room, the showers are not working and caution tape has been up around them since last year.

The basement locker rooms are too hot and there seems to be a ventilation issue.

The computers in the library are extremely slow. Classes who use the computers lose valuable class time waiting for them to load.

A student inquired whether there could be a microwave on every floor in the seating areas outside the elevators. Students who have classes on the fourth floor do not want to travel all the way down to Henri’s to use the microwaves and often times there are long lines for the microwaves.

There were also a number of concerns raised about the Avenue W campus:

WiFi is very slow in most areas.

The washrooms are shared with the high school students. They are often unclean and lines are very long because so many students are using the same washroom.

The students are only permitted to access to cafeteria for a short period of time each day and the times sometimes don’t line up with their break times.

6. Happenings/Events

Thirsty Thursday – October 26th in Henri’s.

Paint Nite – November 15th in Henri’s. Sign up in the SPSA office soon as last year all the spots were filled very quickly.

Dallas is attending a Sask Polytech Welcome Week debrief meeting and asked for student feedback on the Welcome Week events. One student reported that he liked the social media contest. Other students noted that much more advertisement and awareness of the events. Students would like for the communication to come to them via email rather than having to look on social media or mySaskPolytech. Avenue W were not included in many of the events.

Vanessa requested volunteers for Intercultural Week, happening in March. This is a week-long event across all four campuses featuring many different events. The planning committee meets every three weeks or so starting on November 9th over the lunch hour. Interested students can contact Vanessa for more information.

1. Introduction & Welcome:

Vann introduced himself, welcomed everyone to the meeting and explained the purpose of Student Advisory Council.

2. Facility Improvements

Vann announced that Sask Polytech is working on a master plan for facility improvements for all four campuses. Vann asked students for their input on facility improvements for the Moose Jaw campus.

A student commented that there seems to be less parking on campus this year. It was mentioned that residents in the neighbourhood may be petitioning the city to permit the area for resident only parking, which would reduce student parking even further. Will commented that there have been some restrictions put in place by the city of Moose Jaw due to fire regulations. There is no more available space to build an additional parking lot on campus. A student asked whether there is enough parking to accommodate all students, as it has been noted that some monthly permit holders have been unable to find parking in the lot when they arrive in the morning. Will and Michelle will investigate the city’s plan for parking in the neighbourhood. They will also ask the book store how many monthly parking passes are sold, how many parking spaces are available and whether the book store communicates to monthly pass purchasers that parking on campus is first come, first served regardless of whether you have a parking pass.

This will be a recurring agenda item for future SAC meetings to continue to discuss potential facility improvements for the Moose Jaw campus.

3. By-Elections

Vann informed students that by-elections will take place on October 4th. Nominations will open on September 25th.

Vann discussed the requirements of the Vice President and director positions and the hours per week these positions should expect

4. Political Electoral Committee Representative

Vann explained the requirements of the Political Electoral Committee representative. This person ensures the legitimacy and integrity of the election, counts the ballots and reports the results. The representative will be compensated for their time. The representative cannot be a student who is running for council. 5. Saskatchewan Student Coalition Informational Sessions

This coalition is comprised of student leaders from the SPSA, Briercrest College Students’ Association, Saskatchewan Indian Institute of Technologies Saskatoon Students’ Council, University of Regina

The advocacy priorities for this academic year including Northern education funding, International student support and tuition fee differentials, and Ministry of Advanced Education support to post-secondary education and student services.

6. SPSA Student Survey

The SPSA must ensure that the services we provide to our student members meet their needs. We are conducting a survey in our office to find out what services students are accessing and whether they are satisfied. Those who participate in the survey have a chance to win a prize.

7. Renovation Update

The SPSA has plans to update our office space in Moose Jaw. We would like to open up the space to make it more of a welcoming space for students. We will also be renovating a swing space in the Student Lounge which will be utilized for the pubs as well as locker rentals.

8. Supplemental Policy Deletion

Vanessa explained the previous Supplemental policy and informed students that supplemental exams will no longer be an option for the 2017-2018 academic year. There were no concerns brought forward about the deletion of the policy, however it remains unclear how this information is being distributed to students and whether all students on campus are aware of the policy deletion. The SPSA advocacy team will continue to investigate and ensure that communication of the deletion of this policy is widespread and consistent.

9. Student Concerns for Discussion

A student noted that the city transit route is inconvenient for class schedules. The bus either arrives on campus too late or students have to get off at a different stop and walk a distance to campus. Executive Council will investigate the bus schedules in Moose Jaw.

A student expressed concern over the lack of a host program for International students, including rental housing close to campus for students new to Moose Jaw. Executive Council can bring this concern forward to Sask Polytech International Education.

A student commented on the confusing layout of the building. The room numbers are not well laid out. Will commented that there are maps available at the Commissionaire’s desk, but even returning students commented that they have difficulty finding rooms in the building. Executive Council can bring these concerns forward for Sask Polytech to consider in their master plan for facility improvements to the Moose Jaw campus.

campuses. Students were asked for their input on facility improvements for the Prince Albert campus. • Parking was discussed and Jesse indicated that while this topic would not dominate the discussions at

these meetings, it was something that is currently being worked on but would require time to see any change. Campus Council will continue to engage in conversation with the City in an attempt to have the cost of parking in the dirt lot reduced. The hope is that if the City reduces their parking prices that Sask Polytech will follow suite.

• This will be a recurring agenda item for future SAC meetings to continue to discuss potential facility improvements for the Prince Albert Campus.

3. By-Elections • Jesse informed students that nominations are open September 25-29th. • There are two Campus Council Director positions open and require roughly ten hours of commitment a

month. Jesse indicated that there are incentives to joining the SPSA and is a great way to help build the campus community.

• Nomination packages will be available at the SPSA office.

• Based on the comments made during this discussion Tara explained that the Advocacy service is available to all students who may have an academic concern. It was noted that the Advocates work for the students and that all issues raised are in confidence and are not taken forward without the permission of the student.

7. Student Concerns for Discussion

• A student brought forward a concern that some of the food in the cafeteria is over-priced for the quality/quantity, especially when compared to what is offered at some of the local restaurants. It was also noted that some trades programs start and end before core programming and there is no cafeteria service available at all to students in these intakes.

Action: Jesse

• A student inquired if there could be the option of having a student dance. It was highlighted that many students are underage and cannot attend pubs, further, some programs encourage socializing but not at events that offer alcohol. Jesse said that it could be a possibility but steps would need to be taken to ensure that the time/expense required to host an event like this would be worthwhile and attended by more than a handful of students.

• Students were wondering if there was a better way to communicate upcoming events/services to the students. Posters work but can become redundant, the AskPoly App was not appealing to all students, and the social media accounts (facebook, twitter) are not campus specific. Jesse was very receptive to coming up with new ideas but indicated that with no Campus Council, man-power is limited. Hopefully after the by-elections there will be more students available to help increase effective communication.

• Jesse asked students if there was a different time for SAC meetings that would allow for increased student participation. The next meeting will remain as scheduled but if there is a different time or day that works better then upcoming meetings can be rescheduled.

2. Facility Improvements

Vann announced that Sask Polytech is working on a master plan for facility improvements at all four campuses. Students will be asked for their input as to what they would like to see for infrastructure at the Regina campus.

One student commented that there is yellow water coming out of some taps. Crystal has already brought this up to Facilities and evidently it was due to repairs to the boilers. Crystal will monitor and should she notice any more yellow water, she will discuss with Facilities again.

Another student mentioned that there is only one smoking area and it is not well contained. Cigarette butt disposals are not being utilized and the grounds are littered with butts. There are a few Commissionaires who are smokers themselves but when they’re not out there, the smoking area is not well monitored. Crystal will discuss with Facilities and the Commissionaires.

A student noted that the water fountains on the 9th floor have a very strong metallic taste. Students have noticed this with other water fountains as well. Crystal will discuss this with Facilities.

The APP students require a lot of books and gear for their program and the lockers they are renting are not wide enough to accommodate their needs. Crystal commented that the Dental Hygiene and Assisting programs require their students to rent two lockers, however this wouldn’t help the APP students as their issue is with the width of the lockers. Vann clarified that the lockers belong to Sask Polytech and the SPSA just administers the program. An idea might be to have lockable storage that the students can use in their classroom. Crystal will make an inquiry to Facilities. This is also an item that can be forwarded to Sask Polytech for their consideration when creating the new master plan for the campus.

A student commented that he believed parking was too expensive for students. Vann commented that the student parking used to be $80 per month and staff parking was $65 per month. The Students’ Association argued that staff parking should not be subsidized over student parking, so the student parking rate was lowered.

A student inquired about designated parking for motorcycles. They’re currently parking by the staff parking. Executive Council will investigate.

Dallas highlighted on the following activities he has participated in since his term of office began: improving and affordability of City transit, exhibitor’s hall informational table, visit to Saskatoon Campus locations, new student orientations including weekend LINC orientations, SPSA by-election videos, and correspondence to program heads regarding Student Advisory Council. Dallas will be scheduling one hour per week to visit other Saskatoon Campus locations and upon receipt of this class schedule, will identify and post specific office hours.

Ankita highlighted on the following activities she has participated in: new student orientations including LINC orientations, student newspaper article and meetings with fellow Council members. Ankita expressed her commitment to hearing student concerns and addressing them accordingly.

iii. Facility Improvements

Campus Recreation Locker Rooms – The areas will be ready to use tomorrow however the locker rental portion is unavailable until further notice. Once the locker program is implemented, there will be 20 day use lockers for each change room. Pricing will fall in line with the institution’s practice. Half locker $10/term. The door code for the women’s locker room may be obtained at the SPSA office by showing your student identification. This door code will change once the contractors have completed the project.

Locker Rental Program – It was noted that student program manuals stated that the yearly price for the locker rental program was $20/year/full locker. Carol informed attendees that this fee was implemented July, 2017 and may have not been communicated with program areas prior to the publication of student program manuals. Anyone interested in sharing a copy of their program manual as it relates to this issue, is asked to provide the documentation to the SPSA Office.

Concerns with regards to the institutional emailing system were discussed – namely, difficulty in accessing emails, password maintenance and Helpdesk availability.

Ave W – Presently there is only one working microwave at the Avenue W Campus location. Andrew to look into additional microwaves.

Ave W – would like to see a designated space that would house moderate fitness equipment for use during student breaks. Equipment could include light weights, mats, bands, medicine balls, etc.

iv. By-Elections

Dallas indicated that there is one Saskatoon Director’s position up for by-election this fall. Dallas reviewed the Director’s job description.

Political Electoral Committee Representation – A representative from each Campus Student Advisory Council is required to sit on this Committee. The functions of this Committee are to resolve written concerns presented to the Committee, declare Election results, and rule on and infractions reported to the Committee. Erin, ECE II agreed to act as Saskatoon SAC Representative on this Committee. Dallas will forward Erin’s contact information to Fred Entz, VP Finance & Internal Operations.

v. Saskatchewan Student Coalition Informational Sessions

The mandate of this group is to provide a unified voice between post-secondary students/student organizations across Saskatchewan, with the purpose of advocating for inclusive and accessible education and a high quality student life.

Members include: University of Saskatchewan Students’ Union, Briercrest, University of Regina Students’ Union, SIIT and SPSA.

Key areas of focus include northern education funding and supports for international students. A rally in support of raising awareness of the Coalition will be held September 29th, 1:00 p.m. – 300 block of 22nd Street, MLA’s Office. SPSA President, Vann Cortez encourages students to attend. SAC members are asked to promote this event to their fellow classmates.

vi. SPSA Student Survey

An interactive student satisfaction survey relating to SPSA services is housed through an ipad located at all SPSA Offices as well as the Saskatoon Support Centre. The survey questions depend on campus or location within campus. Each participant has a chance to win various prizes which will be awarded on a random basis.

It was suggested that when Campus Council members visit other Saskatoon Campus locations, this survey ipad be brought along in other for students at other locations to participate.

vii. Supplemental Policy Deletion

Carol explained the previous Supplemental policy and informed students that supplemental exams will no longer be an option for the 2017-2018 academic year. Several SAC members indicated that they were informed by their instructors of this change, others did not receive any information. While there were no concerns brought forward about the deletion of the policy, however it remains unclear how this information is being distributed to students and whether all students on campus are aware of the policy deletion. The SPSA advocacy team will continue to investigate and ensure that communication of the deletion of this policy is widespread and consistent.

viii. Student Concerns for Discussion

Thirsty Thursdays – Students expressed concerns with regards to the beverage price increases. Staff reported that the increase is due to the inclusion of PST and increase to licensing costs. Students reiterated their belief that the participation will decrease due to this increase.

email – required to change their password every time they logged on – difficulty in logging in to accounts

program information is incomplete, missing or obsolete

no answer at the Helpdesk

acceptance letters were not obtained in a timely manner

no notification of when email system would be operational

international students have difficulty accessing the 1-888 number for the Helpdesk Dallas will bring forward these concerns to AVP Strohan/IT Department

Bookstore:

Students requiring to pre-pay for manuals prior to the manuals being ordered.

Lack of inventory – students believe that books should be ordered based on the number of students enrolled in the program

Some programs indicated that classmates were able to purchase all their required books, while others were unable to do so as the inventory was depleted. Causes undue hardship especially with budgeting.

Students are being asked to come back to check to see if the book arrived. Possible solution would be to have the Bookstore contact the student when the book arrives, instead of constant follow up by the student.

Booklists varying between bookstore and website; one program indicated that they received 3 different booklists – one from their program, one from the website and one from the bookstore. Other programs indicated similar situations citing two different booklists.

ix. Happenings/Events

Thirsty Thursday – September 14, 2017, 3:00 p.m. – 5:30 p.m. Henri’s Lounge. Must be 19 years of age to attend.

Student Clubs – The SPSA is responsible to register and ratify Student Clubs to operate under its auspices for the purpose of improving campus life and providing opportunities for student members. Anyone interested in starting up a student club is asked to see the Support Centre for assistance.

3. Announcements:

A letter was received by the Facilities Department from CP Rail. The letter outlines CP Rail’s no trespassing regulations as it relates to the rail yard east of the main campus. It outlines that CP Rail will be monitoring and enforcing penalties.
