1.Business Objectives

To implement the SAP Plant Maintenance module to improve facilities management and records of all expenses relating to Transnet Property equipment and services

2.Maintenance Organization Structure

Technical Managers responsible for overseeing maintenance of equipment and the utilities processes Technical Managers are currently in the process of optimizing the maintenance business processes for Transnet

Property A company called Sigma is responsible for total facilities management Going forward the idea is to have several contractors being responsible for maintenance in the different dicsiplines.eg

electrical, mechanical, civil In house maintenance staff is currently being underutilized and not doing any maintenance work There is a plan to have in-house maintenance staff designated to be maintenance planners for the different disciplines

in the future

3.Business Processes-Existing Situation

3.1 Master Data

Equipment has been created and linked to Functional Locations Functional Locations Created and Linked to Asset Register

3.2 Preventive Maintenance No framework currently exists for preventive maintenance and is yet to be designed Information on maintenance schedules and task lists for equipment also has to be obtained

3.3 Corrective Maintenance Service notifications are currently being used to capture defects for equipment in the system Service notifications are being converted into service orders in SAP One cost center currently exists for settlement of maintenance costs from work orders Purchase Requisitions, Purchase Orders and Service Enrty being done in MM Spare parts currently being supplied by dedicated distributors as and when they are needed No clearly defined authorisations in terms of work order approval

3.4 Utilities Meter reading currently being done by a company called RMS Inaccurate method of apportioning costs to tenants currently being used

3.5 Reports Notification list report Amount of money that has been spent for maintenance

4. Business Processes- Improvements Required

4.1 Master Data

Functional Locations created for Carlton Center need to be linked to RE-FX objects

4.2 Preventive Maintenance To obtain information on maintenance schedules and task lists for equipment To create maintenance plans for equipment in the system To introduce a new order type for preventive maintenance To schedule maintenance plans to automatically generate work orders in the system

4.3 Corrective Maintenance To optimize the corrective maintenance process by ensuring clear segregation of duties.eg.who creates a notification,

who approves work orders. etc. To ensure correct cost centers are used for settlement of maintenance costs from work orders Work on establishing an in-house stores for management of spare parts

4.4 Utilities Meters to be created as equipment for the purpose of maintenance It will be preferable for meter readings and apportionment of service charge costs to be done through the RE-FX

module

4.5 Reports Maintenance Costs Work orders executed and not executed Work Order not closed How much has been spent on each cost center Stock movement in stores
