Vendor Data Delivery DataPricing.. Purchasing information records describe the supply relationship of amaterial and a vendor... The purchasing info record is a part of the master data forpurchasing. It holds information for aspecific material and vendor combination... Information records allow the definition and maintenance of:.. Current and future prices and pricing conditions (for example, freight, discounts).. Delivery data (for example, delivery lead time, tolerance limits).. Information from the last purchase order and quotation.. Vendor data

.. Data maintained in the information records appears as default valuesduring the creation ofpurchasing documents (for example, purchase orders, contracts)... The information record can be updated automatically from a purchaseorder, request for quotation orquote, provided that the information update indicator in these documentsis activated... Information records can be displayed individually, by vendor, bymaterial, or by material group.

45Purchase Grids - Determination (1).. For menu paths, see Appendix... When a purchase order is created, the system looks for relevantcondition types (PGRD) in the griddetermination procedure (MM0001)... Each condition type (PGRD) is linked to an access sequence (PGRD). Youcan maintain a validityperiod for this link... The access sequence (PGRD) determines in which condition tables, andwhich order the systemsearches for valid condition records. It is possible to use different

access sequences for purchaseorders and purchase requisitions... For each condition table, the system searches for a valid conditionrecord using the key informationentered in the purchase order... The first found valid entry in a condition table contains the purchasegrid that will be used for thepurchase order.

Item overviewItem details Delivery scheduleRound values.. In AFS, it is possible to round SKUs to certain values. This meansthat the rounding factor for theSKU has to be defined. In the grid cell control data or in the inforecord you can define a multiple ofthe rounding value. For example, when you set the rounding factor to 5,the quantities will berounded to 5, 10, 15, 20, … and so on. To use the rounding factor in the

info record you also have toset the 'use ROF' flag in the info record... The rounding can be used in the PR, RFQ, PO and contract. You can

activate the rounding manuallyby clicking the <Rounding> button in the purchasing documents. Therounding method, set inCustomizing, will automatically be defaulted. The rounding methods arerounding to the nearestmultiple of the rounding factor, round up or down or no quantity changeswill be made. Therounding method can be adjusted manually. By converting a purchaserequisition in a purchase orderthe rounding method set in the info record will be used... The logic for rounding to the nearest multiple of the rounding factor,is to calculate the difference incase of rounding up, to calculate the difference in case of rounding

down, and round to the valuewith the smallest difference. When both differences are equal the systemwill round down... Using the <Round values> button in the SKU data screen in the purchasedocument a roundingdialog screen is displayed. In this screen you can maintain the roundingmethod, round the valuesusing the <Simulate> button and see the result at SKU level using the<Protocol> button.

The transportation lead time for a route from your vendor to yourplant can be determined in routedetermination. This function uses parts of ERP Standard routedetermination in sales and

distribution, which determines the route from your plant to yourcustomer. For the determination ofthe route, the zones of your vendor and your plant, shipping conditionand transport group are takeninto account... The transportation lead time for a route is determined and can berecalculated according to differentshipping conditions. For example, when the goods are normallytransported, it is done by truck, butwhen the goods are urgently needed, the goods can be transported byplane. For these shippingconditions another route and transportation time is determined... The (re)determination of the route can de done by forward and backward

calculation. By forwardcalculation the delivery date is recalculated. By backward calculationthe delivery date is fixed andthe production date, packing date and ex factory date are recalculated.

Error Message80 90 100 110 120 130 140Underdeliverytolerance 10%Overdeliverytolerance 20%Purchase OrderQuantity = 100Goods Receipt - Under and Overdelivery.. In the case of a goods receipt with reference to a purchase order, thesystem proposes the openpurchase order quantity of an item for the goods receipt. You can changethis quantity if it differs

from the delivered quantity... When you enter a goods receipt item, the system compares the goodsreceipt quantity with thequantity in the open purchase order. This way, under- or overdeliveriescan be identified... As a rule, underdeliveries are allowed in the standard ERP System. Inthe order item, it is alsopossible to enter a percentage value for underdelivery tolerance. If thequantity of goods received issmaller than the ordered quantity minus the underdelivery tolerance, thisis interpreted and acceptedas a partial delivery. The system points out the underdelivery to theuser and also takes the

underdelivery tolerance into account when issuing the dialog message... The standard ERP System does not allow overdeliveries. If however, overdeliveries are acceptable, apercentage overdelivery tolerance can be specified in the order item. Theoverdelivery tolerancecheck can be suppressed in the order item, thus allowing unlimitedoverdelivery... For AFS materials, it is possible to enter an under and overdeliverytolerance on SKU level in thepurchasing info record or in the purchase order itself.

movement.. Stock transfers involve physical movements.. AFS supports stock transfers and transfer postings at SKU levelincluding grid and category values... Stock Transfer:In each case a stock transfer consists of a goods issue from the issuinglocation and a goods receiptat the receiving location. You can post stock transfers in one or two steps.Stock transfers can be done from Plant to Plant and from Storage Location

Transfer Posting:You can use Transfer Posting to change the grid value and/or category ofa material on stock(Movement Type: 309).Transfer Posting for Allocated stock: You can make a transfer posting toanother storage location forstock that has already been allocated to a sales order by the AllocationRun.
