“Sales Messages” can be printed on…

Regular Invoices “Large Note” InvoicesLegal-Sized Statements

They can be used to sell

Or inform

The can be either text or contain graphics

To include graphics, go into Word

You can design your own

Or use (and edit) one in your \LA3\Templates directory.

If you edit one we gave you, you must rename your file. The original will get overwritten with update cd’s.

As we will see in a moment,

You can insert a price and even a discounted price in the message. This document should accommodate them.

When creating one, you need to consider what form it will be used on

The area on regular invoices is higher than it is wide. The area on large-note invoices and legal-sized statements is wider than it is tall.

We will need to copy it

Go to

Invoice/Statement Message Gallery

Add a Record

Name it, then choose “Message Object”.

Even if you have only text, you may still wish to compose it in Word to take advantage of different fonts, sizes, italics, underlines, etc.

Click inside the “Message Object” box

Click on Edit Menu –

Paste Special –

Picture (Metafile)

You will now see our graphic

If this is a plain text message only, just type it and you may wish to include a “title”.

There are other settings

What service are you trying to sell? The message will not print for customers who already have that service this season.

What price chart to use?

This will get the size from the main customer page

You can give a second, “Special” price

These choices come from your “Discount and Surcharge”

financial parameters

Where should these prices print?

“14” lines will print the price(s) at the bottom of a regular invoice message box. Try 10 for Large Note Invoices and 12 for Statements

You can print a customer acceptance

The text and “Sale” price will print on the remittance portion of an invoice or statement, along

with a checkbox for them to indicate acceptance

There will be one parameter to set

Company/Branch Setup

Hit Edit, and choose the Default Message

(there is not currently a default message for statements)

Now to print on invoices ….

Notice that “Sales Message 1” is the Default setting from our parameters

Something new…….

If a customer already has the job you are trying to sell with Message 1, it will print Message 2. If they have the services for both 1 and 2, it will print Message 3Although there is not a “Default 2” or 3 in

parameters, the invoice module will remember your picks here and use them next time

Let’s preview a Regular invoice

Notice that there is a little room at the top. This is to print the Program, Round or Job Notes to the Customer (from Program/Job page)

Every setting you need is under “Options”

You will see your settings from “General Setup” parameters

To use messages, you MUST use the “Legal” format
