Flow Chart Cyber Bully & Safety Tip line 2013-2014 Tip Line Technical Administrator 1. Set up Hotline Monitor and Alternates Smartphone’s to receive alert text messages from the Cyber Bully & Safety Tip line. 2. Set up Bully Hotline Email System on Hotline Monitor and Alternates Smartphone’s for Message Playback. 3. Provide Hotline Monitor Instruction on logging into and using the Tip line Control Panel to send Hotline Voice and Text Messages to the appropriate School Tip line Support Team. 4. Set Up email Forwarding addresses of each school’s Tip Line Support Team in the Control Panel Tip Line Monitor 1. Will be responsible for logging into the Tip line Control Panel and listening to the recorded Tip line Message. Your Smartphone will be set up to alert you when a new Message has been sent to the Tip line. 2. After listening to the Tip tline Message you will be responsible for forwarding the Recording or Text Message to the appropriate School Support Team and Principle using the tools in the Control Panel. 3. Archive the Hotline Recording or Text Message in the Appropriate Schools Folder. Alternate Tipline Monitors 1. The responsibilities of the Alternates would be to act as a backup for the Tip line Monitor. Every message that the Tip line receives will automatically be sent to your cell phone. Your main function will be to ensure that the Tip line Monitor is aware of messages sent to the Tip line. You will be able to determine if the message was forwarded to the appropriate Principal. You are insurance that important Tips are not inadvertently overlooked. School Principal 1. Provide Tip line Administrator with the email addresses and phone number of Staff assigned to the School Support Team. The School Support Team will receive forwarded voice messages from the Tip Line Monitor. The Principal of each school site is an automatic member of the School Support Team a.) Only those tips that pertain to your school or students will be forwarded to your Support Team Members. b.) Each Team Member will be able to playback the message by clicking a link in the forwarded email. 2. Develop a system for investigating and processing the Tip Line Messages sent to you and your School’s Support Team via email. 3. Advertise and Promote the Cyber Bully Hotline to students and staff.
