We extend a very warm welcome to you and are very pleased that you have chosen Rouse Hill Anglican College for the secondary education of your child/ren.

We are committed to ensuring that all students are given the opportunity to undertake a balanced education and to excel in those areas where they are gifted whether it be in academia, creative pursuits, performing arts or sport. It is our desire to provide an holistic educational environment where students are able to be nurtured and cared for within a Christian framework.

The gospel of Jesus Christ shapes and motivates the educational and pastoral experience at Rouse Hill Anglican College. Students will be provided with an education that is relevant to the present and which also prepares them to become successful, contributing members and leaders of the community. Their education will equip them to accept responsibility, to take initiative and to show sensitivity to the needs of others. It will offer them stimulation to develop intellectual curiosity, to solve problems, to think creatively and logically, and to work co-operatively.

Accident and Illness at the College

In the event of an accident or illness during the day at the College, it is most important that parents can be contacted. An emergency/medical information form has been prepared for parents/carers to provide their contact information. The College should be notified immediately of any changes to telephone numbers, contact people or addresses.

Allergy Awareness

Our desire as a College is to be allergy aware – to reduce the risk of inadvertent exposure to known allergens as far as practicable and to enable the students who have significant allergies to participate equally in all aspects of College life. The number of children with significant food allergies in Australia is increasing. Food allergies are serious and can be fatal. Food allergy reactions almost always occur from eating the food or from touching the mouth with contaminated hands, utensils, or other objects. The greatest risk for students with severe food allergies is accidental exposure to the allergen. The key to the prevention of potentially serious reactions is avoiding exposure to the relevant allergen.

There are students attending the College who are highly allergic to peanuts and other nuts. Students are not to bring sandwich spreads and other food items packed in school lunches which contain nut or nut products. This includes nuts in muesli bars, biscuits with nuts, Nutella and peanut butter.

Attendance/Absence from the College

Students are expected to attend the College for all scheduled term days, including activities such as carnivals, special days, excursions and camps.

If a student is absent due to illness, parents are to notify the College office by email to [email protected] by 9:00am. If an email service is unavailable at that time, a phone call can be made (8824 5844) by 9:00am. A written note to explain the absence can be brought on the first day that the child returns after the absence or the note can be faxed or emailed to the College. It is a legal requirement that absences are covered by a written note. Students in Years Ten to Twelve are required to submit a doctor’s certificate.

If there is a family commitment or activity during term time that requires special leave, a request needs to be made well in advance. This request should be in the form of an application to the Principal using the appropriate form on the Wiki: Application for Extended Leave. Students must also consult with the Director of Studies before the period of leave with regard to any assessment tasks, examinations or in-class tests that may fall due during the absence. A Certificate of Exemption from Attendance at School does not provide an extension of time or exemption from submission of assigned tasks.

Term Time Leave

The College does not condone holidays during term time. Parents and students should note that alternative arrangements will not be made for assessment tasks that are missed because of student holidays. Similarly, students can approach individual teachers and request work, however, this is not always possible to provide. Permission for any leave that occurs during term time should be sought from the Principal, well prior to departure.

Buses

Bus services are provided for the College to ensure the safe transport of students to and from school. Free bus transport is a privilege provided by the State government for most of our students by way of an Opal Card. For more information and how to apply, please visit http://www.transportnsw.info/school-students Every student is required to re-apply for a new bus pass prior to commencing Senior School.

Students are required to tap on and tap off, and should only use their bus pass for the direct journey to and from the address as shown on their bus pass. If you move house, you must apply for a new bus pass.

Students are also expected to behave appropriately whilst travelling to and from school. Any concerns regarding the bus services should be directed to the appropriate bus company, as below. Concerns regarding student conduct on buses should be directed to the Deputy Principal.

Canteen

A canteen service operates each College term day under a private contract arrangement by Elliott’s Catering. The Canteen complies with the NSW Healthy Food Guidelines.

Students ordering lunches from the canteen must have these orders placed by 9:30am using the online system or by submitting their order directly to the canteen in person. Students may also purchase additional items from the canteen at recess and lunch times. It is requested that parents do not allow students to carry large amounts of money (more than $20) for use at the canteen.

Families using the online system need to set up an account https://www.munchmonitor.com.

Co-Curricular Activities

A range of non-compulsory co-curricular activities in Sport, Music, Performing Arts, special interest areas and academic pursuits are offered to students. These activities take place at lunchtime as well as before and after school. Students are strongly encouraged to involve themselves in these groups as they provide a balance to the teaching program at the College and enrich student experience. Further details are set out in the Co-curricular Handbook located on the College Wiki. Questions about these activities should be directed to the Co-curricular Co-ordinator. Questions specifically regarding Music ensembles should be directed to the Music Ensembles Co-ordinator.

Parents will be advised about any additional fees, resources or uniform items associated with these activities.

College Shop

The College Shop operates under a private contract arrangement by K-12 School Brands and is the supplier of all College uniform items. The College Shop is located on the College grounds and sells all the uniform requirements (except footwear), as well as stationery and other miscellaneous items. It also sells second hand uniform items on consignment from parents.

It is essential that all new students make an appointment for a uniform fitting. This ensures that each student is fitted correctly and allows the appropriate time to assist each family. Appointments can be made by accessing the K-12 Schoolbrands website via the College website http://www.rhac.nsw.edu.au/uniform-shop, setting up an account, clicking on ‘Browse Products’ and selecting the ‘Online Uniform Fitting Booking’ tab on side menu. Excursions, Performances and Camps

During the year, a number of excursions, incursions and performances will be organised for the students which are of educational value. The cost for these activities has been included in the service fee that is charged each term. Excursions are compulsory unless specified and attendance is assumed. Details will be advised prior to the event. If there is a valid reason for a student not to attend, parents are required to make contact with the organising teacher to discuss the situation. All notes are expected to be returned in the given timeframe.

In order to be part of an excursion or activity, students must return completed permission notes by the return date, be attired in full school uniform with their College bag on the day of the activity otherwise they will not be permitted to attend the excursion, and will remain at the College for a regular school day.

Camps are a compulsory part of our Stage Four, Five and Six Welfare programs and all students are expected to attend the camp for their year group. Notes regarding camps will be issued well in advance to ensure there is sufficient time for making alternative arrangements for afternoon commitments.

Hats

Students are advised to wear their College sports caps in the playground. Hats are compulsory for practical outdoor lessons to protect students from the sun, regardless of the season

Homework

Homework is a valuable part of schooling. It allows for practice, extension and consolidation of work undertaken in class. It also provides training for students in planning and organising time, while establishing good habits of study, concentration and self-discipline. Homework may also develop a range of skills in identifying and using information resources.

The amount of time students are expected to spend on homework will vary depending on age, ability, co-curricular activities, home environment and family obligations. It is important that homework is balanced with opportunities for free time, leisure and physical activities outside of school.

Parents and guardians can help by:

• taking an active interest in homework

• ensuring that there is time set aside for homework

• encouraging and supporting students to complete homework

• providing, where possible, a dedicated place and desk/table for homework

• encouraging children to read and take an interest in current events

• assisting teachers to monitor homework by signing the Student Handbook on a weekly basis

• communicating with teachers any concerns about the nature of homework and their children’s approach to homework

• alerting the College to any activity/event that may prevent a student from completing their homework

Students can help by:

• being aware of the importance of homework

• completing homework within the given timeframe

• advising parents/guardians about homework expectations

• seeking assistance from teachers and parents/guardians when difficulties arise

• showing homework to parents/guardians

• ensuring homework is of a high standard

• organising time to ensure that sufficient time is given to quality homework within set deadlines

Immunisation

All students entering the College must have an Immunisation Certificate. If a copy of this certificate has not been provided to the school administration staff, this should be forwarded as soon as possible. In case of a misplaced immunisation record, the Australian Childhood Immunisation Register (ACIR) can be contacted on 1800 653 809, to provide another copy.

Children who are not fully immunised may be required to remain at home should there be an outbreak of a disease for which they are not immunised.

Late Arrival/Early Departure

Students should endeavour to arrive to school on time, as late entry into the classroom is disruptive for the flow of the lesson. Students arriving late to the College are required to sign in at Student Reception. A note from a parent is required to explain the late arrival.

It is the College’s desire that appointments are not made for students within College hours. If this is unavoidable and a student is required to leave the College early or during the day for an appointment, they must follow this procedure:

• Advise the teacher at the beginning of the lesson that they have an appointment and will need to leave early. A note from a parent must be shown to the teacher for verification.

• At the nominated time the student leaves class and reports to Student Reception, where they must lodge the note and formally sign out.

• Parents should collect students from Student Reception.

• If returning to the College after an appointment, parents must also sign their children back in at Student Reception.

Library

The Senior School Library is open from 8:15am to 4:45pm each day (closing at 3:40pm Monday and Friday). Students can access computers, printers and photocopiers in the Library, as well as access research assistance for assignments. Students are welcome to read, play board games, use the computers for school work and borrow resources before school, lunchtime and after school.

The Senior School Library has a colour photocopier for student use. Copying/printing accounts are created for all students at the College and are credited each term with a suitable printing allowance. If students use up this provision, they can purchase additional credit at the Library circulation desk.

Students are encouraged to borrow books from the Library. It is expected that these books will be cared for appropriately and returned to the College in the same condition in which they were borrowed. Any books that are lost or damaged are to be replaced at the expense of the student/family.

Lost Property

All items of clothing and equipment should be clearly labeled with a child’s full name (not just initials) so that any lost items may be returned to the student without delay. Unnamed lost property items are kept at Student Reception until the end of each term. Any unclaimed property remaining at that time will be donated to Sick Bay or Anglicare.

Medication

Any medication required by students must be lodged at Student Reception at the beginning of the day. An accompanying note, signed and dated by a parent/guardian, should clearly state the required dosage and the time the medication is to be given.

Newsletters

A newsletter is published each week and is emailed to parents. Parents are also able to access the newsletter on the College Wiki through the Edumate Parent Portal at http://www.rhac.nsw.edu.au/parents.

The newsletter is an important form of communication from the College in which details of up-coming events are shared, student achievement is celebrated and topical issues in teaching, learning and adolescence are discussed. Parents can also read about sport results, competitions and upcoming sporting events in the Sports Weekly which is also emailed weekly.

Parents are encouraged to take particular note of the information provided in each publication and should ensure that the College has a record of your most current email address to ensure you receive these publications.

The Parents and Friends Association provides an important forum for parent involvement in the College community. All parents are encouraged to join in the activities of the P&F. Details of meetings and other activities will be advised through the College Newsletter.

A P&F General Meeting is normally held once or twice each term time, with the Annual General Meeting held in March. Election of office-bearers and executive committee takes place at the Annual General Meeting. Contact can be made with the via email [email protected]

Parent Portal (Edumate)

Initial access to the Edumate Parent Portal is provided by email, giving a username and password. The Parent Portal provides a fount of information including child’s timetable, attendance records, assessment task notifications, events and academic reports. The Portal is also used to give permission for events, verify absences and set up and monitor your fee account. When you access the Portal for the first time you will be asked to change your password to something that you are going to easily remember for future access. Parents are asked to treat their password and access as they would a credit card PIN number. Further information about accessing and using the Portal can be found in the Parent Portal Supplement at the end of this Handbook.

Parent/Teacher Interviews

Formal Parent/Teacher interviews are conducted during Terms One, Two and Three. Parents will be advised about the dates of the particular year group interview evenings at the beginning of the year and, closer to the event, a letter will be sent outlining the process for booking appointments online. It is important that all parents attend the interviews so that clear communication regarding the academic progress of students is maintained. Students are also encouraged to attend these meetings with their parents so that they are able to receive direct feedback from their teachers.

Parents seeking additional meeting times with members of the teaching staff or executive staff are asked to make their request through the College Office so that an appointment time can be made.

Pets in School

Parents are asked not to bring any pets, particularly dogs, with them into the College when they are setting down or picking up students. The College is required to follow the ‘Animals in Schools’ guidelines, and as such, it is important that parents comply with this request not to bring their pets into the College.

Phones/Electronic Devices/ Tablets/iPads

Students are permitted to bring smart phones, iPods, MP3 players and other such personal electronic devices to the College. Devices should not be visible in the classroom and should be switched off and stored in pockets or lockers during class time. Where requested by a teacher students are permitted to use electronic devices during class time for class based learning activities.

Students are never permitted to loop headphones through their uniforms or wear headphones whilst moving around the College or during lessons. If a student misuses a device in class the device/item will be confiscated and logged at Student Reception. The devices can be collected at the end of the day, unless they have been previously confiscated within the term.

Parents are able to communicate with their children during the school day by contacting Student Reception, which is the preferred method of contact when parents are conveying family emergencies. Parents are requested not to phone or text their children during class time.

Students in Year Seven to Nine are required to have their own learning device for use at school each day. The devices will be used to access specific applications which will supplement the teaching units and provide access to textbooks. Using the electronic texts will also provide students with the opportunity to make annotations and highlight text as they work in class, thus promoting good scholarship practice and setting them up with a structure to formulate effective study notes. Year Seven and Eight students are required to have an iPad while students in Year Nine may select to upgrade from their iPad to an tablet/laptop device.

Students in Years Ten to Twelve are permitted to bring laptops, tablets and iPads and other such learning devices to the College for use in class where deemed appropriate and approved by the class teacher, and in study periods strictly for educational purposes only. Textbooks are provided for students in print form, some texts include a CD Rom which can be borrowed and others have electronic internet access. Students must adhere to copyright laws pertaining to the use of the CD Rom and electronic access.

The College does not take responsibility for the security of electronic devices that are brought to school by students. Additionally, students using portable devices should note that the Board of Studies requires students to complete examinations by hand and should ensure that the use of such devices does not limit this ability.

Students whose devices are confiscated from misuse more than once during a term will be required to take home a letter to their parents, acknowledging the misuse and confiscation, and have the letter signed and returned to Student Reception before the device will be returned. The device will not be returned on the same day it is confiscated. Students will also be required to make a $5 donation to their Year Group’s Compassion Child/ Sunshine Centre or other service projects occurring in the College.

Students who fail to meet the College’s expectation of appropriate use of electronic devices on an on-going basis will be required to log their electronic device at Student Reception at the beginning of each day for a period of time.

Representing the College in the Public Domain

Students enrolled at the College using social networking sites (including Facebook, Instagram, Twitter, Snapchat, Tumblr, email and other cyber media) must adhere to the following expectations:

• Students must demonstrate respect to others and to the College. They must not make any comment on any site that targets any student or staff member of the College with perceived negative intent or undermines the name/good work of the College. Harassment, hate speech and inappropriate content will be reported to the relevant authorities.

• Students must respect the name of the College and if they create, maintain or use social networking sites they must ensure that no comment or content (including photos) placed on that site by themselves or others could potentially damage the reputation of the College, its staff or students, or use language that is insulting, defamatory, offensive or deemed inappropriate by the College or wider community.

• Students must respect the privacy of individuals associated with the College and ensure that no comment or content (including images) is placed on a site by themselves or others that identifies other students (including uniform) or staff or reveals or publishes conversations that have occurred with College staff.

• Students are in no way to link students of the College, staff or the College itself to actions that the College would not support or condone (alcohol abuse; sexual activity; bullying; illicit drug use; inappropriate, profane and/or offensive language).

• Students should not provide a link through to another person or site where published material contravenes the Computers and Internet Use policy of the College.

Sport

Students are involved in a structured physical education program within the curriculum that encourages skill development and teamwork. A variety of co-curricular sport activities are offered at the College in addition to the timetabled program.

For practical PE classes, students are required to change from their dress uniform into their sport uniform at the College before and after PE classes.

Student Handbook

A Student Handbook is provided to all Senior School students. The Handbook is designed to help students keep track of homework details and organise their study time and academic schedule. The Handbook also provides students with an overview of College procedures and is a useful reference tool. Students are expected to take good care of their Handbooks, use them appropriately, access them throughout the school day and have them signed by their parents and Homeroom teachers weekly.

Supervision in the Playground

Supervision of the playground is provided from 8:30am until classes commence, in addition to recess and lunchtime. Students arriving at the College prior to this time are required to sit on the seats outside the TLC. They are not permitted to be within the school until the 8:30am bell. There is no supervision of the playground at the conclusion of the day with the exception of the pedestrian crossing and the bus bay. Students are not permitted to remain in the College after hours unless they are involved in a formal co-curricular or academic program, under the supervision of staff.

Textbooks

Textbooks and e-texts/ PDFs are provided for students on a loan system. Students are required to take particular care with issued textbooks as reimbursement is required for damaged or lost textbooks.

Uniform

Adherence to a uniform code enables all students to participate in our College community equitably and provides each student with the opportunity to develop their character through their actions and attitudes, removing the pressure for students to project an image that is often influenced by clothing retailers, the media and the fashion of the day.

A uniform ensures that our focus is on developing the real essence of character, not just an image. It eliminates the superficial aspects of growing up, particularly image issues, and allows our focus to be on developing the core of the person. Our College uniform is smart and seeks to unite our students as part of something more than themselves and highlights our identity as a community.

It is an expectation of enrolment in the College that students will present themselves neatly each school day complying with the College’s uniform expectations and that parents and students will support and actively seek to uphold our uniform standards.

Students who wear items not in adherence with uniform expectations can expect to have those items confiscated. Students not complying with regulations can expect to be referred to Student Reception to correct the issue or be removed from the playground until the issue is corrected.

Girls Uniform

Hair Hair below shoulder length is to be tied up in a neat and conventional style, ensuring fringe and sides are secured. Girls are to retain natural hair toning – coloured tips are not permitted. Hair accessories are to be in navy or yellow – fancy bows, clips, headbands or combs are not permitted.

Grooming Girls are to present themselves in clean, pressed uniforms.

Jewellery Rings or bracelets of any form (gold, silver, beaded, woven or plastic bands) are not permitted to be worn. A silver or gold chain with one pendant that sits below the blouse is permitted.

Earrings/piercings

One pair of pierced earrings are permitted to be worn in the bottom of the ear lobe. Earrings are to be small silver or gold plain studs or sleepers. Clear, plastic studs or earrings in other shapes and styles or with coloured stones, diamonds or pearls are not accepted. Only one earring is permitted in each lobe.

No other piercings are permitted. Unsanctioned piercings are not permitted to be covered with Band-Aids.

Make-up No make-up is to be worn.

Nails Nails should be kept short (netball length), natural and conventional - suitable for a school environment.

Clear nail polish is permitted (natural looking manicures are acceptable – at the discretion of the Head of Senior School).

Tattoos Tattoos are not permitted.

Blouse Blue (Years Seven to Ten) or dark grey (Years Eleven and Twelve) - worn over the skirt.

Students are not permitted to have their phones in their shirt pockets. Undershirts are to be neutral in colour and tucked in to skirts and should not be visible at the waist, sleeve or neck.

Skirt Grey - worn at the knee (the hem should touch the ground when the student is kneeling). Skirts are not to be folded up at the waist.

Jumper Navy with College crest. Jumpers without blazers are not to be worn to and from or outside the College during Term Two and Three. Thumb holes are not to be made in the cuffs.

Cardigan Navy with College crest. The cardigan is optional for either season, but not to be worn as the outer garment when travelling to and from school in Terms Two and Three. Thumbs holes are not to be made in the cuffs.

Vest Optional for either season.

Blazer In Terms Two and Three, blazers are to be worn to and from the College, at Assembly and Chapel and on any excursions or activities outside the College. Blazers are also to be worn for specified special events and some excursions in Term One and Four (Presentation Night, Year Twelve Valedictory, Prefect Induction Service).

Socks Dark grey College banded uniform socks worn at the ankle.

(Optional in winter on regular school days, but not permitted for formal excursions or occasions during Terms Two and Three.)

Stockings Charcoal opaque stockings (70 denier) - worn with the Winter Uniform.

Shoes Conventional black polished hard leather lace up school shoes with arch support (eg Clarks). Heel height can be between 2cm and 4cm from the base of the leather upper. Laces are to be black. Lace-up shoes only – buckled shoes or ‘happy’ shoes, slip-ons, mock school shoes, Rabens, Vans, Converse or skate shoes are not permitted.

Bag College crested backpack (students may carry either of the College crested bags on a daily basis, however, when an additional bag is required for other uniforms or resources, the second College crested bag is to be used).

Boys Uniform Guidelines

Hair Hair must be cut in a neat and conventional style. Trend styles are not permitted. Boys are to present themselves in a well groomed and tidy manner. Their hair should be above the eye brows and off the collar.

Boys are to retain natural hair toning and coloured tips are not permitted.

Grooming Boys are to be cleanly shaven each day and present themselves in clean, pressed uniforms. Boys presenting unshaven will be required to shave at Student Reception.

Jewellery Jewellery, including necklaces, rings or bracelets of any form (gold, silver, beaded, woven or plastic bands) is not permitted to be worn.

Year Seven and Eight App Requirements

There are a range of applications (apps) that are used frequently at Rouse Hill Anglican College in Year Seven and Eight. To make the teaching and learning effective within classrooms we ask all students to preload the following apps on to their iPad device before they commence classes. Most apps are free or at minimal cost. Where apps cost money we have been careful to ensure these are essential apps that teachers use frequently and/or that play an important role in class tasks and formal assessment. We ask parents to be aware that other apps may be requested from time to time as new teaching tools become available. The College will notify students in advance of any need to download additional apps so that parents can monitor and manage this process from home and have control over the account.

Parent, Guardian and Volunteer Code of Conduct

All staff, students and parents at Rouse Hill Anglican College have the right to be treated fairly and with dignity in an environment free from disruption. Staff, parents and students have the right to expect the College will be a safe and caring place.

The Parent, Guardian and Volunteer Code of Conduct is a guideline to ensure mutual understanding of expectations. Adults are in a position to model positive values and behaviours to the children around them and it is for this reason that we frame the Code of Conduct around the College Core Values.

Schools exist for their students and our vision is therefore to provide a safe, supportive and mutually respectful environment where students are positively influenced by other College community members (including staff, parents and other students) so they become mature, reflective, confident young men and women of outstanding character; ready to leave school and make a positive difference in the world.

The Code of Conduct sets out the general principles, expectations and ideals that we ask all adults associated with the College to follow so that all interactions between College community members are mutually respectful and considerate.

The code applies within the College buildings and grounds, during public transport to and from the College, and at all College functions, sporting events and/or excursions. Even at other times, it is expected that College community members will be mindful of the rights of others and of their role as ambassadors for themselves, their family and their College.

Parents as Partners in the Education Process

The College seeks to develop and maintain a dynamic and beneficial relationship with parents so that they become partners in the education process.

The partnership between the College and parents requires that parents seek to ensure that the students are meeting College requirements with respect to:

o Attendance o Homework

o Participation o Behaviour

o Presentation (including the correct wearing of College uniform)

As a condition on enrolment, parents are expected to support the principles, practices and educational policies of the College in every way.

Parent Conduct

• Courtesy between parents and other community members (staff, students and other parents) is expected at all times.

• All College Community members should speak with others in a manner that is encouraging, respectful and supportive. Language that is offensive, aggressive, profane, insulting or intended to be hurtful is to be avoided at all times; and especially in the presence of students.

• Parents should encourage and model sportsmanship and positive behaviour at sporting and other College events.

• Parents should discourage behaviours contrary to the student code of conduct such as bullying, inappropriate use of online social networks, anti-social and violent behaviour and are asked to communicate their concerns in these matters directly to the appropriate College staff. Discipline of students is the responsibility of College staff and parents should not contact other parents directly to discuss these matters.

• Parents are not to place photos of other students taken at the College or at College events, and their names onto online social networks such as Facebook.

• Video/Filming at the College or at College Events. Any filming of events or activities must be with the express permission of College staff. In order to protect the privacy of those filmed, such footage is not to be copied or provided publicly through websites or on social networks such as Facebook.

• Parents are encouraged to be positive ambassadors for the College and should refrain from public criticism of other College community members, including staff, students and other parents.

• Staff, students and parents should not approach another member of the College community in a confrontational or aggressive manner.

• Smoking is not permitted on the College grounds or at a College event involving children. Alcohol must not be consumed at any College event in the presence of the College’s students.

Communication

• Parents are encouraged to use the designated means of communication (Student Handbook, letters, email, telephone and face – to – face interviews) as means of communication with teachers and other College staff. Appointments must be made ahead of time for any meetings with staff members.

• Formal Parent/Teacher interview times are organised but additional meetings will be arranged on a needs basis if required. Parents are encouraged to discuss their concerns with the class teacher in the first instance.

• Parents are asked to use courteous written and spoken language at all times when interacting with other members of the College Community.

• Parents are encouraged to raise concerns early and communicate with appropriate staff as issues arise.

Parent attendance at College events

It is important for parents to engage with the College by supporting and attending College events. It is expected that parents will attend the following events:

• Presentation Night

• Parent/Teacher Nights

• Parent Information evenings

• Staff initiated meetings to discuss pastoral, behavioural or academic issues that arise

In addition, parents are encouraged to attend:

• Co-curricular events that their child(ren) are participating in such as sports events, drama productions and music concerts.

• Performance and Showcase Evenings which provide great opportunities for parents to engage with other families within the College community.

Contribution

Parents are encouraged to contribute to the wider life of the College community. Opportunities exist in the following ways:

• Parents and Friends (P & F) Association

• Hills Harvest (College fair) assistance

• Examination assistance • Working bees

• Parents may be able to assist in ways that are specific to their experience, expertise or business pursuits, particularly in providing opportunities for Year Ten Work Experience placement and/or involvement in ‘Australian Business Week’ (ABW)

P & F Meetings are an opportunity for community building, to raise awareness of matters impacting the College and to support the College through fundraising programs. The P & F Meetings are not a forum for raising matters of discontent with the College. Parents are encouraged to raise any concerns early and communicate with appropriate staff as issues arise.

Safety

Parents are asked to comply with all relevant policies and guidelines as they relate to the safety of others within the College community. Parents are especially asked to be familiar with the College’s emergency procedures and follow the directions of relevant staff should they be onsite or at a College event when an accident, drill or emergency occurs.

Parents are also expected to be familiar and comply with College rules with regard to driving on College grounds, parking, pick-up and drop-off routines. Visitors to the College during the course of the day must report to the College Office and collect a visitor’s badge.

Edumate Parent Portal

The Parent Portal is a link for parents into the College database. It allows parents to view information about what is happening in the school and to update information about their family.

What can I do?

Where is the Portal

Go to http://www.rhac.nsw.edu.au/Parents or visit the College website and click on ‘College Family’ and ‘Parents’ to find ‘Parent Portal (Edumate)’

Enter the username and password that you received/will receive by. Passwords are case sensitive.

Change your password immediately and keep it in a safe place.

Changing details

Our parents are able to change their contact information including address, email, phone numbers, work details etc through Edumate

To do this, log into Edumate via the College website and go to the home icon on the left side menu and select my details.

You will now see four tabs, Personal, Work, Relationship, My Child Details.

To change your own details click on Personal. To change your work details, click on work. To change your child’s details, including medical information click on my child details.

Once you have made all changes click on Submit request in the top right hand corner of the page.

You may be contacted to verify details by a member of the Office staff.

Verifying absences

Log into the Parent Portal (Edumate) via the College website and then open the Carer Portal Tab

If you have more than one child, click on the child’s name

Click on the ‘View Attendance Details’ icon located on the right of the screen under links, to view attendance details.

Attendance statuses for each period in a day are displayed for the selected student. The legend at the bottom of the screen provides the meanings of the icons

Click your browser's BACK button to return to the Carer Portal. Scroll down the Carer Portal to find the 'Recent Absences' section.

Absences without a verified reason are labeled 'Click to enter'. Click on the 'Click to enter' link to open a small window where a Carer Note can be entered.

In the 'Details' Field Type in a note and click 'Save and Exit'. A confirmation window will appear. Just click on OK.

Direct Debit After logging into Edumate Parent Portal and clicking on Debtor Portal you will see the below - which appears on the right hand side of the screen. Please follow the prompts and the below screen shots to set up your Direct Debit payment option.

In the Direct Debit Request screen click on the 'Enable Automatic Payments' tick box to reveal the automatic payment options.

Changing Direct Debit Instalments Settings

If auto payments are already activated the portal will display the frequency and amount currently being paid. Click on the 'Configure Auto Payments' button to change the settings.

The current settings are again displayed in the Direct Debit Request screen and also options for changing these.

Configuring Direct Debit Instalments Settings

The direct debit facility can be deactivated by clicking on the tick next to 'Enable Automatic Payments'

Clicking on the 'Bank Account' option will reveal fields for entering bank account details.

There is an active link for displaying the Direct Debit Service Agreement as well as a corresponding tick box to confirm agreement with the terms and conditions set out in the agreement. The tick box needs to be ticked before you can proceed.

Choosing the 'Credit Card' option will display fields for entering in card details.

In the Payment Frequency section of the screen, select the desired frequency of payment.

The 'Balance Due' option will automatically debit the balance that appears on

each invoice on the due date that is on the same invoice.

Further options allow you to set the day that funds will be debited.

Once a frequency option has been selected the 'Instalment Amount' will automatically be calculated to reflect this. An amount can optionally be entered into the 'Top Up Amount' field to also pay charges (non-tuition fee debit transactions) in instalments. The Top up Amount will continue to be debited in addition to tuition fee instalments until you remove it from the direct debit settings.

The 'Optional Item Selections' part of the screen provides the option of adding to the direct debit instalments a regular donation to the Building or/and Library fund(s). This can be deactivated by you at any time by deselecting the option 'Add to Auto Payments'.

The 'Agreed Amount' can be changed by clicking on the dollar amount. Click on 'Save' to upload the credit card/bank account.

Troubleshooting

I can’t remember my username

Click on the ‘Can’t Login’ function

Select ‘Forgot my username’ and enter the email address you have already provided us with. An email will be sent to you with your username.

If you have changed your email address since being issued with your Parent Portal login details and cannot remember your username, please email [email protected]

I can’t remember my password

Click on the ‘Can’t Login’ function again.

Select ‘Forgot my password’ and enter your email address AND your username. An email will be sent to you with your password.

You can now login.

Also, be aware that if you cut and paste the password from this email and capture blank spaces these are seen as part of the password and will return an error. Be very careful or enter the password manually.

Click on the Update Password function, enter in the password given to you and change it to something unique, confidential and easy to remember.

I can’t get to the Login page. There’s nothing there!

The Parent Portal (Edumate) does NOT work well with Internet Explorer. Please use Mozilla Firefox, Safari or Chrome web browser (free to download).

Ensure that 'Pop-ups' are not blocked for the Edumate site.
