Important Changes for Epic Upgrade Effective 07/23/2017 On Sat-Sun, July 22 nd -23 rd from midnight to 2am, Epic will be down for an upgrade. Some buttons, icons, and headers will change aesthetically, but most functionality will remain the same. Below are some changes to expect. Changes to Orders:1. The Manage Orders activity is getting a new look to clear out the clutter, highlight

important information, and better fit with other activities in Hyperspace. Throughout the Manage Orders activity, font size, weight, and color might be slightly different than before. For example, the order name now appears without bolding and slightly larger than the summary sentence.

2. In the Manage Orders Activity, there's no need to click Go to Order Sets anymore to search for an Order Set. Instead, just type the name of an Order Set in the search box under Manage Orders. Search results are organized into different sections for Order Sets and panels, medications, and procedures. You can still click the Order Sets button to open the Order Sets Navigator and see favorite and suggested Order Sets.

3. You can now set multiple orders to the same frequency more efficiently by editing them all at once. You will see a new option to change the frequency when they open the Edit Multiple window. Edit Multiple is located under the options button in the orders activity.

4. In user Order Sets, you can now save your selections and preferred order settings for order panels, just like you do for individual orders. Next time you open the Order Set, the details are pulled in automatically, and those needy panels won't cramp your style.

5. You are now prompted to discontinue orders placed in an order set when discontinuing one of the orders. You can click discontinue to discontinue all orders in the order set or continue with discontinuing the selected order.

6. Discontinued prior-to-admission medications now appear in admission and discharge medication reconciliation with strikethrough text and additional information about who discontinued them, when they were discontinued, and why.

7. To make it easier and faster for you to complete discharge medication reconciliation, the system now identifies inpatient orders that are similar to a patient's prior-to-admission medications. The system also shows a new highlighted message letting you quickly see the most important changes about the inpatient version of a prior-to-admission medication, such as a dose change.

You can now add indications of use to prior-to-admission medications during discharge medication reconciliation without creating a new order, which means that the discharging provider isn't listed as the ordering and authorizing provider for the medication. Previously, to add indications of use in this situation, the psychiatrist had to create a new order, which then listed them as the ordering and authorizing provider for those medications. Now, they can click Resume to add indications of use without creating a new order, which means that the patient's primary care physician can remain the ordering and authorizing provider.

Updates to the Problem List:9. Adding diagnoses to the problem list is now easier with diagnosis preference lists. When

you click to add a diagnosis, you get the browse tab (similar to placing orders). When searching for a diagnosis, the system will search the preference list first. You will always have access to database lookup as well.

Diagnoses listed on the preference list are preferred by the CDI team for billing and documentation. Choosing problems from this list will help to reduce the amount of CDI queries you will receive.

To help you reconcile the problem list at discharge, problems are now grouped by the “likely” discharge action: resolve, keep active, or provide additional documentation (such as updating the diagnosis). If you update a diagnosis, that diagnosis moves to another group as appropriate. For diagnoses with a recommended action of keep active or resolve, the button for the recommended action is surrounded by a dashed border to help guide you to the most likely response.

Accessing Hospital Chart Completion and CDI Queries:11. You can wrap up all of your outstanding chart tasks from the sidebar within a patient

chart. When you open a patient chart, outstanding deficiencies, coding queries, and CDI queries now appear in a sidebar task list. This “To Do” sidebar lets you take actions on the tasks that are in the Hospital Chart Completion folder without having to jump back and forth between the patient chart and In Basket.

12. You can save time and clicks by responding to a query and updating a note for the query in a one-step process. Instead of reviewing a coding or CDI query, updating or creating a note that addresses the query, and then going back to the query to reply that it is complete, you can now update a note directly from the query.

Making Changes to Patient Lists:13. Configure your Patient Lists to show you the number of patients on the list. To enable

this feature, open the patient list editor (Edit List > Manage My Lists), go to the Advanced tab, and select the Show number of patients in the list check box.

control over which patient lists appear in your Shared Patient Lists folder. A new Manage Shared List option is available right-clicking in the Patient Lists. You can now see who owns the list, what level of access you have, and the ability to remove the list from your “Shared Patient Lists” folder.
