5 3 15 H Anyone who meets one of the following criteria must follow the Governments guidance on Self Isolation:

Has a high temperature, loss / change in taste or smell or a new persistent cough?

Is a vulnerable person (by virtue of their age, underlying health condition, clinical condition)?

Is living with someone in self-isolation or a vulnerable person.

Request that the individual be tested as per the test and trace guidelines

If a positive test is given, assess all other employees who may have been in close contact with the individual for 15 minutes or over and then follow the current government self-isolation and test and trace guidelines.

5 3 15 H Where possible all workers should travel to their depot alone using their own transport.

If workers have no option but to share transport: o Journeys should be shared with

the same individuals and with the minimum number of people at any one time.

o Good ventilation and facing away from each other may help to reduce the risk of transmission.

o The vehicle should be cleaned regularly using gloves and standard cleaning products, with particular emphasis on handles and other areas where passengers may touch.

Workers should avoid public transport.

Hand cleaning facilities to be provided within the vehicle. Sanitisers and wet wipes.

Driving distances must be reasonable, as per driving policy, so that overnight stays are not needed.

Emergency procedure to be reviewed and communicated on how someone taken ill would get home or to hospital

Additional parking spaces may need to be added to Depot

Depots will need extra supplies of soap, 60%+ alcohol-based hand sanitiser and paper towels and these should be securely stored

In line with the government guidance in regard to travelling on public transport, face coverings should be considered for shared vehicles.

5 3 15 H Stop all non-essential visitors. Start and finish times to be

staggered to reduce congestion. Plenty of space to be available to

ensure operatives are keeping 2m, or 1m plus where 2m is not possible, as a minimum.

This may include widening walkways or having one-way systems.

Monitor Depot access points to enable social distancing – you may need to change the number of access points, either increase to reduce congestion or decrease to enable monitoring.

All entry systems which require skin contact i.e. fingerprint scanners should be removed or disabled.

All workers to wash and clean hands for 20 seconds before entering or leaving site.

Regularly clean common contact surfaces in reception, office, access control and delivery areas e.g. turnstiles, screens, desks, particularly during peak flow times.

Consider arrangements for monitoring compliance.

Reduce the number of employees at base depots or distribution centres.

5 3 15 H When driving vehicles at work or between Depot locations workers should travel alone. If workers have no option but to share a vehicle, even as part of a Shift rotation then they should: o Share with the same individuals

and with the minimum number of people at any one time

o Wherever possible maintain a distance of 2m, or 1m plus where 2m is not possible, and avoid touching their faces

o Maintain good ventilation (i.e. keeping the windows open) and face away from each other during the journey

o Wash their hands for 20 seconds using soap and water or hand sanitiser if soap and water are not available before entering and after getting out of the vehicle

o Regularly clean the vehicle / plant in between uses with gloves and standard cleaning products, with particular emphasis on handles and other surfaces which may be touched during the journey

To minimise the risk of infection in the cab and load bay at the start of every working day, clean any areas likely to be touched by the driver or passengers. These should include:o Steering wheel, o Gear selector, o Handbrake, o Ventilation controls,o Radio/infotainment, o Seat controls, o Seat belts, o Grab handles o Mirror adjusters.o Clean outside and all

handles and doors pay close

o Fuel flap and filler.

Be prepared for driver swap and remember to clean as per above.

5 3 15 H Mandatory requirement for safety boots, mask, gloves and high-visibility vests to be worn at all times in Depot yards.

Drivers to ensure cab steps are kept clean and free from build of mud etc

Ensure vehicle is parked on firm level ground, avoid and be aware of potholes, uneven surfaces, drop kerbs etc.

Drivers must not and are instructed not to jump out of cabs when exiting – use steps provided.

Ensure when getting in/out of cabs, 3 points of contact are maintained at all times using handles provided. Constantly clean these handles and wear gloves.

Clean the cab to reduce the spread of germs when you cough or sneeze, cover your mouth and nose with a tissue, or your sleeve (not your hands) if you do not have a tissue, then wash your hands or use a hand sanitiser.

Check who you are visiting.to see if they are showing any symptoms of COVID-19.

Arrange a delivery spot that keeps you away from that person.

5 4 20 VH All company owned vehicles will be maintained in accordance with the manufacture’s guidance. All legal inspections such as MOT’s and regular inspections for goods vehicles will be undertaken and records maintained.

All employees will drive in accordance with the highway code at all times – observing local speed limits

Only suitable licensed drivers will be allowed to operate company vehicles.

Periodic drivers licence checks undertaken on all drivers

Drivers / traffic planners to identify routes with low bridges in advance where possible for drivers to avoid contact.

Due to MOT and servicing extensions provided by DVSA and Government authorities these have been extended by 6 months. This means the drivers are required to take more stringent inspection s of their vehicles to ensure they are roadworthy and fit for purpose.

5 3 15 H Drivers are to never exceed the limits of their tachographs.

Employers are to check & monitor drivers tachographs ensuring the appropriate breaks are being taken by the drivers.

Driving is prohibited when drivers are suffering from extreme fatigue. It is the driver’s responsibility to stop and rest.

Drivers are instructed that if they feel tired they are to stop in a safe place – not on the hard shoulder of a motorway as this is for emergency use only e.g. seek nearest services

If drivers are fighting to keep themselves awake, they have been instructed to stop immediately and contact the traffic office so the appropriate action can be taken.

Drivers fatigue is communicated to employees as part of the driver’s handbook.

Drivers are to report when they are feeling ill, have developed a medical condition or are taking medication that could affect their driving.

For the drivers and work in question, the EU drivers’ hours rules can be temporarily relaxed as follows:o Replacement of the EU

daily driving limit of 9 hours with one of 11 hours.

o Reduction of the daily rest requirements from 11 to 9 hours.

o Lifting the weekly (56 hours) and fortnightly driving limits (90 hours) to 60 and 96 hours, respectively.

o Postponement of the requirement to start a weekly rest period after six-24 hours periods, for after seven 24 hours period, although two regular weekly rest periods or a regular and a reduced weekly rest period will still be required within a fortnight.

o The requirements for daily breaks of 45 minutes after 4.5 hours driving replaced with replaced with a break of 45 minutes after 5.5

5 3 15 H Ensure you keep up to date with the Industry with the Department for Transport pursuant to Article 14(2) of Regulation (EC) No 561/2006, which agreed to a temporary and limited urgent relaxation of the enforcement of EU drivers’ hours rules in England, Scotland and Wales.

This is strictly for drivers of vehicles involved in the delivery of food, non-food (personal care and household paper and cleaning) and over the counter pharmaceuticals when undertaking the following journeys:o Distribution centre to stores (or

fulfilment centre)o From manufacturer or supplier

to distribution centre (including backhaul collections)

o From manufacturer or supplier to store (or fulfilment centre)

o Between distribution centres and transport hub trunking

o Transport hub deliveries to stores

o This exemption does not apply to drivers undertaking deliveries directly to consumers.

Drivers’ must not use relaxation ‘a’ and ‘d’ at the same time. This is to ensure drivers are able to get adequate rest.

5 4 20 VH Corona virus can live on steel and plastic for up to 72 hours. Direct contact with someone infected or items they have touched could leave the virus behind, making the next person more susceptible, therefore:o Always choose off-peak hours to

refuel.o Avoid going to the Service station

during busy times of day, o Always wipe down the pump

before use.o If you have disinfectant wipes

handy, use them to wipe down the pump and the credit card keypad before getting started.

o Always cover your hands with gloves

When you are done, invert the gloves and throw them away along with your paper towels and anything else you have used as a barrier.

Always clean your hands avoid petrol station toilets if you can. Self-cleaning with sanitizer and wet wipes is safer

Going into the Service station toilets to wash your hands means you could potentially touch contaminated handles and other items and come in close contact with other people.

Welfare Facilities and at the Depot

5 3 15 H Welfare facilities will contain suitable levels of soap and antibacterial gel.

Depots will need extra supplies of soap, 60%+ alcohol-based hand sanitiser and paper towels and these should be securely stored

Employees will be asked to wash hands with soap regularly and thoroughly, for at least 20 seconds.

Tissues will be provided for all employees. Employees should use their tissues when coughing or sneezing and then place the used tissue in the bin before washing hands.

Employees are reminded to not touch their eyes, nose or mouth if their hands are not clean.

A cleaning schedule will be implemented throughout the site, ensuring that worksurfaces, door handles, taps etc. are all thoroughly cleaned with an antibacterial cleaning substance.

Should employees find they have a new, persistent cough and/or a high temperature and live alone then they are to self-isolate for 7 days.

Should employees disclose that personnel living with them are showing the above symptoms, they should be encouraged to stay at home for 14 days from the day the first person got symptoms.

High-risk employees are to self-isolate in line with government guidance.

Where employees are still expected to be at work, social distancing will be considered wherever possible.

Where still at work, breaks should be staggered to ensure that only a suitable number of personnel are in canteens/welfare facilities and that they can remain 2m apart or 1m plus where 2m is not possible.

Lack of awareness

Employees 5 3 15 H The latest government campaign posters will be displayed in the welfare areas and in suitable places around site.

Regular bulletins will be issued and where possible and safe to do so at an acceptable distance, toolbox talks and safety briefings will be carried out, warning employees of the risks posed by the virus as well as the control measures outlined in this assessment and from government guidance. This will include informing personnel of the known symptoms and making them aware of new Government advice as and when updated.

We will continually adopt and review new government / WHO guidance as and when it is available.

If your job isn’t suitable for home working the employer will consider offering you furloughed, temporarily re-deployed to a role that would allow home working for the duration of this crisis, or undertake a risk assessment to identify any additional steps that need to take, such as re-allocating some duties or providing additional personal protective equipment.
