Club Participation Requirements Checklist

Clallam Countv FairIn order to compete in 4-H contests in the Clallam County Fair, 4-H members shall meet the following requirements:

! EnrollmentBe an enrolled member and participate in at least one 4-H project.

¡ DuesClub annual dues are $10 and are payable on or before November 30th. Club dues are used for insurance, admissionin to the Clallam County Fair, facility rental, and the club website as well as administrative expenses such as postageand photo copying.

! AttendanceAttendance at monthly meetings is strongly recommended. Members shall attend 60 percent of the monthly meetingsand 30 percent of the project meetings. Members who fail to meet this requirement risk losing prívileges including,but not limited to fair participation as a 4-H member and eligibility of end of the year awards or scholarships

tr DemonstrationsAll club members shall give a club demonstration prior to the July meeting. The demonstration can be on any topicthe member chooses within a project they are enrolled and must be 3 to l0 minutes long. Demonstrations can includeposters, PowerPoint, or other audio-visual aides.

D Community ServiceAll members shall participate in a least one (l) community service projects sponsored by the club or project.

tr FundraisingAll members shall participate in at least one (1) club or project sponsored fundraiser

tr Record BooksAll members shall turn in an updated 4-H record book on or before the regular July monthly meeting to the club leaderin order to participate in the Clallam County Fair as a 4-H member. Record books are due to the County office onAugust I't.

tr Herdsmanship/BarnDutyAll members shall serve club herdsmanship duty at all county and state fairs which they attend as members of theclub. Herdsmanship requirements may vary from fair to fair and from barn to barn. Club members agree to participatefully with the requirements of their barn supervisor and/club leader(s). It is the responsibility of the club members tobe on time for all herdsmanship duties.

4-H Year ComnletionThe 4-H year begins October ls and ends on September 30ü. To complete the 4-H year and eam their year pin, aClallam County 4-H member shall:

ü Record BooksAll members shall turn in a completed 4-H record book on or before the regular September monthly meeting to theclub leader to compete for county and special award and to complete the 4-H year. Record books are due to the Countyoffice on October I't.

In the next two sections, you will sign up for clubs and projects you want to participate in. You can sign up formultiple clubs and projects, but you can only sign up for each project once. Clubs

Click the drop-down next to "Select a Club" and choose the club you want to enroll in by clicking on it.Click the "Add Club" button.Repeat for each club you want to participate in. They will populate in the "Club List."If your desired club is not listed, check with your county extension offlce.Notate which club is your primary club by clicking the radio button next to the club name. You can only haveone primary club.Click "Continue" to move onto the proiect selection screen.

To choose projects for your club you must first indicate which club you are adding projects to using the "Selecta Club" drop-down. Only clubs added on the "Club" tab will show up here.Click "Select a Project" and choose the proiect. If a project isn't available, it is either not offered by the club oris tull.Indicate how many years you have participated in this prolect with the "Years in Project" drop-down. If this isyour first year in the project, select "1."Click the "Add Proiect" button.Repeat for each project you wish to participate in.Click Continue. It will automatically move you to the Groups Screen. Click "Continue" again to move onto theinvoice and payment section.

If a club or proiect is not listed as available it could mean the club is full, the project isn't beingoffered by the club, or the member isn't the correct age to participate in the project. Check with

your county off,ce for assistance.

lnvoice and Payment

Beginning October 1., 2017 , Washington State 4-H is implementing a $25 per member per year State EnrollmentFee. This fee will be used to support 4-H programming at the state and local level.

Payment of the State Enrollment Fee can be made in 4HOnline via an electronic payment method (credit cardor debit card) if your county extension offrce chooses to accept electronic payments. Payments can also be madedirectly to your local extension office using a physical method (check or cash where accepted). Please check withyour extension ofûce for payment details and processes. They will also be available (via downloaded PDF) on the"Payment" screen in 4HOnline

Your county may also charge an additional County Programming Fee. County Programming Fees are based offthe location of your primary club and is only charged once. This fee, along with the State Enrollment Fee, willautomatically be added to your invoice in 4HOnline. The County Programming Fee is listed on your invoice as

"CLUB: 'CLUB NAME': FEE: *- County Name 4-H Progrømming Fee." Be assured, the club is not charging you this fee;this is how 4HOnline lists the county programming fees. The state enrollment fee is listed as " STATE: WA: FEE: State4-H Enrollment Fee."

You will have an opportunity to print off your invoice after your enrollment has been submitted. If you would liketo print the invoice prior to submission, Print Screen or taking a screenshot can be used on most computers.

Login lssues

Q: I forgot my login credentials/email. Can I just set up a new profrle?A: NO! If you create a second profrle you will duplicate your information and we can't track your enrollment

properly. Contact your county extension ofñce and they will look up your information.

Q: I forgot my password. How do I get a new one?A: On the 4HOnline login page click "I forgot my password," t¡)e your email address in the box, and click "Send

passwotd." An email will be sent to you with a link you can use to reset your password.

Q: I requested a new password but never got it. Now what?A: Contact your county extension offrce for help.

Q: I had my password reset, but it isn't working. Help!A: Passwords are case sensitive, and we tecommend you "copy and paste" the automatically created temporary

password directly into 4HOnline.

Q: I have logged into 4HOnline, but I can't see the big orange "Continue to Family" button. Where did it go?A: Check that you aren't using Internet Explorer as your web browser. 4HOnline isn't compatible with Internet

Explorer. Firefox and Google Chrome will work and are free to download.

Profile QuestionsQ: When a new 4-H year starts, will I need to do this all over again?A: Nope! When you go into re-enroll, you will only need to verify your information is conect and sign the

authorizations. Health and profile information, and club/project selections persist year to year. It is always agood idea to double check your information every year.

Q: I completed my profrle a while ago and it's still pending. What do I do now?A: Contact your county extension office to see if there were any issues with your enrollment. During peak

enrollment times we can get very busy, so your patience is appreciated!

Payment QuestionsQ: How will I know what payment methods my county accepts?A: On the payment selection page, you will only be offered the payment methods your county accepts. For exam-

ple, if your county does not take credit card payments, the electronic payment option will be absent and youwill only be able to choose 4H Club/CounÇ Check."

Q: What kind of credit/debit cards can be used?A: We accept Visa, Master Card, and Discover Card. American Express and other card types are not accepted.

Q: If we decide not to participate in 4-H after enrolling, can we request a refund?A: No. 4-H enrollment and programming fees are non-refundable. If you would like help frnding ways to partici-

pate in 4-H, let your county extension offrce know.

Q: I need help paying my enrollment fees. Who can I ask?A: Check with your county extension ofÊce for assistance. Each county has a process in place to assist with families

who are requesting assistance.

Annual youth club member enrollment fees are: S25 (State Fee) + $ZS (County Fee) = S50/youth member

Clallam County 4-H strives to include all youth who want to part¡cipate in our program. Cost should not be a

barrier to youth and families in our county. We provide the following payment opt¡ons for state and county fees

Pay the membership fees in full: S5O/youttr. Pay by Credít Card ín 4-H Online or pay by check to the

Extension office.

Council County Fee Support: For this year, funds are available through our County Council to support

County fees {S25) for all members. lf you choose to particípate in this support, please select "County/Club

4-H Check" and pay the state fees only (S25/youth) vía check to the Extension office.

Family Maximum: For families with more than 3 youth members, the total maximum feefamily (State

and County) is 5150. To apply this limít, please select "County/Club 4-H Check" in 4-H Online and submitpayment for State and County fees to the Extension office.

Financial Assistance: There is a scholarship fund through our County Council to support families needing

assistance with both the State and County Fees. Select "County/Club 4-H Check" as your payment option

Clallam County 4-H lnformation

1.4-H Enrollment & Re-enrollment The 4-H year runs from October l through September

30th. All Community Club youth members and enrolled Volunteers must submit annual

enrollments in 4-H online. Visit https://wa.4honline.com. To confirm enrollment, members

must contact a club leader, attend a club meeting, and pay 4-H youth lOmembership fees and

club dues. See the WA State 4-H Policy for specifics about eligibility for members and the

enrollment process for new volunteers.

2.4-H Age Divisions

¡ Clover buds: 5 to 7 years of age

o Junior: 8 to 10 years of age (Youth must be Juniors or above to participate in Shooting

Sports projects, large animal projects, and the Junior Livestock Auction). lntermediate: 11 to 13 years of age

o Senior: 14 to less than 19 years of age

3. 4-H Projects 4-H Community Club members choose a project or multiple project areas toenroll in for the year. Clubs can determine which projects the club is able to provide based on

available Volunteer support. Depending on the club and project members may attend project

meetings or work independently. New project leader volunteers are always welcome. 4-H

Curriculum is available. Contact the 4-H office for more information.

4. Resources Visit the Clallam County Extension Website "Club Members and Families" page

for 4-H resources including specific project information. These resources provide informationabout resources, animal management and care dates, required and recommended

vaccinations, showing attire, Fair entry requirements, and additional activities in the specific

project areas.

5. Club Meetings with Youth in leadership Roles! Attendance at club meetings is a criticalpart of 4-H participation. Youth are elected to officer roles. Resources are available to assist

youth in learning their leadership role. Youth learn the Order of a Meeting and Parliamentary

Procedure. Example: How to make a motion.

6. Youth Leadership Opportunities There are many leadership opportunities for lntermediate(11-13yrs) and Senior (14-18yrs.). There are county leadership programs, teen rallies, and

state-wide teen conferences such as WA Stote 4-H Know Your Government.

7. County 4-H Council The Clallam County 4-H Council provides county level leadership and

guidance in development of policies, procedures, 4-H promotion, and much more. Meetings

are the 2nd Tuesday or each month at 7:00pm at the Clallam County Commissioner's Meeting

Room. The council also fundraises for a Scholarship program for our graduating seniors.

8.4-H Record Books

Clallam County -Hers must turn in a complete and up-to-date 4-H record book to their club

leader BEFORE the turn in dates listed below.

o August lst - to compete or exhibit in 4-H Fair events.

o October 1st- to complete the 4-H year, earn a year pin and qualify for scholarships, year-

end awards, or county fair medals.

4-Hers in Clallam County have the choice between the Støndord or Pilot Record Book to meet

the Record Book requirements. Both options are available to download from the Clallam

County Extension Website- Check with your club leader to see which option your club has

chosen. Note: Cloverbud 4-H members (5-7) are not required to turn in record books and

their books cannot be judged competitively. Cloverbud members are encouraged to practice

record keeping along with older club members.

Members requestíng dccommodotions should notify their club leader or the Extension office.

9. Public Presentations (Demonstrations)

To compete in 4-H in the Clallam County Fair and/or complete their 4-H year, each 4-H

member in a community club must complete a 4-H Public Presentation (Demonstration) based

on a topic related to their project area at the club level before August L't of the 4-H year.

¡ 4-Hers may choose to do a team Presentation with another member.

¡ Youth are encouraged to practice their demonstration multiple times throughout theyear, particularly in front of a public group. In addition to the club level, youth can do

also do a District, County, and State level demonstration.Recommended Time Limits for Illustrated Talks and Demonstrqtions. Minimum 3 minutes . Maximum 20 minutes, with the following guidelínes:

Juniors 3-8 minutes lntermediates 5-75 minutes Seniors 8-20 minutes

10. Educational Posters

4-H members who exhibit their animal or still life projects at the Clallam County Fair are

encouraged to create Educational Posters to be displayed in the barn at fair. Posters must be

turned in to your club leader before August lst. Leaders must turn club posters in by 4:00pm

to the Extension office on August 1't' Poster judging is completed prior to fair. Posters must

be done by the 4-H member in their current project area(s). Limit 2 posters per project area.

11. Clallam County Fair

To complete in 4-H contests in the Clallam County Fair, 4-H members must meet specific

county 4-H requirements including turning in an up-to-date 4-H record book and completing a

club level demonstration. See Clallam Countv 4-H Educational Requirements.

Look for the Clallam County Fair Exhibitor's Guide which is published by the Peninsula Daily

News in June. Be sure to read your projects section in order to meet any project specific

requirements and entry requirements for each barn at the Clallam County Fair. Most animal

entry forms are due to the Barn Superintendents on August 1't. Entry forms are available

through the Extension office, the fair office, or from your club or project leader. Talk to your

club/project leader for assistance with completing entry forms.

Fair Camping- The fair camping registration form is available on the Clallam County Fair

website and on the inside back cover of the Exhibitor Guide. Campsites are secured on a first-come, first served basis. lf you plan to camp, make sure you turn your form in to the fair office

as soon as possible when the form is available in June.

Note: 4-H Members completing all requirements will earn a Fair Exhibitor pass (purchased by

our county 4-H Council). Watch for instructions about member and parent passes.

12. Washington State 4-H Fair Qualified Junior, lntermediate, and Senior members may be

able to compete in their project area at the WA State 4-H fair held each September in

Puyallup. Visit their website for links to the exhibitor's guide and exhibitor information.

13. County Achievement Program The Clallam County 4-H Awards Handbook lists the many

awards that youth may be eligible to receive. Awards and Year-end pins are presented

annually at our County Achievement program in November.

. READ the Clallam County 4-H E-mail Newsletter for important notices of events and

deadlines! Visit the Upcomins Events page for important dates!

. Find out how your club leader communicates with club members.

E-mail and texting are very common methods of communicating important notices.

Help your club leader out by making sure to read any notices and respond quickly.

. Bookmark the Club Member and Family resources available on our Clallam County

o Get involved! 4-H is ALL run by volunteers who care about our kids...just like you! Your

club and county program can use help in many ways. Plan to help out and attend as

many events and meetings as you can.

. Find a mentor family. Ask a family who has been in 4-H before, particularly in yourprojects, to be your mentor family.

¡ Attend your general club meetings and project meetings.

These meetings are where 4-H happens.

o Attend a practice show! lf you are an animal project member, plan to attend one ormore practice shows. Our county 4-H program hosts multiple horse shows, cat show,

dog shows, and the Port Angeles Summer Classic (mid June)

o Pick up a Clallam County Fair Exhibitor Guide in June to get ready for fair. Animal Entry

forms are due to the Barn Superintendents by August 1't!! Forms are available through

your project leader or at the Fair office and WSU Extension office.. Read up on publications-find WSU and National 4-H publications that help you learn

about your project. https://pubs.wsu.edu/ http://4hmall.oreo Don't procrastinate! Help your child start their record book early and fill it in as they go

through the year.

o Attend 4-H Council meetings. Your Clallam County 4-H Council plans county-wide

events and makes our programs great. Council meetings are the 2nd Tuesday at 7:00pm

at the Clallam County Courthouse.
