When a patron requests a reserve item

Handling requests for course reserve items is one of the main activities at the Service Desk

These requests occur throughout the semester but intensify before course tests and at the end of the semester, especially during final exams week

You will need to be attentive, since many library users don’t know exactly what they want

Library users usually request reserve materials, face to face, at the Service Desk

After greeting them and asking if you can help them, try to determine what it is they are looking for

Often, they will simply say “Creese’s notes” or “the EE solutions manual”

If you know what s/he is asking for because it is a familiar item, you can simply go and get it

You may already know that the item is in the reserve stacks, in a vertical file, or on the Reserve Items Returned cart

But in many cases, you won’t be familiar with the requested item or you are not sure what the library user wants

When a patron requests a reserve item (4/8)

Listen carefully to what the person says

Ask them to repeat the question if necessary

Confirm that it is, in fact, a reserve item that they want

For instance, maybe instead of “Reserves” they actually want a “Reference” item, or want to pick up a “Recalled” item

Because the library user may be new to the library, may not know library “terminology,” may not be sure how to get a reserve item, or may be a foreign student who is not fluent in English …

You may have to interpret their request

You can do this by gently asking questions to try to determine exactly what kind of item is being soughtYou will need to be patient and tactful, and may need to logically “detect” what kind of item the person is wantingWhen you have confirmed that they do want a “reserve” item, you will always refer them to the eReserves web page (more about that in a minute)

Look at the printout to confirm that the item has indeed been placed on Reserve at Evansdale Library

Occasionally you will need to use the Voyager Circulation “Reserve” function to determine if an item is on reserve, where it is located, and when it is due if someone has charged it out

For instance, there are items on reserve at other libraries on campus

When you have the requested item in hand, ask for the library user’s Mountaineer Card or similar identity ID

Swipe the ID barcode into the Patron cursor field of the Charge window, following standard charging procedures

Click the manual counter only for course reserve items, not for laptops, headphones, CD players, internet cables, and the like

If the person wants to take the item out of the library, check the item to be sure that it can leave the library

Some items can go outside the library, some can’t (e.g., exams, certain vertical files, etc.)

If it is an item that can leave the library, don’t forget to demagnetize it if it is a book, binder, or article

When an item is returned after being used by a patron …

Discharge the item IMMEDIATELY, do not wait, since these items carry a per minute fine and patrons will be charged

Check the screen to confirm that each item has been properly discharged

If you are uncertain that an item has been discharged, discharge it
