Completing Paper Administration ProcessPrior to returning materials, test administrators must

• verify no answer documents were left inside test booklets,

• review students’ identification information,

• transcribe student information as needed using a No. 2 pencil, and

• account for all test booklets and answer documents.

Completing Paper Administration ProcessTest administrators must return the following materials to the campus testing coordinator:

• answer documents to be scored or scanned

• voided answer documents

• unused answer documents

• used and unused test booklets

• typed or tape-recorded materials and hand-written responses on scratch paper

• all seating charts with start and stop times

Scorable Materials• Make sure your numbers add up!

• All documents that require scanning

• All precoded answer documents (including voided)

• Non-precoded answer documents with ANY griddings/markings (including voided)

• Transcribed and signed answer documents

• Destroy contaminated answer documents at testing site in a secure manner.

• All answer documents will be scored, and results will be provided for every answer document submitted.

Nonscorable Materials

• All test booklets • Contaminated test booklets should be destroyed by

districts and reported to ETS.

• Unused/blank answer documents (with NO gridding or marking)

What is an Identification Sheet?• Used to identify the documents beneath it, home

district and campus, and the number of documents for each subject.

• There are three types of identification sheets (scorable).

• Class Identification (ID) Sheet • Campus and Group ID Sheet • Voided Answer Document ID Sheet

• Scorable materials must be returned beneath the appropriate ID sheets (headers).

Voided Identification Sheet (Scorable)• Separate voided answer documents from

those to be scored.

• Mark “VOID” in large, bold letters on the front of the answer document.

• Avoid marking any barcoded regions on the answer document.

• Void unused precoded answer documents; return with scorablematerials.

• Face all documents the same direction.

• Stack multi-page documents on top of single-page documents.

• Fill out Voided Answer Document ID Sheet for voided answer documents.

results by grade:

• By administrator, principal, teacher, etc.

• Group answer documents accordingly.

• Follow the instructions to complete the Class ID Sheet for each class.

• Place the completed Class ID Sheet on each set of answer documents.

Answer Document Packing List (ADPL)• Find a pre-printed ADPL for each administration in the

district coordinator packet for campuses receiving precoded answer documents.

• Blank ADPLs for each administration can be downloaded from the STAAR Assessment Management System.

• Write the number of students in each grade/subject, by campus, that completed testing.

• Return in the first box of answer documents.

Answer Document Packing List (ADPL)• Spanish answer documents are counted with the other

answer documents.

• Record OOD/OOS students counts on a separate ADPL.

• Total counts should not include online test takers.

• Complete the ADPLs accurately and return them with each shipment of scorable materials.

• If there is a mismatch, processing for that campus may be delayed until the discrepancy is resolved.

Returning Paper Test Materials—RemindersAnswer Documents• Return in white box; do not use brown boxes.• Sort by campus/subject.• Do not combine administrations.• Place voided answer documents at the bottom of the

return box.• Be sure to mark voided answer documents.• Apply gummed paper bands to each stack.

Nonscorable and Unused Materials

• Make sure your numbers add up!• Nonscorable and unused materials are returned separately as

noted on the Calendar of Events.

• Scratch paper, graph paper, or reference materials that students wrote on must be destroyed after testing.

• Test booklets are secure materials and must be returned.

• Test booklets do not need to be in numerical order.

• Seating charts should be retained locally for five years.

• Scorable and nonscorable box counts should not be combined.

General RemindersCheck the Calendar of Events for material return dates by administration.

• Return scorable materials on time to avoid the risk ofscores not being included in initial score reporting.

Return materials separated by administration.• Indicate total scorable box count per administration.

• Do not calculate a total across all boxes for multipleadministrations.

• Indicate total box count at the district level (not campuslevel).

• Ensure the correct County-District-Campus code isindicated on the header.

• Pre-printed headers will be provided for OOD/OOSstudents beginning in May.

• OOD/OOS answer documents should be returned underpre-printed headers or hand-gridded headers.

• Complete and return a separate ADPL for eachOOD/OOS home district.

Inbound Processing After testing is over, everything is packed up!

• Call for UPS pickup (1-800-PICK-UPS).• Pickup date for freight returns is based on the Calendar of

Events. • The carrier, XPO, will contact your district to schedule

pickup time.• What is the difference between UPS and freight?
