Requirements to manage data
Code of good research conductdata should be preserved and
accessible for 10 years +
Funders’ data policieswww.dcc.ac.uk/resources/policy-and-legal/funders-data-policies
declarationdata are a public good and should be openly available
Common principles on data policywww.rcuk.ac.uk/research/Pages/ DataPolicy.aspx
Northampton RDM policy
• Adopt the RCUK code of good practice
• Write and follow a Data Management Plan
• Make data accessible wherever possible
• Deposit in a repository for preservation
www.northampton.ac.uk/info/20283/academic-research/1606/research-data-policy
RCUK Common Principles in brief
1. Make data openly available where possible
2. Have policies & plans. Preserve data of long-term value
3. Metadata for discovery / reuse. Link to data from publications
4. Be mindful of legal, ethical and commercial constraints
5. Allow limited embargoes to protect the effort of creators
6. Acknowledge sources to recognise IP and abide by T&Cs
7. Ensure cost-effective use of public funds for RDM

What the ESRC requires (1)
Publications
• Publications should be made available via the ESRC research catalogue.
• Publications should be deposited at or around the time of publication.
What the ESRC requires (2)
Data
• Grant applicants are required to submit a c.2 page data management and sharing plan.
• ESRC award holders are expected to make use of existing standards and to make data available for further re-use.
• Data must be offered for deposit within three months of the end of the award.
What the ESRC requires (3)Available support
• The ESRC provides a research catalogue for publications and a data service to support archiving and reuse.
• Managing and sharing data guidehttp://www.data-archive.ac.uk/media/2894/managingsharing.pdf
• Guidance on writing DMPshttp://www.esds.ac.uk/create/esrc/dataman
What the ESRC requires (4)
Making it happen
• The ESRC will review any costs associated with implementing the data plan as an integral part of the funding decision, and based on this decision, provide appropriate funding for data management.
• The final payment of a grant may be withheld if data has not been offered for deposit to the required standard, unless a waiver has been agreed in advance.
Ultimately funders expect:
• timely release of data- once patents are filed or on (acceptance for) publication
• open data sharing- minimal or no restrictions if possible
• preservation of data- typically 5-10+ years for data of long-term value
• data management plans...
Data Management Plans
• www.dcc.ac.uk/resources/policy-and-legal/overview-funders-data-policies
ESRCIt is expected that a data management and sharing plan will address:
• assessment of existing data (gap analysis to justify data creation)
• information on new data (volume, type, format, standards, methods)
• quality assurance and backup procedures (includes security / storage)
• plans for management and archiving (including preparation of data)
• expected difficulties in data sharing (including measures to overcome these)
• ethical considerations (e.g. consent, confidentiality, anonymisation)
• copyright/Intellectual Property Right
• responsibilities within research teams at all institutions.
Medical Research CouncilThe MRC provides a template with the following sections:
0. Proposal name
1. Description of the data
2. Data collection / generation
3. Data management, documentation and curation
4. Data security & confidentiality of potentially disclosive personal information
5. Data sharing and access
6. Responsibilities
7. Relevant policies on data sharing and data security
8. Author of this Data Management Plan (Name) and contact details
Five common themes in DMPs
1. Provide a description of the data (type, format, volume)
2. Explain how the data will be collected & documented
3. Outline the plans for data sharing
4. Justify any restrictions on sharing (ethics, IP)
5. State the long-term preservation plan
