Connect’s Data Center | Hippocrates 1.0 (September 2014 – September 2015) In April 2015, Health Care Without Harm’s Global Green and Healthy Hospitals Network (GGHH) launched its online data reporting system. After 6 months of planning and since then, members can access, via GGHH Connect, checklists and self-assessments that help them develop a baseline, document success, and track progress on each GGHH Goal they are working on. At the same time, members can access information resources, guidance documents, case studies and interactive discussions to support hospitals and health systems around the world in addressing climate change and other sustainability issues. GGHH’s data submission/collection tool (also known as “Hippocrates”) lives on the GGHH Connect platform as embedded data submission forms. This means that in order for members to submit data and track their progress, they need to have an active GGHH Connect account, and access it to find the forms. In a nutshell, this system combines:

1. Data forms Data forms have been built in a third party platform and are accessed via and can be found within GGHH Connect. Using single sign-on (SSO, an authentication process that permits a user to enter one name and password in order to access multiple applications), members access data forms and submit baseline data and track progress over time. The process authenticates the user for all the applications they have been given rights to access and eliminates additional prompts when they switch applications during a session.

2. A database Through application programming interface (API) integration, all data submitted via online forms is stored in an integrated Customer Relationship Management System (CRM) - Salesforce.com (SFDC). At the same time, the CRM auto-populates the form with preexisting information (when and if available) on different levels: account/institutional information, contact/profile information, qualitative/quantitative data on tracking/self-assessment forms.

3. Dashboards with graphs and impact analysis Hippocrates provides members visualization tools (bar charts and pdfs summaries) displaying their progress toward their goals, as well as their progress in relation to other similar member hospitals, health care facilities and health systems in their country, region and/or globally.

4. Multilingual information by geo targeting Using geo targeting, Hippocrates’ data forms can determine the geolocation of a user and deliver same content in different languages to the user based on IP address and/or browser’s language setting.

Moving to Hippocrates 2.0. Project’s Needs GGHH is now looking forward to moving to a new, more robust data processing software/system that revamps the functionalities it has as well as incorporates new ones. The proposed solution can be either a combination of tools (open data, free software, paid licenses, etc.) adapted and integrated to meet our needs, or an entire solution developed with custom-built code.

Either option for developing a new data processing system/software (data center) must be multilingual (Spanish, English, Portuguese, French – more languages to come) and must cover the following: 1. Data submission, collection and reviewing must meet following requirements / allow

the following:

Submission of both, quantitative and qualitative data. Creation of complex matrixes and simple forms. See examples in Annex. Logic and display of questions depending on answers selected. Validation of answers. Complex math calculations between information submitted within a form or multiple

forms. All calculations will be provided. The user should see calculation being done by system while entering data (calculations on real-time).

System saves data as user moves along with / without timeout period (to be defined depending on the form). Changes to be saved as answers are typed in.

Shares information across forms and auto-populates other forms with available information (when necessary). Data provided in one form might be needed in a different form.

The form and information display needs to fit into an existing work flow. Design is flexible to fit within Connect’s layout. The form to be embedded in Connect

should fit without displaying, for example, a double scroll from the platform and the iframe within the platform. Matrixes need to be able to scroll while enabling row and column headings to remain visible. Users should have the capability to edit/update/validate/submit data information for them and their institution over time and/or uniquely. The system must also allow definition of roles and permissions to allow/disallow user to submit data for same year or not for the same form.

Allows importing of information in a form from previous submitted forms or from other formats (for example, Excel).

Forms should be downloadable to allow users to download copies for offline completion for later data submission. GGHH must be able to upload information into the database (both CRM and solution chosen), seamlessly for the user, if needed.

Enables users to access help information, explanations of terms and links to reference material

Flexibility to edit/add/remove fields or entire data sets. 2. Data Storage / CRM

Forms must map to and store selected information in Salesforce (SFDC) CRM database: this includes data from and for contact record type, account record type and custom objects. And vice versa: information from SFDC should autofill forms when needed.

Data in all databases must be exportable in multiple formats: excel, csv and PDF are priority.

Analysis of database sustainability and capacity needs to be addressed.

3. Control Panel | Dashboard for data analysis, archives and graph production

System should include two control panels/dashboards: one for members and one for admins.

Dashboard for member must include: Activity summary containing all forms / data submitted as well as offer capability to edit

those that are in progress or that are meant to be updated over time. Alerts and notifications that point the user to actions that need to be taken (eg: complete

missing field). Provide users with a downloadable document (eg: PDF, Excel, etc.) displaying the data

submitted. This document should be able to be viewed online and saved for off-line use as well.

Archive in read only mode of data submitted so that users can access but not edit information from previous years submitted.

Allows workgroups units: a member within an institution should be able modify their team and invite other users to be part of their workgroup to complete data and manage relationships between its members (see Admin .5 section for more details on management needs).

At least 5 graphs per form (bar charts, line charts, pie charts1) so that users can chart their progress over time against themselves and/or other members in the same country, region, etc. See samples in Annex. User should have the option to hide/see variables/results depending on their choices.

Saves data on real-time (or near real-time). Workflow rules reminding user within a certain timeframe that an action needs to be

taken. Control Panel for admins that:

Creates a centralized report center with the current status of all forms and key performance indicators.

Refreshes data on real-time (or near real-time) Helps monitoring who starts but does not finishes a form with defined status on a

periodic (daily, weekly or monthly basis) and other information (name of institution that completed the form, country, contact person and link to a form).

Allows definition of different levels of admins and of users with roles and permissions. For example, a member admin within a workgroup can have the capacity to start, edit and submit a form vs. a lower level user with capacity to edit info on a form but not with the power to submit it. This way, users within a workgroup / institution can control submission of data to ensure the information is correct before hitting submit.

4. Integration with other platforms

● The new data system needs to live within Cisco’s Netspace License (GGHH Connect). Technical requirements provided upon request.

● The new data system must integrate with SFDC CRM database: this includes data from and for contact record type, account record type and custom objects. And vice versa: information from SFDC should autofill forms when needed.

● API integrations to be done by the bidder. ● Offer single sign-on capability and Unique identifier. Email will most probably work

as unique id. ● Language geo location identification, so users interact with the data center in their

native language; currently, English, Spanish, Portuguese, French and Chinese are priority languages - other languages to be added over time.

● Language independence: content/forms might be displayed and created for one language but not necessarily for the other one. Eg: health care waste records are tracked only for Spanish users.

● Display forms depending on type of user/membership: GGHH currently has 4 types of membership, each membership type is an account record type in SFDC. Each type of member responds to different forms within the same topic area.

5. Management and Admin requirements Compatible with different browsers and different versions of those browsers. Allows admins to masquerade a user so that if user has any trouble entering data,

admins can do so and/or see what they see to allow troubleshooting. If data is submitted on behalf of a user, the record of data should be linked to the user and its profile.

Easy to use, user friendly, admin friendly (administration, look and feel). Provides flexibility to improve and change the forms over time. Affordable (cost-analysis of license fees needs to be assessed) We control it (this may not just be admin, but that we can modify and create forms in

house, ideally). We manage it in the long-term. Ideally: mobile/Responsive Design compatible Includes alerts and notifications to let the admin know when a form is started and/or

completed and triggers copies of data submitted via email for users. Allows GGHH us to identify if a member can apply for an award using data submitted and

information in CRM. English is the primary language for all components and instructional materials

○ The possibility to have language independence (capability to generate content by language without the need to provide a translation) needs to be considered.

Scope of Work and Requirements | Phase 1 (November 2105 – March 2016) and 2 (April 2016 – onward) Phase 1 (for samples, see Annex) The selected bidder will be asked to develop, program and deliver the following forms (technical requirements listed above at “Project’s Current Needs: What Hippocrates 2.0 Must Include. Moving from Identified Problems to Developing Solutions” section) by March 2016. Other forms will be developed after that. Bidder should be available to develop the following forms.

By March 2016 develop the following the following forms (fields for forms to be provided by GGHH) in 4 languages (spanish, english, portuguese, french). The user should be capable of submitting some of these forms either one or multiple times. This includes:

1. Profile Forms (per membership category) Four profile form containing an average of 50 fields (text, numbers, and logic based). Each form is displayed depending on the member’s record type and prepopulated with information (when available) stored in Salesforce.com

2. 2020 Challenge forms (four forms: Targets, Reporting, Leadership and Resiliency) The 2020 Health Care Climate Challenge (2020 Challenge) comprises 4 forms. Each form uses multiple fields and logic depending on answer, for members to submit data. These include the following types of fields:
