Introduction to RDC Treasury

RDC Treasury is a web-based application that runs in a browser and interacts with a scanner. The scanner captures images of checks, remittances, and general documents. Account and routing information are lifted from scanned checks.

RDC Treasury connects securely to ITMS to inherit configuration and transfer deposit data.

RDC Treasury includes many features:

o Task-based modules that provide flexible workflow management.

o Networked approach so that item processing can be performed on multipleworkstations.

o Messages that provide advice or suggest corrections when transactions are balanced.

o High-speed batch scanning or single feed support.

o Advanced Image Quality Assurance (IQA) functionality to ensure that images aresuitable for automated processing and settlement.

o CAR/LAR reading to minimize data entry, correcting, and balancing.

o Advanced OCR field recognition, parsing, and validation for automated remit dataentry.

RDC Treasury roles, duties, and responsibilities are defined by user permissions. RDC Treasury administrators manage user permissions in ITMS. You might have full access to RDC Treasury modules, or you might have only limited access to specific modules or functions, depending on the permissions that your administrator set for you.

ModulesRDC Treasury provides a module for each task that you need to perform. All the modules are listed on the Batch Status page, which is the home page for RDC Treasury.

The Batch Status page is customized for each user. You will only see modules that you need to see. For example, if you don't approve deposits then you will probably not see Approve Batches or Authorize Batches.

The Batch Status page shows you a summary of work done for the selected node, including work done by other users who access the same node.

The following diagram shows the typical progress of a check through the RDC Treasury modules.

As you scan and close a batch of items in the Scan Items module, that batch might automatically advance to the next appropriate module in the process, such as Key Data, Balance Batches, or Approve Batches. The module that the batch moves to depends on the status of the batch.

Batches can remain in any module for up to 30 days. After 30 days, if the batch is not approved, it is automatically deleted from the system.

Batch Status page

The Batch Status page is the home page for RDC Treasury. From the Batch Status page, you can open every RDC Treasury module that you have permission to use.

The Scan Items row displays data for open batches that you scanned. The rest of the rows display data for the selected location.

Element Description

Batches Provides summary information about batches that are in progress.

For the Scan Items module, this is the total number of open batchesthat you created.

For the rest of the modules, this is the total number of closed batchesthat are ready to be processed in the module for the specifiedlocation, regardless of who scanned them.

Items For the Scan items module, this is the total number of items in openbatches that you scanned.

For the rest of the modules, this is the total number of items in closedbatches that are ready to be processed in the module for the specifiedlocation, regardless of who scanned them.

Amount For the Scan Items module, this is the total dollar amount of all openbatches that you scanned.

For the rest of the modules, this is the total dollar amount of all closedbatches that are ready to be processed in the module, regardless ofwho scanned them.

Total The "Total" at the bottom of the table shows the totals of your openbatches and closed batches at the selected location.

Zoom out

To make the image smaller, click the Zoom Out icon and then click in theImage Display area. You can click repeatedly to zoom more.

InvertImage

Make white background black and black text white. This feature can make iteasier to read the print.

FlipImage

Flip the image so you can see the other side.

In addition, there is a zoom meter on the left side of the Image Display area that you can useto quickly increase or decrease the size of the image.

When you view a general document, there are additional icons at the top of the imagedisplay:

Using the controls on the left, you can move through the pages of a multi-page generaldocument. You can also add or edit the name of the general document, and then click theSave icon to save the new name.

Note: When you save a general document, you must include the .png file extension in the filename.

Configuring your browser

This section provides setup information for Internet Explorer, Firefox, and Chrome.

Configuring Internet ExplorerIf you use Internet Explorer, there are some settings you must configure to use ITMS. If youinstall the Scanner Control Manager (SCM) from the ITMS site, there are some additionalsettings you must configure.

To configure Internet Explorer for ITMS:

1. Open Internet Explorer.

If you are using Windows 7 or later, right-click your shortcut for Internet Explorer areclick "Run as Administrator".

2. Click the Tools button .

3. Select Internet Options.

4. Disable the popup blocker:a. In Internet Options, open the Privacy tab.b. Under Pop-up Blocker, click Settings.c. In the Address bar, enter each URL that you use to access ITMS, and then click

Add. For example, add https://www.itms-online.com.d. Click Close.

If you have other popup blockers, add the same web addresses to their safe lists.e. Leave the Internet Options window open.

5. Create trusted sites:a. In Internet Options, open the Security tab.b. Select Trusted Sites.c. Click Sites.d. In the Address field, enter each URL that you use to access ITMS, and then click

Add. For example, add: https://www.itms-online.com.e. Close the Trusted sites dialog box.f. Leave the Internet Options window open.

6. Enable copying and pasting for your trusted sites:a. On the Security tab, with Trusted Sites selected, click Custom Level.

The "Security Settings - Trusted Sites Zone" dialog opens.b. Scroll to the Scripting section.c. Set "Allow Programmatic Clipboard Access" to Enable.

7. If you use the RDM EC9600i series network scanner (EC96XX), enable data sourcesacross domains:a. Scroll to the Miscellaneous section.b. Set "Access data sources across domains" to Enable.

8. If you want to install the SCM from the ITMS site:a. Scroll to the "ActiveX controls and plug-ins" section.b. Set "Automatic Prompting for ActiveX Controls" to Enable.

9. Save and close all the dialog windows.

Configuring ChromeIf you use Chrome, you might need to allow popups.

To allow ITMS popups in Chrome:

1. Open Chrome.

2. Click the Menu button .

3. Click Settings.

4. Scroll to the bottom of the page and click Show Advanced Settings.

5. Under Privacy, click Content Settings.

6. Under Pop-ups, click Manage Exceptions.

7. For Hostname Pattern, enter itms-online.com

8. For Behavior, select Allow.

9. If you use other sites to access ITMS, enter these web addresses as well.

10. Click Done.

11. Close the Content Settings dialog and then the Settings tab.

12. If you have other popup blockers, add the same web addresses to their safe lists.

Scan Items

The Scan Items module lets you scan checks, remittances, and general documents,depending on your permissions. You can also close batches, delete items, print the openbatch list, print the transaction detail reports, and frank (electronically endorse) checks.

RDC Treasury User Guide Scan Items

Element Description

Account A list of Account member nodes where you can scan items. An Accountmust be selected.

ScanningMode

This list is available when you have the appropriate permissions and thenode that you scan to is set up to use these scanning modes. The optionsthat you see in the list depend on what scanning permissions you have.They can include:

o Item Keying: single-mode scanning through the standard workflowmodules. You can use this mode to create a batch with onetransaction.

o Batch Keying: batch scanning mode through the standard workflowmodules. You can use this mode to scan multiple transactions into abatch.

o Key Plus Keying: batch scanning mode through the Key Plus module.Key Plus combines scanning, keying, and balancing into one process.In addition, Key Plus allows you to apply the amounts of one or morechecks to one or more remits within a transaction.

PersonPresent

This option does not affect scanning, but it sets an ACH Standard EntryClass (SEC) code.

Person NotPresent

This option does not affect scanning, but it sets an ACH Standard EntryClass (SEC) code.

Back Office This option does not affect scanning, but it sets an ACH Standard EntryClass (SEC) code.

Scan Takes you to the scanning page where you can scan items.

View BatchList

Takes you to the Batch List page where you can manage open batches.

Frank Checks Franks checks if your scanner supports franking.

Close Batches Opens the Batches Currently Open page, where you can close batches.

Transaction profilesA transaction is a record of data containing sufficient information to initiate settlementprocessing. A batch can contain one or more transactions, and a deposit can contain one or

more batches.

A transaction can be a single check. It can be a remittance and a check. It can be multiplechecks, multiple remittance-check pairs, and so on. Every transaction must contain at leastone check.

A transaction profile places restrictions on the contents of transactions. This functionality isprovided to help the operator avoid making mistakes. For example, if your transactionprofile is "Single Remit Single Check", you will receive an error if you scan a remittance andthen two checks.

Each transaction profile defines the number of remits and the number of checks permitted ineach scanned transaction. The beginning of the transaction boundary is the first defineditem, and the end of the transaction boundary is the last defined item.

For example, the "Single Remit Single Check" transaction profile means that a transactionmust have one remit and one check, in that order. The next transaction in the batch beginswith the next scanned remit.

Transaction profile Description

Check Only Users must scan checks only. Any document that does notcontain valid check data produces a Check Data Misread error.

Virtual Remit SingleCheck

Users must scan checks only. A virtual remittance isautomatically inserted for each single check transaction. Anydocument that does not contain valid check data produces aCheck Data Misread error.

Single Remit SingleCheck

Each transaction must contain one physical remittance and onecheck. If a user scans only a check, the Transaction ProfileMismatch dialog will open, where the user has the option toinsert a virtual remittance for each transaction. The TransactionProfile Mismatch dialog will appear if there is:

o More than one check per transaction.o More than one remittance per transaction.o A remittance without a check.o A check without a remittance.

Transaction profile Description

Single Remit MultiCheck

Each transaction must contain one physical or virtual remittanceand one or more checks; or a user can scan one or more checksand then insert one virtual remit per transaction. TheTransaction Profile Mismatch dialog will appear if there is:

o More than one remittance.o A remittance without a check.o One or more checks without a remittance.

Optional Remit SingleCheck

A transaction can contain an optional physical remittance andone check. The Transaction Profile Mismatch dialog will appearif there is:

o More than one check.o More than one remittance.o A remittance without a check.

Optional Multi-RemitSingle Check

Each transaction must contain one check and can optionallycontain one or more remittances. The Transaction ProfileMismatch dialog will appear if there is:

o No check.o More than one check.

Multi Remit MultiCheck

This is the most unrestrictive transaction profile. The onlyrestriction is that a transaction must contain at least one check.When you use this profile, a transaction can contain zero ormore remittances and one or more checks. The TransactionProfile Mismatch dialog will appear if there is no check.

Scanner feed modesThere are two modes for scanning checks, depending on the type of scanner that you use:auto-feed mode, and single-feed mode (sometimes referred to as handdrop-feed mode).

Mode Description

Single-Feed If you use a single item scanner, feed the items one at a time.Each document is scanned automatically when you place it in thescanner. Single-feed mode is used when items arrive one at atime, such as in single scan mode for point of purchasetransactions and single scan mode for accounts receivabletransactions.

Auto-Feed If you use a batch-capable scanner, you can insert a batch ofitems into the scanner hopper. The documents remain in thehopper until you begin item scanning and processing in a batchscan mode. Auto-feed mode is used when items arrive in batches,such as in batch scan mode for accounts receivable transactions.

Do not overload the feeder with more items than the scannersupports. If the scanner is overloaded, it stops scanning the itemswhen it reaches its hardware limit.

Before inserting a check into the scanner, make sure that the check is flat with no foldedcorners and has no staples, paper clips, or paper attached.

After scanning each item, or when processing a batch of items, make sure that the entireimage is visible on the screen and that the dollar amount is legible. If the image is notlegible, rescan the check.

Consult your scanner’s documentation for more information about how to feed items intoyour scanner.

ScanningBefore you scan for the first time, you must install the Scanner Control Manager (SCM). Evenif the SCM is already installed, you must go to the Settings page and select your scannermodel from the list.

You can scan checks and remittances. Authorized users can also scan general documents.

1. On the Batch Status page, click Scan Items.

2. Select a location from the Location list, and then select an account from the Accountlist.

3. Click Scan Items.

4. If you are prompted to do so, enter the Batch Control Number.

5. If you are prompted to do so, enter the Batch Control Total.

Note: Next to the Batch Control Total field is the Calculator icon . Click this iconto open the calculator.

In the Calculator, you can enter your check amounts using your mouse or keyboard.Optionally, you can print your calculations. When you are finished, click Apply Total.

Note: Depending on your configuration, this prompt might appear later in thescanning process.

6. Click OK.

7. If you are prompted to do so, enter a transaction profile.

8. Scan checks, remittances, and general documents, as applicable.

9. If the "Associated Items Rejected" dialog appears, physically remove the paper itemsthat are included in the rejects list, and then click OK.

10. Click OK and confirm that you want to close the batch.

General documents

General documents are non-financial documents, such as signed contracts, applicationforms, or envelopes.

If you have permission, you can scan general documents to add them to a transaction.

To add a general document: In the Batch Keying and Key Plus scanning modes, when theitems in the hopper have been scanned, the Continue Scanning Options dialog appears,which includes the option, "Add a General Document". Select it. You can scan multiple pagesas part of the same general document, and you can scan multiple general documents in atransaction.

RDC Treasury User Guide Scan Items

If you have permission, you can add or edit a name for a general document. To do this, openthe Image Display from the Batch List. In the top right of the edit bar is a text box where youcan type the new name. (In the example below, the document name is "Mailing Mr Brown".)Save the new name by clicking the Save icon beside the text box.

You can view general documents in the Batch List of the Scan Items module, and in the Approve Batches and Suspense Pool modules. The general document type is indicated with a G. You can view a general document’s image by clicking on the corresponding document name or IRN.

General documents do not appear in reports. General documents are not inspected for image quality errors, duplicate detection, or stopped checks.

Endorsement featuresEndorsement is a mark put on a check or image of a check to indicate that the check has been submitted for deposit. RDC Treasury supports three kinds of endorsements:

o Franking: Your scanner prints a mark on the front of the check. Franking is a form ofphysical endorsement. The mark is determined by the franker in your scanner. Yournode might be set up to automatically frank as you scan. If you have permission youcan also manually frank items.

o Physical endorsement: your scanner automatically prints a message on the back of an item as it is scanned. The message is configured by your administrator.

o Electronic endorsement (virtual endorsement): RDC Treasury adds a message or logo to the item image that is submitted and stored in the system. Electronic endorsement does not alter the physical item in any way. The endorsement message or logo is configured by your administrator.

All three endorsement features can be configured by your administrator so they are appliedautomatically when you scan.

Manually franking checks

If your location is configured to do so, you can manually frank items.

When you frank checks, the scanner does not read the check data or capture images of thechecks as they pass through the scanner.

1. On the Batch Status page, click Scan Items.

2. If you use an auto-feed scanner, load checks into the scanner’s hopper, and then clickFrank Checks.

The scanner franks all of the checks in the hopper, and then a message appears thatasks whether you want to continue franking.

3. If you use a single-feed scanner, load a check into the scanner, and then click FrankChecks.

The scanner franks the check, and then a message appears that asks whether youwant to continue franking.

4. Complete franking for the batch, or continue franking checks.

o To complete franking for the batch, select Franking completed, and then click OK.

o To continue franking, select Resume franking, and then click OK.

MICR dataEach scanned check is read, and then verified against the data at the bottom of the check.

On business checks, this field contains thecheck serial number. The bank on whichthe checks are drawn determines thearrangement of characters and symbols inthe auxiliary On-Us field. The content ofthis field can begin in position 49.

Can be present to the left ofthe Transit field.

Must be bounded with On-Ussymbols.

If readable and non-blank,then the serial number andcheck number will be thesame. The serial number andcheck number are derivedfrom the Auxiliary On-Usfield.

The Data Entry page allows you to enter and modify data. You can access the Data Entrypage from the Batch List, as well as from the Key Data, Balance Batches, Approve Batches,Authorize Batches, and Suspense Pool modules.

Item Description

Batch ControlNumber

An identifier that is assigned to each batch. It is unique to themember, but it might not be unique in the system.

In some contexts you can enter a different value in this field,and then click Save beside the field to change the Batch ControlNumber for the current batch.

Image display The image appears in the main pane, to the left. If there aremultiple images for you to enter data for, thumbnail imagesappear above and below the selected image.

Show Auto Complete By default, items appear in the Data Entry page only when theyhave missing data. To see all images, select Show AutoComplete.

Red information icon An "i" in a red circle appears for items that were suspendedand reintroduced. You can click the "i" to see why the item wassuspended and why it was re-introduced.

Show Comment If an item was suspended or reintroduced from suspension, thisshows any comment that was entered.

Item navigation When there are multiple transactions, the arrows in the topright of the data entry pane help you navigate through them.

Item Description

Data entry form All data entry fields appear in this pane. The fields that you seemight vary depending on the transaction profile that was usedto scan the item.

If the data entry form was set up to retain common data duringa session, then data that you enter in a field for the firsttransaction in a batch that requires keying might be entered inthe same field automatically for subsequent items throughoutthe batch. You might not have to review items that containautomatically-entered data.

Data that is entered automatically for items in one batch is notentered automatically for items in another batch. You must keydata again for subsequent batches.

Data that you enter during one user session is not automaticallyentered for items that you key in subsequent user sessions,even if you are keying the same batch.

Remits Lists all remittances in the current transaction. The fields thatyou see might vary depending on your data entry form.

If supported by your data entry form, remittance amount fieldscan contain negative values.

Remittance No Enter the remittance account number in this field.

Checks Lists all checks in the current transaction. The fields that yousee might vary depending on your data entry form.

Amount Enter the total dollar amount of the check in this field.

A dollar sign is not required. If you do not enter a decimalpoint, the value that you enter is interpreted as containingcents. For example, if you enter 12345, it is interpreted as123.45.

Button Description

Exit Removes any data that you entered and returns you to the KeyData page.

Void Trans Permanently deletes the current transaction from the batch, ifyou have the permission to do so.

Suspend Sends the current transaction to the Suspense Pool module.

You must have the proper permission to see this button and tosuspend items.

Reopen Returns the batch to the Batch List page so that you can editthe batch or scan additional items into the batch, if you havethe permission to do so.

Export Exports the data.

Submit Data If you are in the Key Data module, clicking Submit Data savesall of the data that you entered. What happens next depends onwhether or not you must review each transaction.

If you do not need to review each transaction, you proceeddirectly to the end of the batch where you are prompted tochoose your next task.

If you must review each transaction, you are moved to the nexttransaction in the batch. When you complete the lasttransaction in the batch, you are prompted to choose your nexttask.

If you are in a module other than Key Data, clicking SubmitData saves all of the data that you entered and moves you tothe next transaction in the batch. When you complete the lasttransaction in the batch, clicking Submit Data closes the DataEntry page, and then returns you to the page that you were onpreviously.

Troubleshooting

This section describes how to recover from issues that might interrupt your session.

Workstation registrationThe first time you try to scan on a workstation that has never been used for scanning, amessage might appear that asks you to register the workstation. The message lists all of theworkstations that are registered in your branch of the member hierarchy. You can either addthe new workstation or replace an existing workstation. All changes take effect immediately.

If you add a new workstation, then you are billed for one additional workstation, beginning inthe current month. If you replace an existing workstation, your billing remains the same.

Your workstation name appears on the Settings page.

When you try to scan on a workstation that has been replaced in the past, a messageappears that tells you that you are activating a previously-replaced workstation.

To remove a workstation without replacing it, contact your service provider.

Thick document or double-feed errorA scanner error might appear when a scanner loads and scans two documents at the sametime. The same scanner error can appear when an auto-feed scanner scans a particularlythick document. The options to recover from this type of error vary, depending on yourscanner.

Recovering from a thick document or double-feed error

You must recover from a Thick Document or Double-Feed error before you can continue toscan items into the current batch.

1. To allow a thick document, click Thick on the message that appears.

A message appears that tells you to rescan the item.

2. To rescan an item that you suspect was double-fed, click Rescan, and then scan theitem again.

The transaction is saved as part of the batch.

3. To eject the double-feed document and scan the next item, click Skip.

The transaction is permanently deleted from the batch.

4. To rescan or skip the double-feed document, click Resume, and then scan the itemagain or leave it in the pocket.

If you do not rescan the item, the item image is not saved as part of the batch.

5. To reject the entire transaction, click Cancel.

The transaction is permanently deleted from the batch.

You can continue to scan items into the current batch after you recover from the error.

Check data misread errorAs you scan checks, the MICR line at the bottom of each check is read and validated. If checkdata cannot be read or validated, the Check Data Misread dialog appears. This dialog shows:

o At the top, a summary of the problem.

o In the middle, a picture of your check.

o At the bottom (under "Enter check data"), is the system's best guess at the MICR line,with question marks (?) where it has no guess. You can edit this MICR line.

Maximum batch size limitsYou might be required to adhere to a batch size limit while scanning checks. When you reachthe maximum batch size limit, a warning message might appear. Only checks count towardthe batch size total. Remittances do not count toward the batch size total.

If the maximum batch size warning message appears, you can continue to scan items intothe current batch.

If the maximum batch size stop message appears, you are prevented from scanning anymore items.

Duplicate Item errorNote: You can't deposit duplicate checks. If you believe that a check that has been flagged asa duplicate is not a duplicate, take the check to the bank for deposit.

If duplicate check detection is activated, the MICR line at the bottom of each check is readand validated as you scan the checks. Blank spaces that appear in the MICR line are ignoredduring validation. New checks are verified against the last 30 days of check data in thesystem to identify duplicates.

The Duplicate Item error appears when MICR data from the check you are scanning matchesMICR data already stored in the system.

If you have permission, you can manually accept the duplicate item or correct the MICR linein the check that is suspected to be a duplicate. Otherwise, you should remove the item fromthe deposit.

o Click Accept to leave the check in the batch.

o Click Edit MICR to edit the MICR line.

o Click Void to reject the check. The check is ejected from the scanner and thetransaction is permanently deleted from the batch.

Image Quality Analysis errorEach scanned check is validated to determine how accurately its electronic image representsthe original paper check. The Image Quality Analysis (IQA) error appears if a check imagefails to meet image quality standards.

If you have permission, you can manually accept the check. If you choose to physicallydeposit the check at the bank, the document is marked as an Original Paper Deposit (OPD) inthe system. It is archived, but it is not presented for settlement in the system. These itemsappear in the Batch Control Total and are visible in the Batch List. Otherwise, you can cancelthe transaction. The check is ejected from the scanner and the transaction is permanentlydeleted from the system.

Excessive Skew The check was not positioned properly when it was scanned.

Piggyback The check might have overlapped with another check duringscanning.

Too Light The check image is too light to be an acceptable representation ofthe paper check.

Too Dark The check image is too dark to be an acceptable representation ofthe paper check.

Stopped itemsA stopped item cannot be processed. As check data is read and validated, the item might beflagged as a stopped item. Depending on your permissions, you can edit the check data orremittance number. Otherwise, you must reject the item and physically remove the paperitem from the batch.

You must have the proper permission to edit check data.

1. To correct the check data, click Edit MICR.

a. Edit the check data, as needed, and then click Submit Changes.

2. To permanently delete the check from the batch and eject it from the scanner, clickOK.

a. Physically remove the check from the batch of paper items.

You can continue to scan items into the current batch.

Recovering from a stopped remittance error

You must have the proper permission to edit the remittance account number.

You might encounter a remittance stop error as you scan items into a batch. You might alsoencounter a remittance stop error when you enter the remittance account number on theData Entry page from the Key Data module.

o To correct the remittance account number, click Cancel, edit the remit accountnumber, and then click Save.

o To permanently delete the remittance and any associated checks from the batch,click OK.

o If the error appears in the Scan Items module, physically remove the remittance andany associated checks from the batch of paper items.

In the Scan Items module, you can continue to scan items into the current batch. In the KeyData module, you can continue to enter data.

Transaction profile mismatchesThe Transaction Profile Mismatch dialog appears when you close a batch that contains itemsthat are out of order with your transaction profile. The pane on the right displays the list oftransactions in the batch and the items associated with each transaction. The pane on theleft displays an image viewer.

In addition, you can open the Transaction Profile Mismatch dialog by clicking ExceptionHandler at the bottom of the Batch List page. If Exception Handler is unavailable, the batchdoes not need to be adjusted.

Accept Allows you to override a transaction profile for someexceptions and accept the selected item as it is.

You must have the proper permissions to override atransaction profile.

Re-type As Changes the type of the item. You must have the properpermissions to retype an item.

Re-type as Remit changes the selected item to a remittance.Any check data information associated with the original checkis ignored and removed.

Re-type as Check changes the selected item to a check item.The Check Data Misread Error dialog box opens for you toenter valid check data for the new check.

Re-type as General Document changes the selected item to ageneral document. When you retype an item as a generaldocument, only the item image is retained; all data associatedwith the original item is removed.

You cannot re-type a general document as a check or aremittance if it has more than one page.

Document Name When you retype an item as a general document, you canenter a name for the general document. This option onlyappears when you retype an item as a general document.

Insert Virtual Remit Creates a virtual remittance for a check that requires aremittance. You must insert a break for the selected check tocreate a new transaction.

You must have the proper permissions to create a virtualremittance.

Move Moves or adjusts the selected cancelled items to disassociatethem from valid transactions and remove them from the batchwhen the batch is closed.

General documents in transaction profile mismatches

Authorized users can scan general documents into transactions. General documents appearin the right pane with the list of checks and remits in the transaction. Although a generaldocument can have multiple pages, it only displays as a single line.

You can retype checks and remits as general documents. You can also retype a generaldocument as a check or a remit, but only if the general document doesn’t have multiplepages.

Some transaction profiles have specific rules for general documents:

o In Check Only profiles, general documents can be moved between transactions.

o In Virtual Remit Single Check profiles, general documents cannot be moved betweena virtual remit and a check; they must be moved to the end of the transaction.

Transactions must include a check. Transactions that contain only remits and generaldocuments are considered incomplete. You cannot close a batch until a transaction includesa check.

Adjusting transaction profile mismatchesAuthorized users can adjust transaction profile mismatches.

You are prompted to adjust any batch scan mismatches before you close a batch if you havenot already done so. You can also open the Transaction Profile Mismatch dialog manually.

1. Manually open the Transaction Profile Mismatch dialog:

a. Click Scan Items.

The Scan Items page appears.

10. When you have completed all the necessary adjustments, click Exit.

Recovering from a lost or slow internet connectionIf you are interrupted during item scanning because of a lost or slow network or Internetconnection, a message appears that notifies you of the problem. Only you can complete andclose unfinished opened batches before item processing can continue. Once your batches areclosed, any other user with the appropriate permissions can key, balance, approve, andmanage any batch in the system.

1. Clear the scanner of any checks that were being processed, empty the scannerpocket, and reload the scanner hopper.

2. Log in.

When you open the Scan Items module, you are returned to the in-progress batch.

3. Continue processing items.

Recovering from an unstable Internet Explorer sessionIf you are interrupted during item scanning because the Internet Explorer browser stopsfunctioning properly, only you can complete and close unfinished opened batches beforeitem processing can continue. Once your batches are closed, any other user with theappropriate permissions can key, balance, approve, and manage any batch in the system.

1. Open Microsoft Windows Task Manager.

2. Select the Processes tab.

3. If an instance of the process iexplorer.exe is running, select it, and then click EndProcess.

The browser window closes.

4. Restart Internet Explorer and log in.

5. Return to the Scan Items module.

If you were scanning an item when the browser stopped functioning, item processingmight continue automatically.

6. When you are prompted, select Scanning Complete, and then click OK.

7. When you are prompted, select "Leave batch open for additional items", and thenclick OK.

8. Use the Batch List to verify that the scanned items were included in the batch.

a. Click Batch List.

b. Compare the physical items in the scanner hopper against the items listed in thebatch list on the screen.

Any items that were scanned, but not included in the batch must be scannedagain to be included.

c. Remove any items from the scanner hopper that were scanned, but not includedin the batch list, and then reload them into the scanner feeder.

9. Return to the Scan Items module to scan the items again.

10. Select the same Location, Account, and scanning mode for the batch that wasinterrupted.

11. Click Scan Items.

12. When you are prompted, select "Add to existing batch", and then click OK.

13. When scanning is complete, leave the batch open and verify that all of the itemsappear in the Batch List.

The Batch List is part of the Scan Items module. The Batch List provides details on all items inall batches that have not yet been closed, balanced, or approved. Cancelled, stopped, andrejected items appear in the Batch List.

In the Batch List, you can edit and void items in a batch before the batch is closed, accessand print customer and merchant receipts, and access and print batch list and transactiondetail reports. In addition, you can access the Transaction Profile Mismatch dialog tomanage errors that were flagged during scanning.

Trans Type Transaction Type. Indicates how the item was scanned, eitherPOP (Point of Purchase, also knowns as Person Present) or BOC(Back Office Capture).

No. Of Checks Total number of checks in the batch.

No. Of Remits Total number of remittances in the batch.

Amount ($) Total dollar amount of all items in the batch.

Electronic Total number of items in each batch that were processedelectronically.

OPD Total number of items in each batch that were processed as anOriginal Paper Deposit (OPD).

The first column to the left indicates whether the item is a check(C), remittance (R), or general document (G).

Scanned On Date and time that the item was scanned. Format MM/DD/YYYYHH:MM AM/PM.

IRN Item reference number. An identifier that is automaticallygenerated and assigned to each item. It is unique in the system.You can view the item by clicking the IRN.

R/T Number A number that identifies the financial institution that issued thecheck. It is part of the data printed at the bottom of the check. Itmight not be unique in the system. This field is blank for remits.

Account No. A number that identifies a particular account from the financialinstitution that issued the item. It is part of the data printed atthe bottom of the check. This field is blank for remits. It mightnot be unique in the system.

Check No. A number that identifies a particular check from an account at afinancial institution. It is part of the data printed at the bottom ofthe check. It might not be unique in the system.

End Point The destination for items. Checks can be IRD, OPD, or ACH.Remits are always Remittance.

You can sort the batch list by clicking a column header. For example, click “Created On” to sort by the date the batches were created. Click the column header again to change the direction (ascending or descending).

If the batch list contains multiple locations, then by default the table is grouped by location, and any sorting is done within the location. If you want to sort the entire table without the location grouping, remove the grouping by clicking the "X" next to “Location” in the group by box. The group by box is just above the table.

To regroup the table by location, drag the Location column header into the area above the batch list.

When you change the grouping of the batch list, RDC Treasury applies the change to every module. However, RDC Treasury does not save these changes after you log out.

RDC Treasury also does not save sorting customizations after you log out.

Deleting open items and batches in the batch listWhen you delete an item, it is permanently removed from the batch. When you delete a batch, it is permanently removed from the system.

1. On the Batch Status page, click Scan Items.

The Scan Items module appears.

2. Select a location from the Location list, and then select an account from the Accountlist.

3. Click View Batch List.

4. Expand a Location and an Account to display the batch and item data that you want.

5. Delete a single item or an entire batch:o To delete a single item, hover over the item, and then click the Delete icon in the

row.o To delete an entire batch of items, select a batch, and then click Delete Batch.

A message appears that asks you to confirm that you want to void the item or batch.

6. Click OK.

A message appears that tells you that the items were successfully deleted.

Key Data

Use the Key Data module to enter data for items that are part of a closed batch. The KeyData module only lists batches that need additional data before they can be approved andtransferred. Batches that do not need further data entered do not appear in the Key Datamodule. Batches are organized by Location and Account.

You can key data for a single batch at a time. When you key data for a batch, it is lockeduntil you finish, and no other users can key your batch.

a. Enter a value in the Batch Control Number field.

b. Click the Save icon beside the Batch Control Number field.

c. When a message appears that confirms that the BCN was saved successfully,click OK.

6. Click Submit Data.

o If the system is set so that you must review each transaction, you move to thenext transaction. After you enter data for the last item in the last transaction, youare prompted to choose your next task.

o If the system is set so that you do not have to review each transaction, youproceed directly to the end of the batch where you are prompted to choose yournext task.

7. Return to the Key Data Batch Selection page, key the next batch, or continue to theBalance Batches module.

o To return to the Key Data Batch Selection page, select Show Batches Available forKeying, and then click OK.

o To open the next batch that needs to be keyed for the selected location, selectKey Next Available Batch, and then click OK.

o To automatically proceed to the Balance Batches module and balance the currentbatch, select Batch Needs Balancing. Proceed to Balance Batches, and then clickOK.

o If the batch does not need balancing, you can choose to proceed directly to theApprove Batches module.

1. On the Batch Status page, click Key Data.

2. Expand a Location.

o If you do not have permission to assign users to reopened batches, you are movedto the Batch List page.

Suspending items from Key DataAuthorized users can suspend transactions from a batch and move them to a temporaryholding location called the Suspense Pool.

When items are suspended, they are removed from their batch in the Key Data module andsent to the Suspense Pool module. When you suspend an item from a batch, any associateditems (such as a related remittance) are moved to the Suspense Pool along with thesuspended item.

1. On the Batch Status page, click Key Data.

The Batch Selection page appears.

2. Expand a Location.

3. Highlight a batch and click Select.

The Data Entry page appears.

4. Select the item that you want to suspend.

5. Click Suspend.

The Enter Reason dialog box appears.

6. Enter the reason why you want to suspend the item, and then click OK.

The current item and all of its associated items are sent to the Suspense Pool.

7. To leave the Data Entry page, click Exit.

Balance Batches

In the Balance Batches module, you can select a batch that requires balancing and changedata to bring the batch into balance. You can balance batches with a batch control total orremittance totals, depending on how your system is configured.

If the application is set to balance transactions based on the batch control total (BCT), thenthe Batch Balancing page appears.

If the application is set to balance batches with remittance amounts, the TransactionBalancing page appears. Batches that were scanned with certain transaction profiles cannotbe balanced with remit amounts. Any batches scanned with these transaction profiles mustuse the batch control total for balancing:

o Check Onlyo Single Check Optional Remito Virtual Remit Single Check

The Balance Batches module lists only batches that must be balanced before they can beapproved and transferred. Batches that do not need to be balanced do not appear in theBalance Batches module. Batches are organized by Location and then Account. You canrefresh the page to see the most current batch data.

You can balance a single batch at a time. When you balance a batch, no other user canbalance your batch because the batch becomes locked until you are done. If your usersession is interrupted during batch balancing, your batch becomes available to other users inthe queue.

You can sort the batch list by clicking a column header. For example, click “Created On” to sort by the date the batches were created. Click the column header again to change the direction (ascending or descending).

If the batch list contains multiple locations, then by default the table is grouped by location, and any sorting is done within the location. If you want to sort the entire table without the location grouping, remove the grouping by clicking the "X" next to “Location” in the group by box. The group by box is just above the table.

To regroup the table by location, drag the Location column header into the area above the batch list.

When you change the grouping of the batch list, RDC Treasury applies the change to every module. However, RDC Treasury does not save these changes after you log out.

RDC Treasury also does not save sorting customizations after you log out.

Data entry form You can click in a row to adjust a check amount. You can alsotab through the list of checks. The blue arrow on the left side ofa row indicates the currently-selected check.

List Total ($) Total dollar amount of all checks in the batch. This totalchanges when you change amounts in the Check Amount fields.

Batch Control Total($)

Total dollar amount of all checks in the batch that was enteredbefore the batch was scanned.

If the batch is not balanced, your changes are saved and you return to the BalanceBatches page. If the batch is balanced, you are prompted to choose your next action.

7. Return to the Balance Batches page, balance the next batch in the queue, or continueto the Approve Batches module.

o If there is only one transaction in the batch, your changes are saved and the DataEntry page closes.

o If there is more than one transaction in the batch, your changes are saved, andthen you are moved to the next transaction each time you click Submit Data.Once you complete the last transaction in the batch, the Data Entry page closes.

Voiding closed items in the Balance Batches moduleWhen you void a transaction, you permanently remove it and any associated items from thebatch. You can void one or more items in a closed batch in the Balance Batches module.

1. On the Batch Status page, click Balance Batches.

2. Expand a Location.

3. Double-click a batch.

The Edit Data page appears.

4. Select a check.

5. Click Void Trans.

A message appears that asks you to confirm that you want to void the selected items.

6. Click OK.

A message appears that tells you that the transaction was successfully voided.

7. Click OK.

Suspending items from Balance BatchesAuthorized users can move and suspend transactions from a batch to a temporary holdinglocation called the Suspense Pool.

When items are suspended, they are removed from their batch in the Balance Batchesmodule and sent to the Suspense Pool module. When you suspend an item from a batch, anyassociated items (such as a related remit) are moved to the Suspense Pool along with thesuspended item.

Approve Batches

The Approve Batches module shows batches that need to be approved for transfer. Batchesthat require additional input before approval do not appear in the Approve Batches module.Batches are organized by Location and Account.

Use the Approve Batches module to review, edit, and void items in closed, balanced batchesthat have not yet been transferred to ITMS. In addition, you can access and print closedbatch lists and closed transaction detail reports.

Depending on your permissions, the Approve Batches module can have three tabs:

o Approve Batches tabo Deposit History tabo Suspense Pool tab

The Approve Batches module might open automatically when you close a batch in the ScanItems module, the Key Data module, or the Balance Batches module. Otherwise, you canopen the Approve Batches module from the Batch Status page.

Approve Batches tabThe home page of the Approve Batches tab is the Batch Selection page. It displays all batchesthat have been closed and balanced, but not yet approved for transfer to ITMS as deposits.

Deposit Identifier Depending on your configuation, you may see this ID for thedeposit. If used, the Deposit Identifier is created at time ofscanning. When the batch is submitted for deposit, a DepositControl Number (DCN) is created that may have the same valueas the Deposit Identifier.

BCN Batch control number. An identifier that is assigned to eachbatch. It is unique to the member, but it might not be unique inthe system.

Trans Type Transaction Type. Indicates how the item was scanned: POP(Point of Purchase, also referred to as Person Present or PP),PNP (Person Not Present), or BOC (Back Office Capture).

Edit Deposit Identifier orSave Deposit Identifier

Depending on your configuration, you might use a DepositID and you might be able to edit it.

The Edit Deposit Identifier button changes the batch-levelDeposit ID cell into an editable field in which you can entera new ID. When you are editing the Deposit ID, the buttonchanges to Save Deposit Identifier. It saves the new DepositID that you entered.

Note: Multiple batches can only be included in the samedeposit if they have the same Deposit ID.

Note: At time of deposit, a Deposit Control Number (DCN) iscreated that might have the same value as the Deposit ID,depedning on your configuration.

FAILED The deposit has failed transfer to ITMS, or ITMS has notacknowledged the deposit within the stipulated service time. TheDeposit Transfer and Deposit Acknowledge services no longerattempt to transfer or acknowledge the parked deposit.

It can take a long time for this status to appear.

RDC Treasury User Guide Approve Batches

Status Description

DELETED The deposit is information is corrupted and the deposit must berescanned. Each item is voided to prevent a duplicate error beinggenerated for each check during the rescan process.

It can take a long time for this status to appear.

Approving batchesYou can approve one or more batches at a time.

When you select batches for approval, they become locked and no other user can approvethose selected batches while they are locked. If your user session is interrupted during batchapproval, batches become available to other users.

1. Click Approve Batches. The Approve Batches module opens.

2. Select the Approve Batches tab. The Batch Selection page opens.

3. Select a batch to approve and click Select. The Batch Approval page opens.

4. For each account or batch that you want to approve, select the checkbox on the leftside of the row.

5. Click Submit for Deposit.

A message appears that confirms the status of your deposit.

6. Click OK.

7. To return to the Batch Selection page, click Exit.

Deposit status message

After you submit a deposit, a message appears to confirm the status of the deposit. Thereare four possible results:

o Approved - a deposit has been created.

o Warning - a deposit has been created but it approached a limit.

o Declined - a deposit has been declined because it has passed a limit.

o Submitted for 2nd level approval - a deposit has been sent to Authorize Batchesbecause it has passed the authorization threshold.

Use the expand triangles to see what deposits, transactions, or items were flagged by limits.Hold your cursor over a warning or a decline to see what limits caused the problem.

To export the deposit summary information for declined deposits to a PDF, click Print.

Reopening a batch in the Approve Batches moduleYou can open a single batch per location/account/scan mode combination at a time. If youwant to reopen a batch for the same location/account/scan mode information as a batch inprogress, you must cancel or close the batch in progress.

If another user is currently scanning to the same location/account/scan mode combination,you cannot reopen a batch in that location/account/scan mode combination.

You can assign a reopened batch to your user account or another user account, if you havepermission.

o Only users who exist at your root node and below in the samemerchant/location/account branch where the batch was scanned and have access toScan Items appear in the list.

o By default, the last user who closed the batch is selected. If the last user who closedthe batch exists at a higher node than your user, the last user who closed the batchdoes not appear in the list, and there is no user selected by default.

o If you select a user who already has an open batch at the same location/account/scanmode, an error message appears.

b. Select the Approve Batches tab. The Batch Selection page opens.

3. Click Reopen.

o If you have permission to assign users to reopened batches, the Select User dialogbox appears.

o If you do not have permission to assign users to reopened batches, you are movedto the Batch List page.

4. If the Select User dialog box appears, select a user from the list, and then click OK.

o If you select your user account from the list, you are moved to the Batch Listpage.

o If you select another user account from the list, you are returned to the ApproveBatches page.

Editing items in the Approve Batches moduleAuthorized users can edit items in a closed batch that is ready for approval and transfer toITMS.

When you select an item to edit, all of the items in the transaction that can be editedappear. You can edit one or more items at a time.

1. Open the Batch Approval page:

a. On the Batch Status page, click Approve Batches. The Approve Batches moduleopens.

b. Select the Approve Batches tab. The Batch Selection page opens.

c. Select a batch to approve and click Select. The Batch Approval page opens.

2. For each account or batch that you want to approve, select the checkbox on the leftside of the row.

3. Click Edit Trans.

The Data Entry page appears.

4. Make changes in the data entry fields.

5. Click Submit Data.

o If there was only one transaction in the batch, your changes are saved and theEdit Data page closes.

o If there is more than one transaction in the batch, your changes are saved, andthen you are moved to the next transaction each time you click Submit Data.Once you complete the last transaction in the batch, the Edit Data page closes.

6. Click Exit to return to the Approve Batches tab.

Voiding items or batches in the Approve Batches moduleAuthorized users can void individual items or transactions in a closed batch, or an entireclosed batch that has been moved to the Approve Batches module, but not yet submitted fordeposit.

When you void a transaction or batch, you permanently remove all items that are part ofthat transaction or batch. You cannot void individual items from a batch, or an entire batch,that has been submitted for deposit.

1. Open the Batch Approval page:

a. On the Batch Status page, click Approve Batches. The Approve Batches moduleopens.

b. Select the Approve Batches tab. The Batch Selection page opens.

c. Select a batch to approve and click Select. The Batch Approval page opens.

2. For each account or batch that you want to approve, select the checkbox on the leftside of the row.

3. Void a batch, individual item, or transaction:

o To void an individual item or transaction, select the checkbox for each item thatyou want to void, and then click Void Trans.

o To void an entire batch, select the batch row, and then click Delete Batch.

A message appears to warn you that when you void an item, the entire transaction isdeleted permanently.

4. Click OK.

A message appears that tells you the items have been voided.

5. Click OK.

All items that are associated with the item or batch that you voided are permanentlyremoved.

Printing batch list reportsAll transaction information that is associated with a batch appears in the Batch List report.

Although the front and back images that are associated with each transaction appear on thescreen, the images are not printed in the report.

1. On the Batch Status page, click Approve Batches.

2. Select the Deposit History tab.

3. Expand or collapse dates, locations, and accounts to display batch and item data.

4. Select a batch.

5. Click Print Batch List.

The Batch List Report appears in a separate dialog box.

6. Click the Print button.

A PDF of the report appears. If you do not have a PDF reader installed on yourworkstation, you are prompted to save the PDF.

7. Click Print.

The Print dialog appears.

8. Click Print.

The report prints to the specified printer.

9. Close the Batch List report.

Printing transaction detail reportsAll information that is associated with a selected item appears in the Transaction Detailreport. Although the front and back images that are associated with each transaction appearon the screen, the front images are only printed in the report when you click Print All Itemswith Images. Otherwise, no images are printed in the report. Images of virtual remittancesthat are associated with a transaction are not printed in the report.

1. On the Batch Status page, click Approve Batches.

2. Select the Deposit History tab.

3. Expand or collapse dates, locations, and accounts to display batch and item data.

4. Select a batch row, or click the Print Item checkbox next to an item.

5. Click the appropriate print button.

o To print a report for the selected batch, click Print Batch List.

o To print a report for the selected item, click Print Item List.

o To print a report for all items in the batch, regardless of which items areselected, select the batch, and then click Print All Items.

o To print a report of all items in the selected batch that includes the front imagesassociated with each transaction, click Print All Items with Images.

Suspending items from Approve BatchesAuthorized users can move and suspend transactions from a batch to a temporary holdinglocation called the Suspense Pool.

When items are suspended, they are removed from their batch in the Approve Batchesmodule and are not transferred to ITMS when you approve the batch. When you suspend anitem from a batch, any associated items (such as a related remittance) are moved to theSuspense Pool along with the suspended item.

1. Open the Batch Approval page:

a. On the Batch Status page, click Approve Batches. The Approve Batches moduleopens.

2. For each item that you want to suspend, select the checkbox on the left side of therow.

3. Click Suspend.

The Enter Reason dialog appears.

4. Enter the reason why you want to suspend the item, and then click OK.

The current item and all of its associated items are sent to the Suspense Pool.

5. To return to the Batch Selection page, click Exit.

Editing a Batch Control NumberYou must have the appropriate permission to change the batch control number.

1. Open the Batch Approval page:

a. On the Batch Status page, click Approve Batches. The Approve Batches moduleopens.

b. Select the Approve Batches tab. The Batch Selection page opens.

c. Select a batch to approve and click Select. The Batch Approval page opens.

2. For each batch whose BCN you want to edit, select the checkbox on the left side ofthe row.

3. Click Edit BCN.

The batch-level BCN cell changes into an editable field, and the Save BCN buttonappears.

4. Make any required changes to the batch control number.

5. Click Save BCN.

A message appears that confirms that the BCN was saved successfully.

6. Click OK.

Authorize BatchesSome nodes require a second level of approval for batches with dollar amounts that exceeda certain threshold. This second level of approval is handled in the Authorize Batchesmodule.

If Authorize Batches is set up for your node and you have permission to view it, the AuthorizeBatches module appears as a module on the Batch Status page. You can perform the sametasks in Authorize Batches as you can in Approve Batches.

With Authorize Batches set up at a node, when a user submits a batch for deposit thatexceeds the authorization threshold, the batch is moved to the Authorize Batches module.However, if a user with permission to authorize batches submits the batch for deposit, itbypasses the Authorize Batches module and is submitted for deposit immediately.

Depending on your permissions, the Authorize Batches module can have three tabs:

o Approve Batches tabo Deposit History tabo Suspense Pool tab

Authorize Batches tab

The home page of the Authorize Batches tab is the Batch Selection page. It displays allbatches that have been closed, balanced, and approved, but that exceed the authorizationthreshold. They must be authorized before they can be deposited.

Breadcrumbs at the top of every page tell you where you are,and allow you to move to other pages by clicking titles. In thiscase, you are on the Batch Selection page, which is the homepage of the Authorize Batches module.

Location The name of the Location member node where the batch wasscanned.

By default, batches are grouped by location. If you want toremove the grouping, click the X next to “Location” in the groupby box.

Account The name of the Account member node where the batch wasscanned.

Created On Date and time that the batch was created. FormatMM/DD/YYYY HH:MM:SS AM/PM.

Deposit Identifier ID for the deposit.

BCN Batch control number. An identifier that is assigned to eachbatch. It is unique to the member, but it might not be unique inthe system.

Trans Type Transaction Type. Indicates how the item was scanned: POP(Point of Purchase, also referred to as Person Present or PP),PNP (Person Not Present), or BOC (Back Office Capture).

No. of Checks Total number of checks in the batch.

No. of Remits Total number of remits in the batch.

Total ($) Total dollar amount of all items in the batch.

MICR Repair Indicates if any items in the batch needed the MICR valueentered manually.

IQ Override Indicates if any items in the batch have an image quality erroroverride.

Duplicate Override Indicates if any items in the batch have a duplicate item erroroverride.

Item Description

Items List of items in a batch.

o C indicates that the item is a checko R indicates that the item is a remittanceo G indicates that the item is a general document

The column heads cannot be selected and the rows cannot besorted.

Date/Time Date and time that the item was scanned. FormatMM/DD/YYYY HH:MM AM/PM.

IRN Item reference number. An identifier that is automaticallygenerated and assigned to each item. It is unique in the system.

R/T Number A number that identifies the financial institution that issued thecheck. It is part of the data printed at the bottom of the check.It might not be unique in the system. This field is blank forremits.

Account No. A number that identifies a particular account from the financialinstitution that issued the item. It is part of the data printed atthe bottom of the check. This field is blank for remittances. Itmight not be unique in the system.

Check No. A number that identifies a particular check from an account ata financial institution. It is part of the data printed at thebottom of the check. It might not be unique in the system.

Amount ($) Total dollar amount of the check.

Individual Name An identifier assigned to the payor, such as an account numberor customer reference number.

You must have permission to see this column.

MICR Repair Indicates if that item needed the MICR value entered manually.

Image QualityOverride

Indicates if that item has an image quality error override.

Duplicate Override Indicates if that item has a duplicate item error override.

When you click the icon, you aretaken to the Apply Amounts dialog box where you can apply checkamounts to remittances, or view checks and remittances in atransaction. You cannot delete remittances or insert virtualremittances.

You must have permission to use this feature.

Button Description

Reopen Opens the batch. If you have permission, you can edit thebatch or add additional items to it.

Edit Trans Allows you to edit data for the transaction.

Void Trans Permanently deletes the current transaction from the batch.

Delete Batch Permanently deletes the selected batch, if you havepermission.

Edit BCN or Save BCN The Edit BCN button changes the batch-level BCN cell intoan editable field in which you can enter a new batch controlnumber.

When you are editting the BCN, the button changes to SaveBCN. It saves the new BCN that you entered.

Edit Deposit Identifier orSave Deposit Identifier

The Edit Deposit Identifier button changes the batch-levelDeposit ID cell into an editable field in which you can entera new ID.

When you are editing the deposit identifier, the buttonchanges to Save Deposit Identifier. It saves the new depositidentifier that you entered.

Suspend Sends selected items to the Suspense Pool.

Submit for Deposit Submits the batch for deposit.

Batch Sorting

You can sort the batch list by clicking a column header. For example, click “Created On” to sort by the date the batches were created. Click the column header again to change the direction (ascending or descending).

If the batch list contains multiple locations, then by default the table is grouped by location, and any sorting is done within the location. If you want to sort the entire table without the location grouping, remove the grouping by clicking the "X" next to “Location” in the group by box. The group by box is just above the table.

To regroup the table by location, drag the Location column header into the area above the batch list.

When you change the grouping of the batch list, RDC Treasury applies the change to every module. However, RDC Treasury does not save these changes after you log out.

RDC Treasury also does not save sorting customizations after you log out.

Authorizing batches

You can authorize one or more batches at a time.

When you select batches to authorize, they become locked and no other user can authorize those selected batches while they are locked. If your user session is interrupted during batch authorization, batches become available to other users.

1. Click Authorize Batches. The Authorize Batches module opens.

2. Select the Authorize Batches tab. The Batch Selection page opens.

Deposit status message

If your account has deposit or aggregated limits and is set up to display limit notifications,when you submit a deposit a message appears that confirms the status of your deposit.There are three possible results:

o Approved - a deposit has been created.

o Warning - a deposit has been created but it approached a limit.

o Declined - a deposit has been declined because it has passed a limit.

Deposit transfer to ITMSWhen you submit a batch for deposit, the deposit is transferred to ITMS. The DepositTransfer module checks for unsent deposits (including previously failed deposits) every 60seconds on the minute, and communicates with ITMS to track deposit acknowledgements.

Key Plus

Key Plus provides a workflow that combines scanning, keying, and balancing into oneprocess.

In addition, Key Plus includes an applied amounts feature that allows you to apply theamounts of one or more checks to multiple remits within each transaction. For example, if atransaction contains two checks whose amounts are $150.00 and $50.00, and two remitswhose amounts are $100.00 each, you can apply $100.00 of the first check to the first remit,and $50.00 of the first check to the second remit. Then you can apply the full $50.00 of thesecond check to the remainder of the second remit to complete the payment.

o To use Key Plus, you must have the appropriate permissions.

o You must select the Key Plus scanning mode on the Scan Items page, or youradministrator must set it up for you.

o Applied amounts is not available for Check Only transaction profiles.

After you have applied all of the payments to remits and closed the batch, the batch movesto the Approve Batches module.

Processing batches in Key PlusHere is an overview of the process of scanning, keying, balancing, and applying amounts inKey Plus mode.

1. If necessary, set the Scanning Mode on the Scan Items page to Key Plus.

2. Scan checks and remittances for the batch.

3. Once all of the items are scanned into the batch, select Scanning Completed, andthen click OK.

If keying is required, the Data Entry dialog box appears.

4. Adjust the transactions as required:

o Correct check amounts.

o Insert virtual remittances.

o Void items from the transaction.

5. When all the adjustments are made, click Submit Data.

o If the total check amount does not match a BCT that was entered manually, theBalance Batches dialog box appears.

o If the batch is not balanced according to the remittance balancing rules, theVerify Amounts dialog box appears.

o If the batch is balanced, but the total check amount does not equal the totalremittance amount, the Apply Amounts dialog box appears.

o If the total check amount equals the total remittance amount, the check amountis applied to the remittance amount automatically, and the Next Action dialog boxappears.

6. Balance, verify, or apply the amounts of the checks to the remittances.

o If the Balance Batches dialog box appears, adjust the check amounts in the batchas required, and then click Save for each adjustment until the batch is in balance.

The Apply Amounts dialog box appears if you need to apply amounts manually;otherwise, the Next Action dialog box appears.

o If the Verify Amounts dialog box appears, adjust the check amounts as required,and then click Accept to confirm that all of the amounts are correct.

The Apply Amounts dialog box appears if you need to apply amounts manually;otherwise, the Next Action dialog box appears.

o If the Apply Amounts dialog appears, apply check amounts to the remittanceamounts until all of the check amounts have been applied.

The Next Action dialog box appears.

7. In the Next Action dialog box, choose whether to continue scanning items into thebatch, to leave the batch open, or to close the batch.

o To scan more items into the batch, choose Scan More to add more checks andremittances, or Scan General Documents to add non-financial documents to thebatch.

You are returned to the Scan Items page.

o To leave the batch open, choose Leave Batch Open for Additional Items.

The batch is placed into the Batch List.

o To close the batch, chose Close Batch.

The batch moves to the Approve Batches module.

Scanning in Key Plus1. On the Batch Status page, click Scan Items.

2. Select a Location from the Location list, and then select an Account from the Accountlist.

3. If necessary, select the Key Plus scanning mode.

4. Click Scan Items.

5. If you are prompted to do so, enter the Batch Control Number.

Note: Next to the Batch Control Total field is the Calculator icon . Click this iconto open the calculator.

In the Calculator, you can enter your check amounts using your mouse or keyboard.Optionally, you can print your calculations. When you are finished, click Apply Total.

Note: Depending on your configuration, the BCT prompt might appear later in thescanning process.

7. Click OK.

8. If you are prompted to do so, select a transaction profile from the Transaction Profilelist.

10. Scan the items into a batch, and then close the scanning session.

a. Arrange the physical batch of items in the order that is required by youradministrator or by the transaction profile that you selected.

b. Insert the batch of items into the scanner’s hopper.

The scanner scans all items in the batch, and then a message appears that asksyou whether you want to resume scanning or if scanning is complete.

c. To scan additional items, select Resume scanning, and then click OK.

d. Once all of the checks are scanned into the batch, select Scanning Completed,and then click OK.

e. If necessary, handle any transaction exceptions.

When scanning is complete and all transaction exceptions have been handled, the Data Entrydialog appears if keying is required.

Applying amounts in Key PlusThe Apply Amounts dialog box appears if the system cannot automatically apply the checkamounts towards the remit. In that case, you must apply check amounts to remits manually.

1. In the first transaction, select a check in the Checks area of the dialog box.

2. In the Remittances area of the dialog box, apply the amount of the check to theremits in the transaction.

You can apply the check amount to one, some, or all of the remits in the transaction.You cannot pay more than the total check amount.

3. (Optional) Click Insert Virtual Remit to insert any remits that are missing.

4. (Optional) Click Edit Trans to edit data for the transaction.

5. Click the right arrow above the check image to select the next check in thetransaction.

6. Apply the amount of the check to the remits in the transaction.

7. After you have applied all of the check amounts in the transaction, click Apply.

Note: You must apply the total check amounts in the transaction before you canmove to the next transaction.

The amount that you assigned to each remit is applied, and you are moved to thenext transaction in the batch.

8. Apply check amounts for the rest of the transactions in the batch.

9. When you have completed the process for the last transaction, click Apply.

The Apply Amounts dialog box closes, and the Next Action dialog box appears.

Suspense Pool

If you have the proper permissions, you can manage suspended transactions (including thesuspended item and any associated items such as a remit) that are temporarily held in aholding location called the Suspense Pool. However, you cannot immediately approve andtransfer the items in the Suspense Pool.

Users send items to the Suspense Pool module from the Key Data, Balance Batches, orApprove Batches module. You can access the Suspense Pool either from the Batch Statuspage or from inside the Approve Batches module.

You can manage suspended items in the following ways:

o Edit closed items.o Void suspended items.o Reintroduce suspended items.o Reintroduce a batch of suspended items.

Source Indicates the module from which the item was suspended. Can beKey, Balance, or Approve.

Deposit Identifier ID for the deposit.

BCN Batch control number. An identifier that is assigned to each batch.It is unique to the member, but it might not be unique in thesystem.

Trans Type Transaction Type. Indicates how the item was scanned: POP (Pointof Purchase, also referred to as Person Present or PP), PNP (PersonNot Present), or BOC (Back Office Capture).

No. Of Checks Total number of checks in the batch.

IRN Item reference number. An identifier that is automaticallygenerated and assigned to each item. It is unique in the system.

R/T Number A number that identifies the financial institution that issued thecheck. It is part of the data printed at the bottom of the check. Itmight not be unique in the system. This field is blank for remits.

Account No. A number that identifies a particular account from the financialinstitution that issued the item. It is part of the data printed at thebottom of the check. This field is blank for remits. It might not beunique in the system.

Batch Sorting

You can sort the batch list by clicking a column header. For example, click “Created On” to sort by the date the batches were created. Click the column header again to change the direction (ascending or descending).

If the batch list contains multiple locations, then by default the table is grouped by location, and any sorting is done within the location. If you want to sort the entire table without the location grouping, remove the grouping by clicking the "X" next to “Location” in the group by box. The group by box is just above the table.

To regroup the table by location, drag the Location column header into the area above the batch list.

When you change the grouping of the batch list, RDC Treasury applies the change to every module. However, RDC Treasury does not save these changes after you log out.

RDC Treasury also does not save sorting customizations after you log out.

Editing suspended itemsAuthorized users can edit a suspended item in the Suspense Pool module.

You can edit one or more items at a time.

1. Open the Suspended Item Management page:

a. On the Batch Status page, click Suspense Pool. The Suspense Pool Batch Selectionpage opens.

o If there was only one transaction in the batch, your changes are saved and theData Entry page closes.

o If there is more than one transaction in the batch, your changes are saved, andthen you are moved to the next transaction each time you click Submit Data.Once you complete the last transaction in the batch, the Edit Data page closes.

If you make changes to a suspended item, the item is not reintroduced back into theworkflow. You must reintroduce the item manually, by clicking Resume on the SuspendedItem Management page.

Voiding suspended itemsAuthorized users can void a suspended item in the Suspense Pool module.

Voiding a suspended item removes it from the batch permanently. You can void one or moreitems at a time. When you void items, any associated item (such as a related remit) areremoved, too.

1. Open the Suspended Item Management page:

a. On the Batch Status page, click Suspense Pool. The Suspense Pool Batch Selectionpage opens.

b. Select a batch to approve and click Select. The Suspended Item Managementpage opens for that batch.

2. Select the checkbox next to a suspended item you want to delete.

A message appears warning you that when you void an item, the entire transaction isdeleted permanently.

Reintroducing suspended itemsAuthorized users can reintroduce suspended items from the Suspense Pool module back intothe Key Data, Balance Batches, or Approve Batches module for further data entry orapproval. The system determines the module to which the item is sent.

Items do not return to their original batches.

1. On the Batch Status page, click Suspense Pool.

2. Expand a Location and an Account to display the batch and item data that you want.

3. Click the checkboxes next to rows that contain suspended items you want toreintroduce.

4. Click Select.

5. Click Resume.

The Enter Reason dialog box appears.

6. Enter the required information.

a. Enter your reason for reintroducing the batch.

b. Enter a BCN (Batch Control Number) in the BCN field if a value is not assignedautomatically.

c. Click OK.

Suspended items as a batchAuthorized users can reintroduce suspended items from the Suspense Pool module to the KeyData, Balance Batches, or Approve Batches module as a new batch. The system determinesthe module to which the batch is sent based on the work that needs to be completed for theitems in the batch.

You can reintroduce the group of items as a single batch, even when the BCN entered onreintroduction is the same as an existing batch in the system. A group of reintroduced itemsis never combined with any existing batch in the system.

If any of the attributes for the selected items in the group are not identical, then the selecteditems cannot be reintroduced together as a single batch. If you try to group such items into asingle batch, you will receive an error message. These items must be reintroduced in new,individual batches.

When you reintroduce a new batch to the workflow, you must enter a batch control total ifthe new batch contains transactions that were suspended from the Key Data or BalanceBatches module. Under certain circumstances, you do not have to enter a batch control totalwhen you reintroduce a new batch.

o The transactions in the new batch were scanned at a node where remit balancing isconfigured.

o All transactions in the new batch were suspended from the Approve Batches module.

Reintroducing suspended items as a batch

When you reintroduce a batch of suspended items, every item in the group must have beenscanned at the same physical workstation by the same user, and share the same Location,Account, Scan Mode, Centralized Configuration setup, Transaction Profile, and Data EntryForm. As long as the items meet these criteria, items that were suspended from differentmodules can be grouped into the same batch.

1. Open the Suspense Pool.

2. Select the check box beside each item that you want to reintroduce.

3. Click Resume.

The Resume Batch dialog box appears.

RDC Treasury Reports

You can create RDC Treasury reports on demand in ITMS. When you generate an on-demand report, you might be prompted for dates and other information that is required to generate the report. The data that is required to generate each report varies. You can generate only those reports that you have permission to access. You can generate on-demand reports for a range of up to 35 days. All report times are displayed in Eastern Standard Time (EST).

Generating reportsYou must have the View On Demand Reports permission to view reports.

1. Select a member from the hierarchy.

2. Click Reports.

3. Select an available report from the list.

Report formatsAfter you generate a report, you can download it in one or more formats, depending on whatformats are available for that report. Select the file format that best fits your needs.

CSV (Comma-Separated Values)

File extension: .csv

CSV files contain tabular data where each piece of data is separated by a comma (comma-delimited). CSV files are commonly used to transfer data from one database to another.

In a CSV file, each line of data is equal to a row in a table. Within each line, fields or “cells”are separated by a comma. Data that contains a comma is surrounded by double-quotes.Each line (or row) ends with a line feed, or a carriage return and a line feed pair.

However, opening a generated report that is in CSV format in a spreadsheetapplication can cause unexpected reformatting of numerical data in the report. If you needto open a generated report in a spreadsheet application, we recommend that you downloadthe report in the Excel format, if possible.

For Microsoft Excel. This format is useful if you want to sort, limit, or analyze your reportdata.

MHTML (Mime HTML)

File extension: .mht

The MHTML format is a multi-part MIME message containing HTML in one part and otherresources referenced by the HTML in other MIME parts (for example, logos or images). Thisformat is useful if there are images associated with the report that you want to archive withthe report when you download it and view it offline.

Before you print a report that is generated as an MHTML file, download it first and thenopen the report in a browser. Although Internet Explorer supports MHTML format, not allother browsers do (or they might display it in different ways).

In addition, MHTML files can be opened and saved using Microsoft Word 2002 and later.

To open a PDF file, you require PDF reader software, such as Adobe Acrobat Reader version8 or higher.

XML (eXtensible Markup Language)

File extension: .xml

XML is a structured, text-based file format standard. Typically, a computer processes thereport data contained within the XML file to transform it into another file for a differentapplication.

Downloading reportsAfter generating a report, you can download the report file from the web site over HTTPS.

Glossary

account

The member node to which you send check deposits.

ACH

Automated Clearing House. It is an electronic network for financial transactions in the UnitedStates that processes large volumes of both credit and debit transactions. Rules andregulations governing the ACH network are established by NACHA and the Federal Reserve.

ANSI

American National Standards Institute.

ARC

Accounts Receivable Conversion. The standard ACH entry code for Accounts Receivablecheck transactions. Under NACHA rules, a paper check that a consumer (check writer) mailsto a biller’s remit or lock box location, or delivers to a drop box location, may be convertedinto an ACH debit. At the remit location, the biller electronically captures paymentinformation, including the routing number and account number.

Once a check is scanned and processed, the biller must destroy the check within 14 days andretain a copy (not original) for at least two years after the transaction date. The check writeris not present while the check is scanned. The payment information is then used to create ane-check to the consumer’s account. As of June 11, 2004, a biller must provide its customerswith the ability to opt-out of having their checks processed through the ACH network.

associate item

The images and data related to a single piece of paper that does not contain any informationnecessary for processing a transaction. For example, a customer change of address slip(includes back image, if captured).

auto-feed scanning mode

A scanning mode in which the scanner automatically pulls documents from the feeder.Typically used for batch feeding operations; however, can be used for single feeding as well.

bank

Any depository financial institution, including a national bank, a state bank, a federal or statesavings bank, a credit union, or a savings association.

bank routing number

A nine-digit number (eight digits and a check digit) that identifies a specific financialinstitution. Also known as a transit/routing number.

batch

A group of checks (and, optionally, remittances, virtual remittances and/or generaldocuments) that are considered a single unit for the purpose of data processing. A batch cancontain multiple transactions, and a deposit can contain multiple batches. There is a limit of1,000 items per batch.

BCN

Batch control number. An identifier that is assigned to each batch. It is unique to themember, but it might not be unique in the system.

BCT

Batch Control Total. The total dollar amount of checks in a batch.

blocks

ITMS decisioning filter that prevents particular account numbers or bank numbers frombeing processed. Also known as MICR Account Blocks. This applies to ACH processing only.

BOFD

Bank of First Deposit. A bank that accepts a check for deposit from a customer. It is also theinstitution to which a check would be returned if the check is not paid. Also known asdepositary bank.

Canadian Payments Association

The Canadian Payments Association operates national clearing and settlement systems thatfacilitate the flow of funds between institutions, and mitigates risk to payment systemparticipants. The ITMS Deposit application adheres to the Canadian Payments Association

Courtesy Amount Recognition or Read. The ability to locate, analyze, and recognize handwritten or machine-printed amounts on documents. For example, $48.24.

centralized configuration

A part of the ITMS administration module. Centralized Configuration options define how checks are scanned and processed for ITMS Deposit applications. In Administration: under the CLIENT heading, click Management, open the Configuration tab, and select a version of RDC Treasury or RDC Business.

check

A demand instrument used to transfer funds from a payer to a payee. Also called a draft or an item.

check amount

The dollar amount of a check.

check digit

The final character of a routing number that may be used to test the validity of a specific routing number.

check image

An electronic or digital image of a check that is created by a depositor, a bank, or another participant in the check collection process. Check images can be exchanged electronically by banks, printed for customer statement purposes, displayed on Internet banking web sites, and used to create substitute checks.

check truncation

The conversion of a check to an electronic debit or image of the check by someone in the payment system other than the paying bank (that is, the bank that pays the check, or the bank of the customer who wrote the check). The transaction may be governed by check law or by electronic banking law.

Client application

Also called Deposit application. Client applications are the scanning applications, such as RDC Treasury, that let ITMS users scan checks, enter data, and so on. Client applications provide an interface to a check scanner. Mobile client applications use the camera on a phone or tablet to scan images.

collecting bank

An institution that attempts to collect payment of a check. It can be either the bank of deposit or a subsequent collecting bank, such as a Federal Reserve Bank.

coupon

An item that contains information necessary for processing a payment transaction. For example, a utility bill. Also known as a remittance.

CSV

Comma separated value. A file type commonly used to transfer data from one database to another.

Data Intelligence

ITMS reports that contain item data in CSV, XML, or another machine-readable custom format. These reports are also called data feeds.

DCN

Deposit Control Number. An identifier that is automatically generated and assigned to each deposit. It is unique to the member, but it might not be unique in the system.

DCT

Deposit control total. The total dollar amount of all checks in the deposit.

decisioning

A process that determines whether an item is eligible for ACH processing. If the item is not eligible, specific routing rules are applied to determine alternative processing methods, such as Original Paper Deposit or Reproduced Paper, or not at all, as in a Stopped account. The following decisioning types are defined through the Dynamic Decisioning Portal on ITMS.

ECC

Electronic Check Conversion. The process of scanning and electronically transmitting theMICR line of a check from the POS to the paying bank for settlement. Converted checks arerouted through the collecting bank to the ACH system and on to the paying bank.

electronic check

The term that refers to several types of electronic transactions: ACH-based electronic check,electronic network electronic check, and Internet- or telephone-initiated payment.

electronic endorsement

A system for applying a franking endorsement to an electronic image of a bank check. Alsoknown as virtual endorsement.

endorsement

A signature or stamp on a cash item by the payee, depository bank, or collecting bank.

endpoint

The destination for presentment of a check (the paying bank for forward collection, or thebank of first deposit for a returned check).

EPC

External Processing Code. A number placed in Position 44, just before the ABA routingnumber, of the MICR line. Check 21 and the proposed Federal Reserve regulations requirechanges to the EPC field for processing substitute checks.

Whenever a substitute check is created, a 4 is always printed in the EPC field. ANSI X9.90requires that a 4 be placed in the EPC position identifying a substitute check. On an originalcheck, Position 44 is generally left blank for forward collection. When a substitute check iscreated to return the check to the depositor, the substitute check will have a 4 in the EPCfield. This holds true when an image of an unpaid check is returned to the bank of firstdeposit or a substitute check is created and sent back to the depositor of the original item.

A 2 is placed on a qualified return strip or carrier document if the item is an original checkbeing sent as a qualified return. ANSI X9.90 requires that a 5 be placed in the EPC positionfor qualified returns of a substitute check. In that return process, a 5 is placed in position 44on the qualified return strip, carrier document or perforated slip attached to the substitutecheck.

FI

Financial Institution. Refers to a bank, credit union or other organization that providesfinancial services.

FI node

The Customer node in the ITMS hierarchy that is configured for a settlement channel.

FRB

Federal Reserve Bank.

full-page document

A back or front document image with both a height and width that exceeds 5.0 inches.

general document

A non-financial document, such as a contract, envelope, or application form.

handdrop scanning mode

A scanning mode in which the scanner is always “open” and immediately scans an item thatis inserted into the handdrop mechanism. Typically used for single-feed operation. Thescanner is typically made active prior to inserting the item by user interaction with thesoftware. Not all scanners support handdrop mode.

Host

The part of ITMS that is not a client application.

ICR

Intelligent Character Recognition.

image

The front or back electronic representation of a scanned check. A check is alwaysrepresented by two images, the front and back.

image capture

A document is passed through a check scanner device, which can be connected to a point-of-sale (POS terminal), computer, Electronic Cash Register, server, or other device. The scanner

captures the image and any MICR or OCR data in the document. The MICR or OCRinformation is transmitted to the peripheral device, where it is processed accordingly.

image storage

Captured images and their associated MICR/OCR data are sent to ITMS for storage.

In Progress batch status

A user or process is currently processing the batch, and possibly changing data. No otheruser or process can access the batch during this time.

IQA

Image Quality Assurance. Tests performed on the check image to validate the check forpotential image defects and usability problems.

IRD

Image Replacement Document. Also known as a substitute check. A paper reproduction ofthe original check that:

o Contains an image of the front and back of the original check.

o Bears a MICR line containing all the information appearing on the MICR line of theoriginal check, except as provided under generally applicable industry standards forsubstitute checks to facilitate the processing of substitute checks (regulations maycontain exceptions).

o Conforms, in paper stock, dimension, and otherwise, with generally applicableindustry standards for substitute checks.

o Is suitable for automated processing in the same manner as the original check.

IRN

Item Reference Number. An identifier that is automatically generated and assigned to eachitem. It is unique in the ITMS system.

ISN

Item Sequence Number. An item identifier assigned by the institution presenting to ITMS.

Checks, remittances, general documents, or virtual remittances.

ITMS

Image & Transaction Management System.

LAR

Legal Amount Recognition. The recognition of the word representation of a check amount such as "forty-eight and 24/100 dollars".

member

Organizational units, such as companies, merchants, stores, terminals, or groups, that describe each point of transaction capture that transmits data to the system.

member hierarchy

The ITMS hierarchy includes members and users. Users are people who access the ITMS system to manage or view a particular member’s data.

merchant

An entity that receives and processes payments in exchange for the sale of goods and services.

Merchant node

The merchant member node in the ITMS hierarchy that is configured for a billing account.

MICR

Magnetic Ink Character Recognition. The characters on the bottom line on the face of a paper check that contains the routing or transit number of the financial institution the check is drawn on, the account number of the drawee (Receiver) and the check number, all printed in machine readable magnetic ink in a font devised for check reading.

MICR reader/imager

A scanner.

multi-merchant

In a distributed-location environment, multiple merchant locations enable batch processing for more than one merchant or location on the same Client workstation.

NACHA

The Electronic Payments Association, formerly the National Automated Clearing HouseAssociation. NACHA is an organization in the United States that develops operating rules andbusiness practices for the Automated Clearing House (ACH) Network and for electronicpayments in the areas of Internet commerce, electronic bill and invoice presentment andpayment (EBPP, EIPP), e-checks, financial electronic data interchange (EDI), internationalpayments, and electronic benefit transfer (EBT). OCR/ICR

Optical Character Recognition/Intelligent Character Recognition. Recognition of specialgraphic characters and fonts printed on documents, using optical reading technologies. OCRcharacters are easily read by the human eye and are the most common type of characterused in remit processing.

Offline SCM

A package of files that allows you to manually install Scanner Control Manager componentsto your workstation without logging into an application. This software also allowsadministrators to install SCM components to user workstations in silent mode. Also known asThickCab.

On-Us field

The MICR print band area between the closing amount symbol and the opening routingsymbol. Arrangement of the On-Us symbol is variable, specified by the financial institutionon which the check is written. It may include such information as the user's account number,a consecutive number, and a transaction or processing code.

OPD

Original Paper Deposit. Checks that are marked OPD can't be deposited remotely: theoriginal paper check must be taken to a bank. You can mark a check OPD by selecting theoption "Deposit at Bank" on the Image Quality Analysis error dialog box. Sometimes ITMSwill mark a check OPD if there is an internal error.

opt-out

A consumer account that has chosen not to have their check processed as an ACHtransaction. This applies to ACH processing only.

original check

The first paper check issued with respect to a particular payment transaction.

owner code

A unique ID that is assigned to each member node in the hierarchy. It associates data that iscaptured remotely to a specific member in the ITMS hierarchy.

password profiles

A set of properties that define requirements for ITMS passwords, including password length,history depth, lockout threshold and duration, and complexity.

payee

The party to whom a check is made payable.

payer

A person or organization that makes a payment. Also spelled payor.

Payer Lookup

When a check or remit is scanned, the check MICR line or remit account numberinformation is compared to data in the ITMS database. If there is a match to existing payerinformation, data entry fields are automatically filled in with the corresponding data. PayerLookup information is uploaded to ITMS and downloaded by the Deposit application.

permissions

The ability to perform certain functions in a Deposit application.

POP

Point-of-Purchase. It is the standard ACH entry code for Point-Of-Purchase checktransactions. At the payment location, the payment information is electronically captured,including the routing number and account number. The payment information is then used tocreate an e-check to the consumer’s account. POP transactions are processed with the checkwriter present.

The check writer must authorize the ACH transaction by signing a receipt. The biller mustretain the authorization receipt signed by the check writer for a period of two years from the

transaction date. The check writer must be provided with the scanned, voided check and a receipt of the transaction.

RDC Business

A web-based software application that provides a simple, quick way to remotely deposit checks using a scanner.

RDC Mobile

A mobile app that provides a simple, quick way to remotely deposit checks using the camera on an iPhone or Android device.

reference number

A number that links the check to the payer account. Often filled with an invoice number or remit number.

remit, remittance

An item that contains information necessary for processing a payment transaction. For example, a utility bill. Also known as a remittance stub or remittance coupon.

remittance account number

A consumer account number assigned by a billing organization in order to identify the consumer.

roles

Groups of permissions that are assigned to users. In ITMS, permissions are not assigned to users directly. Groups of permissions are collected in roles, and the role is assigned to users.

RP

Reproduced paper. A substitute check, IRD, or paper draft created from electronic transaction information.

routing number

A nine-digit number (eight digits and a check digit) that identifies a specific financial institution. Also known as a transit/routing number and bank routing number.

RTF

Rich text format. A file format that contains basic text formatting options, such as font and margins.

rules

ITMS decisioning filters that determine the eligibility of a transaction based on check amount, type, or number. Also known as ACH Eligibility Rules. This applies to ACH processing only.

scanner

A device that digitally captures an image of a check and magnetically reads the MICR code line located on the bottom of a check..

SCM

Scanner Control Manager. ITMS software that allows the system to control a check scanner and allows the workstation to transfer data and images acquired from the scanner.

settlement

A transfer of funds between two parties (in cash, negotiable items or on the books of a mutual depository) to complete one or more prior transactions and made subject to final accounting. Settlement for the ACH Network occurs through the Federal Reserve Bank, with the exchange of funds occurring on settlement day.

settlement date

The date when an exchange of funds with respect to an entry or entries appears on the books of the Federal Reserve Bank.

SSO

Single Sign-On. A process that allows a user to sign in to their bank and then not need to sign in to ITMS.

stops

Identifies a particular account or bank for which transactions will be refused for processing as Original Paper Deposit, ACH, or Reproduced Paper. Also known as Biller Stops.

transaction

A record of data containing sufficient information to initiate settlement processing. Therecan be multiple transactions in a batch and multiple batches in a deposit.

transaction profile

A configuration that determines how items, such as checks and remits, are processed duringa transaction. Transaction profiles are provided as a way to reduce error during processing.For example, you can specify the profile that a transaction must only contain a single remitfollowed by a single check.

transaction source

A node in the ITMS Host hierarchy configured to receive uploaded deposit data.

transit

Non-On-Us checks that are drawn on other financial institutions.

transit/routing number

A nine-digit number (eight digits and a check digit) in the MICR line of a check that identifiesa specific financial institution. Also known as a bank routing number.

TRN

Transaction Reference Number.

virtual endorsement

A system for applying a franking endorsement to an electronic image of a bank check. Alsoknown as electronic endorsement.

virtual remit

An electronically-inserted item that contains information for processing a paymenttransaction. It is useful, for example, if you normally include a remit in a transaction, but youare missing a physical remit.

workstation

The computer on which you use the Deposit application. Your workstation must have aconnection to the Internet.
