1.0 Reefer Malfunction Reporting Whenever a malfunction of, or damage to a reefer machine occurs, a reefer malfunction report (malreef) should be send. In case spare parts have been used for the repair, a workorder should be created in RDRM or MOVE in addition to the malreef. See 2.0 Ordering of Reefer Spare Parts on page 6 and
3.3 Marking of parts to be returned and documentation required on page 13.
A malreef must be prepared and send by use of the RMQS (Reefer Monitoring and Quality
System) application installed onboard. The output file must be attached to an email and sent
to [email protected], with no other email address in copy. Malreef follow up is done by CENEQUVSLSUP. If you have extra information that is not
mentioned in the malreef: send an additional email to CENEQUVSLSUP.
In addition to the above, CENEQUVSLSUP shall be informed immediately by RMQS report or e-
mail when: Assistance or guidance is required.
Shortly after loading, failure or damage of the reefer machine is observed which should have
been corrected during before loading. There is a failure or damage of the reefer machine which the vessel is unable to repair.
The reefer machine is not fit for loading or transportation and thus to be short-shipped.
Failure or damage to a reefer machine has been corrected on board, but with possible damage to the cargo.
There is a failure or damage on special shipments (SuperFreezer, Cold Treatment, Controlled
Atmosphere, Aqualife).
When RMQS is not available or not working, send your report as normal email message using the following format:

Compressor suction and discharge pressures MUST be stated. If there is no indication on the unit, measure the suction and discharge pressures with gauge set. For Super Freezer units, pressures are required for both the R134a and the R23 system.

1.0.1 Duty Phone
Maersk Line has two mobile duty phone numbers which can be called at any time of the day
for assistance/guidance on reefer matters. Only use these numbers in case of emergency when all other options have been tried.

1.1 Acceptance & Repair of Shipper Owned Reefer
Containers (SOC) To be accepted on a Maersk Line vessel, a SOC reefer container must have:
• a valid CSC plate permanently affixed to the container;

• an unique and legible container number permanently attached to the container. This
unique container number must preferably be a composition of a four letters prefix and seven numbers.
A full spare parts kit, including repair manuals and electric diagrams, must be supplied to Maersk Line by the shipper. The kit must follow the container throughout the voyage and be
delivered to the consignee with the container. If the reefer unit/container is not identical to Maersk Line own reefers and no proper spare parts or a valid LOI (Letter of Indemnity) is
provided prior to vessel departure holding Maersk Line free of any responsibility towards
breakdowns, repairs, etc. the booking office in charge must forward a pre-advise notice to the vessel(s) loading a shipper owned container advising them when a LOI is replacing the supply
of spare parts. Failure to do so will result in rejection of the unit by the vessel.
All settings, such as temperature/ventilation/humidity, must be in line with Maersk Line in-
house guidelines. No shipper-owned containers will be accepted with a temperature setting
below -22°C (-8°F).
A shipper-owned container will not be accepted in hot stuffed condition. Maersk Line is to be indemnified for all loss/claim/damage to cargo requiring special
heating/cooling in the event of malfunction while in Maersk Line custody. Clause 10 & 12 of the Maersk Line B/L refers in the event the Shipper is to be held liable for any damages/cleaning
costs and will be invoiced for all repairs, including spare parts, if not supplied by the Shipper.
If any malfunction occurs then it is only required to repair in the extend possible and what
available spare parts allows. Repairs involving ML spare parts to be approved by
[email protected]. When a repair has been performed to a SOC reefer unit, send a malreef report and spare part
order as per procedures for Maersk Line reefers.
Please see RAOM (Reefer Acceptance and Operational Manual) for additional information
regarding SOC reefers.
1.2 Repairs to reefer units of partner lines When a repair has been performed to a reefer unit of a VSA partner line and spare parts have
been used, send a malreef report and spare part order as per procedures for Maersk Line reefers.
1.3 Cannibalization of Empty Reefers Only in case of emergency, empty reefers may be cannibalized. CENEQUVSLSUP must always be notified accordingly with container numbers and part defective.
The defective part must be installed in the empty reefer and the container should be labeled with vessel name, date and part defective.
A reefer malfunction report must be send as per normal procedures.

2.0 Ordering of Reefer Spare Parts The replenishment Spare Part must be ordered through the ship purchasing system. For reefer spare parts, Maersk Line uses two systems, RDRM and MOVE. The vessel creates the requisition in the system, which must contain spare parts for reefer units only.
When a repair has been made to a reefer unit with the use of a spare part, a workorder must
be entered in the RDRM or MOVE system. The spare part used must be placed under the correct STS repair code where the part actually
has been used.
For example:
Two repairs have been made on one unit, compressor has been replaced and so has the
condenser motor. Compressor part nr. must be placed under code X711 and condenser motor part nr. under code X521.
Parts for different kind of repairs must never be placed under same code unless they are part
of same repair. For example: a filter/drier can be place under code X711 because it must also
be changed when the compressor is replaced.
When the workorder is completed the parts stock is automatically updated.
To order the parts used, create a requisition in the system.
The requisition to be created in RDRM or MOVE under purchase type: "Reefer parts" and
account no. B.2603925 The requisition must always contain following information:
• Delivery port - select port of delivery from list of key ports, see below. • Part number
• Article number
• Description • Current stock • Requested delivery date
The requisitions must be submitted no later than 8 working days before the requested delivery
date.
Order confirmations are issued from the purchase department. In case of back orders from the suppliers the orders are cancelled in the APM-M purchase
system and vessel is informed accordingly. New requisition must be created by vessel.
Upon receipt of ordered parts C/E must update RDRM or MOVE accordingly.
2.1 Allowance List Vessels equipped with more than 700 plugs are allowed to have on board a X-Large Kit and
Super Freezer Kit.
Vessels with 300 to 700 plugs are allowed to have on board a Large Kit and Super Freezer Kit. Vessels with 150 to 300 plugs are allowed to have on board a Small Kit.
Vessels with 50 to 150 plugs are allowed to have on board a Mini Kit.
Super Freezer Kit placed on board upon request by CENSALREFULT.
Vessels with max. 72 hours between port calls will not be supplied with reefer spare parts.

Each of above kits will include manuals and tools.
Vessels with PTI kits please be guide of above and add parts in PTI kit to your allowance (already done in RDRM).
The allowance list for your vessel can be found in RDRM or MOVE, or received per email request to [email protected]
Remote Monitoring System
Vessels not equipped with "remote monitoring system" please do not order RRM modems.
Water cooling
Vessels without connections for "Water cooled operation" in cargo holds please do not order
spares for water cooled receivers.
2.1.1 Compressor oil
Please note that compressor 18-10129-20SV and compressor 18-00055-20RM2, are delivered
without lub. oil. Any delivered reefer ester oil can be used as e.g. Castrol Icematic SW-20, MOBIL EAL22R
ARTIC.
OIL for Scroll compressors.
Use Carrier part no 07-00427-00P12, art no 414634 Oil, 32ST, for Daikin, Thermo King and
Carrier scroll compressors.
OIL for Thermo King and Carrier piston compressors.
Use Carrier part no 07-00292-00, art no 270628, Castrol, Lub Oil R-134a, for Thermo King and Carrier piston compressors.
OIL for Starcool compressors. Use Starcool part no 818667B, art no 423053,

2.4 Consumable parts Consumable parts, such as plugs and cable splices can be ordered in the same way as other reefer spare parts. The distribution of these parts is done by Carrier, so the parts have a
Carrier part number in the systems and allowance list.
2.5 Combining orders / minimum order value We have been advising and encouraging all vessels whenever we have opportunity to combine
orders in one request, instead of ordering only one item at a time. This is in order to save
shipping costs, frequent local delivery charges and to avoid the risk of losing parts. The minimum order amount of reefer spare parts to be ordered per manufacturer is 100 USD
for the same reasons. Maersk Line will be responsible for the shipping costs incurred from each
supplier if the order is less than 100 USD, not to mention that the shipping cost will highly exceed the part value. Some items (like fuses) cost less than 1 USD per piece.

2.6 Carrier Software and Configuration Cards
2.6.1 Software versions
ML2 software card with Rev 1207 shall be used whenever controller ML2i is used in a ML2 unit. ML2i software card with Rev. 5x43 (x = 1 or 3) or later shall be used if your spare controller has an older version.
When software version 5x43 or later is used Defrost setting must be set to AUTO.
NOTE: Upon request, software cards can be updated in the following ports:
ALR, TPP, PAN, HKG and CHL.
Please send your request to [email protected] minimum five working days in advance. Alternatively, CENEQUVSLSUP can also email you the latest software version to
update your cards with yourself.
2.6.2 Ordering software and configuration cards
Software and configuration cards are not to be ordered via the purchasing system. Instead,
please order replacement cards by email to [email protected]

3.0 Returning of Defective Parts
3.1 Responsibility
It is the responsibility of the Chief Engineer that all parts with a core value are returned to the
manufacturer according to manufacturer’s guidelines. NOTE: The policy of the manufacturers is "NO PART NO PAY".
Defective parts must be delivered to the agent upon receipt of the new part. Thus the agent must be informed in due time in order to arrange pick up. See 3.3 Marking of parts
to be returned and documentation required on page 13.
All parts returned should be labeled with a Return Tag. Thermoking and Starcool have their
own Return Tags, use a Maersk Return Tag for parts of all other manufacturers. Wrap the part in the original packing. The information on the Return Tag is very important when warranty
claims have to be filed. This information is also needed on the Maersk Line “Reefer Parts
Return”.
3.2 Parts to be returned The following parts must be returned to reclaim core and / or warranty payment.
Rewinding of condenser and evaporator fan motors is not done; these motors do not need to
be returned if they are not mentioned in the table below, unless the unit is still under
warranty. Parts should also be returned if they still have parts warranty (normally 1 year). See 3.7.1 Container numbers – warranty units on page 23 for a list of container number series that are still under warranty.

Daikin units are covered by a maintenance cost program and all replaced parts must be landed
upon receipt of the new part with filled in Return Tag safely attached. Daikin parts are to be addressed to Daikin per address of local agent in landing port. The agent
will keep the parts in stock for 90 days for inspection by Daikin where after parts are destroyed.
Please return Daikin spare parts in key ports and preferably in Rotterdam or Algeciras.
NOTE: Electronic parts and compressor motors that are covered by warranty or represent a
core value are delivered on exchange base; this means that the defective part must be handed
over upon receipt of the new part. Vessel must return the part no matter if it is burned or otherwise damaged.
York RMM Modems (used in Carrier, Daikin and Starcool units) are not to be returned. Thermoking modems do have to be returned, see the table above.
Empty refrigerant bottles that can not be refilled do not need to be returned. Refillable
refrigerant bottles can be returned without further notice.

3.3 Marking of parts to be returned and documentation
required Whenever a repair is done to a reefer unit and return parts have been used, the following
documentation should be completed:
• Reefer malfunction report (malreef) – see 1.0 Reefer Malfunction Reporting on page 3;
• Create a workorder in RDRM or MOVE (if available on board); • Return Tag to be attached to the defective part;
• Reefer Parts Return form (I-form 138) to be sent.
The agent in the port of landing should be informed at least 24 hours in advance in order to
arrange the collection of the parts.
Specifically for Rotterdam: Reefer parts are to be landed separately from other return goods (ship spares etc.). Reefer
parts and refrigerant bottles are collected via the agent and must be requested 24 hours before the ETA.
Carrier and Thermoking electronic parts should be tested before returning to manufacturer.
Please see the appropriate procedure in 3.6 Electronics Return Procedure for Carrier and
Thermoking on page 21.
3.3.1 Return Tag
All parts returned must have a completed Return Tag safely attached to them with tape or
string. Please ensure the tag attached to compressors is secured in a waterproof way.
Thermoking and Starcool have their own Return Tags, use a Maersk Return Tag for parts of all
other manufacturers. Wrap the part in the original packing. The information on the Return Tag is very important when warranty claims have to be filed. This information is also needed on
the Maersk Line “Reefer Parts Return” form (I-form 138). To order Maersk Line Return Tags, use part number 358257.
Thermoking and Starcool include their own Return Tag in the packing of the new part.
It is very important that all fields are completed correctly; otherwise the warranty or core request will be rejected by the manufacturer.

3.3.2 Reefer Parts Return Form
The "Reefer Parts Return" form (I-form 138) should be made in three copies. Please attach
one copy to the part returned, forward one copy to [email protected], and keep
one copy for your own administration. The form is used to ensure the parts are send to the correct address and to claim core and
warranty payments with the suppliers. It is important that all information is entered accurately.

Because parts are returned to the manufacturer, the receiver address will be different for each
manufacturer. Therefore, a separate form must be used for parts of each manufacturer. More than one part of the same manufacturer can be entered on the same form.

Tanjung Pelepas, Hong Kong or Yokohama.
The parts will not be physically sent back to the manufacturer, but must be stored by the agent for 90 days for inspection by Daikin. After this, they will be disposed.
Thus, for Daikin parts, the return address is "AGENT STORAGE 90 DAYS". Since Daikin is entitled to inspect the parts, the same documentation as for other suppliers is required;
including the return tag to identify the origin of the parts.

3.5 Compressor Return Procedure To qualify for core credit the core must have the following:
1. Consist of all original parts and be fully assembled. A complete compressor includes
cylinder heads and valve plates, crankshaft cover, oil base, oil pump and all hardware. 2. Core is sealed, including; suction and discharge ports and all port fittings (use covers
from the new compressor or cover ports with duct tape).
3. Not damaged by no-operational causes such as rough handling, fire, or improper installation and dismantling procedures.
Place the core in the shipping carton used to ship the new compressor or secured (strapped or bolted) to a pallet.
3.6 Electronics Return Procedure for Carrier and Thermoking All Carrier controllers and Thermoking main relay boards (mrb) and controllers are to be returned. The controllers and mrb have to be tested first before returning to the manufacturer.
When completing the return form the address of the nearest Carrier or TK depot has entered in
the receivers field. For the Name and Address of Agent field, the nearest of the following addresses should be

3.7 Reefer Unit Warranty Information on all parts on Maersk Line reefer units covered by warranty can be found on the
data / serial plate on the unit or part.
It is a request from manufacturers that the following information is available when warranty
claims are presented:
1. Unit serial number (FROM DATA PLATE ON UNIT) 2. Unit model number (FROM DATA PLATE ON UNIT)
3. Commissioning date (FROM DATA PLATE ON UNIT)
4. Part no and description of part 5. Serial no of old part (if available)
6. Serial no of new part 7. Cause of failure.
Makers have tightened up procedures and in some cases rejected warranty claims that do not have above-mentioned information. Therefore once again, it is of the utmost importance that
the workorder / malreef / Reefer Parts Return form has the above-mentioned information. In
case the information is not available, please fill in 'NA' instead of the requested information.
