    1 RECRUITMENT AND SELECTION

    1.1 INTRODUCTION

    1.1.1 The recruitment and Selection procedure for Radha Krishna

    Automobiles Pvt. Limited has been framed with the intention to

    make it a benchmark in its class.

    1.1.2 The objective of the Recruitment and Selection Procedure is to

    hire right person for the right position at the right time.

    1.2 SCOPE1.1.1 This applies to all employees including contractual/ temporary,

    fixed term, employees on probation and regular employee for all

    levels. However, the process will vary with type and level of

    employment.

    1.1.2 This procedure does not cover for employees joining as trainee

    (covered under Training and Development procedure) and

    workmen or trade technician.

    1.3 RECRUITMENTAND SELECTION PROCEDURE

    Exhibit 6.1 gives broad process flow of Recruitment and

    Selection procedure as covered in this section. The details of

    each process step are given below.

    1.4 RECRUITMENT PROCESS

    1.1.1 Initiation of Manpower Requisition: Concerned Functional

    Head (not below General Manager level) shall initiate the

    process by sending a request in the Manpower Requisition Form

    (as per format enclosed as annexure A) to HR Department.

    Vacancy in any department may arise due to:

    a)Separation of an employee due to resignation, termination,

    absconding, retirement or death, which will be called

    Vacancy against Sanctioned strength. Any planned

    replacement of existing employee for whatsoever reason isalso covered under this head.

    b)Creation of new position as per business requirement for

    which additional manpower than sanctioned manpower are

    required and internal resources is not available. This will be

    called as New Sanctioned Vacancy.

    Approval from Chief Operating Officer(COO): Only in cases

    of New Sanctioned Vacancy, the concerned Functional Head

    shall take approval of Chief Operating Officer (COO), before

    sending requisition to the HR Department. Revised and

    approved Organisation Chart of the department is required to be

    sent with the Manpower Requisition Form.

    1.1.2 Sourcing: Based on the criteria laid down in the Manpower

    Requisition Form for the candidate, HR Department shall checkswhether any internal suitable candidate is available or not and

    then initiate the process to call for application.

    HR Department may also put on notice board the vacancy for

    internal employee to apply or any employee can make referral

    for this vacancy. Internal posting in the notice board will be upto

    Manager level position only. HR will also collect resumes from

    various sources that may include:

    a) Searching data bank of reputed jobsites

    b) Advertisements in jobsites

    c) Advertise in local Newspaper, and

    d) Through Recruitment Consultants

    1.1.3 Shortlisting for Interview: All the applications received for

    the vacancy will be scrutinized to finalise the list of candidates to

    be called for interview by the HR Department, with the help of

    concerned Department (if need be), on the basis of the laiddown requirements in the Manpower Requisition Form. Broad

    norm for shortlisting will be minimum 6 for position below

    Manager level and 4 for Manager and above levels.

    1.1.4 Organise Interview: HR Department shall organise the

    interview process by finalizing the interview panel and

    coordinating the dates/time between the Candidates and the

    Interview Panel, and then shall send the interview call letter to

    the candidates, with the details of

    a) Position (with JD)

    b) Place (with the Time and Date) of interview

    c) Contact person (persons name) and his/her Phone number

    (Ideally from HR department, but could be any other

    person if none from HR department is available at the place

    of interview)

    The Employment Application Form given as annexure B (for all

    regular positions) and annexure C (For Trainees and on-Contract

    positions) shall also be send along with the interview call letter

    The interview process will be of single round in case(s) of Deputy

    Managers and below levels, and for all other positions on

    contractual, fixed-term or temporary appointments. The process

    will be of two rounds in all case(s) of regular employees of the

    level of Manager and above.

    1.5 SELECTION PROCESS

    1.1.1 First round of interview: The interview panel ideally shall be

    of minimum 3 member, comprising of

    a) Domain/knowledge expert or Functional Head

    b) Reporting Officer (Not below Manager level)

    c) HR Head.

    If required more panel members may be added to enhance value

    in the process. The first round will be the final round for all

    vacancies of Deputy Manager and below levels, and for all other

    positions on contractual, fixed-term or temporary appointments.

    1.1.2 Final (or second) round of interview: The second round will

    be the final round for all vacancies of Managers and above. The

    interview panel ideally shall be of minimum 3 members,

    comprising of

    a) Chief Operating Officer and/or MD

    b) Functional Head where candidate will be placed

    c) Another Functional Head

    If required more penal members may be added to enhance value

    in the process.

    1.1.3 The following procedure will be followed for conducting

    interview:

    1) HR department will send all the members of the panel the

    following documents/ details atleast two working days prior

    to the date of interview:

    a. Position Profile of JD or Manpower requisition form

    b. CVs of the candidates called for interview

    c. Interview Schedule, location details etc.

    2) The Contact person shall ensure the followings for smooth

    conduct of the interview

    a. Confirm with candidates one day before interview and

    also on the day of interview.

    b. Confirm the availability of panel members one day

    before the interview

    c. Receive the candidate at the interview venue and

    collecting the Employment Application Form from

    candidate, make required number of copies (as per

    number of penalists) and giving to members of

    Interview Panel. If some test are to be conducted,

    organize the same before panel interview.

    d. Arrange tea/coffee/water etc. for candidates

    3) Giving Interview Evaluation sheet (Annexure D) to panel

    members

    4) The interview panel shall interview the candidate and submit

    their recommendations in the Interview Evaluation Sheet

    (Annexure D). Same format is applicable for both rounds.Each member of the panel will fill separate sheet for each

    candidate.

    5) It is important here for the HR Head and/or Functional

    Head/Head of Panel to have some preliminary discussion on

    the requirements of the position, and the selection criteria to

    be applied and the role of each panel members.

    6) For above Manager level position, some psychometric/

    psychological assessment may be used beside personal

    interview.

    7) The broad norm of interview time for each candidate will be

    as follows:

    a. For Dy Manager and Below : 45 mins., and

    b. For Manager and above: 1 hr. to 1hr. 15 mins.

    8) The travel reimbursement, if payable, shall be as per the

    eligibility of the level of the vacancy arises for.

    1.1.4 Salary and Grade fixation:The salary negotiation and fixation

    process for the candidates recommended by the panel for

    recruitment shall be arranged on the same day or otherwise

    within a week time. The HR Manager shall discuss:

    a) Salary offer

    b) Grade/designation

    c) Place of posting

    d) Joining Time

    e) Relocation and other joining expenses

    The HR Manager shall have to consider the salaries and levels

    the existing employees with similar experience and education as

    well as the compensation offered by similar best of class in

    similar organisation in that location, while meeting the

    candidates expectations. Due compensation shall be given to

    the special course/training undergone and past relevant

    experience. If need be (s)he may also take advise from theconcerned Functional Head too, before finalizing an offer to the

    new candidate. On agreement, the candidate shall sign off the

    Salary Fixation Sheet (For the Format Refer Annexure E) as a

    token of acceptance of the offer.

    Finally, HR Head shall communicate the candidate a) further

    process of the appointment, and b) the number of days may take

    for the issue of Appointment Advice in case he is considered for

    appointment.

    In case of temporary/ contractual appointment, no appointment

    advice will be issued and the component of remuneration for

    providing service or nature of employment will vary on case-to-case basis. In context of legal complicity, the appointment letter

    for contractual employee will be different then the Appointment

    letter issued to the regular employees. Special precaution needs

    to be taken in issuing such letter based on the nature of contract

    and type of requirement.

    1.1.5 Reference Check: HR department will conduct reference check

    directly or indirectly for all candidates above Manager level for

    all functional area and Officer and above level for Accounts,

    Finance and Commercial areas, before finalizing for appointment

    either through phone or by other means.

    In case of temporary/ Contractual employment, this process can

    be avoided if there is no specific requirement or need identified

    by the organization. HR Head will be sole responsible to take the

    decision whether or not reference check to be carried out.

    1.1.6 Approval from the Chief Operating Officer(COO)/MD : The

    entire case file having Employment Application Form,

    Curriculum Vitae, Manpower Requisition Form, Job Description/

    Position Profile, Interview Evaluation Sheet and Salary Fixation

    Sheet shall then be sent to the COO/MD for the approval beforethe release of the Appointment Advice.

    1.1.7 Issue of Appointment Advice: After receiving formal approval

    from COO/MD, HR Head shall issue the Appointment advice to

    the candidate within one business day by courier or by hand.

    The candidate shall send back the Appointment advice, dulysigned as a token of acceptance. (For the Format Refer

    Annexure G).

    1.1.8 Medical Examination: The HR Department shall arrange for

    the Pre-employment Medical examination of all the candidates

    joining at the level of Dy General Manager and above(Refer

    Annexure F). However in cases of Manager and below, fitness

    certificate from a Registered Medical Practitioner is required for

    fitness for employment.

    1.1.9 Issue of Appointment Order : Appointment Order (Annexure

    I) will be issued to candidate ideally on the date of joining as a

    part of joining procedure. Hence HR department will ensure that

    the Appointment Order is ready on the date the candidates

    joining in the organization.

    The signing authority of appointment order must be

    either COO or MD or any other person authorized by MD

    through office order.

    1.1.10 Antecedents verification: HR will initiate antecedent

    verification (For the Format Refer Annexure H) of all regular

    employees joined laterally on the claims made by the candidate,

    after candidate joins in the organization.

    3. Separation/Superannuation

    a) You will automatically retire from the services of the Company onattaining superannuation i.e. 58 years unless the extension isallowed by a written order at the sole discretion of the Company.

    b) After successful completion of probation period i.e. on confirmation,the Contract of Employment can be terminated by either side bygiving one months Notice or Basic Salary in lieu thereof.

    c) In case any declaration given by you at the time of your appointmentis found to be wrong or you are found to have willfully suppressedthe material information, the appointment itself will be deemed to bevoid and your services will be liable to termination without Notice orcompensation in lieu thereof.

    d) Unauthorized absence without prior sanction of leave or overstayingsanctioned leave period for a period of eight days or more will resultin automatic striking off your name from the rolls of the Companywithout any reference to you, amounting to loss of lien ofemployment and expiry as well as termination of the contract of theemployment.

    4. Place of posting and Transfer

    a) Your initial posting will be at ______________.

    b) Your services will be liable to transfer to other department, section,shift, office to another place/Company whether existing or to be setup in future as may be considered necessary. The terms andconditions to such other place/establishment will apply to you

    5. Other terms and conditions

    a) You shall be required to enter into an agreement/undertaking ofBond, separately for any of the companys equipment, car motorcycle etc. entrusted to you, as per rule of the company.

    b) You shall be responsible for the safe custody of all documents,manuals and kits supplied to you. You shall return the companysproperty issued to you on cession of services.

    c) You will carry out all instructions of your Superiors with regard toyour work and carry out diligently and earnestly all duties or work

    that may be assigned to you from time to time.

    d) You will devote your whole time during office hours in the work of theCompany and will not undertake any other business or work,honorary or remunerative without the prior permission of the ChiefOperating Officer or any other authorized person during or afteroffice hours/off days/holidays.

    e) You are liable for medical check up at all times by the RegisteredMedical Practitioner as may be specified by the Company. TheManagement may terminate your employment, if you are foundunfit, physically or otherwise.

    f) You shall safeguard and keep confidential for all times to come, theinformation coming to your knowledge or possession, in the courseof your employment with the Company. Failure to observe thiscondition of employment entitles the company to summarilydispense with your services without any prior notice. In addition, theCompany shall be free to take any action or claim damages in thisbehalf.

    g) You confirm that you have disclosed fully all your business intereststo Radha Earthmover Private Limited whether or not they are similarto or in conflict with the business(es) or activities of the Company,and all circumstances in respect of which there is, or there might beperceived, a conflict of interest between Radha Earthmover PrivateLimited and you or any immediate relative or any associate/ friend.Also, you agree to disclose fully and immediately to the Company

    any such interests or circumstances which may arise during youremployment.

    h) You will not join any competitor or ancillary or start your ownbusiness within 2 years of your leaving the services of the companyunless allowed by the company in writing. The company reserves theright to take various administrative actions (for example, withholddues as part of the full and final settlement) as well as institution ofpolice and criminal cases.

    i) You will abide and be governed by all rules, regulations and orders of

    the Company that are framed/modified and may be applicable toyour category of employees from time to time.

    In case, the above terms & conditions are acceptable to you, pleasesign the duplicate copy of this Appointment Order in token of youracceptance.
