Record of Child Care Employee What is the Record of Child Care Employee (RCCE)? The online RCCE benefits centres by allowing them to:

Update/modify their employee record online; Online proportion of trained staff calculation results; Add new employees to their employee record online; Remove existing employees from their employee record online; and, Use the online RCCE to track their employees for their own records.

If you do not yet have access to the Internet and Child Care Online, you may use the new paper form to submit your changes to the RCCE listing. How to access Record of Child Care Employees

Select Record of Child Care Employee to enter the listing for your facility. If you are not logged on, the system will prompt you to do so.

Record of Child Care Employee The Employee listing The employee listing is broken into the following parts: Daycare is Fun, Inc (Facility No: XXXX)

Proportion of trained staff; The current List; Pending confirmation list; and The Historical List

Proportion of Trained Staff When accessing your RCCE, centres are able to view their proportion of trained staff. This will assist centres in ensuring that they are meeting their proportion of trained staff requirements. When adding an employee the changes are recorded immediately. When ending an employee, the employee is moved from the pending list to the historical list over night. Mary Director

Current List The current list has been confirmed by Child Day Care (CDC) staff, as such, the classification level listed after each person’s name is the level that CDC has on the person’s “Personal Information” on the Child Day Care system.

If you accidentally submit an add employee or modify employee submission with an error you must wait until it returns to the current list to make your changes. Do not create a new person to fix the

rror. e

If you see a discrepancy in the classification level for one of your employees, contact your Day Care Co-ordinator. If there is a discrepancy with the information in the system staff at the CDC office may not be able to find the correct person. (ie. Names, previous names, birthdates…etc) Often there is a defaulted birthdate of 1899/01/01 if the information is missing in the system.

Pending Confirmation List The pending list is the list of employees that have been recently added or modified and are waiting to be confirmed by CDC staff. For people who have been modified, this will happen automatically overnight. For people who have been added, this may take 4 to 5 business days. Once CDC staff have confirmed an employee’s classification level, the employee’s name will show under the current list. View Historical List The view historical list provides the facilities with a list of all past employees allowing you to sort them by end date or classification.

Record of Child Care Employee

Enter any different names the person uses including nichknames, previous married names, madien names, spelling variations, etc. This will help CFDC to find the person on the Child Care Online system.

Enter the first aid & CPR expiry dates if known If this training has not yet been completed, expiry dates can be added later.

Enter the employee start date.

Enter the employee position. You can select more than one.

How to add a new employee, continued 4) Complete the Add an Employee form

Enter the full, legal name of the person. Do not use initials.

Enter the employees Core & Additional hours, you must select at least “0” See the on screen help for more assistance in completing this part of the form.

Take note of the submission number; use this number if you have to ask Child Day Care about this submission.

If you are not ready to submit your form you may select the “Save as Working Copy” button and the form will be saved for up to 30 days

employee. This can be a future date.

If the employee’s end date is in the future, remember not to remove their hours. The employee will not be removed from your employee listing until the evening of the date you have specified.

Record of Child Care Employee How to complete the online IA form The online IA is a partially pre-populated, printable form for you to sign and submit by mail to the Child Day Care office. The benefit is a more accurate, complete legible form.

The IA cannot be completed without the RCCE being completed. We recommend sending both the RCCE and the IA at the same time.

There are two ways of accessing the pre-populated form: For existing employees:

1) Select to view their record. (See: How to view an existing employee) 2) Select the View & Print IA button from the bottom of the screen.

For new employees:

1) Select the View & Print IA link on the successful submission screen (if this link does

not show up on the confirmation screen, it is because you selected “Yes” to the IA question on the preliminary question screen. You can access it the same way you do for existing employees.)

Complete the rest of the form: Employee type Current Address Previous Addresses (We now require 5

years worth of previous address history as part of new requirements.)

Select Printable Form. This will create a printable version of the IA form. Use your browser print button to print out the IA.

You still must provide the signatures and mail the form to the Child Day Care office.

If your employee will be working at more than one location, you may still submit only one IA and record all the appropriate facility numbers on the form.

Record of Child Care Employee A brief note about Classification forms If you let your employees use your computer to apply for classification online they will be required to log in using their own self-registered ID the same way a person who is applying for subsidy would.

These sections cannot be accessed using a Facility Logon ID.

You will be prompted to logon as a self-registered individual.

Select to access the four Classification Application forms.
