Maintain office services : Design and implement office policies, establish standards and procedures, organize office operations and procedures, supervise office staff, monitor and record long distance phone calls, prepare time rotation sheet for support staff, control correspondences, review and approve supply requisitions, liaise with other agencies, organizations and groups, update organizational memberships. Supervise office support staff: Assign and monitor clerical and secretarial functions, recruit and select office support staff, orient and train new joinee employees with admin circular and induction, evaluate support staff performance, coaching and disciplining staff. Vendor Management: Act as communication bridge among user / coordinators / vendor / management and implementation of management decision. Providing up to date status of vendor’s reporting to management. Financial : Cost effectiveness and budgeting of the administrative cost which includes selecting the most cost effective vendor responsible for various administrative services/ materials while maintaining the company standards, monitoring of the bills for travel/support staff/ pantry /stationary/ other related costs. Internal Processes : Completion of all admin activities assigned by the management, timely submission of the various vendor bills, employee reimbursements with the finance team and also following up with them for the payments.
