Quick guide to CMG Office Web

You can use CMG Office Web to redirect calls and divert your phone, as well as set timed diverts. Office Web is also a working tool for operators and you can add information that you would like the operator to pass on to people trying to contact you. You can access Office Web via the Portal under the link ”Redirect your phone”.

When you have started up Office Web you will see the window below. The Directory function is preselected..

My settings (Mina inställningar)This is where you can change your password and language, as well as change your user details and contact profiles.

Enter/change passwordYou do not need a password to use Office Web, but we recommend that you set one so that no-one else can access your voicemail or your activities.

Enter your extension and a password (4-8 figures) under New Password, repeat the password under Verify Password and click on OK.

When you want to change your password, enter your current password under Old Password, and your new one under New Password, verify and click on OK.

DirectoryYou can search by name or phone number within the University of Gothenburg.

VoiceYou can use your voicemail Voice to manage messages and greetings etc. via a web interface.

Quick infoYou can search in Yellow Pages and look for country and dialling codes.

OrganisationYou can access an organisational structure and see which people and extensions there are in a unit.

ActivitiesIf you redirect your calls here your instructions will be available to the operators as well.

DirectoryYou can search by name, phone number, key word and organisation.

You do not need to enter the whole name when searching by name.

Click on the ’i’ symbol if you want to access further details.

You can access additional information by clicking on the link for further information.

You can view a summary of the phone diverts the person in question has done that day.

OrganizationThe Organization menu option will provide you with an organisation tree. You can search for people within a department/unit.

When you click on the plus sign the next level of the organisation will drop down.

ActivitiesIf you have set up a password you must log in to open the Activities function.

If you divert your phone under activities, the operators can see them. You can also submit information straight to the operators in the information box.

You choose code for activities in the drop-down menu. You can choose to divert your phone to another number and you can set up recurring activities.

Use the built-in help function to find out how to use Activities.

Voice

MenusWe do not currently use the Menus function.

SettingsUnder Settings you can set how you want the system to interact with you and those who call you but are directed to interactive voice response.

NotificationsUnder Notifications you can decide how you want to be notified that you have a new voice message.

Find out how to use VoiceUse the built-in help function to find out how to use Voice.

MessagesUnder Messages you will find any messages that have been left on your voicemail. You can listen to them, save them, forward or delete them via the web interface.

PhrasesUnder Phrases you can manage your own recorded greetings. You manage them via the web interface and the system calls your extension.
